1 User Guide: Advanced and Custmized Net Cnference Pwered by Cisc WebEx Technlgy Prductivity Tls USER GUIDE Verizn Net Cnferencing h l M ti C t Advanced and Custmized Net Cnference Pwered by Cisc WebEx Technlgy Installing and Using Prductivity Tls T utilize yur WebEx Net Cnferencing Service frm applicatins yu use every day: Yu can install WebEx Prductivity Tls t start r jin meetings instantly using One-Click, Micrsft Office, Web brwsers, Micrsft Outlk, IBM Ltus Ntes, and instant messengers; r t schedule meetings using Micrsft Outlk r IBM Ltus Ntes, withut ging t yur WebEx service site. After yu install WebEx Prductivity Tls, yu can lg in and set ptins fr yur WebEx accunt, set meeting ptins fr instant meetings and scheduled meetings, set preferences fr the One-Click panel, and select which Prductivity Tls yu will use with WebEx. This user guide is intended t instruct yu n hw t Dwnlad and use the Prductivity Tls Plug-In. The Prductivity Tls Plug-In prvides yu with the ability t schedule yur Net Cnferences (including audi integratin) frm applicatins yu use everyday. Nte: Please fllw the instructins in the Advanced and Custmized Net Cnference User Guide t establish yur Advanced and/r Custmized Net Cnference subscriptin in rder t schedule and cnduct net cnferences frm Manage My Meetings r yur WebEx hmepage. Prductivity Tls include integratin with WebEx services via: Micrsft Outlk Ltus Ntes One-Click Instant messengers: Yah Messenger Ggle Talk Skype AOL Windws Messenger Ltus Sametime Micrsft Office applicatins: Wrd Excel PwerPint Micrsft Internet Explrer Mzilla Firefx Prductivity Tls Dwnlad: Befre installing WebEx Prductivity Tls, ensure that yur cmputer meets the fllwing minimum system requirements: Micrsft Windws 2000, XP, 2003, Vista Micrsft Internet Explrer 6.0 SP1 r 7.0, r Firefx 2.0 r 3.0 Intel x86 (Pentium 400MHZ +) r cmpatible prcessr JavaScript and ckies enabled in the brwser T install the Prductivity Tls sftware please, fllwing these instructins: G t: G t Leader Tls and click n the Net Cnferencing Plug-Ins in the drp dwn menu Dwn lad the Dwnlad Prductivity Tls Plug-In: Click n Run and fllw the instructins After the installatin is cmplete, WebEx integratin ptins appear in Micrsft Outlk allwing yu t quickly schedule an nline meeting. 1

Buttn One-Click Meeting Schedule Meeting WebEx Settings Descriptin Starts a One-Click meeting. A One-Click meeting is an instant meeting that yu can start at any time, withut having t schedule the meeting in advance. Fr details, refer t the One-Click User's Guide n yur WebEx service Web site. Yu can specify ptins fr instant meetings n the Instant Meetings tab f the WebEx Settings dialg bx Clicking this buttn pens the Outlk Appintment windw, which cntains Integratin t Outlk ptins fr scheduling an nline meeting. Yu can specify ptins fr scheduled meetings n the Scheduled Meetings tab f the WebEx Settings dialg bx. Nte: the Meeting windw in Outlk als cntains the WebEx integratin ptins. Clicking this buttn pens a menu that prvides the fllwing ptins: My WebEx Lets yu access My WebEx, in which yu can manage yur accunt infrmatin and the meetings that yu scheduled, n yur WebEx service Web site. Fr details abut My WebEx, refer t the nline Help n yur site. Accunt Settings Opens the Accunt tab f the WebEx Settings dialg bx and lets yu specify yur WebEx user accunt infrmatin that is, the URL f yur WebEx service Web site and yur user name and passwrd. Yu can als specify additinal ptins in the WebEx Settings dialg bx, such as ptins fr instant meetings and scheduled meetings. Meeting Templates Lets yu view templates that yu r yur site administratr saved n yur WebEx service Web site. The templates cntain meeting settings. Yu can select the template that meets yur needs. Meeting templates are available nly if site administratin settings allw hsts t use templates fr Outlk. Set Scheduling Permissin Opens the My WebEx Prfile page n which yu can assign a delegate t schedule r edit meetings n yur behalf. Help Lets yu lk up instructins fr using WebEx Integratin t Outlk. Abut Lets yu view the versin number and license and patent infrmatin abut WebEx Integratin t Outlk. Prductivity Tls Setup G T yur Micrsft Outlk page Under the WebEx drp dwn menu, g t Accunt Settings Accunt Accunt ptins allw yu t lg in t yur WebEx service site with yur user name and passwrd. Enter yur Manage My Meetings username and passwrd Click Remember my passwrd. This will stre the user name and passwrd yu entered s that yu d nt need t enter yur user name and site URL next time yu lg in. Language. Verify the language that is currently selected fr yur WebEx service site. Lcale. Verify the cuntry r lcale that is currently selected fr yur WebEx service site. Time Zne. Verify the time zne that is currently selected fr yur WebEx service site. Change settings fr WebEx service site. Open the My WebEx > My Prfile page n yur WebEx service site, and make changes t yur prfile. Refresh. Refresh the WebEx Settings dialg bx with the mst recent settings frm the WebEx service site. If yu have already setup yur preferred settings n yur Advanced r Custmized Net WebEx site, thse settings will ppulate the WebEx Settings within the Prductivity Tls. Click Apply and then OK. Enter the URL fr yur server Advanced Net: Custmized Net: Insert yur Manage My Meetings username and passwrd 3

Scheduled Meetings ptins affect meetings frm Micrsft Office r IBM Ltus Ntes Service type - Select the service type fr yur Scheduled Meetings frm the drp dwn menu. This ptin lists nly the sessin types available fr yur site and user accunt. Meeting passwrd. Require participants t enter the passwrd yu set t jin yur meeting. Yur site may require that all passwrds cmply with security criteria, such as a minimum length and a minimum number f letters, numbers r special characters. Exclude passwrd frm invitatin. Exclude the meeting passwrd frm the message that is sent t everyne wh is invited t yur meeting. 5

Instant Messengers t be used with One-Click. Shws WebEx buttns and cmmands that allw yu t start a One-Click meeting frm an instant messenger. Yu can select ne r mre f the fllwing instant messengers: Yah, Skype, AOL, Ltus Sametime, Windws Messenger, Yah Messenger Shw buttn in Firefx. Shws a WebEx buttn that allws yu t start instant meetings frm the Firefx tlbar. Scheduling a Meeting frm the Prductivity Tls Yu may begin scheduling meetings via the Outlk tlbar. T d this, simply click: Schedule Meeting Click Add WebEx Meeting 8

Cmplete the T, Subject and Lcatin lines Click Send. This will cntact yur WebEx Service Web Site, add the scheduled meeting t yur Outlk calendar and t yur list f Meetings n yur My WebEx Meetings page and send yur meeting invitatin t yur participants. 9
