1 37 Creating Your Own PowerPoint for Macintosh and PC Computers and unitedstreaming Video Clips Tutorial created using PowerPoint This tutorial will work with similar images, messages, and navigation paths for all PowerPoint versions. Before you begin: 1. Be sure to have created a folder that has your downloaded QuickTime or Windows Media Player clips in it. Your PowerPoint presentation will be saved in this folder. 2. This tutorial will teach you the basics of PowerPoint and how to hyperlink and embed (insert) videos into your PowerPoint. Creating a New PowerPoint 1. Find the Microsoft Application icon PC: Start> Programs > Microsoft PowerPoint. Mac: Double-click your hard drive and find the application. 2. The next screen will ask what type of presentation you wish to create. Click Blank Presentation and OK.
2 38 3. The next screen gives you the types of slides you can create. The top left is often your title card. Click it and then click OK. 4. To type your text, click once inside the box. Your cursor should appear. 5. To move, delete, or resize your text box, click once on the text box border. By clicking on the dashed border and dragging, you can move the text box.
3 39 Hyperlinking vs. Embedding Videos in PowerPoint What is Hyperlinking? An element in an electronic document that links to another place in the same document or to an entirely different document. Typically, you click on the hyperlink to follow the link. (WebOPedia, 2002) When you choose to hyperlink to a video, you are physically going to the video and the Player. What is Embedding? Embedding is physically inserting the actual downloaded video into the application so it plays within the application. When Would You Hyperlink to a Video? To have more control over the play of the video: To see the controls in the Windows Media or QuickTime Players, such as play, pause, stop, rewind, find, mute, and the scroll bar. You do not see these controls in an embedded clip When making dual-platform projects When making webpages: you need to stream the clip from the unitedstreaming servers to protect the content When Would Embed a Video? When you want the video to be full screen automatically When you do not want to see the control panels When you wish to add text boxes that serve as visual cues to students while the video is playing (see page 10 for directions) For easier navigation through a multimedia presentation (especially for younger audiences who may be using the presentation during independent time) A word of caution: It is recommended you save the original video both for an embed and/or a hyperlink. Note the picture below: if your file size is larger than the allocated space on any computer, a link is created by PowerPoint back to the original video. If you did not keep the video and use someone else s machine and forget to increase the space, your video will not play. And will you really remember to always increase the storage space?
4 40 Creating a Hyperlink to the Video 1.To insert a hyperlink, highlight the text you wish to be a link. 2. Next, go to Insert>Hyperlink. REMEMBER: highlight your text first and then go to Insert>Hyperlink. 3. Click Browse for File or click the Document tab and then Select (different versions of PowerPoint will give you a different message). Navigate to where you saved the downloaded clip. 4. For some versions: Make sure All Files is checked in the File Type pop-up selection at the bottom of the window. Macintosh screenshot PC Screenshot 5. Click OK (PC) or Open and then Ok (Mac). 6. 5 41 Viewing Hyperlinked QuickTime and Windows Media Player Video Clips: QuickTime Player Windows Media Player Control Features for Both Players: Clicking once on the Play button pauses the video. Clicking again on the same button begins to play the video. To view Full Screen Rewind buttons, Play button, and Fast Forward Buttons Scroll bar to move to the exact second you wish to play. Sound control: Click once to mute. Click again to project sound. PC Users: Shortcut for viewing Full Screen: Alt + Enter
6 42 Embedding unitedstreaming Video Into PowerPoint 1. To insert a video, go to Insert> Movies and Sounds> Movie from File No text is needed to insert the video. 2. Navigate and select the video. 3. Click OK. 4. Decide whether you wish to have the video play automatically or not. 5. To resize your video: Click once on the video. Click on one of the four corner boxes on the video still. Click and stretch diagonally this will keep your video proportionate. 6. To test your video, go to Slide Show > View Show. Hover your mouse over the link and notice it turns to a hand. (Left) Click to play the video.
7 43 Other Things To Know about PowerPoint: Your Layouts There are four different layouts you need to know for now. These layouts can be found either by going to View>and scroll or go to THE BOTTOM LEFT CORNER OF YOUR SCREEN. 1. SLIDE: This is your editing layout. You can type text, add pictures, etc. 2. OUTLINE: This layout allows you to see text only. It also shows how many slides you have created. You can rearrange slides by clicking and dragging the slide icon. 3. SLIDE SORTER: This layout shows you the slides you have created. More detail on this below. 4. SLIDE SHOW: This layout is your presentation mode. When you are ready to present, click the icon or scroll to View> Slide Show. To exit your presentation, hit your ESC (Escape) key. To use the slide sorter, first click or scroll to have the slide sorter layout showing.
8 44 Each box represents your slide. By clicking once on a particular box, you have now selected that box. You can delete, move, or by double clicking, go back to edit mode to work on that box. Creating Additional Slides To insert New Slides, go to INSERT> NEW SLIDE. It will prompt you as before.
9 45 Adding Slide Transitions To add special effects to your slide s entrance on the screen, you can go to Slide Show> Slide Transition. Adding Word Transitions To add words with special effects (similar feature and technique as above), highlight all words in your text box. Go to Slide Show>Custom Animation. Once there, click the Effects button. As before, click and scroll to the desired effect.
10 46 Enhancing Your Project Adding Text Boxes and Custom Animation Works with PowerPoint 2000 and earlier If you are teaching note taking skills or simply want to hone your learners attention to key points during a video, we recommend the following: Have text appear at specific times during the video: 1. Embed your video into the slide by going to Insert>Movies and Sounds>Movie from File. 2. Answer the question in the pop-up box. 3. Go to Insert>Text boxes and add your key notes in the boxes. 4. Go to Slide Show>Custom Animation. Check to animate slide objects (click only the text objects you want to transition in). 5. Do not animate the media (video). 6. Click with your mouse or space bar on the slide (not the video; that may pause it). 7. Watch the text appear!
11 47 Presentation Design Tips and Tricks 24+ size font Four six bullets per slide Each bullet represents one paragraph of what you will dialogue Contrasting Colors think of the color wheel. Avoid red and green on the same page those who are colorblind will not be able to read it Colors other than white on a webpage are actually more soothing to the eye. Test your color choices where it will be shown for good contrast and visibility from around the room. Choose a consistent layout and stick with it throughout your slides: Title in the same position on the slide Graphics and text in same position Create balance to your page Have good spacing around text and image
