11 Skype for Business Service Top-up Core The NHSmail Skype for Business Service offers core and top-up features. Instant Messaging & Presence The Instant Messaging and Presence (IM&P) features enable users to: Send Instant Messages to any user with access to NHSmail Skype for Business Set and view Presence based on availability to send/receive Instant Messages Automatically detect Presence based on Outlook Calendar Manage Contacts and Contact Groups Set and view Location information *All NHSmail accounts are enabled for Instant Messaging and Presence Audio & Video Conferencing Audio and Video Conferencing (A&VC) features enable users to: Control access permissions and settings for Skype for Business Meetings Upload PowerPoint files to share on screen Share a Desktop or Window Manage a Question and Answer session Create and collect responses to Polls Collaboratively Whiteboard ideas and tasks Dial-in Conferencing The Dial-in Conferencing (A&VC) features enable users to: Issue a Skype for Business Meeting invite with dial-in telephone numbers and a meeting ID Join Skype for Business Meetings via a dial-in telephone number CORE SERVICE TOP-UP SERVICE TOP-UP SERVICE 11

12 File transfer and recording The file transfer and meeting recording features are now available File transfer Recording meetings How to request these services File transfer is available in peer to peer or meetings. P2P simply drag and drop into conversation both users must be enabled for file transfer Meetings add as an attachment to the meeting chat window Some file types are restricted for security reasons. Meetings and P2P calls can be recorded. It is good practice to inform participants that the call / meeting is being recorded. Recordings include audio, video and presented content. 13 FEDERATION Federation with external Skype for Business services is available What is Federation? Federation Approach Summary How do I request Federation? Federation enables users to communicate with individuals from other trusted external organisations using the Skype for Business service. This allows users to: Send Instant Messages View Presence Complete peer-to-peer audio/video calls NHSmail has a managed federation approach whereby specific domains are whitelisted Organisations requesting federation will need to complete a Federation Partnership Agreement setting out the expectations for maintenance and IG/Clinical Safety, collecting information on your SfB environment and points of contact for change communications Organisations requiring federations are expected to meet the IG Toolkit Level 2 standards and the Data Security and Protection Toolkit Organisations seeking to federate with NHSmail SfB should contact feedback@nhs.net to raise a request NHS Digital will review all requests and approved organisations will be contacted to sign a Federation Partnership Agreement 13

REMOTE WORKING Allow clinicians to stay in touch, share information, and make clinical decisions quicker by enabling teams to work from wherever they are through the free mobile application OPTIMISE TEACHING Enable real-time face to face coaching between senior and junior staff to increase knowledge bases and increase efficacy by reducing travel costs INSTANT ACCESS TO EXPERTISE Enhance clinician productivity and patient safety by using Skype for Business as a tool to contact healthcare experts in real-time ENHANCED DISCHARGE COORDINATION Improve efficiency of discharge planning and process with quicker coordination between nurses, physicians and discharge coordinators 14

16 NHSmail Skype for Business stories DR CHRIS MILLS GP RAWDON NHSmail Skype for Business was used to pilot Virtual MDTs between Community Nurses, GPs, Social Workers and Geriatricians in Leeds. The new way of working allows clinicians to join from their work bases or whilst on the move. This was particularly important for me as a GP as I would otherwise not be able to leave clinic and attend. There s a great opportunity to embed this way of working in the future to enable better co-ordination of care between services and reduce the costs of travel to MDTs DR TIM YATES NEUROLOGY REG ROYAL FREE Instead of handling written requests, we made a neurologist available via NHSmail Skype for Business. Acute colleagues could video call the neurologist during the day. That meant that they get a really quick turnaround and they were able not just to talk about the patient but share the images of the brain and test results on the screen. You get a complete picture straight away and get quicker, better decisions. TIM CATE ACT. DIR. OPERATIONS TEES, ESK AND WEAR I love Skype for Business. Our NHS Trust covers a large geographical area and meetings can involve people from across our different locality areas. Skype for Business has saved me at least 10 hours and over 500 miles of travel in the month of May. I can now use the travel time I have saved to focus on delivering the best possible outcomes for our service users. Naturally, it takes people time to adapt to the new way of working, but it s made a huge difference for my team and me. 16

17 Pricing Costs for the NHSmail Skype for Business A&VC service are detailed in the Top-Up 1 Service Catalogue Pricing is: Calculated on a per user per month costing model Organisations are only charged for the number of accounts that are enabled at a given time. Dial-in conferencing charges are consumption based There are additional costs associated with onboarding services. 21 Responding to healthcare collaboration needs User Helpdesk 24x7 Portability of Identity Alignment with National Standards NHSmail O365 Hybrid provides: Effective licence Management Reduced Implementation Costs Reduced On-boarding Timescales NHSmail provides a scalable, robust and reliable service. The NHSmail Office 365 Hybrid will build on this foundation to enable access to a broader range of collaboration services to enable customer organisations to enhance their collaboration maturity. 21

22 NHSmail O365 Hybrid service overview BRING YOUR OWN LICENCE Organisations can procure and allocate their own O365 licences to the NHSmail O365 Hybrid Service. Licences will be allocated and ready to assign to users within the NHSmail Portal within days of raising the onboarding request with Accenture. 24 PREREQUISITES JOINING THE SERVICE On-boarding approach All users must already have an active NHSmail account to use the NHSmail Office 365 Hybrid Service. START 1 Local organisation procures Office 365 licences directly from Microsoft or through a Microsoft Licence Reseller Local Administrators should carry out network planning and performance assessments to ensure there is sufficient bandwidth to support the NHSmail Office 365 Hybrid Service. The Service is compliant with the Data Protection Act Local organisations must complete their own Data Protection Act 2018 compliance statements to use the Service. The Service is approved for clinical use. It remains the responsibility of the joining organisation to ensure that all clinical safety assurances are met prior to joining the Service. FINISH 2 3 The Local Administrator raises an onboarding request with the NHSmail Helpdesk. The Helpdesk enables the Office 365 licences in the NHSmail O365 Hybrid Tenant. The organisation is now fully on-boarded onto the NHSmail Office 365 Hybrid Service. Local Administrators will be able to administer O365 services via NHSmail Portal, including assigning licences, enabling applications, and creating SharePoint sites. 24
