1 University Information Technology Services Learning Technologies, Training, Audiovisual, and Outreach Transferring Files from Panopto to MediaSpace After April 15, 2018, Panopto will be inaccessible to KSU faculty and staff. As such, before this date, if you want to retain items recorded using Panopto, you will need to download those recordings and upload into MediaSpace. There are various methods available, depending on the size of your library and your preferences. The following describes how to access Panopto, download your files and captions to a folder on your computer, download using an RSS feed through itunes, and upload to MediaSpace. Note: After April 15, 2018 you will not have access to Panopto or these recordings and there will be no way to retrieve/recover the files. Note: This documentation was created using the browser Mozilla Firefox version Accessing Panopto and Downloading Media to a Folder The following explains how to download files individually in Panopto to save to a folder: 1. Use your web browser to navigate to 2. Enter your KSU NetID and Password. Click Sign In. Figure 1 - Sign In 3. You will be signed in. 2 4. Preview your video to determine what type of recording you have made (e.g., camera and desktop/audio or simply desktop/audio). 5. Hover your mouse over the recording you want to download and click Settings. Figure 3 - Click Settings 6. The Settings window for the video will appear. Click Outputs in the left-hand column. Figure 4 - Outputs 7. Under the Video Podcast section, select: a. The type of podcast you would like to download (See Figure 5). If your Panopto recording contains more than one recording device (camera and desktop/audio), you have the option of using picture-in-picture or side-by-side to display both recordings at the same time. When you make a selection, the preview window above will show how the recording will be downloaded and viewed. If your Panopto recording contains only one recording type (camera or desktop/audio), you should select primary video only as the recording type. When you make a selection, the preview window above will show how the recording will be downloaded and viewed. If you recorded using more than one device (camera and desktop/audio), but you want to capture only one device recording in your download, you may select primary video only or secondary video only, depending on which recording you want to capture in the download. When you make a selection, the preview window above will show how the recording will be downloaded and viewed. Page 2 of 18

3 b. If the quality for podcast is not set to HD p, set the quality for the podcast to HD p (See Figure 5). c. Click Apply (See Figure 5). Figure 5 - Output Settings 8. You will be prompted to confirm the change to the podcast type. Click OK. Figure 6 - Save Podcast Type 9. The status of the video podcast will change to Podcast not ready: Queued as it will take some time to update the quality to HD p. 10. Close the Settings window. 4 11. Encoding podcast will appear under the podcast you altered including the percent complete. Figure 8 - Encoding Video 12. Once encoding reaches 100%, if you view Outputs again, you will now see View Podcast and Download Podcast options, indicating that the quality has been updated. Figure 9 - Podcast Quality Updated Note: To prepare all files for download and use an itunes RSS feed, repeat steps 4 through 12 for the remaining videos that you want to transfer using itunes and skip to Downloading Media Using an itunes RSS Feed. 13. 5 14. The window will default to save file. To select a file location, click OK. Figure 11 - Click OK 15. Your file will be saved to your Downloads folder. Click file explorer in the taskbar. Figure 12 - Click File Explorer 16. The file is located in your Downloads folder. You can leave it there or store it in another folder. Figure 13 - File Download Note: Using this method ads an underscore and the word default to the end of the file name. You will have to edit manually if you want to change the name. Skip to Upload Media into MediaSpace. Page 5 of 18

6 Downloading Media Using an itunes RSS Feed 1. After preparing all files for download, click the RSS Feed button in the top right-hand corner under your name. Figure 14 - RSS Feed Button 2. Click Subscribe in itunes. If you do not have itunes installed, go to to download and install. Figure 15 - Subscribe in itunes 3. The first time you subscribe, the Launch Application window appears with itunes highlighted. To prevent this window from appearing again, check the checkbox in front of Remember my choice for itpc links (See Figure 16). 4. Click Open link. (See Figure 16). Figure 16 - Open Link Page 6 of 18

7 5. If this is your first time running itunes, the itunes Software License Agreement window will appear. Scroll to view, then click Agree. Figure 17 - Click Agree 6. 8 8. itunes will open with Automatically download new episodes for your subscriptions checked by default. Click Continue. 9. Click the File Menu (See Figure 21). 10. In the Add To Library window, navigate to Music > itunes> itunes Media > Podcasts and then click on the folder name (See Figure 22). 12. Click Select Folder (See Figure 22). 9 13. After adding the folder(s), itunes will open with your Panopto folder(s) listed under Podcasts. Click the folder name in the center panel. Your recordings will appear in the right pane (See Figure 23). 14. Click Feed (See Figure 23). 15. To prevent itunes from deleting the file after you have viewed or listened to it, click Settings. (See Figure 23). Figure 23 - Click the Folder Name 16. Click the drop-down box next to Delete Played Episodes (See Figure 24). 17. Select Off (See Figure 24). 18. Click Done (See Figure 24). 10 19. Click Download. Figure 25 - Click Download Note: Each file must be downloaded separately. When downloaded, itunes will truncate the file name to a maximum of 40 characters. 20. The file(s) can now be viewed/played from the Feed or My Episodes. Note: After April 15, 2018, Panopto will be inaccessible through itunes. Downloading Captions The following explains how to download your Panopto recording captions. It is recommended that you use Google Chrome as the browser as it saves the file in a text format. 1. Hover your mouse over the recording for which you want to download captions and select Settings. Figure 26 - Click Settings 2. The Settings window for the video will appear. Click Captions in the left-hand column (See Figure 27). 3. Click Download file. This downloads to your default downloads folder (See Figure 27). Figure 27 - Download File Page 10 of 18

11 4. To view, click File Explorer. Figure 28 - Click File Explorer 5. Click the Downloads folder (See Figure 29). 6. The text file is listed in the downloads folder as GenerateSRT.txt. You will need to rename the file before you download another caption file from Panopto, otherwise, as you continue to add files, they will appear as GenerateSRT (1), Generate SRT (2), and so forth or you will be asked if you want to replace the existing file (See Figure 29). Figure 29 - Downloaded File Note: It will be much easier to rename the file to something recognizable, at this point, to enable you to easily determine what video file to attach it to when uploading to MediaSpace. 7. Rename the file with the extension *.SRT to allow upload into MediaSpace. Figure 30 - Rename File with SRT Extension 8. Repeat steps one through seven to download additional caption files. 12 Upload Media into MediaSpace 1. Use your web browser to navigate to 2. Click the Add New button at the top-right of MediaSpace (See Figure 31). 3. Click Media Upload (See Figure 31). Figure 31 MediaSpace - Media Upload 4. If you have not already logged into MediaSpace, you will be prompted to log in with your KSU NetID and password. 5. The KSU MediaSpace End-User License Agreement window will appear. (See Figure 32). 6. Scroll down to read the full agreement (See Figure 32). 7. Check the box next to (Required) I agree to the above terms and conditions (See Figure 32). Figure 32 - End-User License Agreement 8. The Upload Media area will appear. 13 9. The File Upload screen will appear. To locate the downloaded recordings, navigate to Music > itunes > itunes Media > Podcasts > your Panopto folder (See Figure 34). 10. Click the applicable video folder (See Figure 34). 11. Click the file to upload (See Figure 34). 12. Click Open (See Figure 34). Note: The maximum file size is 2 GB. Figure 34 - File Upload Screen 13. Your media item will begin to upload (See Figure 35). 14. While the media is uploading, enter details such as a Name (Required), Description (optional), and Tags (optional) (See Figure 35). Figure 35 - Uploading Media Page 13 of 18

14 15. The upload is complete, your progress bar will turn green and you will receive a message that the upload has completed. Figure 36 - Upload Completed 16. Scroll down below the description and tags to the publishing options. 17. Choose one of the available publishing options: a. Private: This item is visible only to you (See Figure 37). b. Unlisted: This item is visible to anyone who receives the link to the video (similar to the Unlisted option in YouTube) (See Figure 37). c. Published: This item will be published to a channel of your choosing, and visible only to those who have access to that channel (See Figure 37). d. Click the Save button (See Figure 37). Repeat steps two through 18 to upload the remaining videos into your MediaSpace account. Page 14 of 18

15 Upload Captions into Media The following explains how to upload captions into your media files in MediaSpace: 1. Use your web browser to navigate to 2. Click My Media (See Figure 39). 3. Locate the media file to which you want to add a caption downloaded from Panopto. Click the Edit button (See Figure 39). 4. Click the Captions tab. 16 5. Click Upload Captions file. Figure 41 - Upload Captions File 6. Click Browse to locate the caption file to upload to the selected video. Note: The file must have an extension of *.SRT to allow upload into MediaSpace. Figure 42 - Click Browse 7. In the Language drop-down box, select the desired language. 17 8. Enter the Label for the caption to be viewed in the video (e.g., captions) (See Figure 44). 9. Your caption file has been uploaded. Click Save. (See Figure 44). To verify that the captions have been added to the video, click the CC button. Figure 46 - Click the Closed Captions Button Note: Notice that the label you entered in step 8 appears above the button. 18 11. The captions now appear on the video. Figure 47 - Captions in Video 12. To delete captions, from the Captions tab, click the Delete (X) button. 13. Confirm deletion by clicking Delete.
