9 What's New in This Version What's New in This Version Here is a quick look at what's new in this version of ENPS. New Macro Opening Specific Wire Categories or Providers. A new macro has been created that, when triggered, allows users to directly access a specific wire category or specific wire provider. Adding Wire Categories to the NavBar Users can now dock a wire category to the NavBar by dragging the desired wire category from the Wire Viewer to the NavBar and dropping it between two already-existing items. Disabling the Find Function After it has been initially enabled, users can now press Ctrl+F on the keyboard to turn off the Find function in Rundowns and Planning Grids. 1

10 ENPS Features Overview ENPS Features Overview ENPS has been designed to help newsrooms like yours work more efficiently. Here s a quick look at some of the major features of ENPS 7. The Interface ENPS has a fresh new look and even more flexibility to control how and where content is displayed. You can hide windows you don t need, view content in pop-up windows, and detach windows to move them to another monitor. Plus you can now have more Rundowns and other content open at one time. Alert Bar The Alert Bar displays urgent wires and messages from other ENPS users. It stays at the top of your screen, even if you minimize ENPS. 2

11 ENPS Features Overview New Message and Wire Alerts Windows You can see longer lists of messages and urgent wires in the New Messages and Urgent Wire Alerts windows on the left side of the screen. You can save space on your desktop by collapsing these windows. Collapsed windows take up little space on your desktop and will still let you know when there s new content for you to see. Ribbon ENPS 7 no longer uses rovers to access functionality. Instead, each type of content you are working with, such as stories, Rundowns, Planning Items, has its own Ribbon at the top of the screen. Most Ribbons have tabs to organize the available options. All Ribbons share two common elements: the File menu at the far left and the Home tab next to it. The File menu lets you create new content, print, access various configuration options and more. The Home tab on the Ribbon is where you can find and execute all your custom Macro shortcuts. 3

12 ENPS Features Overview NavBar The NavBar on the bottom of the screen gives you access to places and functions just like in older versions of ENPS. Roll your cursor over an icon and ENPS tells you what it does. You can dock additional folders and items to the NavBar by dragging and dropping them onto the NavBar. Right-click on folders to create new objects. Detached Windows Windows with the icon can be detached from the main ENPS interface and displayed in their own windows. This is useful on workstations with multiple monitors when you want to move something like the Dashboard or Planning Calendar to another monitor. Pinning Windows Many of the windows in ENPS are designed to offer you a quick glimpse at their content without opening a new tab in any of the main windows. These windows will close as soon as you click outside of the window. For example, if you click on your Personal Folder you will see a list of its contents in a window that overlaps other information on your desktop. The window will disappear as soon you click outside of it or you click the icon. If you want to keep the window open on your desktop, click the pin icon. 4

13 ENPS Features Overview Wire Viewer Browsing wires in ENPS v7 is done in the new, self-contained pop-up Wire Viewer. Pin buttons on the two right hand panes allow you to pin back either a category list or an individual story. Stories can also be pinned back by hitting the space bar. This allows you to quickly and easily save stories for later reading or editing into stories for output. The entire Wire Viewer can also be pinned back or detached and moved onto a second screen. Enterprise Browser The Enterprise Browser replaces the old Locations menu as the way to browse content in other ENPS folders. In addition to allowing you to preview content lists from other folders in a single place, it also allows you to dock frequently used folders onto your NavBar by dragging them from the Enterprise Browser. Publishing Social Media You can publish to Facebook and Twitter and monitor feedback from the social media community. 5

14 ENPS Features Overview Planning Calendar The Planning Calendar gives you an overview of the Planning Grids, Planning Items and Rundowns that have been created in ENPS. The interface is designed for day-of and long-term editorial planning and scheduling. Writing Stories for Multi-Platform Output Once a story is written you can easily create additional versions of the story for use in other broadcasts or online. You can even choose a different story template to use when creating the new story. 6

15 ENPS Features Overview Media Submission from the Field ENPS now provides the ability for users to drag media, such as a still image or video clip, directly into a story from their local PC, their network, or a Web browser. The content can then be automatically transferred to an FTP server in the newsroom and from there to your integrated audio, video, or graphics server for additional editing or on-air playback. This allows users to contribute media into the production process even though the media does not yet exist on any of their existing production servers. Preview Media in Stories Previewing media is now done directly in-line with your story text. You can show or hide the thumbnail image by clicking the icon. Story Chat Story windows now have a chat log that let you communicate with other people working on the story. It is useful for sharing information, notes and ideas related to the story with anyone looking at the story. 7

16 ENPS Features Overview Dashboard MyENPS is now the Dashboard. The Dashboard gives you an easy way to get a personalized overview of the content you need to get your job done. Just about anything in ENPS wires, folder lists, search results, etc. can be placed into Dashboard tiles. Each tile will update automatically as it comes in. Keep checking back to see what s new. Search The Search box at the top of the screen works much like the Search Bar in earlier versions of ENPS. It lets you search for any content in ENPS, including stories, Rundowns, wire stories, contacts, even discarded items in the Waste Bin. Start typing in the Search Bar at the top of the screen and click the magnifying glass icon or press Enter. More advanced search options are on the Search Ribbon. The Search ENPS Content button on the Search ribbon lets you easily include other servers in your search. 8

17 ENPS Features Overview Filtering You can quickly pare down the number of items you see in a folder such as Search results by using the filter located at the top of many windows in ENPS. This feature lets you view only items that match the text that you enter in the filter box. If you delete the filtering term the full content will be restored to the window. Macros ENPS 7 introduces the concept of Macro contexts which controls where the macro is allowed to run for instance, only in a story or a Rundown. This cuts down on unexpected behavior when a macro is executed in the wrong place accidentally. Macros can be run via shortcut keys or the Home tab on the Ribbon. 9

18 ENPS 7 Interface ENPS 7 Interface At the top of the ENPS window you will see a Ribbon that adjusts to whatever type of content you are working on. Along the left-hand side of the screen there are windows for New Messages and Wire Alerts. Along the bottom of the screen the customizable NavBar gives you quick access to the functions you use most. The rest of the desktop consists of resizable windows for stories, Rundowns, Planning Grids, and more. 10

19 Using Ribbons Using Ribbons The Ribbon at the top of the ENPS screen is a toolbar that changes depending on the type of content you are working on. There may be several tabs available, each containing options you may wish to use. To save screen space you can hide the Ribbon at the top of the screen just by doubleclicking on the active tab. The menu options will be collapsed so that only the menu tabs are visible. If you want to access a feature on a Ribbon while it is hidden, click on the tab and select the function you want to use. The Ribbon will be hidden automatically. To make the Ribbon stay visible again, double-click any of its tabs. 11

20 Home Tab Home Tab The following options are available on the Home Tab, which will appear on the Ribbon regardless of what you are working on. Macros Run a macro. Global macros can be run from anywhere in ENPS; Story and Rundown macros can only be run in their respective areas. 26 Ribbon Keytips Ribbon Keytips Alt keys can be used to quickly navigate to menu options on the Ribbon. To view a list of Ribbon Keytips press the Alt key. Text boxes with the letters appear over the Ribbon tabs. In the Rundown ribbon, for example, the shortcut key for the Layout tab is L. Press Alt and the letter of the tab to activate the shortcut keys for that tab. In this example you would press Alt+L to display the shortcut keys for the Layout tab. Next press the letters that correspond to the Ribbon item you wish to use. To display the Rundown in full screen, for example, you would press the letters "F" and "S." So when a Rundown is active the shortcut keys to view a Rundown in full-screen is Alt+LFS. 18

27 New Messages and Wire Alerts New Messages and Wire Alerts When you first open ENPS you will see windows for New Messages and Urgent Wire Alerts on the left side of the screen. The Messages window displays unread messages from other ENPS users; to view all of your messages use the Message Center. Urgent Stories lists the latest incoming urgent wires. This list updates automatically when the system receives wires with the newest stories at the top. You can save space on your desktop by collapsing these windows. If you hide the window you will see the number of messages or wire alerts displayed on tabs since you hid the window. It will reset to 0 when you expand the window. 19

28 NavBar Icons NavBar Icons The NavBar at the bottom of the screen gives you access to the following functions in ENPS: Drag an item to the Printer icon to send it to your default printer or click on the icon to configure print options. Wire Viewer opens the wire browser where you can view wires. Wires display with the newest wires on top. Your personal folder is your private workspace in ENPS. Use this folder to store items like stories, media objects, and contacts that are only visible to you. Home folder is the shared workspace for your group. This folder contains items such as stories, Rundowns, and Planning Grids that will be used for production. Enterprise Browser lets you navigate to servers and groups within your organization. Message Center is where you can send and receive messages from other ENPS users. Social Media Dashboard displays all activity for the social media accounts to which you have been given posting privileges. Contacts is where you can manage your private contacts, as well as contacts for your group and all users on your server. Planning Calendar gives you an overview of all the events in your newsroom including Rundowns for broadcasts, Planning Grids for shows that day, and other planning items. MOS displays available ActiveX plug-ins. 20

29 NavBar Icons Dashboard gives you an overview of important content at your site including urgent wires, wires from categories that you specify, and Rundowns and planning Grids in specific groups. Drag an item to the Waste Bin to delete it. You can recover an item from the Waste Bin up to 10 days after the date that it was deleted. You may see additional icons on the NavBar if it has been customized with shortcuts. 21

30 Customize the NavBar Customize the NavBar It is possible to add your own shortcuts to the NavBar by dragging items such as a story, Rundowns, Wire categories, or folders to it. Items can be dragged to the NavBar from pinned windows, the Enterprise Browser, the Wire Viewer, or the Urgent Wires window. You can only drag one item at a time. To remove an item from the NavBar right-click on it and select Remove from NavBar. Different types of shortcuts have different icons. A folder shortcut, for example, will have the icon while a sub-folder will be represented with the icon. 22

31 Working with Windows Working with Windows The ENPS desktop is designed to let you keep multiple types of content on your screen at the same time, allowing you to write a story, view the Rundown for an upcoming broadcast, see incoming urgent wire stories, and watch for incoming messages from other ENPS users. The ENPS windows are designed to be flexible so that you can resize the windows to fit your needs. To resize a window move the cursor over the window boundary until the or icon appears and drag it until the window reaches the desired size. 23

32 Pinning Windows Pinning Windows Many of the windows in ENPS are designed to offer you a quick glimpse at their content without opening a new tab in a desktop window. For example, if you click on your Personal Folder you will see a list of its contents in a window that overlaps other information on your desktop. These "floating" windows will close as soon as you click outside of them or click the icon. This is useful when you want to do a single operation in the folder, such as open a story. To keep the window open on your desktop, click the you click the icon to close it. pin icon. It will stay open until 24

33 Detaching Windows Detaching Windows Windows with the icon allow you to detach them and view their contents in its own window. This is useful on workstations with multiple monitors when you want to move a window to another monitor. 25

34 Organizing Windows Organizing Windows Icons in the top right corner of a window allow you to change its orientation on the screen: Maximize and restore the window. If you expand the window to fill the desktop it maximizes available workspace but hides other windows on the desktop. New messages and urgent wires will still be visible, however. Shift the window to the left or right side of the screen and occupy the full width of the bottom of the desktop. Restore a window to the bottom left or bottom right if you have enlarged it to fit the full width of the bottom of the screen. Move the window to occupy the full width of the workspace at the top of the screen. This option is available for Rundowns and Planning Grids. Toggle stories between full screen height and half-screen height. Close the window. The following shortcut keys can be used with folders that are pinned back in the main ENPS screen; they do not work with floating or detached windows. Ctrl+Page Up/Page Down Ctrl+Tab/Ctrl+Shift+Tab Ctrl+Shift+C Ctrl+Shift+X Switch between windows. Switch between items in the same window. Close the current item. Close all open items in the same window. 26

35 Window Tabs Window Tabs When you open multiple items in a window you will see a tabbed view with different content on each tab. To close an individual item click the icon on the right side of the tab. To close all of the tabs in the window click the icon on the far right side of the window. If you have unsaved data in any one of the tabs you will be prompted to save the contents of the tab before all are closed. If you have a large number of windows open you can click the to the tab you want to select. icon to easily navigate To move an item to a different window, simply drag it using its tab into the destination window. If the number of open tabs in a window exceeds the space available to display them, you will see double arrows on the left or right sides of the tabs which allows you to scroll through the other tabs. 27

36 Alert Bar Alert Bar The Alert Bar stays at the top of your screen, even if you minimize ENPS. The Alert Bar displays the following information: Number of messages sent to you by other ENPS users since you launched your ENPS session. Text from the most recent message. Number of urgent wire alerts. Slug for the latest urgent alert. Click the icon to close the Alert Bar. The Alert Bar opens automatically when you start ENPS but you can change that behavior in your Personal Settings. By default, the Alert Bar opens at the top of your primary monitor. If you run ENPS on your secondary monitor and you want to have the Alert Bar on that monitor, close the Alert Bar on the primary monitor then restart it once your ENPS client is running in the secondary monitor. 28

37 File Menu File Menu The File menu is always visible while you are using ENPS. Some of the options on the File menu will be greyed out depending on which items you have in your active window. The Save and Save as options, for example, are only active if you have a story selected as your active window. This option is only available if you have a story selected as your active window. Shortcut key: Ctrl+S Save the current story with a different name. Print the current item. Close the current item. 38 File Menu Click one of the following topics for more information: Personal Settings Print Settings Dashboard Settings Forward Search Settings Macro Settings Message Groups When you add media to a story you can display this window to view the status of your content being uploaded. You can also find this information by rightclicking on the Open the Alert Bar. MOS icon on the NavBar. Display statistics about your local network. This screen contains diagnostic information that can be used by your site's System Administrator to troubleshoot network connectivity issues between the ENPS client, ENPS servers, and media servers. This option will only be visible if it has been enabled by your site's System Administrator. Close ENPS. 30

39 Starting a Search Starting a Search Search lets you locate any content in ENPS, including stories, Rundowns, wire stories, contacts, and even discarded items in the Waste Bin. Enter your search terms in the box in the upper right corner of the ENPS window. Click the magnifying glass icon or press Enter to begin the search. If you want to search for an exact phrase surround it by quotes. For example, if your search term is American Airlines your search results will contain both words. If you enter American Airlines in quotes your search results will only contain that exact phrase. You can use the Boolean operators AND, OR and NOT as part of your search parameters as follows: American NOT airlines returns items that contain the word American but that do not contain the word airlines. "American Airlines" OR "PAN AM" returns items that contain either the phrase "American Airlines" or "PAN AM" "American Airlines" AND Jamaica returns only those items that contain both the phrase "American Airlines" and Jamaica. You can also use an asterisk as a wildcard character. If you perform a search with medic* your search results will words such as medicinal, medicine, medication, etc. You can restrict your search to just the title of an item by using the TITLE: operator in your query. Searching for Washington TITLE: Daybook will return only items that contain the word Washington somewhere in the item's text and that also have the word Daybook in its title. Once your search is complete you will see the relevant content displayed in a window. You can narrow down which results are displayed using the Filter box. You can also rerun your last search by clicking on the folder icon in the search window. Clicking on the down arrow will let you re-run an earlier search. You can also configure a Forward Search to alert you if an item arrives in the system that matches your search criteria. When viewing search results, you can open an item's parent Rundown, Planning Grid or Storyboard by right-clicking on it. 31

40 Starting a Search The Search ribbon contains additional options for configuring your search such as setting a default search, configuring a date range, and more. 32

41 Searching Multiple Sites Searching Multiple Sites You can search folders on your home server as well as other servers in your enterprise. To specify where you want to search click the Search content button on the Search Ribbon and click Select locations. At the top of the Search server selection window you will see a button that toggles between Single Server and Multiple Servers. In single server mode you can select a server from the top window. In the bottom half of the window you can select which folders you want to search within that server. You can fine tune your search by narrowing it to Work in Progress (WIP), Archives, or Trash for specific folders. Select the checkboxes in the Server row to select content that is not contained in folders. The checkboxes directly below the column headings will select every checkbox for that column. If only some folders are checked in a column, the checkbox will have a blue color. In multiple server mode, you can add additional servers to your search. 33

42 Searching Multiple Sites The box on the right displays the servers that will be included in your search. Use the > and < arrows to add or remove servers from the list, then click each server and specify the folders that you want to search just as you would with a single server search. After you enter your search terms and click the Go button on the Search Ribbon or press Enter in the Search box, the search results window will display a progress indicator that shows the number of destinations from which results have been received. Search results are added to the list as they come in, but are greyed out and cannot be clicked on while the search is in progress. If you see the item you are looking for you can click Stop to cancel the remainder of the search. You can then open any of the items already returned. You can hover over an item in the list to see from which server it was returned. A dropdown menu at the top of the result list displays the servers that returned content. You 34

43 Searching Multiple Sites can view just one server's results by selecting it in the drop-down menu. If you stopped the search before it was completed, the servers that did not return results before it was stopped are grayed out and cannot be selected. Search items that have been retrieved from a server's Archives are indicated with an Archive overlay on top of the standard object icon. A maximum of 200 items will be returned from each search destination. When you view the results in a combined list, wire and non-wire content on your home server are treated as separate search destinations. This means you can get up to 200 wire results and 200 non-wire results from the same server. 35

44 Search Ribbon Search Ribbon The Search Ribbon has the following options: Refine Content Search Select where you want to run the Search. If the Search content box is selected your search will include your personal folder, home folder, and news wires. If you clear this checkbox, ENPS will only search news wire content. You can search folders on your home server as well as other servers in your enterprise. Refer to Searching Multiple Sites for more information. The Search Ribbon displays a list of item types that are stored in ENPS. You can narrow your search to specific item types by clicking on them. Once you click on an item it will stay highlighted until you click on it again. Click Search All to clear your selections. Select the date range for the content. From the drop-down menu you can select content in your enterprise that was saved in the last 1 hour, 2 hours, 24 hours, 48 hours, or 1 week. You can also select Custom date range to select dates that you want to search. 36

45 Search Ribbon Select the Future option to create a search for items that are scheduled for a later date, such as items in a Planning Grid. Toggles on or off the inclusion of document properties in the search parameters. The bottom half of the button allows the selection of which backfield properties/ values to include. News Wires Toggle whether you want to include wire copy in the search. By default this is selected for you and ENPS will search all of your incoming news wires. If News Wires is enabled you can use this menu to select which providers you want to include in your search. To select a provider select it from the pull-down menu. Select the Multiple providers option to add or remove more than one provider at one time. 37

46 Search Ribbon If News Wires is selected use this menu to select which news categories you want to include in your search. By default, Categories only allows you to select one category at a time. Click Multiple categories if you want to select more than one. If News Wires is selected, use this option to select the date range for the wires. You can select the last hour, 2 hours, 24 hours, 48 hours, or 1 week. You can also select Custom date range to select specific dates that you want to search. External Select this button if you want to display search results for one or more websites in addition to searching for content inside ENPS. When you select the down arrow at the bottom of the button you will see a list of websites that your System Administrator has configured to work with ENPS Search. When you execute the search, the ENPS search results will appear in the usual pop-up list on the right side of the screen. Your website search results will appear in the ENPS Web Browser. If you have selected more than one website to search, multiple tabs will appear in the browser with the search results. 38

47 Search Ribbon Search external media devices, such as a video server or media asset manager. For this option to work, the device must support MOS-based searching and your site's System Administrator will need to enable the search functionality for the device on the ENPS server. To search MOS devices, select one or more MOS devices from this pull-down menu. When the search results are returned the results from MOS devices will be displayed as a list of MOS objects. Double-click a MOS object to launch its associated ActiveX control or drag it into a story as a MOS item reference. Options If this icon is selected, ENPS will only return items that match your search terms exactly. Enabling this option is the same as putting quotation marks around a search term. Display results in the order of relevance, so that the more often your search terms appear in an item, the higher the item appears in the result list. Separate search results based on the server(s) from which the result was generated. Stored Searches Save allows you to save a search for your personal use. If you have appropriate permissions, you may save this as a group search, available to other users in your home group. Load will let you run a saved search. Go Click Go to initiate your search on the selected server. Refer to the Previous Server and Next Server buttons below for more information below. Refine Content Search appears if you run a search and you pin back the search results. This option lets you fine-tune the search results returned by ENPS. After you run a search, pin back the results 39

48 Search Ribbon window. Then refine either the search terms or the parameters or both and click this button. ENPS will narrow down your search results. If you have selected multiple servers you can click these icons to cycle through results on different servers. You can also select a server from the search results window. A menu at the top of the window displays a list of selected server locations. You also cycle through the servers using the up and down arrow buttons next to that menu. 40

49 Printing Printing Before you print you will need to set up your default Print Settings by clicking on the Printer icon. To print an item such as a Rundown, a Planning Grid, or a story drag it from the Home Folder or your Personal Folder to the Printer icon. If the item is currently open you can drag it to the Printer icon by its title tab. 41

50 Reading Wires Reading Wires Click the Wire Viewer to view incoming wires. The Wire Viewer has three panes: wire categories on the left, an incoming wire list for the selected category on the top and the wire reading area at the bottom. Press the Space Bar to pin the story into a window on the desktop. Click on a category to view that category s incoming wires or click All Wires to view wires for all categories. The newest wire stories will appear at the top of the upper-right pane and will update in real-time as new stories are received. Click the icon to pin a story window to your desktop, even if the Wire Viewer window is still open. 42

51 Personal Folder Personal Folder Your Personal Folder is your private storage area in ENPS. You can save any ENPS item, including stories, wires, contacts, Rundowns and Planning Grids in your Personal Folder. Other users cannot access information in your Personal Folder, but you can access it from wherever you use ENPS. Items in your Personal Folder will not be deleted unless you manually delete them. 43

52 Home Folder Home Folder The Home folder stores group content. Different users are part of different groups depending on their location and responsibilities. Anything stored in the group folder can be accessed by other members of your group. If your enterprise has multiple groups, you can access information in other group folders using the Enterprise Browser. Right-click on the Home folder icon to create a new Rundown, Planning Grid, or Story in the Home folder. If you are a Group Manager you can also perform Group Maintenance tasks including Staff Privileges, Report Layouts, and Templates. Items in group folders are automatically deleted after 30 days. Items in sub-folders are also automatically deleted after 30 days, unless the first word in the folder name is HOLD such as HOLD Assignments. Items in HOLD folders are never deleted. 44

53 Folder Ribbon Folder Ribbon When you pin a folder window to the desktop you will see the Folder Ribbon. Date Select the date range for the content that you want to display in the folder. From the drop-down menu you can select content in your enterprise that was saved in the last 1 hour, 2 hours, 24 hours, 48 hours, or 1 week. You can also select Custom date range to select dates that you want to search. Select the Future option to create a search for items that are scheduled for a later date, such as items in a Planning Grid. Content The Folder Ribbon displays a list of item types that are stored in ENPS. You can narrow your search to specific item types by clicking on them. Once you click on an item it will stay highlighted until you click on it again. Click All to clear your selections. 45

54 Folder Ribbon Today Click the bottom of the icon to select the type of content with today's date that you want to be visible in the folder. You can select Rundowns, Planning Grids, Readins, or Media. Click the top of the icon to clear your selection and view all items in the folder. 55 Creating and Removing Folders Creating and Removing Folders To create a sub-folder in either your Personal folder or Home folder, right-click the folder icon and select New Folder. Once you enter the name of the sub-folder you can navigate to it by using the Enterprise Browser. To rename a sub-folder, dock it to the NavBar then right-click on the folder and select Rename Folder. To delete a folder you must use the ENPS 6 client. 47

56 Enterprise Browser Enterprise Browser The Enterprise Browser lets you find and open group folders anywhere in your entire enterprise. The left-hand pane displays a list of the available ENPS servers. Click the icon next to the server name to display a list of folders on that server. Click on a folder's name to display its contents in the pane on the right. If you open a folder frequently, you can drag it from the Enterprise Browser to the NavBar. This creates a shortcut to that folder that you can use to open it at any time. 48

57 Message Center Message Center Click on the Message Center icon to see a list of all of the messages you have received from other ENPS users. Note that the New Message window displays only your unread messages while the Message Center displays everything that you have received. You can send a message to another ENPS user by right-clicking on the Message Center icon and clicking Send Message. Once you begin typing the recipient's name in the Send to box you will see a list of names that match the one you are typing. Once you see the recipient's name, click on it. You can enter multiple recipients in the Send To box, the name of a Message Group, or you can enter the name of a server or group to send a message to all of its users. Messages sent to a group will appear in the group users' Alert Bars or New Message windows with the sender's name and the name of the group to which the message was sent. You can also use the Message Center to send items to other users by dragging the item onto the Message Center icon or use the shortcut key Ctrl+Shift+T. You can use this feature to send stories, media objects, contacts, items from Planning Grids, or stories from Rundowns. By default, the Note field will contain the slug of the item you are sending, but you can change it to something else. 49

58 Message Center The Sent to button in the Message Center ribbon allows you to see messages that are sent to you or to a specific Folder Group. Selecting the Sent to button will display a drop-down menu of available Groups (i.e., groups which are docked to the NavBar). 50

59 Using the Social Media Dashboard Using the Social Media Dashboard The Social Media Dashboard displays all activity for the social media accounts to which you have been given posting privileges. To open it, click the Social Media icon on the NavBar. By default, the Social Media Dashboard shows the 200 most recent posts, including both current and archived items, for each displayed account. If there are more than 200 posts, a link will be displayed at the bottom of the list to load the next 200. Archiving of social media posts is available for Social Media accounts that were created in ENPS 7.2 or later. Social Media posts that are more than seven days old will be moved to the ENPS archives automatically. Archived posts can be viewed in the Social Media Dashboard or via Search. You will not be able to see new feedback from Facebook or Twitter once a post has been archived. Each pane in the Dashboard shows all the social media activity from within ENPS for a specific social media account. Each post is tagged with the name of the ENPS user who posted the update, when it was posted and the number of comments or replies received for the post. Facebook posts also show the number of Likes for the post. The number of likes are updated when new comments are received. You can click the icon to display the list of comments/replies for a particular post. Comments or replies made outside of ENPS using the same account ENPS is using to post to Twitter or Facebook will not appear in ENPS. 51

60 Using the Social Media Dashboard You can further comment or reply by using the box below the lists labeled Write a comment. Any comment entered here will be treated as an additional comment/reply to the original post from ENPS; you cannot comment or reply to a specific comment received from outside ENPS. If a post is tagged with a icon it means the post is linked to an ENPS story. Doubleclick the icon to open the original story. Refer to Link Social Media to a Story for information on how to post a story to social media. 52

61 Write a New Message Write a New Message To publish to any or all of the accounts to which you have permissions, click the Share button on the Social Media Dashboard Ribbon or select File Menu New Social Media Post. Under Available Accounts you will see a list of available social media accounts. Facebook accounts are labeled with the icon and Twitter accounts will have the icon. Select the checkboxes for the accounts to which you want to publish. The text area at the bottom of the window is where you can enter the text that you want to publish to the social media account. Twitter limits Tweets to 140 characters and Facebook limits posts to 63,206 characters. On the grey bar with the Modified by information you will see a number with the current character count. The Share button will be disabled if you exceed the character limit for either account type. When posting to Facebook, you can attach a link or media to your update. To attach a link: Enter a URL in the Link textbox. Paste the URL from the Windows clipboard by right-clicking in the Link textbox and selecting Paste or press Ctrl+V. Drag a link from a story or Web browser window into the Link textbox. To attach a still image or video: Use the Enterprise Browser to navigate to a location in your enterprise that stores media objects, such as a video server. Drag the object into the Media textbox. Click in the Media textbox. A file dialog window will appear and you can select a file from your workstation or from your site's local network. Drag a media object from a story into the Media textbox. After you drop the media in the textbox, you may see a pop-up window allowing you select a still image or the video. Select the type of file you want to post. 53

62 Write a New Message Note that if a Twitter account is also selected the media will be uploaded to Facebook but not to Twitter. If you upload a video file and the video is too large or runs too long, Facebook may not display your update. Refer to Facebook s support pages for information on video limitations. Regardless of whether you are writing a social media post from this window or from a story you can save it as draft without sharing it so that you can edit it and share it later. For posts made from a story, unshared drafts can be accessed from within the story. For all other posts, unshared drafts will be saved in your Home folder. To save a post as a draft you can: Press Ctrl+S on the keyboard. Select the File menu on the Ribbon and click Save. To link social media to a story click the Share button at the bottom of the editor or click the Share button on the ribbon. 54

63 Link Social Media to a Story Link Social Media to a Story In addition to allowing you to post messages to social media, you can also post updates to Facebook and Twitter directly from an ENPS story by clicking the Share button on the Story Editor Ribbon. When you open the New Post window it will now display a story icon with the title of your story. Remember that Tweets are limited to 140 characters and Facebook limits posts to 63,206 characters. Once an update is posted from within a story it will show up both in the Social Media Dashboard and in the Social Media panel on the right side of the story editor. The Social Media panel is collapsed to the side by default but you can view it temporarily by clicking on it or you can keep it open by clicking the double-arrow icon in the upper-right corner. 55

64 Link Social Media to a Story The Social Media panel displays all of the activity that originated from the story, regardless of which user posted it. It includes the same functionality that appears in the Social Media Dashboard. You will be able to see all of a story's social media activity, even for social media accounts for which you have read-only access. Regardless of whether you are writing a social media post from this window or from the Social Media Dashboard you can save the story as a draft without sharing it so that you can edit it later. The draft will be saved with the story. To save a post as a draft you can: Press Ctrl+S on the keyboard Select the File menu and click Save. To post your social media update, click the Send button at the bottom of the panel. 56

66 Manage Contacts Manage Contacts Contacts can be created or viewed at the server level, for your group, or for your personal use only. To determine which groups are able to view server level contacts use the Enterprise Browser to view a list of which ones are included. To view a list of your personal contacts, click on the Contacts icon on the NavBar. To view group level or server level contacts, right-click on the Contacts icon, select View Contacts From then choose the appropriate type. To create a new contact, right-click on the Contacts Create Contact in and select where you want to create the contact. The new Contact window will appear, prompting you for the contact's name. Once you provide the contact name the contact properties window will appear. You can sort the fields in the contact properties by using the sort and filter options. When you enter the contact's address it will be displayed as a mailto: link. Clicking on the address will allow the user to send an from their default client. If you have the URL for an image of the contact you can enter it in the Image URL field. A picture of the icon will be displayed in the upper left corner of the contact window. If you enter the contact's Twitter ID, in the Twitter field, the contact's latest tweet will always appear at the top of the contact window. The Call Log lets you record notes about interactions with contacts. The number on the tab indicates the number of new entries since you last opened the log. 58

68 Storyboard Overview Storyboard Overview A Storyboard is a collaborative workspace that provides a single place for users in your newsroom and across your enterprise to store, share and find all of the individual elements that can be used to tell a story. This can include story notes, basic facts, media, links to Planning Items and Contacts, etc. These can then be combined into a single, finished story for use in a Rundown or the elements themselves can be dragged to a Rundown as separate lines to create a package of related stories. Storyboards can be used for breaking stories, ongoing events or broad topics like a political campaign. The Storyboard could contain information about the candidates, contact information for their campaigns, video or audio clips from speeches, and more. If your enterprise spans multiple sites, story elements about a campaign stop covered by one site could be added to the Storyboard and used at other sites within your enterprise. In addition to story elements, Storyboards include a community of ENPS users who have either directly contributed content to the Storyboard or explicitly indicated their interested in the Storyboard topic. User activity is logged automatically, so whenever users add, edit or remove an item in the Storyboard an entry will be stored in the Comments and History log. Storyboards also provide for easy communication with other members of the Storyboard Community, either through direct messaging or collaborative group chat. Storyboards share privilege settings with Rundowns. Whatever rights a user has to Rundowns in a folder will also govern what they can do in a Storyboard in the same folder. 60

69 Open a Storyboard Open a Storyboard To open an existing Storyboard, double-click on an item with a Storyboard icon from your personal folder or a group folder, e.g. To create a new Storyboard, right-click on either your personal folder or a group folder and select New Storyboard. You will be prompted to provide a title. Once the Storyboard is open, you can add a description by either doubleclicking in the blank space below the title or by clicking the Properties button on the Storyboard Ribbon and filling in the Description field. In the Properties menu, the Image URL field allows you to put in a URL or file path to a shared location for an image to be associated with your Storyboard. The image will appear once your Storyboard is open. The Continuous Content Interval (days) field has a default value of "0". This means that content in the Stories pane of the Storyboard will be moved to the archive if the content has not been modified for 20 dats. If you want the content to remain in the Story board for longer than 30 days, you must enter a value higher than "30" in this field. For example, entering "365" will keep the content in the Storyboard for one year. 61

70 Storyboard Panes Storyboard Panes The Storyboard is divided into four major areas: Stories, Links, Community, and Comments and History. Stories The Stories pane is the main section of the Storyboard. It contains stories or other storytype objects (wire stories, long messages) which are elements of the story for which the Storyboard was created. These story elements can, in turn, contain media links if they do, available thumbnail proxies will be displayed. The Stories pane is divided into two areas. The top area is for Featured items. These are the story elements that are considered the most fundamental to the Storyboard's topic and which the Storyboard community considers the most useful or most important in telling the overall story. Featured items are automatically marked with a blue ribbon. The bottom section of the Stories pane contains the remainder of the story elements. Featuring an item is done simply dragging and dropping an item to the top section of the Stories pane. You can also drag an item out of the featured section, and also drag and 62

71 Storyboard Panes drop items within the sections to change their order, just as you would with the rows in a Rundown or Planning Grid. To add new content to the Stories pane use any of the following methods: Drag an element into the pane from a folder, Rundown, Planning Grid, or the Planning Calendar. The story will be located wherever you drop it. Click the Add Story button on the Storyboard Ribbon. Press the Ctrl+I keyboard shortcut. Using the Add Story button or pressing Ctrl+I places a new story directly above the currently selected story in the bottom area of the Stories pane and if no story is selected, the new story will be added at the end. Stories can only be added to the Featured section via drag and drop. Once you drag an element into the Stories pane, the Storyboard keeps its own version, independent of any other versions. So if you drag in a story from a Rundown and make changes to the Storyboard version, the Rundown version will not be affected. Links The Links section is used to store any non-story content - such as Contacts, Planning Items, or Rundowns which may be related to the overall Storyboard topic, but which are not in themselves elements of the story. To add an element to this section, simply drag it into the Links pane from a pinned-back window. Unlike content in the Stories pane, items in the Links pane are not stored within the Storyboard, but are instead pointers to content elsewhere in ENPS (on the local server or anywhere in the enterprise). If a linked item has been deleted or otherwise moved from its original location, you will get an Item Does Not Exist message and you should remove the link from the Storyboard. Stories and other objects that can go in the Stories pane can also be placed in the Links pane if they are not directly related to the topic of the Storyboard or if you do not want a copy of the item made in the Storyboard itself. 63

72 Storyboard Panes Community The Community pane displays a list of all of the Storyboard's members. If the System Administrator has associated an image with a user's account, their identification picture will be displayed next to their name in the list. A user becomes a Storyboard member by either clicking the Community Member button on the Storyboard Ribbon, adding new content to the Stories or Links panes, or modifying content in the Stories pane. A user can opt to leave the community by deselecting the Community Member button, however if the user adds or edits content in the Storyboard in the future they will be added back in as a member automatically. To send a private message to another user, simply click on the user's name in the Community pane. Comments and History The Comments and History pane serves as both a running change log and as a collaborative chat room for the Storyboard. Any time a user adds, edits, updates or deletes content in the Stories or Links pane or any time a user joins or leaves the Storyboard Community, this will be noted in the log. Additionally, users can input questions or comments for the entire Storyboard Community using the text box at the bottom of the Comments and History pane. 64

73 Storyboard Panes This content is seen by anyone viewing the Storyboard; it provides a public forum for members of the Storyboard Community to discuss the editorial development of the story. The title and full contents of any items in the Stories pane, the title of any items in the Links pane, and the full text of any user-entered comments in the Comments and History pane can all be found through a Search. 65

74 Add External Files Add External Files You can drag external documents into either a Planning Grid collection field, such as the Background field, or the Links pane in a Storyboard. Your site's System Administrator must enable this option before you can use it. By default, only documents up to 500,000 bytes can be dragged into a collection field, but your System Administrator can raise this value up to 3,000,000 bytes. The file will open in the associated application that has been configured for that extension. For example, a DOCX will typically open in Microsoft Word; a JPEG file will open in whichever image viewer Windows is configured to open it. If no program is registered on the workstation for a specific file extension, ENPS will attempt to open the file in the ENPS Web Browser. If a file is opened in the ENPS Web Browser you will be prompted to save any changes, regardless of whether or not any changes have actually been made. Almost any type of file may be dragged into these locations except executable files, such programs with an EXE extension. Your site's System Administrator may also prevent other file types from being added. Searching for content in ENPS will only return external files that have been linked to content contained in folders included in the search parameters. 66

75 Storyboard Properties Storyboard Properties The following table lists the Storyboard properties and describes the purpose of each one: Title Name of the Storyboard. Description Text that describes the Storyboard topic. Image URL MOS Properties Select an image to replace the generic Storyboard icon at the top left of the Storyboard. The path to the image can be a URL or a UNC path to a location on your local network. The Storyboard image can also be extracted from a MOS object. To do this, drag a MOS object from a folder onto the Storyboard's default icon. As long as the MOS object a valid still image proxy, the Storyboard will display the thumbnail image from the MOS object. The image displayed at the top of the Storyboard is intended give users a visual sense of the Storyboard s contents. It cannot be dragged elsewhere in ENPS. Storyboards are not intended to drive live broadcast output, but they can be exported via MOS much like Rundowns. Refer to Rundown Properties for a description of how these settings work. Show Story Templates on Insert Auto Archive Display a list of story templates to use when a user adds content to the Stories pane. This option is not used at this time. Continuous Content Interval All Storyboards follow Continuous Content archiving rules. If this field is left at its default value of 0, content in the Stories pane will be moved to the archive if the content has not been modified for 30 days. Otherwise, the content will be archived when it has been unmodified for longer than number of days that you specify. 67

76 Storyboard Properties Enable CTOS Archives a copy of the Storyboard to a specially designated server in your enterprise called the Central Text Object Storage server. Check with your System Administrator to determine if this option is enabled for your enterprise. 68

77 Storyboard Ribbon Storyboard Ribbon This section describes each of the buttons on the Storyboard Ribbon. View Switch between the main view of the Storyboard panes and the Storyboard properties window. Layout If this button is selected, the title and initial text of items in the Stories pane will be displayed in the List view of the Storyboard along with a thumbnail image from the first MOS item reference in the story, provided that there is a valid path to a still image. If there is no valid thumbnail image, the default image is shown instead. If you deselect this button you can hide all of the thumbnail images. This will also hide the initial text of each story and only display story slugs, allowing for more stories to be seen on screen at one time. Storyboard Add an element to the Stories pane. Shortcut key: Ctrl+I Select this button to join the Storyboard community. If you wish to leave the Storyboard community, simply deselect this button. However, if you add content to the Storyboard in the future you will automatically become a community member again. 69

79 Open the Planning Calendar Open the Planning Calendar The Planning Calendar provides a simple interface for day-of and long-term editorial planning and scheduling. The Planning Calendar does not replace Planning Grids but provides a different view of the same data. Each folder in ENPS has a default Planning Calendar. Content can be added to any date on the calendar without having to first create a Planning Grid. The first time content is added to a date on the calendar, a Planning Grid for that day is created automatically and a link to the Planning Grid is displayed at the top of the calendar. If you create additional Planning Grids in a folder they will also be displayed on the Calendar both the individual items in the Planning Grids and links to the Planning Grids themselves. Any Rundowns scheduled for output on a given day are also automatically displayed on the Calendar for scheduling purposes and ease of access. You can also toggle whether you want to view Rundowns in the Planning Calendar by clicking the Rundowns and Planning Items toggle buttons on the ribbon. You can select which Planning Grid items to view by using the checkboxes under the Calendars heading in the pane on the left. You can add Planning Grids from additional groups in your enterprise by using the Locations button on the ribbon. Additionally, you can display planning content from more than one folder at a time on the same calendar, either overlaid in a single view or side-by-side using buttons on the Layout tab. 71

80 Open the Planning Calendar If a user in the field has used the ENPS Smartphone Client to check-in for a particular assignment, this will be noted with a small pin icon on the Planning Item on the calendar. Hovering over this icon will show where and when the user has checked in. 72

81 Using the Planning Calendar Using the Planning Calendar The Planning Calendar is designed to work like other calendar programs with which you may be familiar. To add an event, click on the start time for the event and give it a title. The default time for a new event is 30 minutes; however you can change the length of the event time slot by dragging the bottom of the planning item up or down. Entries that you place at the top of the calendar, above the time slots, have no specific start time. You can move the start time of an event by dragging the top of the planning item to a new time slot. To create a new Planning Item in the same time slot as an existing Planning Item, first click to the right of the existing planning item. Start typing to give the event a title or right-click and select New Planning Item. If you want to make a copy of a Planning Item, select the item then hold down Ctrl and drag it to where you want the copy to appear. Users with sufficient privileges can approve Planning Items by right-clicking on the item and selecting Approve. You can remove the approval by right-clicking on the item and selecting Unapprove. There are two ways to copy a Planning Item into a Rundown or Planning Grid: Open the Rundown or Planning Grid in a window separate from the Planning Calendar. Drag the Planning Item to where you want it to appear in the target Rundown or Planning Grid. Drag Planning Items into Rundowns or Planning Grid entries within the Planning Calendar by holding the Shift button and dragging the item to the entry for the Rundown or Planning Grid. Planning Grids for the selected date are always visible in the Planning Calendar, but Rundowns will only appear if the button is selected on the Planning Calendar Ribbon. Once you add an entry to a Planning Grid it will appear in the last row. In Rundowns, the new row will be placed below the Rundown s black line where the show's producer can move it into the correct position. You can delete an item from the Planning Calendar by right-clicking on the item and selecting Delete. 73

82 Planning Calendar Ribbon Planning Calendar Ribbon This section describes each of the buttons on the Planning Calendar Ribbon. Planning Tab Options Add a new Planning Item to the calendar. You can also do this by right-clicking on the Planning Calendar and selecting New Planning Item or by clicking on a time on the Planning Calendar and typing a title. Double-click the title to open the item. Modify the properties of the Planning Item, including when and where the event takes place in addition to any other field properties or description for the event. Delete a planning item if one is selected. Scope Select groups you want to view on the Planning Calendar. When you click this icon you will see a list of available servers and groups in your enterprise. To add a group's Planning Items to the Planning Calendar first navigate to the group. Use the left and right arrow buttons to add or remove the groups' Planning Items from the current view. If you select multiple groups and you are viewing the Planning Calendar in the Date or Side-by-Side layout view, a bar will appear in the lower right corner of the window that will help 74

83 Planning Calendar Ribbon you navigate among the planning items for the groups. These buttons have the following functions: Move all the way to the far left. Move one page to the left. 84 Planning Calendar Ribbon Archived Planning Items are labeled with an Archive icon which is overlaid on the default object icons. You cannot move or edit archived items. To copy Planning Items from the archive hold down the Ctrl key while you drag the item to another location on the Calendar. For sites using Compound Storage for older archives, please note that compounded archives will only show the Planning Grid on the calendar. More recent, uncompounded archives will show both the Planning Grid and individual Planning Items. Layout If you are viewing a single day, this view will display the date at the top of the planning area with each of the group's Planning Items below it. Display the contents of groups next to each other. View the Planning Items for all of the selected groups you are viewing in one combined view. Display week numbers in the month calendar in the upper left corner. Display a second time zone for the hourly time slots in the Planning Calendar. This is useful if the calendar is viewed from multiple time zones. Select the first day of the week for the 30 day calendar in the top left of the Planning Calendar workspace. 76

85 Open a Planning Grid Open a Planning Grid Planning Grids are used to identify and organize the stories that will become the basis for your organization s output. By default, the Planning Grid for your home folder sits at the top of the Calendar. If your home group has more than one grid, to open a Planning Grid, go to your home folder or another folder in your enterprise and locate the Planning Grid. Double-click the entry or drag it into a window to open it. If you are looking for assignments for a particular story check the Reporter Assigned or Photographer Assigned columns. 77

87 Add External Files Add External Files You can drag external documents into either a Planning Grid collection field, such as the Background field, or the Links pane in a Storyboard. Your site's System Administrator must enable this option before you can use it. By default, only documents up to 500,000 bytes can be dragged into a collection field, but your System Administrator can raise this value up to 3,000,000 bytes. The file will open in the associated application that has been configured for that extension. For example, a DOCX will typically open in Microsoft Word; a JPEG file will open in whichever image viewer Windows is configured to open it. If no program is registered on the workstation for a specific file extension, ENPS will attempt to open the file in the ENPS Web Browser. If a file is opened in the ENPS Web Browser you will be prompted to save any changes, regardless of whether or not any changes have actually been made. Almost any type of file may be dragged into these locations except executable files, such programs with an EXE extension. Your site's System Administrator may also prevent other file types from being added. Searching for content in ENPS will only return external files that have been linked to content contained in folders included in the search parameters. 79

88 Planning Grid Properties Planning Grid Properties Once you create a Planning Grid the Edit Properties window will open. The following table lists the properties in alphabetical order and describes the purpose of each one: Allow External Modification Auto Archive Allow MOS devices to place temporary holds on stories for modification. This feature will only work when MOS Control Active is selected in this window or on the Planning Grid Ribbon. The MOS device must be using MOS 2.82 or higher. Automatically archive the Planning Grid. The System Administrator configures the frequency of the Auto Archive process. 80

89 Planning Grid Properties AutoCreate Days in Advance & AutoCreate Time Duplicate Slug Options Enable CTOS MOS Control Active Program Publishing Active, Publishing Days, Publishing Target Start Date and Time Separate from this setting, ENPS will automatically create a Planning Grid for a particular day when a planning item is created on that day. If you wish to create a second grid for a particular day, use this setting. Automatically create a Planning Grid every day for the number of days specified, up to 365 days before the Start Date of the show. To create the Planning Grid one day in advance of the Start Date enter 1 in this field. The AutoCreate Time cannot be left blank. The ability to AutoCreate Planning Grids must be enabled by your site s System Administrator. If duplicate slugs are not allowed, selecting this option displays a menu to users who attempt to drag in story with the same name as another story in the Planning Grid. Users will be presented with the following choices: enter the story with the duplicate slug unchanged, enter the story with a new slug or cancel the operation. By default, ENPS will suggest as a new title the original slug plus "-1," incrementing the number as additional duplicate items are added. Archive a copy of the Planning Grid to a specially designated server, the Central Text Object Storage (CTOS). Check with your System Administrator to see if a CTOS is available in your enterprise. By making your Planning Grid MOS active, you are able to link media to the planning grid. Once a Planning Grid is MOS Active, its icon on the Planning Grid tab and in the folder will change to reflect that is MOS-enabled. Name of the Planning Grid. Refer to the ENPS Publishing Installation and User s Guide for more information. Date of the Planning Grid. A time entry is not important. 81

Sorting and Filtering Planning Grid Properties The bar at the top of the screen allows you to sort and filter properties. The three icons on the left change how you sort the list of properties. Sort the fields in two categories: basic and other. You can collapse and expand these categories by clicking on the and icons. Sort the properties in alphabetical order. Turn off sorting. Fields will appear in the default order. The Search box lets you filter those Rundown properties that contain a specific piece of text. For example, you can type MOS to view all the options that contain MOS in the property name. Delete the text in this box to return to the full list of properties. 82

Double-click the new row s story slug to edit the story. Shortcut key: Ctrl+I Refresh the view of the Planning Grid. This is useful if other users have made changes to the Planning Grid since you opened it. If your network is configured correctly, you will not need to use this option. The Find button opens a search field at the top of a Planning Grid. When a user searches a rundown, found search items appear in red text. Font Select the typeface and font size. Properties Modify Planning Grid Properties. Layout Tab Layout Select the default screen layout. 83

Select the default system layout. Display the template layout for your group. Click on this button to select one of the stored layouts. A menu will appear showing you which ones have been saved. Click on this button to delete one of the stored layouts, if you have appropriate permissions. A menu will appear showing you which ones are stored in the system. Columns Use the drop-down menu to select which columns you want to add to or remove from the layout. Layout Storage Save the current window arrangement as your default layout when you open a Planning Grid. 84

93 Planning Grid Ribbon Save the Planning Grid view as a stored layout if you have the appropriate permissions. Stored layouts reflect the columns and column widths that have been selected. You will be prompted for a name. Save the current layout as the default for your group. Production Tab Save a custom layout for ENPS Mobile v3. After you configure your layout as you would like to see it in ENPS Mobile select this button to save the layout for yourself or as the default layout for your home group, if you have appropriate permissions. After you close and re-open the Planning Grid, your newly-saved layout will be visible on the Ribbon s Stored Layout and Delete Layout menus. ENPS Mobile v3 will display select which layout to use to display Planning Grids based on the following priority list: User s Personal Layout, if it exists Group Layout, if it exists for the user s home group and there is no Personal Layout System Default Layout, if neither of the above exists If you have appropriate permissions, you can save a Planning Grid as a template. If you opt to save the Planning Grid as a template, the events or rows that you have displayed in the Planning Grid will also become part of the template. To save the Planning Grid as a template, click the Save as Template button. When users create a new Planning Grid they will now see the template Planning Grid listed as an option in the Properties window. Device Control Create a connection between the Planning Grid and MOS devices at your site. This icon will stay highlighted while the connection is active and the Planning Grid's icon will change on its tab and in the folder. 85

94 Planning Grid Ribbon Select a device to receive MOS Story Send messages. Your System Administrator can help you with this setting. You can optionally select a time to start sending MOS Story Send messages to the device by entering a time in the box. MOS Control Active must be selected for ENPS to send messages to a MOS device. Archive Tab Your Planning Grid may be configured to automatically archive. If so, you do not need to archive manually using these buttons. Check with your System Administrator to find out how many days after a Planning Grid is used that the Planning Grid is archived. Archive Planning Grid Remove the Planning Grid from the current folder and move it to your site's archives. Once this step has been completed the Planning Grid can still be located through the Search feature. 86

95 Set the Planning Grid Layout Set the Planning Grid Layout Planning Grids have a number of columns that you can add, resize, and re-order. Users can use these columns to display the information that is relevant to their job role. Adding Columns Moving Columns Users can customize the types of information they see when they use a Planning Grid by creating a Rundown layout and then saving that layout as their personal view. Click Select Columns on the Production tab of the Ribbon to view a list of available columns. Many of these columns will be self-explanatory. To move a column to a new position, place the mouse pointer anywhere in the column s title box drag the column to its new location. The column will appear to the left of where it was dropped. Resizing Columns Saving the Layout To resize a column move the mouse pointer to the right border of the column's title box until it becomes a doublesided arrow. Hold down the left mouse button and drag the border to make it wider or narrower. Release the mouse button when the column is the desired width. There are two options for saving the layout: you can save the current Grid as a template or you can create a stored layout. Both of these options are available on the Layout tab on the Ribbon. 87

96 Using the Find Button in Planning Grids Using the Find Button in Planning Grids A Find field now appears at the top of each Planning Grid when a user selects either the Find button in the Planning Grid Ribbon or uses the Ctrl+ F shortcut. When a user enters a search term into the find field of a Planning Grid and hits the Enter key, found terms will appear in one of two ways: If the term is found inside the Story, the text of the row will be in red. If the term is found on only the face of the Planning Grid, the text in the row will be highlighted in orange. Users can scroll through found search terms in two ways: Hitting the Enter key will skip to and highlight the next found search term. Using the up and down arrow buttons to the right of the Find field. 88

97 Create Planning Items Create Planning Items Planning grids are an alternate view of the Planning Calendar. All items added to the ENPS calendar will show up in the appropriate ENPS Planning Grid. Any item added to the Planning Grid will also show up on the Calendar. To create an assignment in the Planning Grid you can either click the Insert Row button on the ribbon or press the shortcut key Ctrl+I. Each row of the Planning Grid represents a planned story. The columns can be used to identify what the story is about, when it will take place, who will cover it, and more. To create the segment for a Planning Item, first create a new row. Give the new row an identical slug to the row to which you want to add a segment followed by a hyphen and the name of the segment, e.g. Revolutionary Invention - Interview. You can move a Planning Item from one Planning Grid to another. Open the Planning Grids in separate windows then hold down Shift and drag the item to the target Planning Grid. To create a placeholder for media objects select a media server in the Object Placeholder Create column. Once the placeholder is created, you will be able to see MOS Status for the item, as long as ENPS is receiving MOS Status from the media server. Placeholders are not created unless the Planning Grid is MOS Control Active. 89

98 Working with Planning Items Working with Planning Items Planning Items let you enter information about planned events. To modify a Planning Item double-click its slug. At the top of the Planning Item enter when the event will take place. Below the time and date information, enter your planning information for the story. You can also link media to the story by dragging it into the window. Planning Items also have Property Fields that you can use to capture specific types of planning information such as satellite feed information, scheduling notes, and costs. To view these fields click the Properties button on the Planning Item Ribbon. A tab on the right side of the window displays the Story Chat. Story Chat is an area that let you communicate with other people working on the story. It is useful for noting important changes as the story develops. The number on the tab displays the number of comments that have been entered since you last opened the Story Chat window. 90

View Use these icons to toggle between the Planning Item text description and the Planning Item's property fields. Clipboard Move the currently selected text to the Windows clipboard. Set the text highlighting or font color. You can use this option on selected text or set the color and new text will use the new color setting. Shortcut key for undo: Ctrl+Z Shortcut key for redo: Ctrl+Y Open a dialog that allows you to Search within the item. To search for text, enter the search terms in the Find what box and press Enter. ENPS will highlight the first term in the story that matches your search string. You can navigate among search results using the buttons. arrow If you want your search results to match the case of your search terms, select the Match case checkbox: if the search term is President then the word president will not be included in your search results. To replace the search terms with another word or phrase, type it in to the Replace with box. You can replace only the currently highlighted string by clicking Replace or all of the occurrences in the document by clicking Replace All. 92

In addition to launching the built-in spell checker this button can also be used to launch a third-party spell checker, if one has been installed by your site's System Administrator. If you are using the built-in spell checker click the down arrow to select any of the following options: Check spelling as you type. This option will underline any repeated or misspelled words as you type them. Ignore upper case, words with numbers. These options allow you to ignore capitalized words or words that contain numbers. Spell check can only be done in a language that matches the locale in which the story was written. Locales are configured through the Region and Language settings in the Windows Control Panel. If the Event is in a Planning Grid you can view prior versions of that Event. A version is stored every time a user modifies an Event and saves the changes. Publish Publish an Event or a Planning Item as a wire, internally or externally. This feature is only available if your System Administrator has enabled it for your enterprise. Messaging Send the Planning Item as a message. If one or more users have been assigned to the Planning Item in the Planning Grid's Reporter Assigned, Photographer Assigned, or similar columns, those users' names will automatically appear in the Send to: field of the new message. 93

102 Move Planning Grid Items to a Rundown Move Planning Grid Items to a Rundown To copy a story from a Planning Grid into a Rundown, open the Planning Grid and Rundown in separate windows. Drag the slug of the item you want to move from the Planning Grid into the Rundown. A grey line will appear showing you where you are inserting the new story. There are two ways to move multiple items at once: If the rows you want to move are in sequential rows, click on the first row you want to copy then hold down the Shift key and click the last row you want to copy. All of the intermediate rows will also be selected. If the rows you want to move are not listed sequentially, hold down the Ctrl key and click each row you want to copy. When you drag and drop an item from a Planning Grid into a Rundown, the contents of the Planning item are copied into the Source Content Area of the story in the Rundown. 94

103 MOS MOS If you right-click on the MOS icon a menu appears that allows you to select which media plug-in you want to open, view MOS FTP Status, or set the default media control. The default media plug-in opens when you left-click on the MOS icon. For information on controlling MOS devices in a Rundown refer to MOS Fields. 95

104 MOS FTP Status MOS FTP Status The MOS FTP Status window displays the progress of your media uploads. This is useful when you are uploading content to one of your site's servers from the field. Refer to Adding Media to a Story for more information. After you add the content the MOS FTP Status will display an In Progress message. You can stop the upload by clicking Cancel. When the media is finished uploading the status indicator will say Complete. 96

105 Open the Dashboard Open the Dashboard To open the Dashboard, click its icon on the NavBar. The Dashboard gives you an easy way to get an overview of content at your site and to monitor incoming wires. Information in the Dashboard is arranged in windows called tiles. The arrangement of the tiles in the Dashboard depends on the window orientation. If you are viewing the Dashboard in full screen mode, the tiles will be arranged in a grid format as shown below. When the Dashboard is arranged vertically the tiles will appear as stacked sections. From this view, you can change the arrangement of tiles on the Dashboard by dragging the tile's title bar to a different location. You can set the default orientation when you open the Dashboard in your Personal Settings. Tiles have the following icons on their title bars: Set the maximum number of entries that are shown when the Dashboard is displayed vertically. Hide the window. See below for information on how to restore the tile to your Dashboard from the Dashboard Settings Editor. Expand or collapse tiles if the Dashboard is oriented vertically. 97

106 Dashboard Settings Dashboard Settings You can customize which content appears on the Dashboard by clicking the Settings icon on the Dashboard Ribbon to open the Dashboard Settings Editor. The Dashboard comes with built-in tiles such as YouTube, Twitter, and Urgent. You cannot delete these tiles but you can hide a tile by clearing its check box in the Show column. If you have hidden a tile in the grid by clicking on the icon you can re-display it by selecting the check box in the tile's Show column. If you create a custom tile and you want to delete it, the column on the far right displays a trash bin icon that you can use to delete the entry. To create a new tile, enter a descriptive name in the text box in the first row. In the Tile Type column you will be able to choose between a Content Tile and a Search Tile. 98

107 Dashboard Settings Content Tiles allows you to maintain a list of the latest Messages, MOS objects, Planning Grids, Planning Items, or Rundowns at your site. Once you select Content Tile you will see options that allow you to select the folder location that you want to monitor. Search Tiles let you monitor the contents of saved Searches or Forward Searches. Max Items allows you to specify the maximum number of items in the tile when it is arranged vertically. 99

108 Browser Browser You can use ENPS to visit websites using its built-in Web browser. To open the Web browser, click the icon in one of the editor windows and select Web Browser. You may also be able to launch a web browser from the Administrator has configured it. MOS icon if your System The following options are available on the Browser ribbon: Navigate to the previous page. If you have navigated to a previous page you can click the Forward arrow to return to the more recent page in your browse history. If a page is taking a long time to load, click Stop to discontinue loading. Refresh the content on the current page. Enter the URL for a website. Using the built-in browser you can navigate to a page and display media so that you can add media objects to a story. 100

109 Start a New Story Start a New Story Use any of the following methods to start a new story: Click in an empty story window and start typing. Right-click on the Personal folder or Home folder on the NavBar and select New Story. Select File Menu New New Story. Pin back a wire story and start typing in it to modify it. This will turn it into a new story in your personal folder. Click the new tab icon and select Story. This also creates a new story in your personal folder. If you create a story in the template. Home folder, you will be prompted to select a story Once you have a story open you can enter a new title or change the existing title by double-clicking the story s tab. While you are editing the story you will see the name of the last person who edited it, the date and time it was last saved, and the word count, which will be updated as you type. 101

Determine the length of time for airing the story for text and media objects. The length of time to read the story is based on the Read Rate entered via the story's production commands. If no Read Rate is entered, a default value of 18 characters per second will be used although that value can be changed by your site's System Administrator. Protect text. Highlight a section of text in the story and click this icon to prevent accidental changes to the text. Protected text will be highlighted in blue. Approve If you have sufficient privileges, you can approve a story for broadcast. If a story is stored in a folder and not associated with a Rundown the story will get a green icon next to its slug. If the story is in a Rundown selecting this option is the same as selecting the Final Appr column in the Rundown. Approved stories are displayed with a different color code. 104

113 Story Editor Ribbon Note that if you approve a story stored outside of a Rundown that it will no longer be approved when it is dragged into a Rundown. Commands Insert a production command. Production commands are special instructions that can be used to communicate information with people in the newsroom or to send instructions to hardware devices. Because these commands must be formatted precisely they cannot be edited directly from the story. The options from this menu include: Anchor/ReadRate Duration Notes Take Insert Insert Tech Instruction Choosing any of the last three options opens up a full Production Command dialog. Additional production command options, e.g. VO, SOT, PKG, Live, can be selected from the upper-right dropdown menu. If your site uses an automation system you can insert an automation control command including Clip, Still, CG, Inset, Camera, Logo, Live Event, OS or Macro. Insert a MOS command into the story. These commands must be configured by your site's System Administrator. If your story contains MOS item references, selecting Expand All MIRs will expand each item with their preview image visible. Selecting Collapse all MIRs will collapse all MOS item references and the preview image will be hidden. 105

This feature is only available if your System Administrator has enabled it for your enterprise. Share your story on social media. Messaging Send the current story to another user. Shortcut key for undo: Ctrl+Shift+T Layout Tab Layout Use these icons to toggle between the story text and the story's property fields. When you are viewing a list of story properties you can filter the list using the Filter box. Use this icon to select Two Column view, which shows all editorial text on the right with all Production Commands and media references on the left. 106

115 Story Editor Ribbon View Save the current story layout as a template. The template includes all of the story front fields and back fields that you have defined. The template will be saved using the story name. Select which fields you want to appear on the front fields and back fields of the story. The front fields will appear at the top of your story in a window that you can expand and collapse. Back fields will appear in the list of built-in story property fields that you can see when you click the Properties icon. If you selected back fields using the Select Fields option those fields will appear in the list of story property fields when you click Properties. Select this icon to view only the fields you have selected and hide the built-in fields. Toggle whether the Front Fields are displayed in the story editor. This is the same as clicking the Front Fields bar at the top of the Story Editor. 107

116 Adding Media to a Story Adding Media to a Story You can add media to a story from any of the following sources: Media servers. Use the Enterprise Browser to navigate to a local media server that contains pointers to media objects. Use media content from a folder in Windows. This means that you can record and edit video in the field and send it to your newsroom directly from ENPS. Media on the Internet. Only Media that has a direct link to an underlying asset can be added to a story. To use, use the Browser to navigate to a web page that contains the media you want to use. Make sure that you have the rights to use the media file before you use it. Drag the media into the story editor to add the media object to your story. You will see a placeholder appear for the media object. You can expand or contract the placeholder icon by clicking on the icon. If you double-click the image of the video, ENPS will play the video in the ENPS in-line video player. If you click on the title of the video, ENPS will open the video server s media plug-in to play the video. If you are uploading content from the field, it may take some time for the media to reach your enterprise's media server. You can monitor the progress of the uploading from the MOS FTP Status window. 108

117 Create a Story Template Create a Story Template Story templates allow you to customize any text, production commands, and story properties that you want to include in multiple stories. To create a story template first start a new story. If you create the story in your Personal Folder you must copy it to the Group Folder before you can save it as a template. You can also save an existing story as a template. Add text to the story then use the following options from the Story Editor Ribbon to add additional content. Enter production commands using the Production button on the Story tab. If you need to define fields for your story click the Select Fields button the Layout tab. Click on the Properties button on the Layout tab to view the story's property fields. To save the story as a template click the Save as Template button on the Layout tab. This template will now be available for users who are creating a new story. 109

118 Source Content Area Source Content Area At the bottom of the Story Editor is a tab with an arrow that separates story text from the Source Content Area. The Source Content Area is an area where you can store notes, ideas, production commands, MOS pointers, and more. Although the text in this area can be printed, it will not contribute to the overall story time. MOS pointers in the Source Content will not be sent to your site's media servers. To open the Source Content Area click on the arrow. Once the Source Content Area is open the divider will display both an up and down arrow. You can enlarge the Source Content Area by clicking the up arrow again, or minimize it by clicking the down area. You can also set a custom position for the divider by dragging it. If you enter anything in the Source Content Area and minimize it, the divider arrow will be highlighted in yellow to show you that it contains content. 110

119 Story Chat Story Chat Once you save a story for the first time you will see the tab for Story Chat. Story windows are a chat log that let you communicate with other people working on the story. It is useful for noting important changes as a story develops. The number on the tabs displays the number of comments that have been entered since you last opened the Story Chat window. 111

121 Open a Rundown Open a Rundown Rundowns are generally kept in your home folder. They can also be located in another folder in your enterprise or your personal folder. Click a Rundown icon or drag it into a window to open it. 113

You can create a new Rundown in any of the following ways: Create a Rundown in the Home Folder by selecting File Menu New Rundown. To create a new Rundown in the Home folder or any other folder right-click on the folder icon on the NavBar and select New Rundown. 114

The following table lists the properties in alphabetical order and describes the purpose of each one: Add MOS Durations Control whether the lengths of MOS objects will be added to the timing of the Rundown. Select one of the following: 0-Default, or if this field is left blank, the option that your site's System Administrator selected as a global default will be used. 1-Yes: MOS Object durations will be added to story times. 2-No: MOS object durations will not be added to story times. 115

124 Set Rundown Properties Allow External Modification Approved Stories Only Auto Archive Allow MOS-enabled production devices to place temporary holds on stories for modification. This feature will only work when the MOS Control Active box on the Production tab of the Rundown Ribbon is selected. The device must be using MOS 2.82 or higher. Select this box to prevent users from adding non-approved stories to a Rundown. If this option is selected it will not be possible to create new rows in the Rundown directly; the only way to add entries to the Rundown will be by dragging in stories that have the Final approval box selected prior to dragging. Automatically archive the Rundown. Your site's System Administrator configures the frequency. AutoCreate Days in Advance AutoCreate Days, AutoCreate Time Create this Rundown every day for the number of days specified up to one year in advance of the Program Start Date. To create a Rundown today, leave this field blank. To create the Rundown one day in advance of the Program Start Date you would enter 1 in this field and so on. To automatically create a Rundown on the day it airs, leave this field blank. You must set both AutoCreate Days and AutoCreate Time fields for Rundowns to AutoCreate. The days of the week and the time of day a Rundown will be created automatically, up to one year in advance of the Program Start Date. Once you create and save a Rundown as a template using the Layout options on the Rundown Ribbon it is possible to use that template to create Rundowns automatically for the days of the week selected in this field. If these fields are not set, Rundowns will not be AutoCreated. Once the AutoCreate Rundowns are created you can change the properties of each Rundown independently. If a change is made to one of the Rundown's properties, that change will be saved even if the Rundown template changes. If a Rundown property for one of the AutoCreated Rundowns has not been set and it is changed in the template it will also change in the daily Rundown. You must set both AutoCreate Days and AutoCreate Time fields for Rundowns to AutoCreate. 116

125 Set Rundown Properties Continuous Content Continuous Content Interval (days) Director When you select this checkbox, the Rundown will not be purged by ENPS maintenance routines. However, stories from the Rundown will be automatically archived based on the Continuous Content Interval setting. If the Continuous Content box is selected, then setting a value in this field determines the number of days before a story is archived. For example, setting this value to 5 means that all stories that are older than five days will be archived. A copy of the Rundown itself will also be archived without the stories that are still current. Used as a label. Duplicate Slug Options Duplicate Slugs Duration Based If duplicate slugs are not allowed, selecting this option will display an option menu to users who attempt to drag in story with the same name as another story in the Rundown. If you enable this option, those users will be presented with the following choices: enter the story with the duplicate slug unchanged, enter the story with a new slug or cancel the operation. By default, ENPS will suggest as a new title the original slug plus "-1," and incrementing the number as additional duplicate items are entered. Allow identical slugs in the Rundown. If this option is enabled, you may paste a story into the Rundown multiple times. Duplicate slug detection is case-sensitive. If you specify the Start and End time of your Rundown, the program will be timed based on the time of day such as 11:00:00 to 11:30:00. If this box is checked, the timing will be based on the length of the program, such as 30 minutes. When the program is timed live, it will be based on the duration of the program, regardless of start time. For live broadcasts that have a specific end time, it is recommended that you do not select this option. If this box is unchecked, timing counts down to the previously entered end time of the program, regardless of when the newscast was started. 117

126 Set Rundown Properties This option can be changed at any time. Editor Used as a label. Enable CTOS Last Status MOS Archives a copy of the Rundown to a specially designated server in your enterprise called the Central Text Object Storage server. Check with your System Administrator to determine if this option is enabled for your enterprise. Displays the ID of the last MOS-enabled production device that sent a MOS status message to this Rundown. MOS Allow Limit which MOS-enabled production devices can be used from a Rundown to just the entries specified in this list. If no entries are selected, all MOS-enabled production devices will be allowed. Since the Rundown will only be able to trigger events on MOSenabled production devices specified in this list, if a new MOSenabled production device is installed at your station it will have to be manually selected in every Rundown that has a MOS Allow list. MOS Block MOS Channel MOS Control Active Prevent the Rundown from sending outbound MOS messages to the devices specified in this field. Send the MOS channel on which the Rundown will be produced to the MOS-enabled production device or the production control room. Create a connection between the Rundown and MOS-enabled production devices in your enterprise. Once a Rundown is MOS Active, its icon will change to reflect that is MOS-enabled. MOS Editorial Duration Send the duration of the Rundown to a MOS-enabled production device. 118

127 Set Rundown Properties MOS Editorial Start Send the start time of the Rundown to a MOS-enabled production device. MOS Macro In, Out Refer to your Media Object Server documentation for information about these fields. MOS Redirection MOS Status MOS Status Time MOS Trigger Allow ENPS to send all references to a MOS server to a different MOS server in the same family. To use this feature, servers must have a fully-qualified name according to the following convention: <familyname>.<machine>.<location>.<enterpris e>.mos For example: video_vendor_x.product.w???.bcastenterprise. mos Status of the item as reported by the MOS-enabled production device such as Not Filed Ready Playing Stopped or Not Ready. Producers can track the progress of production material and make decisions to move or drop stories based on this realtime status. This information is displayed only when the Rundown has the MOS Control Active flag set on the Production tab of the Rundown Ribbon. Time that the latest MOS status message was received from the device listed in the Last Status MOS field. Select Manual, Timed, or Chained NameDropper File ND Logo Each Line Network path for the NameDropper database. Add a logo for each line of the NameDropper crawl. 119

128 Set Rundown Properties On Air Activate the Rundown timing bar when the show is ready to go to air. You can also select this on the Production tab of the Rundown Ribbon. Overwrite Story Property Fields Prevent Manual Bar Movement Allow story's properties fields to be copied into another Rundown. If this option is disabled when you copy a story from one Rundown to another you will lose the contents of the property fields in the new Rundown. Allow the Rundown timing bar to be automatically advanced based on cues from an automation system. Program Name Used as labels. Publishing Active, Publishing Days, Publishing Target Rundown Numeric Pages Rundown Times Refer to the ENPS Publishing Installation and User s Guide for more information. If the System Administrator has configured Rundown pages to be automatically numbered with alphabetic prefixes such as A1, A2, A3 you can override that configuration for a particular Rundown by selecting this option to have simple numeric numbering instead. Program start and end times. The duration is selected automatically. Section Metrics Display basic usage statistics for each approved story. Refer to Creating a Web Content List for more information. Section Preview URL Show Story Templates on Insert If you are creating a Web Content List, display a URL where you can preview how the content will look when it is published. Refer to Creating a Web Content List for more information. Require users to select from a list of story templates when they insert a new line in a Rundown. Users will also be able to title the story before it is inserted. 120

129 Set Rundown Properties Story Template Ticker Content, Ticker Story Delimiter Time Format If this field is selected, any new row inserted in the rundown will use a specific story template. This template is usually created by the Group Manager. Ticker functionality is not yet enabled in ENPS 7. These fields are reserved for future use. Set the timing method for frame-accurate automation systems. You can set this value to one of the following values: 0 - Default 1 - PAL 2 - NTSCDF 3 - NTSCNDF 4 - THOUSANDTHS Use Summary Item Web Section Web Section Order When active for sites using MOS Object AutoCreate a story that will be recorded into a Summary item will have the Summary MOS item at the top, followed by story text and other MOS items. If this property is checked, the Rundown will only use summary items for timing purposes. Stories that do not contain summary items will be timed normally. If you are creating a Web Content List, this sets the section where the content is published, e.g. Business, Sports, Technology, etc. Refer to Creating a Web Content List for more information. If you are creating a Web Content List, determines the order the content is displayed in the section. Refer to Creating a Web Content List for more information. 121

130 Rundown Ribbon Rundown Ribbon This section describes each of the buttons on the Rundown Ribbon. Rundown Tab View Create a new row in the Rundown. Double-click the new row s story slug to edit the story. Shortcut key: Ctrl+I Refresh the information in the Rundown. This option is used to check that the Rundown reflects the most up-to-date information. If the system, including the network, is functioning correctly, it should not be necessary to use this button. When the Timing Bar has been scrolled out of view in the Rundown, you can select the Back to Timing Bar button to jump back up to where the Timing Bar is currently located. The Compact Grid button reduces the height of all rows in a Rundown. The Find button opens a search field at the top of a Rundown. When a user searches a Rundown, found search items appear in red text. Font Select the typeface and font size for the Rundown. 122

131 Rundown Ribbon Properties Modify the Rundown properties. Refer to Setting Rundown Properties for a description of the properties. Layout Tab Layout Select the default screen layout. After you click Make this my layout, this icon will be highlighted to indicate that layout reflects your selections. Select the default layout for your group. Select the default system layout. Select the template layout. Click on this button to select one of the stored layouts. A menu will appear showing you which ones were saved. Click on this button to delete one of the stored layouts, if you have appropriate security privileges. A menu will appear showing you which ones are stored in the system. 123

132 Rundown Ribbon Select Columns Use the drop-down menu to select which columns you want to add or remove to the Rundown layout. Layout Storage Save the current window arrangement as your default personal layout. If you have appropriate permissions, you can save the Rundown view as a stored layout. Stored layouts reflect the columns and column widths that have been selected. Click Save Stored Layout to save the current layout. You will be prompted for a name. Save the current layout as the default for your group. Save a custom layout for ENPS Mobile v3. After you configure your layout as you would like to see it in ENPS Mobile select this button to save the layout for yourself or as the default layout for your home group, if you have appropriate permissions. After you close and re-open the Planning Grid, your newly-saved layout will be visible on the Ribbon s Stored Layout and Delete Layout menus. ENPS Mobile v3 will display which layout to use to display Rundowns based on the following priority list: Your personal layout, if it exists Group Layout, if it exists for the user s home group and there is no Personal Layout System Default Layout, if neither of the above exists If you have appropriate permissions, you can save a Rundown as a template. If you opt to save the Rundown as a template, the stories that you have displayed in the Rundown will also become part of the template. To save the Rundown as a template, click the Save as Template button. When users create a new Rundown they will now see the template Rundown listed as an 124

133 Rundown Ribbon Production Tab option in the Properties window. Show Toggle the display of empty rows that are marked as commercials. This option must be enabled by your site's System Administrator before you can use it. To mark a row as a commercial, click Select Columns and select Commercial. When you click on the column for a designated commercial break, the row will be highlighted in red. On Air This option will freeze ENPS page numbers, turning the numbers bold. If you choose to print stories, you must freeze page numbers prior to printing, in order for the page numbers to be printed. Select this box to activate the Rundown timing bar when the show is ready to go to air. Launch it by hitting the space bar. If you have chosen to Lock Timing Bar, then you will be the only user able to advance the bar manually. Others opening a Rundown will see the timing bar in place and moving, but they will not be able to advance it. If you do not lock it, any user with read/write access to the rundown will be able to move the timing bar. Device Control Create a connection between the Rundown and MOS devices at your site. This icon will stay highlighted while the connection is working and the Rundown tab icon will change to to indicate that MOS connections are active. If you have a Template you use for recurring shows, it is possible to enable the MOS Control Active flag in the Template. Rundowns created from the template will automatically have their MOS Control Active flag set. MOS objects and clips included in the Rundown will automatically build playlists in the Media Object Servers, without requiring a Producer to remember to set the flag ON. Refer to 125

134 Rundown Ribbon Breaking the MOS Link for more information. Before the Media Object Server playlist can be executed on-air the Producer may need to set the MOS Ready to Air flag. The exact behavior of this switch depends on the configuration used by your MOS vendor. This setting reflects the Producer s approval to signal the Media Object Sever to air the contents of the Rundown, such as the audio, video and still store. Select a device to receive MOS Story Send messages. Your System Administrator can help you with this. You can optionally select a time to start sending MOS Story Send messages to the device by entering a time in the box. MOS Control Active must be selected for ENPS to send messages to a MOS device. Output the Rundown to a local or network folder for use with a serial, non-mos prompter. A prompter icon will be displayed in the lower left corner of the Rundown. Before you can use this option it must be enabled by your site's System Administrator. Open the CG Device Control window to control a seriallyconnected character generator. Locks If the Rundown is locked, only the user who locked the Rundown may add, delete, or move items in the Rundown itself. Users with appropriate privilege levels may continue to make changes to stories in the Rundown and associated fields if the rundown is locked, clicking this again will unlock it. Add/remove a lock that will prevent changes to any stories in the Rundown. Once the show is on-air, the producer can use this option to prevent others from advancing the timing bar. The user who sets the timing bar lock can still advance the timing bar. Other users opening a Rundown will see the timing bar in place and moving but they will not be able to advance it. Clicking this button again 126

135 Rundown Ribbon will unlock the timing bar. Archive Tab Rundowns at your site may be configured to be archived automatically. If so, you do not need to use these buttons to archive manually. Check with your System Administrator to find out how many days after a show airs that the Rundown will be archived. Archive Rundown Move the Rundown to the archives or move only the entries above the black line to the archives. Archive Copy Copy the Rundown to the archives or copy only the entries above the black line to the archives. 127

136 Add, Edit, and Delete Stories Add, Edit, and Delete Stories You have a number of options for adding stories to a Rundown: Create a new row in the Rundown by selecting Insert Row or by pressing Ctrl+I. Drag a wire story into the Rundown. Drag a story from a group folder, such as the Home folder or a group folder you have opened through the Enterprise Browser, into the Rundown. When you drag a story from a group folder into a Rundown in another group folder, the story will be copied from its original location. If you drag a story from a group folder into a Rundown in the same group folder, the story will be moved from its original location. To reverse the default copy/move behavior, hold down the Shift key while you are dragging the story. Drag a story from your Personal folder into the Rundown. When you drag a story from your Personal folder into a Rundown the story will be copied from its original location. To move the story instead of copying it, hold down the Shift key while you are dragging it from your Personal folder. Drag a Planning Item from a Planning Grid into the Rundown. To edit a story double-click its slug. To delete a story from a Rundown, either drag it to the Waste Bin or highlight it and press Ctrl+Shift+D. 128

137 Create Segments Create Segments ENPS lets you group the individual segments of a story into one block. To create the block, first create a new row and give it a slug. Then insert another row and give the new row an identical slug to the row to which you want to add a segment followed by a hyphen and the name of the segment, e.g. Mayor's Race - Interview with Mayor Stevens. This will create a visual grouping for the multiple elements for a story. You may change the slug or segment name for the story by typing over the existing slug/segment or by clicking in the slug (or segment) window and hitting the Backspace key. Double-click the slug to open the story. If the story is already open, double-click the new row s slug to edit it. 129

138 Move Stories Move Stories To move a Rundown item, drag its story slug to a new position. This will also work for items that contain multiple segments. Individual segments may also be dragged to new positions by clicking on the segment portion of the Rundown. To move multiple stories within a Rundown at the same time, mark them by holding the Ctrl key and clicking on each slug you want to select or press Ctrl+B. Selected stories will be marked with a dark gray background. To clear all of the selected rows press Ctrl+A. To move multiple stories first highlight them, then drag and drop them at the point above which you wish to move them. Items are repositioned in the order that they were selected, so it is important that you mark them in the desired order before dragging them to a new position. Items can be copied from one Rundown to another using the drag and drop techniques described above. Approval indicators are removed when items are copied into new Rundowns. Items may be moved between Rundowns by holding down the Shift key while dragging and dropping items. The original will be deleted. If you want to move an item during a show it is recommended that you first float the story to remove them from the MOS playlists. After they are moved you can remove the checkmark from the Float column to reinsert them in the playlist. 130

139 Black Line Area Black Line Area The black bar across the Rundown is used to separate content that will be included as part of the broadcast or digital output. Stories below the black line are not included in the timing, prompting, or MOS functionality. This area the black line is useful if the producer is not sure whether a segment of the broadcast will run over or under, and another story can be added or removed quickly to make up for the difference. Stories below the black line can be moved above the black line at any time. 131

140 Float Stories Float Stories An alternative to dragging items to the Black Line Area is to use the Float feature. This will keep the story in its allocated row, but it will not be included with the regular timing, prompting, and MOS functionality. To use this feature, first add the Float column by selecting it from the Select Columns icon on the Rundown Ribbon. Once that column has been added to the Rundown you can click the checkbox in a story row to float it. The color of the row will change to red. To re-activate the story, click on the check mark in the float column. However, be aware that unfloating a story too close to the time it is scheduled to go to air may mean peripheral devices will not be able to load the story for air as quickly as you will need them. 132

141 Story Color Codes Story Color Codes In each row, the color indicators adjacent to the story slug serve as indicators for whether the story contains content including text and/or media and whether it has been approved: A yellow marker indicates that an item does not have any content. A red marker indicates that an item contains content, but it has not been approved. A green marker indicates that an item contains content and has been approved. Only users with sufficient privileges will have the ability to approve items. 133

142 Set the Rundown Layout Set the Rundown Layout Rundowns have a large number of columns that you can add, resize, and re-order. Users can use these columns to display the information that is relevant to their job role. Adding Columns Users can customize the types of information they see when they use a Rundown by creating a Rundown layout and then saving that layout as their personal view. Click Select Columns on the Production tab of the Rundown Ribbon to view a list of available columns. Many of these columns will be self-explanatory. You can find additional information on columns that relate to the following areas: Basic Timing Segment and Hard Hit Timing MOS Timing MOS Objects Moving Columns To move a column to a new position, place the mouse pointer anywhere in the column s title box drag the column to its new location. The column will appear to the left of where it was dropped. Resizing Columns To resize a column move the mouse pointer to the right border of the column's title box until it becomes a doublesided arrow. Hold down the left mouse button and drag the border to make it wider or narrower. Release the mouse button when the column is the desired width. 134

143 Set the Rundown Layout Compact Grid You can reduce the height of each row in your Rundown by selecting the Compact Grid button on the Rundown Ribbon. This maximizes the number of rows a user can see in a Rundown. Saving the Layout You can save the current Rundown as your personal layout. If you have permissions, you can also save the rundown as a template or a stored layout. Both of these options are available on the Layout tab on the Rundown Ribbon. 135

144 Using the Find Button in Rundowns Using the Find Button in Rundowns A Find field now appears at the top of each Rundown when a user selects either the Find button in the Rundown Ribbon or uses the Ctrl+ F shortcut. When a user enters a search term into the find field of a Rundown and hits the Enter key, found terms will appear in one of two ways: If the term is found inside the Story, the text of the row will be in red. If the term is found on only the face of the Rundown, the text in the row and the page number will be highlighted in orange. Users can scroll through found search terms in two ways: Hitting the Enter key will skip to and highlight the next found search term. Using the up and down arrow buttons to the right of the Find field. 136

145 Basic Time Fields Basic Time Fields The following table summarizes the timing columns available in Rundowns. Refer to Set the Rundown Layout for information about how to add columns to a Rundown. By default, ENPS calculates timing based on Actual Time. Your System Administrator can change this behavior, however, so that Rundowns will calculate the timing based on Estimated Time rather than Actual Time. If there is no value for Actual Time, ENPS will use Estimated Time until an Actual Time is entered. Estimated Time A value entered manually, typically by the show's Producer. Text Time Media Time Actual Time Back Time Front Time Cume Time Back Cume Time Automatically calculated based on the length of text in the stories. If a story has a manually entered Read Rate, the Text Time will reflect that value; otherwise it will reflect the global value set by your site's System Administrator. Reflects the media durations that were manually entered into stories. Refer to the MOS Timing section for more information about timing media objects. Reflects Text Time + Media Time according to the definitions listed above. By default, ENPS Rundowns calculate overall timing based on Actual Time although this setting will vary depending on how it has been configured by your site's System Administrator. Refer to the MOS Timing section for more information about timing with media. Calculates the length of time back from the end time of the Rundown, based on the length of individual items. Calculates time forward from the start time of the newscast based on the length of individual items. Adds up the time of all items in a Rundown working forward. Adds together the time of all items in a Rundown, working backward from the end time. 137

146 Basic Time Fields Elapsed Time The amount of time that the timing bar, engaged when the show is on the air, spends on each row as it moves through the Rundown. 138

147 Segment and Hard Hit Timing Segment and Hard Hit Timing It is possible to enter a specific hit time for a story inside a newscast. This feature can be used, for example, to time into shared live shots or lottery drawings. Hard hit timing may be configured for either back time or front time, but it is strongly recommended that you only use Hard Hit Front time. If you are using the Hard Hit Front column enter the time at which you want to hit the segment, and ENPS will figure the over/under time to that point. Make sure you have also added the Hard Hit Front +/- column. When the newscast is on the air ENPS will consider the hard hit time as a forced time and will recalculate Hard Hit Front +/- based on that entry. For example, suppose that you need to hit a live shot four minutes into a newscast scheduled to start at 6:00:00 PM. You would enter 6:04 on the Liveshot line. If you add an additional story above your hard hit time, Story 1a in the example below, ENPS shows that you are now :30 heavy going into your liveshot. Scheduled Start time: 6:00:00 Actual Time or Estimated Duration Hard Hit Front Time Hard Hit Front +/- Story 1 1:00 Story 1a :30 Story 2 1:00 Story 3 1:00 Story 4 1:00 Live Shot 6:04:00 :30 over Once you start the ENPS timing bar, the over and under calculation will vary according to the actual start time of the newscast. If you do not actually begin the newscast until 6:00:15, you will be another 15 seconds over your 6:04 forced hit time. Note that the over/under time displayed at the foot of the rundown will only reflect over/under time once you have passed the final Hard Hit time that you have manually entered. 139

148 Media Timing Fields Media Timing Fields The following fields are used for timing media objects in the Rundown. When media is linked to an ENPS story, a MOS Object message is added to the story. It may include an Object Duration, and it may also include an item s Editorial Duration. MOS Object Time MOS Editorial Time MOS User Duration Length of video or audio media objects stored on the Media Object Server. As the MOS sends updated duration times of individual objects to ENPS the time in this field will be updated. For example, as an editor changes the duration of a package from 1:15 to :59 you will see the time in this ENPS Rundown column change by sixteen seconds. By default, this duration is not normally added to overall program time but this behavior can be changed by setting the Add MOS Durations option in the Rundown properties. A user-defined variable time also reported from the MOS Server set on either the vendor's software or in the ActiveX.MOS Editorial times are not added to the Media Time. If MOS Editorial Time is present, it will override the MOS Object Duration in the calculation of Actual Time so that Actual Time = Text Time + MOS Editorial Time + Manually entered durations. This value depends on the Add MOS Durations setting in the Rundown properties which controls whether the lengths of MOS objects will be added to the timing of the Rundown. If the setting is set to 0 then Actual Time is the Text Time plus any manually entered durations. If this value is set to 1 then Actual Time equals the Text Time plus the MOS Object Durations plus any manually entered durations. A global default for the Add MOS Durations setting is configured by your site's System Administrator. If a MOS Editorial Duration is present in the MOS Item Reference, then ENPS uses the MOS Object Editorial Time instead of the Object Duration. Manually input a length for MOS objects in the story. When you click on this column you will see a list of MOS item references in a story. You can enter the number of seconds you want added into the Rundown timing. For example, if there is a voiceover and sound on tape, you might enter: Item 1 (vo)

For MOSenabled systems test off-line with your MOS device to ensure that it works as expected. According to the MOS protocol, the MOS device should ignore any tags it might not understand, but it is important to know your MOS device will do so before putting this into production. 141

150 Controlling MOS Devices Controlling MOS Devices The following table contains a list of MOS columns and their descriptions. Click the Select Columns button on the Rundown Ribbon to add a column. A typical Rundown in a MOS environment might include the MOS Object Slug, MOS Status and MOS Object Time and/or MOS Editorial Time, depending on the configuration. The MOS columns that your site uses most should be included in a Rundown Template. MOS Abstracts A short description of the media object. MOS Channels MOS ID MOS Item Slug By default, the channel assignment is left blank. Click on this column to assign it a specific value. You may want to place all MOS Video Clips into Stories with a default blank channel assignment so that the Video Server can automatically assign channels or the video editor may wish to assign channels manually. ENPS does not provide any input validation or range checks on these values so it is possible for a user to enter a value that the Media Object Server does not understand. If you click in this column in a story that contains at least one media item reference, pressing any key opens the channel dialog window and places the cursor in the channel assignment field for the first item reference. The TAB key can be used to move to additional item references in the same story. ENTER and ESC can be used to save or cancel your changes. MOS device that contains the clip. This is useful to include in Rundowns where multiple MOS devices are in use. Name of the MOS Object or Clip. A MOS item slug is created automatically when you drop a media object into a story. The default name is the ENPS story name with a number appended that indicates the sequence of the object within the story. The number is added only to create a unique name. This number may not be a valid indicator of the position of the Item in the 142

151 Controlling MOS Devices story. The most accurate indication of sequence is the order the object appears in the Rundown window. This column may contain entries to launch ActiveX controls, such as a CG modal control, without having to open each story and click on the MOS Item reference. MOS Obj Slug MOS Status MOS Time Object AutoCreate Object Group Name of the media Object or Clip as named on the MOSintegrated production device. This name is generated on the device itself; you cannot change it from the ENPS Rundown. This column may contain entries to launch ActiveX controls, without having to open each story and click on the MOS Item reference. Status of the item as reported by the MOS-integrated production device. The device might send messages such as Not Filed Ready Playing Stopped and Not Ready Producers or editors can track the progress of production material and made decisions about story output. This information is displayed only when the Rundown has the MOS Control Active option enabled on the Production tab of the Rundown Ribbon, and the MOS-integrated production device is sending messages to ENPS. Time when the media object was last updated on the MOS device. Object in a story that allows media to be linked to that story. You can set a property of a story template so that when a story created from that template is created in or moved to a MOSactive Rundown a media object will be created automatically on the target MOS device (if the device supports this feature). You may use this option to create individual MOS objects on the MOS server. Displays the name of the folder on the server where the media objects are saved. This is useful if you want to copy the clip to another location. 143

152 Controlling MOS Devices Object Placeholder Create Object in a story that allows media to be linked to that story. When you click on this column you will get a table from which you may specify: The MOS device on which you want to create the placeholder. The object type, e.g. audio, video, still. Your site's System Administrator may have set one type as a global default. The object group tag, e.g. VO, SOT, PKG Name of the new MOS object. If no name is specified, the name of the placeholder is taken from the MOS Abstract and Segment name such as: [<mos>school Taxes-SOT :45</mos>] Once you add a MOS object to a story in a Rundown, double-click in either of the MOS Object Slug or MOS Item Slug columns to view the MOS item directly from the Rundown. This is primarily for use with modal controls. For example, if a CG vendor provides a modal control, it would be possible to preview all CGs in a newscast with the Rundown full screen without having to open each story and click on the MOS item reference. This feature is also enabled for special one line MOS object slug display columns typically used to display the slugs of summary MOS objects. 144

153 Breaking the MOS Link Breaking the MOS Link ENPS controls how MOS devices build their playlists based on stories' pointers to media objects. In some extreme circumstances, such as a communication failure between the ENPS server and the MOS device, it may be necessary for the MOS device operator to take manual control of the device s playlist. In this unlikely event, the MOS operator can use the device's control screen to control the video playlist manually. This is a failsafe action and should not be used frequently. Once communication between the ENPS server and the MOS device is restored, ENPS will detect that manual changes have been made to the MOS device's playlist and ENPS will break the control link with the MOS device. The link between ENPS and the MOS device can be re-established quickly by clicking MOS Control Active button on the Rundown Ribbon. When this is done, the playlist on the MOS device will be deleted and rebuilt. Some MOS devices can do this re-synchronization without going offline, but other MOS devices will be unable to play media while this is happening and this step should only be done during a commercial break. See your MOS vendor s documentation for more information. 145

154 Go to Air Go to Air When your show is ready to go to air, click the On Air button on the Production tab of the Rundown Ribbon. The yellow timing bar is ready and will appear at the top of the Rundown once you hit the Space Bar. Hit the Space Bar again to move the timing bar forward. The following times appear at the bottom of the Rundown: The first number is the over/under time for the newscast. This is a calculation of the rundown total time compared to the time set in the rundown properties. SEGMENT: This times each element of a multi-part story. There are two numbers here. The first is the elapsed time of the segment. The second is the time remaining in the segment. Once you have exceeded the time of the segment, this number counts up, showing you how far over you have gone in the segment. STORY: This is a countdown of the time remaining in all the segments of this story. PROG: This is a countdown of the time remaining in the newscast or program. Any user with sufficient privileges in the Rundown can advance the timing bar unless the Lock Timing Bar option on the Rundown tab has been activated. If the timing bar is locked, only the user who locked the timing bar may advance it. If you move the mouse cursor over the stopwatch you can see who locked the timing bar. Refer to Basic Timing Fields to see how ENPS calculates times. Remember that if the Duration based is checked in the Rundown Properties, the timing of the show will be based on the length of the program (e.g., 30:00) and when the program is timed live, timing will be based on the duration of the program, regardless of the start time. If the Duration based checkbox box is not checked, timing counts down to the End time of the program in the Rundown Properties, regardless of when the newscast was started. Use the following shortcut keys to control the timing bar: Space Bar Ctrl+Shift+Space bar Move the timing bar forward. Each time you press the Space bar, the Segment, Story, and Over/Under clock calculate from the beginning of the next segment. A yellow highlight bar marks the item currently being timed. Turn off the timing bar and reset it to the top of a show. 146

Select a location where you want the template to be stored. In the Title field provide a descriptive name for the template. In the Template ID field enter a page number that corresponds to the template on the CG device. 148

157 Use the CG Template Designer Use the CG Template Designer You can lay out a CG template as a visual representation of what the finished super will look like on screen. Label fields are not displayed on screen as part of the CG, except on the Chyron Codi. To add labels or text boxes to the template, drag the or from the Components list into the CG Template Design area. Label fields are not sent to the CG device. They are only used to help users identify the type of information that will be displayed in a corresponding text field. The actual position of the text fields on the screen does not typically affect the order of the data sent. Check your CG device s documentation or consult with the CG manufacturer if you have questions about the requirements for the CG device at your site. You can change the dimensions of the control by dragging the grey squares around the perimeter of the boxes. The Entry Field Details area provides additional settings for some fields. On some CG devices, for example, you can select the tab order or the maximum number of characters allowed in the field. Some settings in this area are provided to support legacy functionality or are reserved for future use. 149

158 Use the CG Template Designer When you are done with the template you can save your changes by pressing Ctrl+S or selecting Save from the File menu. You will also be prompted to save when you close the window. You can view a list of saved templates in the group folder in which they were saved by opening the folder, pinning it back, and clicking the CG Templates option on the Folder Ribbon. You can open the template if you want to make changes. The CG template ribbon has the following options: Review Send the CG template to the CG device for testing purposes. Design Insert a label. You can also do this by dragging the CG Template Design window. field into the Insert a text box. You can also do this by dragging the field into the CG Template Design window. Enable this feature to help you align text and label fields in the CG Template Design window. 150

Select the desired template, fill out the necessary field and hit Insert to place it into your Story. Double-clicking an existing CG in a Story will open it for editing. 151

160 Serial CG Control Serial CG Control To send data from ENPS to a serial (non-mos) character generator (CG), first ensure that the ENPS client workstation is properly connected to the CG device with a serial cable. Your site's System Administrator will need to configure the CG's serial connection settings according to the manufacturer's instructions in the workstation's ENPS.INI file. A complete list of configuration settings can be found in the ENPS Operations Guide. Once communication is established between the CG and an ENPS client workstation, open a Rundown on the client workstation. On the Production tab of the Rundown Ribbon select CG Device Control. The CG Device Control window displays all of the CG instructions present in the Rundown. Refer to the CG Templates button on the Story tab of the Story Editor Ribbon for information about adding CG instructions to stories. The buttons on the CG Device Control Ribbon will vary depending on the settings your site's System Administrator entered in the ENPS.INI file, so some of the following settings may be disabled on your Ribbon: Clipboard Send the next item to the CG. 152

162 Web Content Lists Web Content Lists ENPS lets sites publish stories to the Web and/or mobile sites. To organize the stories that you will publish online you will use a special type of Rundown called a Content List. It is recommended that you create a separate Content List for each category of news that you will publish online such as Top Headlines, Sports, Entertainment and so on. Each Content List can then create a separate page on your website or mobile site. ENPS is designed to work with a number of third-party applications for output to your Website Content Management System (CMS). The workflow for publishing stories will vary from one site to another. Contact your site s System Administrator to determine the correct workflow for your site. 154

163 Creating a Web Content List Creating a Web Content List To create a Web Content List, begin by creating a Rundown: Create a Rundown in the Home Folder by selecting Rundown. File Menu New To create a new Rundown right-click on a folder icon on the NavBar and select New Rundown. Configure the properties of the Web Content List just as you would for Rundown properties. If your site has an existing Rundown Template for Web Content Lists, you should use it. Web Content Lists should include the columns below to their layout. If you specified a Web Content List template in Rundown properties then these columns may already be included in your layout. Some of the settings below may not be available depending on the CMS your station is using. Web Slug Web Headline Mobile Slug Mobile Headline Name of the story as it will appear on your website. If this field is blank the Story Slug/Segment combination from the Content List will be used. Short summary of the story to be displayed on your website along with the Web Slug. If this field is blank the beginning of the story text will be used instead. The amount of story text that will be used is configured by your System Administrator. Slug of the story as it appears on your mobile site. This is typically shorter than the Web slug but if this field is blank the value of Web Slug will be used instead. If both Mobile Slug and Web Slug are blank the Story Slug/Segment combination from the Content List will be used as the story name. Short summary of the story to be displayed on your mobile site along with the story slug. If this field is blank the Web Headline will be used instead. If both Mobile headline and Web Headline are blank the beginning of the story text will be used. The amount of story text that will be used is configured by your System Administrator. 155

164 Creating a Web Content List Publishing Approved Publishing Hold Publishing Start/Publishing End Web Caption Preview URL Story Metrics Depending on your CMS you may need to select this column for a story to be displayed on your website or Mobile site. Editing an approved story in ENPS and re-saving it automatically de-selects this field. If an earlier version of the story was approved that version will remain online until the edited version is approved. The approved version will then replace the older version. If the story contains an Object Placeholder for a media clip and the media is saved to the media server ENPS will update media in the online versions of the story. Once this change takes place the flag in the Final Appr column will be cleared. Stop a story from appearing on your website even if the story has been approved. Set release or expiration times for a story. For example, an approved story with a Publishing Start time of 1/29/13 3:00 PM will not appear on your website prior to 3:00 PM on January 29, Once that time is reached, the story will be included on your website or mobile site. Similarly, an approved story with a Publishing End time of 1/31/13 3:00 PM will automatically disappear from your website or mobile site at 3:00 PM on January 29, Caption for each media item in your story. This is not a default column and must be set up by your System Administrator. View a preview of how the current story page will look on your website before it is published. Previewing a story page includes all of the stories that are currently active. It does not include stories that are floated or below the black line. Unapproved stories will be displayed on the preview page but not on the published section page. Clicking links while previewing either a story or a story page will take you to the preview version of the linked content, not the published version. All preview content will be watermarked with the word "preview throughout the page to make it clear that it is not published material. Display basic usage statistics for each approved story. 156

165 Creating an Online Story Version Creating an Online Story Version If a story has already been created for another output channel, for example broadcast, you can create a separate version of it for the Web. The Web version is separate from the broadcast version of the story and may include different content. You can add supplemental links, media, and information for your online audience. To create an online story version, first open the story. Select New Story Copy. File Menu New In the Select Location box on the left you can navigate to a folder and specify the Web Content List where you want to add the story. In the Title box you can enter a name for the online story. Select Remove Production Commands to remove any production commands from the online version of the story. 157

166 Creating an Online Story Version If your story is in all upper case or all lower case you can select the Convert to Proper Case checkbox to convert the first letter of each sentence to a capital letter and the rest of the letters to lower case. If your story contains words that should be capitalized, such as proper names, you will need to modify them manually. 167 Publishing Stories Publishing Stories Once you have finished creating your stories, you must indicate that the story is ready for output. The method of initiating publishing will depend largely on how on your site's Content Management System (CMS) is configured to work with ENPS. Some systems, for example, will require you to click the story's Final Appr checkbox or Publish Approved checkbox in the Web Content List to publish to your site's website and/or mobile site. 174 Waste Bin Waste Bin You can delete an item from a folder, Rundown, Planning Grid, or the Planning Calendar by dragging it to the Waste Bin icon on the NavBar. By default, most items will remain in the Waste Bin for 10 days and will then be removed from the system permanently. This setting is configurable by your System Administrator. When you click on the Waste Bin icon you will see a list of items that you have deleted from your personal folder or the Message Center. To view a list of items that have been deleted from a group folder, right-click on the Waste Bin icon and select the group waste bin you wish to view. To restore an item drag it from the Waste Bin to another location. 166

175 Introduction to Macros Introduction to Macros Macros let you automate tasks that you perform frequently in ENPS. This can be anything from running a saved search to viewing the contents of a folder to inserting commands into a story. Macros are available through configurable shortcut keys and custom Ribbon menus. Every user and folder can now have more than 22 macros, though only 22 can be assigned to shortcut keys. All macros whether assigned to a key or not are available from the Home tab on every Ribbon in the application. Macros created in ENPS 6 will not run in ENPS 7, however both sets can be maintained and used in the appropriate client while your site transitions to ENPS 7. Macro contexts control where a Macro is allowed to run. This helps to ensure that macros are not run in the wrong part of the application. Global macros can run anywhere within ENPS at any time. Rundown macros can only be run while a Rundown is selected. Story macros can only be executed while a Story is selected. All three macro contexts are represented with their own buttons, with any out-ofcontext options disabled. If you are currently working in a Rundown, for example, only the Global Macros and Rundown Macros buttons will be active; the Story macros button will be disabled. 167

176 Macro Key Assignments Macro Key Assignments Open the Macro Settings window by selecting File Menu Macro Settings. This window displays the key assignments for your personal function keys, F2 - F12, and Ctrl+F1 through Ctrl+F12. It also displays all of the group function keys, Shift+F1 through Shift+F12 and Shift+Ctrl+F1 through Shift+Ctrl+F12. The Locations box at the top left lets you select your Personal Folder or in a shared group location. A list of macros contained in that folder will be displayed in the Saved Macros list box in the lower left corner of the window. You can now complete one of the following actions: 168

177 Macro Key Assignments View or modify the macro by double-clicking the macro name. To assign a macro to a function key, drag it from the Saved Macros list box to the Drop Macro to Set box next to the appropriate function key. If you want to assign a macro to a group function you must have Group Manager privileges. Any macros that are not assigned to a function key combination can be run from the Home tab on the Ribbon. To delete a macro drag it to the Waste Bin. Once a macro is assigned to a function key it will display the macro name. You can replace a macro assignment by dragging a different macro into that function key. You can remove the macro assignment completely by clicking on the function key and then clicking on the trash can icon. 169

178 Create a New Macro Create a New Macro To create a new macro, click the New Macro button in the lower left corner of the Macro Settings window or select File Menu New Macro. In the Select Location box select whether you want to save the macro into your personal folder or a group folder. In the Category drop-down box select the macro type. You can select Global, Story, or Rundown. Global macros can be run anywhere in ENPS but Story and Rundown macros will only be available in those respective areas. These three categories are reflected on the Home tab which is always present on the Ribbon. Click Save to continue. The macro editor window will appear. In the Description text box enter a description of what the macro does. If you would like to change the name of your macro you can rename it by double-clicking on the title tab, just as you would with Stories or Planning Items. 170

179 Create a New Macro The Personal Function Key and Group Function Key drop-down menus allow you to select which function key will run the macro. You will only be able to select a group function key if you have group manager permissions. After the macro has been created, you can also set the function key assignments in the Macro Settings window. On the left, the Available Actions list shows you which operations are available. To add an action, drag it from the list into the Macro Steps window. You can drag the action to the end of the list of current steps or between Steps already in the list. Steps in the Macro Steps window can be re-ordered by dragging and dropping. A Step can be removed from the Macro by clicking on its Waste Bin icon. Some actions will allow you to enter additional parameters. These fields will appear in the Step Options box on the right. If you are setting up a macro that prints a story, for example, the Number of Copies box allows you to enter the number of copies to print every time you run the macro. If you would like to be prompted for the number of copies every time you run the macro, select the Prompt checkbox. You can save your macro by pressing Ctrl+S or by selecting Save from the File Menu. Saving a Macro automatically checks that all required configuration information has been provided for all of its steps. You can run the same check before saving by clicking the Validate button on the Macro Ribbon. Once a Macro has been saved, it will show up in the Macro Settings window and under the appropriate category on the Home tab of the Ribbon. 171

180 Executing Macros Executing Macros Once you have created a macro it can now be accessed from the Home tab on the Ribbon. Click on the macro type you want to run to display a list of macros for that content type. The Home tab on the Ribbon lets you access different types of macros. Global macros will be always be available, but Story and Rundown macros will only be available in their respective items. If you have assigned a shortcut key for a personal macro or a group macro you can also use that key combination to run the macro. 172

181 Personal Settings Editor Personal Settings Editor The Personal Settings Editor allows you to configure certain aspects of how the ENPS client works. You can access the Personal Settings Editor using any of the following methods Select File Menu Options Personal Settings Editor. Right-click Personal Folder and select Personal Settings. The following table describes each of these fields: Rundown Options Open Rundowns horizontally maximized Rundown View Options Set the default Rundown view to be horizontal across the top half of the screen. It is recommended that you enable this option so that you can view more columns on your screen at one time. Select the view that you want to use when you open Rundowns and Planning Grids. By default, they will open with the template layout but you can change this setting so that they will open with your personal view. It is recommended that you leave this setting at its default value until you are familiar enough with ENPS to create your own Rundown Layout. 173

182 Personal Settings Editor Alert Options Play alert sounds when messages arrive Play alert sounds when priority news arrives Suppress wire urgents List items up to this number of days in advance Automatically reformat news stories Show word count Sound an alert when Messages are received. With this setting, ENPS sounds an alert when urgent wire items or Forward Search items enter the system. This setting should be used with caution, as it will override all urgent wires in the Top Line Area. However, it will still allow urgent wire notifications for those stories which match Forward Search criteria. This is useful at sites where users only want to receive notifications regarding custom categories. The List Window may contain a large number of Rundowns and Planning Grids for future dates. Since entries in the List Window are sorted chronologically, they will appear before today s work in progress. Change this value to the maximum number of days in advance that you want to appear in the List Window. You can enter any value up to 99 days. If you leave this field blank, all future entries will be displayed. Story Options When checked, this option automatically removes extraneous line feeds from news wire items as they are loaded into an Editing Window. This generates text flow across the full width of the Editing Window. Select Undo to restore original formatting for a selected item. Selecting this option may make it difficult to read stories with tabular data such as stock data or sports statistics Select this option to display the word count in stories. MOS Item References All Collapsed All Expanded Select this option if you want all MOS item references in a story to be collapsed. Select this option if you want all MOS item references in a story to be expanded. If a MOS item reference is expanded, it will display a proxy preview if available. 174

183 Personal Settings Editor Minutes between automatic backups of stories. Default Opening View This is an extra safeguard in case your workstation crashes. This option does not replace the need to manually save a story when you are finished. It is recommended that you set this to a value of 1 or 2 minutes to back up the most recent changes being made to your stories. Dashboard Options Select whether you want the Dashboard to open in Full Screen, Vertical, or Detached. Startup Options Load Alert Bar at startup Language For Menus Pre-loaded spell check dictionaries The Alert Bar allows users to see wire alerts and ENPS messages, even if the ENPS window is minimized. It is recommended that you keep the Alert Bar enabled. Language Select the language you want to use for the menus in ENPS. Note that this option controls the ENPS interface only; the spell check language is set from the Editing Window rover. A dictionary must be selected in order for spell check in stories to work. In this list you can select which dictionaries ENPS should pre-load when you open ENPS. For performance reasons, it is recommended that you limit this to the two or three languages that you use most often. Your workstation's locale is set in the Region and Language settings in the Windows Control Panel. When you add text to a story, either by typing it or copying and pasting it from an external source, the text will be marked with your workstation's locale, regardless of which language you enter in the story editor. Text entered while the locale is set to English will be checked against the English dictionary, text entered while the workstation is set to French will be checked against the French dictionary, and so on, regardless of which languages are pre-loaded. 175

184 Print Settings Print Settings In ENPS, users set their print options before selecting an item to print. ENPS will preserve these options until they are changed by the user. These options will apply to every print job. ENPS will not prompt you to select settings once you choose to print. You can access these options in the following ways: Click the Select Printer icon on the NavBar. File Menu Options Print Settings. 176

185 Print Settings Here is a description of each of the fields on this screen: Current Printer Select the printer you want to use. Copies Rundown Options Only grid items above the black line Story options Show MOS commands as thumbnails Print rundown as displayed Number of copies to print. Select a template with a column layout that you want to appear in the printout. If you select System Default, a pre-defined set of columns will be printed. Print only options that appear above the Rundown's black line and are included in the timing of the show. Select a story template with layout options that you want to appear in the printout. If you select System Default, a predefined set of columns will be printed. Display an icon instead of the full text of a MOS command. You should only clear this box if you are trying to diagnose a problem with a MOS message. Print the rundown as it is displayed on the screen. Page Orientation Number of Columns Preview Save as personal defaults Use report layout orientation will use whatever orientation is defined in the template. Portrait prints with the page's long edges on the left and right and landscape prints with the page's long edges on the top and bottom. Determines whether stories are printed using one column (full page width) or standard two-column television format. Select Use report layout orientation to use whatever number of columns is defined in the template. Display an on-screen preview of the printed document before it is printed. Save the current settings as your personal default printing options. 177

186 Forward Search Settings Forward Search Settings A Forward Search alerts you whenever a news wire appears that matches certain search criteria. This is useful if you are following a story and want to be notified of new developments as soon as they come in. To create a Forward Search select Settings. File Menu Options Forward Search The Saved Forward Searches list contains a list of your current Forward Searches. You can delete a Forward Search by clicking the icon next to the search name. Enter a text description for the search in the Description box. To add a search term, click Add Search Term. If you are following an election, for example, you could enter the candidate's name as a search term. You can select wires from a particular provider, category, priority or selector code from your wire provider. 178

187 Forward Search Settings Select whether you want the Forward Search to appear as a category in the Wire Viewer and select whether you want incoming Forward Search hits to appear in the Alerts Center. 179

188 Message Groups Message Groups A Message Group allows you to send a message to a group of users without having to specify each user that you want to include in the message. To create or modify a message group select File Menu Options Message Groups. You can also open this window by right-clicking on the Message Center icon on the NavBar. All of the message groups at your site are listed in the Message Groups box on the left side of the window. You can delete a group by clicking the trash can icon next to its name. Click on a Message Group name to make changes to it. In the Group Members box you can delete individual members of the message group by clicking the trash can icon next to the user's name. To add members to a group click Add Member and start typing in the text box that appears. As you type a list of matching names will appear. Click the name that you want to add to the group. To create a new group, click the New Message Group button. Enter a descriptive name for the message group in the Name box. If you have sufficient privileges, you can make the message group accessible to all of the users at your site by selecting the Global Message Group checkbox. If this box is unchecked, the message group will be private and will only be available to you. 180

189 Message Groups Click Save to save your changes. When you are ready to use the message group simply type the group name in the Send to box in the Message Center. 181

190 Staff Privileges Staff Privileges To access the Staff Privileges screen right click on the Home folder on the NavBar and select Group Maintenance Staff Privileges. Users with sufficient security can use this screen to set the security privileges for other users or set up new user accounts. Users can sort the table on the right side of the pane by clicking on the User or Role column-headers. 182

191 Report Layouts Report Layouts To access the Report Layouts screen right click on the Home folder on the NavBar and select Group Maintenance Report Layouts. Report Layouts allows you to determine how text fields are arranged when you print stories and Rundowns from ENPS. To modify a template select the template name and then click Modify. To delete a template select the template name then click Delete. When you create or modify a layout for you will see a screen like one below that allows you to set the parameters for the header, body, and footer of the printout. The header and footer both have three boxes that correspond to the left-justified, centered, and right-justified areas on the page. You can add fields to one of these fields by dragging in the field name from the respective box on the right. You can also control the page orientation, margins, and font sizes of various elements in the printout. 183
