1 Structured Solutions Inc. Tools MS Project to Excel Export/Import Tools This Macro Enabled Excel workbook contains a collection of useful tools that enables the user to Get, Post or Lookup data from MS Project files. The workbook also includes worksheet comparison tools that allow you to audit changes between two excel worksheets. Use these tools to do the following: Get Tasks - Extract data from open Microsoft Project files to a user defined worksheet layout Look up Enter a list of Task IDs or unique task values and extract their data to a user defined worksheet layout Post Tasks Transfer data from an Excel worksheet to a Microsoft Project file by matching Task IDs or unique task values Compare Worksheets Compare the values of two worksheets by matching a key value in both sheets

2 Setup a Worksheet for Project Values Enter the exact name of any Microsoft Project field on Row 2 of any worksheet in the workbook. The worksheet example shown to the right will use values from Microsoft Project s Unique ID, Start, and Finish data fields Add as many project fields as needed but make sure the name on row 2 exactly matches the field name in Project. Row 1 can be blank, or you can add you own text since the tool looks for Project field names in row 2 only.

3 Get Tasks from Microsoft Project Once a sheet is setup, select Summary and task options and click Run Tasks (and summaries if requested) are imported from the selected project (or All Open Projects) Click Clear Worksheet to delete prior data from rows 3 and below Back to Flowchart

4 Look up Tasks from Microsoft Project Look up fetches task data from a project file based on a matching task value in one of the worksheet columns For example, enter a list of task Unique ID numbers in column A (the match key) of the worksheet and Lookup the Start and Finish dates for those tasks. Tasks found are highlighted Green, tasks not found are highlighted yellow

5 Look up Tasks from Microsoft Project Use Post to push data from the worksheet to tasks in a project file For example, if the value in column A matches the same value for a project task, Task Start and Finish can be updated from the entries in the worksheet. Tasks found and values updated are highlighted Green. Tasks not found are highlighted yellow. Task values that are the same in the sheet and in the project are not shaded.

6 Compare the Values in Two Worksheets Use Compare Worksheets to compare the data in an original worksheet to matching date in an updated worksheet. At least one column must contain a matching value across both worksheets (match key) 1. Select the Original and Updated Workbook and Worksheet 2. Select the columns to Match Compare 3. Click Track Changes Differences are tracked per the option you select. Alt Values (differences from the alternate worksheet) can be recorded as comments in highlighted cells

7 Troubleshooting Troubleshooting common issues with Generating Worksheets 1. A column name in the active sheet does not match a field name in Microsoft Project.
