Software means computer programs in object code, provided by Avaya or an Avaya Channel Partner, whether as stand-alone products, pre-installed on hardware products, and any upgrades, updates, patches, bug fixes, or modified versions thereto. Designated Processor means a single stand-alone computing device. Server means a Designated Processor that hosts a software application to be accessed by multiple users. Instance means a single copy of the Software executing at a particular time: (i) on one physical machine; or (ii) on one deployed software virtual machine ( VM ) or similar deployment. License types Designated System(s) License (DS). End User may install and use each copy or an Instance of the Software only on a number of Designated Processors up to the number indicated in the order. Avaya may require the Designated Processor(s) to be identified in the order by type, serial number, feature key, Instance, location or other specific designation, or to be provided by End User to Avaya through electronic means established by Avaya specifically for this purpose. Named User License (NU). You may: (i) install and use each copy or Instance of the Software on a single Designated Processor or Server per authorized Named User (defined below); or (ii) install and use each copy or Instance of the Software on a Server so long as only authorized Named Users access and use the Software. Named User, means a user or device that has been expressly authorized by Avaya to access and use the Software. At Avaya s sole discretion, a

3 Named User may be, without limitation, designated by name, corporate function (e.g., webmaster or helpdesk), an or voice mail account in the name of a person or corporate function, or a directory entry in the administrative database utilized by the Software that permits one user to interface with the Software. Heritage Nortel Software Heritage Nortel Software means the software that was acquired by Avaya as part of its purchase of the Nortel Enterprise Solutions Business in December The Heritage Nortel Software is the software contained within the list of Heritage Nortel Products located at under the link Heritage Nortel Products or such successor site as designated by Avaya. For Heritage Nortel Software, Avaya grants Customer a license to use Heritage Nortel Software provided hereunder solely to the extent of the authorized activation or authorized usage level, solely for the purpose specified in the Documentation, and solely as embedded in, for execution on, or for communication with Avaya equipment. Charges for Heritage Nortel Software may be based on extent of activation or use authorized as specified in an order or invoice. Virtualization The following applies if the product is deployed on a virtual machine. Each product has its own ordering code and license types. Note that each Instance of a product must be separately licensed and ordered. For example, if the end user customer or Avaya Channel Partner would like to install two Instances of the same type of products, then two products of that type must be ordered. Third Party Components Third Party Components mean certain software programs or portions thereof included in the Software or Hosted Service may contain software (including open source software) distributed under third party agreements ( Third Party Components ), which contain terms regarding the rights to use certain portions of the Software ( Third Party Terms ). As required, information regarding distributed Linux OS source code (for those products that have distributed Linux OS source code) and identifying the copyright holders of the Third Party Components and the Third Party Terms that apply is available in the products, Documentation or on Avaya s website at: support.avaya.com/copyright or such successor site as designated by Avaya. The open source software license terms provided as Third Party Terms are consistent with the license rights granted in these Software License Terms, and may contain additional rights benefiting You, such as modification and distribution of the open source software. The Third Party Terms shall take precedence over these Software License Terms, solely with respect to the applicable Third Party Components to the extent that these Software License Terms impose greater restrictions on You than the applicable Third Party Terms. 9 Chapter 2: Using Conference Manager for Microsoft Outlook Conference Manager for Microsoft Outlook Using Avaya Aura Conferencing, an administrator can assign a conference to your Microsoft Outlook account. After the administrator assigns the conference to your account, you can use the Microsoft Outlook calendar to create and manage your conferences. The conference is available to you anytime. A plug-in called Conference Manager for Microsoft Outlook provides this feature. Conference Manager for Microsoft Outlook integrates with your Microsoft Outlook calendar to provide this feature in the New Meeting menu. Using the Add Conference button, you can add the conference access details to other details of your meeting and send these details to participants. When you create a meeting request, you can also use the Join button to immediately join the conference. If you set up the conference for another user, you can also choose to join as a participant or as a moderator from the Join button. Using this feature, the Avaya Aura Conferencing server dials your telephone number and adds you to the conference. You can also delegate the task of setting up a conference and inviting participants to another user. From the Microsoft Outlook toolbar, select Avaya Aura Conferencing > About. You can also access the version information from the meeting dialog by displaying the Avaya Aura Conferencing tab and clicking About. Note: If you use Microsoft Outlook 2007, select Avaya AAC > About. Conference Manager for Microsoft Outlook on page 9 Accessing online help You can access online help for Conference Manager for Microsoft Outlook at any time. The online help is available in PDF format. From the Microsoft Outlook toolbar, select Avaya Aura Conferencing > Help. Conference Manager for Microsoft Outlook on page 9 Installing Conference Manager for Microsoft Outlook About this task Using Conference Manager for Microsoft Outlook, you can organize Avaya Aura Conferencing conferences and send conference invitations to participants. Conference Manager for Microsoft Outlook requires Visual Studio Tools for Office and.net Framework. If these tools are not installed on your computer, the Conference Manager for Microsoft Outlook installation process automatically installs the tools. 11 Updating or upgrading Conference Manager for Microsoft Outlook Conference Manager for Microsoft Outlook supports Microsoft Outlook 2007, Microsoft Outlook 2010, Microsoft Outlook 2013, and Microsoft Outlook Conference Manager for Microsoft Outlook does not support installation with the Avaya Client Applications Collaboration Services plugin for Microsoft Outlook. These plug-ins provide the same conferencing functions and conflict with each other. For more information, see Avaya Client Applications Collaboration Services User Guide. Before you begin If Microsoft Outlook is running, exit Microsoft Outlook. 1. Run the setup.exe installation file. 2. Follow the instructions in the installation wizard. Next steps Enter your Avaya Aura Conferencing account details in Conference Manager for Microsoft Outlook. Using Conference Manager for Microsoft Outlook for the first time on page 15 Updating or upgrading Conference Manager for Microsoft Outlook If your administrator updates the release of the Conference Manager for Microsoft Outlook software, the software that you are running on your computer will be an older version. There are a number of options in this situation: You may not have to do anything. Your administrator may have configured Microsoft Outlook to automatically retrieve and install any updates on a regular basis. If the application detects a new version of the software, it displays a pop-up dialog and a progress bar for a few seconds. Your administrator may opt to silently install the new software on your computer using a silent installation technology, such as Systems Management Server (SMS). As an aside, you can manually check for updates, as follows: Microsoft Windows XP users: Click Start > Settings > Control Panel > Add or Remove Programs > Avaya Aura Conferencing. If you click Click here for support information, you can see an option for Product Updates. Microsoft Windows 7 users: Click Start > All Programs > Windows Update. In the Windows Update window, click Change Settings and select Give me updates for Microsoft products... Save these settings. In the Windows Update window, click Check for updates. 12 Using Conference Manager for Microsoft Outlook Conference profiles With the Microsoft Office Outlook delegate feature, you can create different conference profiles that contain the conference details of other users. You can use these conference profiles to set up conferences for other users who delegate this activity to you. For example, a senior executive in a company might delegate the activity of setting up conferences to an assistant. The executive provides the conference details to the assistant, and the assistant enters these details while creating a conference profile in Conferencing Manager. If the executive has more than 1 set of conference details, the assistant can create up to 20 conference profiles that contain a different set of conference details in each profile. While creating a conference for another user, you can select a conference profile that contains the relevant conference details. Conferencing Manager automatically adds these conference details in the body of the conference invitation. If you want to join a conference that you set up for another user, Conferencing Manager provides you with the Join as Moderator and Join as Participant drop-down options in the Join button. The Join as Moderator option is available only if you enter the Moderator code while creating the conference profile. Also, if the conference requires an additional passcode, you must enter the passcode in the conference profile. On the Avaya Aura Conferencing tab, click Settings > Configure Additional Conferences. Conferencing Manager displays the Avaya Conferences window. 3. Select a conference profile and click Edit. Conferencing Manager displays the Conference Configuration window. 4. Make the necessary changes to the conference profile details, and click OK. 15 Using Conference Manager for Microsoft Outlook for the first time Using Conference Manager for Microsoft Outlook for the first time The first time you use Conference Manager for Microsoft Outlook, it displays an Avaya information dialog. On this dialog, you must enter your Avaya Aura Conferencing handle and password. Note: Your administrator sets up your Avaya Aura Conferencing account on your behalf. You can contact them for the details of your account. You also have to enter the IP address or the fully qualified domain name of the Avaya Aura Conferencing Collaboration Agent server. Your administrator has this information. You only have to do this the first time you use Conference Manager for Microsoft Outlook. From that point onwards, the application remembers the information. Before you begin Before you enter your personal details, you must install Conference Manager for Microsoft Outlook. About this task The purpose of this task is to initialize Conference Manager for Microsoft Outlook for use. 1. Open Microsoft Outlook. 2. On the Avaya Conference Manager dialog, enter the following details: Username You must include the domain address in this field. For example, or Password Service Host The Service Host is the IP address or fully qualified domain name of the Avaya Aura Conferencing Collaboration Agent server. The text in the Service Host field must be the same for all participants. Contact your administrator if you are unsure of this text. 3. Click Save. Next steps Conference Manager for Microsoft Outlook is now ready for use. Now you can begin to set up conferences. 16 Using Conference Manager for Microsoft Outlook Configuring default settings You can configure the default settings at any time. These settings determine whether the Join button prompts the Avaya Aura Conferencing Collaboration Agent application to open automatically and whether this selection is enabled by default in the future. Before you begin Before you configure default settings, you must install Conference Manager for Microsoft and enter your personal details. About this task The purpose of this task is to configure your preferences in relation to the functionality of the Join button. 1. From the Microsoft Outlook toolbar, select Avaya Aura Conferencing > Default Conference Settings. You can also access the default settings from the meeting dialog by displaying the Avaya Aura Conferencing tab and clicking Settings > Default Conference Settings. Choice Option Launch Collaboration Agent Set as default (Don t prompt me again) Choice Description Select this option if you would like the Avaya Aura Conferencing Collaboration Agent application to open automatically when you click the Join button: Select this option if you would like to save your preference. 2. 17 Send meeting requests About this task The purpose of this task is to create a Microsoft Outlook meeting request and to associate your conference details with this meeting request. 1. Open Microsoft Outlook. 2. From the New menu, select Meeting Request. The New Meeting window is displayed. Note: You can also select New Avaya Aura Meeting from the New drop-down menu or from the Calendar context menu by right-clicking on the desired time slot on the calendar. If you display the New Meeting window using these methods, you do not have to click the Add Conference button. 3. Enter any meeting details on the Appointment tab, just like a regular meeting. 4. Click the Add Conference button. Conference Manager for Microsoft Outlook retrieves your conference details and inserts them into the body text of the meeting request. If you select New Avaya Aura Meeting from the New Items drop-down menu or from the Calendar context menu by right-clicking on the desired time slot on the calendar, you do not have to click the Add Conference button. 5. Select or enter the attendees as normal to the invite. 6. Enter location details. 7. Enter a title for the conference in the Subject field. 8. Click Send. An displaying the conference details is sent to all the attendees. Sending a meeting request for another user Before you begin Create a conference profile that contains the conference access details of another user who delegate the activity of setting up conferences to you. For more information, see Creating a conference profile. 1. Open Microsoft Outlook. 2. From the New Items menu, select Appointment. Microsoft Outlook displays the Untitled-Appointment window. 18 Using Conference Manager for Microsoft Outlook Tip: To open a new appointment window, you can also: Select New Avaya Aura Meeting from the Conferencing section of the Calendar menu. Right-click the time-slot on the Calendar window and, on the Calendar context menu, click New Appointment. 3. On the Appointments tab, enter the following meeting details: Subject Location Note: You can enter the location, but Conferencing Manager overwrites your location details when you create the meeting request. Start and end time 4. Click Invite Attendees, and add participants to the appointment. 5. Click the Add Conference arrow, and select a conference profile from the drop-down list. Conferencing Manager inserts the conference details of the selected profile in the body of the meeting request. 6. Click Send. Microsoft Outlook sends an with the conference details to the attendees. Creating a conference profile on page 12 Editing a conference in Microsoft Outlook You can make changes to your conference in the regular way, using Microsoft Outlook. You can also edit an existing meeting request to add conference call details to it. This option is only available to you if you created the meeting request. If you are simply a participant, you cannot edit an existing meeting request to add conference call details to it. About this task The purpose of this task is to make updates to an existing conference. 1. Go to the Calendar view. 2. Double-click on your conference. Microsoft Outlook displays the conference. 19 Removing a conference from Microsoft Outlook 3. Update the conference as necessary. 4. You can click Send Update to save your changes, close the conference, and send the new details to your participants. Removing a conference from Microsoft Outlook You can remove your conference details from any meeting request. 1. Go to the Calendar view. 2. Double-click on your meeting. Microsoft Outlook displays the meeting. 3. From the Join button menu, click Remove Conference. Conference Manager for Microsoft Outlook switches the Join button back to the Add Conference button and removes the details of the conference from the body of the meeting request. Joining conferences Joining a conference The Join button enables you to enter a conference at the click of a button. With this feature, the Avaya Aura Conferencing Collaboration Agent server dials your telephone number and places you into the conference. The first time you use the Join button, you can choose to configure the default options. From that point onwards, the Join button uses these default options. You do not need to configure the default options every time you use the Join button. However, you can change the default options at any time by navigating to the Avaya Aura Conferencing tab and clicking the Default Conference Settings button. These steps describe how to use the Join button for the first time. After you complete these steps, the Join button operates in an automatic way. Note: The Join button only operates effectively if you are using the same Conferencing server as the moderator. If you are using a different server, the Join button is inaccessible. About this task You can use the Join Conference feature to join a conference that has started. This is an optional feature. 1. Open an existing conference. On the Meeting screen, Conference Manager for Microsoft Outlook displays a Join button on the toolbar at the top of the screen. 2. Click the Join button. If you set up the appointment for another user and you click Join, Microsoft Outlook displays the following options: Join as moderator Join as participant Note: The Join as Moderator option is available only if you enter the Moderator code and the additional passcode, if required, while creating the conference profile. Select the appropriate role to join the meeting. When you use the Join Conference feature for the first time, Conferencing Manager displays the Join Conference dialog box to administer the default options of the feature. 3. Select a telephone number from the Call me at drop-down list or enter a telephone number in the list. The Call me at drop-down list contains your contact telephone numbers and previously dialed telephone numbers. 4. Check the Launch Collaboration Agent checkbox if you would like to open the Collaboration Agent page. 5. Optionally, you can check the Set as default (Don't prompt me again) checkbox if you would like to save these preferences for joining conferences in the future. 6. Click Join Now. The Avaya Aura Conferencing Collaboration Agent server dials the telephone number that you selected in the Call me at drop-down list. When you answer the call, the Avaya Aura Conferencing Collaboration Agent server brings you into the conference. If you checked Launch Collaboration Agent, the Avaya Aura Conferencing Collaboration Agent server opens the Collaboration Agent login screen in the default browser. 21 Joining conferences Result After you complete these steps to set the default options for the Join button, the Avaya Aura Conferencing Collaboration Agent server automatically dials the telephone number that is stored in the Default Conference Settings. If you created the meeting, you join the conference as a moderator. If you are a meeting recipient, you join the conference as a regular participant. If you set up the conference on behalf of another user, you can join as a moderator or as a participant. If you are the owner of the meeting whose request you receive from your delegate, you always join as a moderator. Configuring default settings on page 16 Joining a conference from the appointment window on page 21 Creating a conference profile on page 12 Joining a conference from the appointment window Before you begin To join a conference that you set up for another user as a moderator, get the Moderator code from the other user. Open Microsoft Outlook. 2. Perform one of the following steps: If you are running Microsoft Outlook 2007: From the Tools menu, click Trust Center to view the Trust Center dialog. If you are running Microsoft Outlook 2010: From the File menu, click Options to view the Outlook Options dialog. 3. From the left-hand navigation, select Add-ins to view the Add-ins tab. 4. From the Manage drop-down menu, located at the bottom of the dialog, select COM Addins and click the Go button. 5. On the COM Add-ins dialog, uncheck Avaya Aura Conferencing and click OK.
