5 Overview of WebEx Security Cisco WebEx online solutions help enable global employees and virtual teams to meet and collaborate in real time as though they were working in the same room. Businesses, institutions, and government agencies worldwide rely on Cisco WebEx solutions to simplify business processes and improve results for sales, marketing, training, project management, and support teams. For all of these organizations and their users, security is a fundamental concern. Online collaboration must provide multiple levels of security; from scheduling meetings to authenticating participants to sharing content. Cisco WebEx is a secure environment yet it can be configured as an open place to collaborate. Understanding the security features as site administrators and end users can allow you to tailor WebEx to your business needs. For additional information, see the WebEx Security White Paper. 5

7 Best Practices for Administrators Effective security begins with WebEx site administration; which allows administrators to manage and enforce security policies for host and presenter privileges. For example, an authorized administrator can customize session configurations to disable a presenter s ability to share applications or to transfer files on a per-site or a per-user basis. We recommend using the following features for protection of your meetings. Make All Meetings Unlisted Even meeting titles can reveal sensitive information. For example a meeting entitled Discuss acquisition of Company A can have financial impacts, if revealed ahead of time. Creating unlisted meetings maintains the security of sensitive information. For listed meetings, the meeting topic and other information is displayed on your site for authenticated users as well as unauthenticated users and guests to see. Unless your organization has a specific business need to display meeting titles and information publicly, all meetings should be marked as unlisted. Procedure Step 1 Step 2 Step 3 Sign in to the WebEx Site Administration Tool. Navigate to Configuration > Common Site Settings > Options > Security Options. Check the box for All meetings must be unlisted (MC, TC, and EC). Require Passwords for all Meetings, Events, and Sessions The most effective step to strengthen the security of all your meetings, events, and training sessions is to require a password. Passwords protect against unauthorized attendance because only users with access to the password are able to join. Following the practice of requiring passwords ensures that all meetings, events, and training sessions created by hosts are secured. We recommend you use a high-complexity, non-trivial password (strong password). A strong password should include a mix of uppercase and lowercase letters, numbers and special characters (for example, $Tu0psrOx!). 7

8 Enforce Meeting Password When Joining from Phone or Video Conferencing Systems Best Practices for Administrators Note Adding passwords to your meetings, events, and training sessions does not affect the join experience of authorized attendees. Participants easily join by selecting the URL in the invitation or from the WebEx site. Procedure Step 1 Step 2 Step 3 Step 4 Step 5 Step 6 Step 7 Sign in to the WebEx Site Administration Tool. Navigate to Configuration > Common Site Settings > Options > Security Options. Under the Meeting Center section, check All meetings must have a password. Under the Event Center section, check All events must have a password. Under the Training Center section, check All sessions must have a password. To require strong passwords, check Require strong passwords for meetings. Check and configure the following boxes: Require mixed case Minimum length Minimum number of numeric Minimum number of alpha Minimum number of special characters Do not allow any character to be repeated three times or more Do not allow dynamic web page text for meeting passwords (site name, host's name, username, meeting topic) Do not allow meeting passwords from this list Enforce Meeting Password When Joining from Phone or Video Conferencing Systems In addition to requiring passwords when users join from a meeting application (for example on Windows or Mac), you should also enforce password requirement on users joining from phone or video conferencing systems. This functionality is available in release WBS30 onwards. When this option is selected, the system automatically generates an eight-digit numeric password for phone and video conferencing system attendees and adds it to the meeting invitation. This ensures that only people with an invitation can join the meeting when using a phone or video conferencing system. 8

9 Best Practices for Administrators Require Sign-In When Joining a Meeting, Event, or Training Session Procedure Step 1 Step 2 Step 3 Step 4 Step 5 Step 6 Sign in to the WebEx Site Administration Tool. Navigate to Configuration > Common Site Settings > Options > Security Options. Under the Meeting Center section, check Enforce meeting password when joining by phone. Under the Event Center section, check Enforce event password when joining by phone. Under the Training Center section, check Enforce training session password when joining by phone. Under the Meeting Center section, check Enforce meeting password when joining by video conferencing system. Require Sign-In When Joining a Meeting, Event, or Training Session We recommend that you require all users to have an account on your WebEx site if sensitive meetings, events, or training sessions will be hosted there. When enabled, besides hosts, attendees are also asked for their credentials when they attempt to join a meeting, event, or training session. With WBS30 onwards, in addition to requiring sign-in to your site, we recommend that you require attendees to sign in when dialing in from a phone. This prevents anyone getting into the meeting or training session without proper credentials. Note Participants who join using the Meeting Center or Training Center application have to authenticate, so they will not be asked for authentication when connecting to audio. Thus, this restriction impacts users who join only by phone. Additionally, consider restricting video conferencing systems from dialing into a meeting that requires attendees to sign in. Since users cannot sign in from a video conferencing system, allowing video conferencing systems to join puts meetings at risk of being joined by an unauthorized user. Procedure Step 1 Step 2 Step 3 Step 4 Sign in to the WebEx Site Administration Tool. Navigate to Configuration > Common Site Settings > Options > Security Options. To require that all users must have an account on your WebEx site to host or attend WebEx meetings, events, or training sessions, check Require login before site access (Meeting Center, Event Center, and Training Center only). To require sign in when joining a meeting or training session by phone, check Require users to have an account when joining by phone (Meeting Center and Training Center only). When checked and host requires sign-in, attendees must sign in from their phones. Attendees must have added a phone number and PIN to their profile settings to do so. 9

10 Do Not Allow Join Before Host Best Practices for Administrators Step 5 When sign in is required to join a meeting, to prevent video conferencing systems from joining, select Blocked (Meeting Center only). When blocked, video conferencing system users cannot start or join meetings that require sign-in. This includes Personal Rooms when configured to require sign-in. Do Not Allow Join Before Host For all meetings, do not enable the ability for attendees to join before the host unless you fully understand the security impact and require this functionality. Consider disabling the join before host options for your site. We recommend disabling these options for listed meetings; as external attendees could leverage the scheduled meeting for their own purposes, without the host s knowledge or consent. Similarly, if you allow attendees to join before host, consider not allowing them to join audio before host. If your meeting is listed on your site or is not password-protected, unauthorized users could potentially gain access and initiate expensive calls without the host's knowledge or consent. For Personal Conference Meetings (PCN Meetings), we recommend disabling the join audio before host option. A host would then first have to dial the WebEx Access number for the audio bridge, and then enter the host access code and host PIN, before attendees could join the meeting. Procedure Step 1 Step 2 Step 3 Sign in to the WebEx Site Administration Tool. Navigate to Configuration > Common Site Settings > Options > Security Options. To prevent attendees from joining before the host, uncheck the following boxes: Allow attendees or panelists to join before host (MC, TC and EC) The first attendee to join will be the presenter (MC only) Allow attendees or panelists to join teleconference before host (MC, TC, and EC) Allow attendee to join audio portion of Personal Conference before host (PCN Meetings) Enforce Personal Room Locking After a Default Time We recommend you enforce automatic locking of Personal Rooms after a designated time. When a meeting is started in a Personal Room, the host can accept the default time you set at the site level, or optionally change how many minutes after a meeting starts that they want the Personal Room to lock, including zero minutes. 10

11 Best Practices for Administrators Restrict Unauthenticated Users Procedure Step 1 Step 2 Step 3 Step 4 Sign in to the WebEx Site Administration Tool. On the left navigation bar, select Configuration > Common Site Settings > Options. In the Site Options section, scroll down to Automatically lock Personal Rooms after [x] minutes and enable the option. Set the number of minutes after the meeting starts that the Personal Room is locked. Restrict Unauthenticated Users We recommend, as a minimum, that you allow attendees who have signed in to enter an unlocked Personal Room, but require unauthenticated attendees to wait in the lobby of the unlocked Personal Room until the host manually admits them. With this option, in a locked room the host sees a list of attendees waiting in the lobby that indicates who has signed in and who has not. In an unlocked room, the list of attendees waiting in the lobby shows only people who have not signed in, because people who have signed in are admitted automatically. In both cases, the host can review the list and choose who to allow into the Personal Room meeting. Procedure Step 1 Step 2 Step 3 Sign in to the WebEx Site Administration Tool. On the left navigation bar, select Configuration > Common Site Settings > Options. In the Site Options section, scroll down to When unauthenticated attendees join a Personal Room to view the following options: Allow unauthenticated attendees to enter a host's unlocked Personal Room This option is not recommended. Anyone who has the join URL can enter Personal Rooms without any authentication. Do not allow unauthenticated attendees to enter a host's unlocked Personal Room, unless admitted from lobby by host This is the minimum recommended level of security. It provides the host a list of users who are unauthenticated, and allows the host to allow individual users who are legitimate attendees, while preventing those who aren't. If you choose this option, specify the value for the Unauthenticated attendees can enter a host's unlocked Personal Room if they signed in within the last <number 1 to 15> weeks option. Do not allow unauthenticated attendees to enter a host's Personal Room or lobby This is the highest level of security for unauthenticated users. 11

12 Account Management Best Practices for Administrators Account Management To manage policy settings for all users on your site, the following features are also available in WebEx Site Administration: Host Account Management Lock out an account after a configurable number of failed login attempts Account Creation Require new users to type the letters or digits of a distorted image that appears on the screen Require confirmation of new accounts Configure rules for self-registration of new accounts Account Passwords Require specific rules for password format, length, and re-use Able to change password at regular intervals Prohibit easily guessed passwords (for example, password ) Set a minimum time interval before password change 12

13 Best Practices for Hosts As a host, you are the final decision maker concerning the security settings of your meeting. Always remember that you control nearly every aspect of the meeting, including when it begins and ends. Follow the security best practices when scheduling the meeting, and during and after the meeting, based on your business needs for keeping meetings and information secure. Using Your Personal Room Auto Lock Personal Room With WBS30, you have the ability to automatically lock your Personal Room after your meeting starts. This can be done from My WebEx >Preferences > My Personal Room on your WebEx site. We recommend locking your room at 0 minutes. This is essentially the same as locking your room as soon as you enter it. This prevents all attendees in your lobby from automatically joining in the meeting. Instead, you will see a notification in the meeting when attendees are waiting in the lobby. You can then screen and allow only authorized attendees into your meeting. Note Consider your Personal Room URL as a public URL, and unless the site administrator has configured Personal Rooms to only be used by signed-in users, anyone can wait for you in your lobby. Always check the names before you let the attendees into your room. Personal Room Notifications Before a Meeting When users enter your Personal Room lobby, they can send you an notification to inform you that they are waiting for a meeting to begin. Even unauthorized users that gain access to your Personal Room lobby can send notifications. We recommend that you review your notifications before starting a meeting to screen unauthorized attendees. If you have not auto-locked your Personal Room at zero minutes, then all attendees waiting in your Personal Room lobby will enter the meeting when you do. Review the participant list and expel any unauthorized attendees. If you are seeing too many notifications from unauthorized attendees, consider turning off these notifications. Go to My WebEx > Preferences and turn off your Personal Room notifications by unchecking Notify me by when someone enters my Personal Room lobby while I am away. 13

14 Scheduling the Meeting Best Practices for Hosts Personal Room Notifications During a Meeting If you lock your Personal Room, you are able to screen anyone waiting in your lobby. After you enter your meeting, you are notified when someone new enters the lobby and you can choose whether to admit the person or not. When multiple attendees are waiting in your Personal Room lobby, you can review the list of names and either select individuals or choose to select all, to admit to the meeting. Scheduling the Meeting Schedule Unlisted Meetings To enhance meeting security settings, hosts can opt not to list the meeting on the meeting calendar. To do this, remove the check mark from this option to help prevent unauthorized access to the meeting and hide information about the meeting, such as its host, topic, and starting time. An unlisted meeting does not appear in the meeting calendar on the Browse Meetings page or on your My Meetings page. To join an unlisted meeting, attendees must provide a unique meeting number. Unlisted meetings require the host to inform the meeting attendees, either by sending a link in an invitation, or hosts can enter the meeting number using the Join Meetings page. Note Listing a meeting reveals meeting titles and meeting information publicly. If a meeting is not password protected, anyone can join it. Tip Choose a level of security based on the meeting's purpose. For example, if you schedule a meeting to discuss your company picnic, you probably need to set only a password for the meeting. On the other hand, if you schedule a meeting in which you will discuss sensitive financial data, you may not want to list the meeting on the meeting calendar. You may also choose to restrict access to the meeting once all attendees have joined. Choose the Meeting Topic Carefully A listed meeting or a forwarded invitation could, at a minimum, reveal the meeting titles to unintended audiences. Meeting titles can unintentionally reveal private information, so ensure that titles are carefully worded to minimize exposure of sensitive data, such as company names or events. Secure Meeting with Complex Password Using complex meeting passwords for every session is the most important step you can take to protect your meeting. While uncommon, site administrators may choose to allow the creation of meetings without passwords. Under most circumstances, protecting all meetings with a strong password is highly recommended. The most effective step to strengthen the security of your meeting is to create a high-complexity, non-trivial password (strong password). A strong password should include a mix of uppercase and lowercase letters, numbers and special characters (for example, $Tu0psrOx!). Passwords protect against unauthorized attendance because only users with access to the password will be able to join the meeting. 14

15 Best Practices for Hosts Scheduling the Meeting Do not reuse passwords for meetings. Scheduling meetings with the same passwords weakens meeting protection considerably. Note Adding passwords to your meetings does not affect the meeting join experience of authorized attendees. Participants can easily join a meeting by selecting the URL in the meeting invitation or from the WebEx site. Exclude Meeting Password from Invitations If you invite attendees to a meeting, the meeting password does not appear in the invitations that attendees receive. You must provide the password to attendees by another means, such as by phone. For highly sensitive meetings, exclude the meeting password from the invitation . This prevents unauthorized access to meeting details if the invitation message is forwarded to an unintended recipient. Require Attendees to Have an Account on Your Site When this setting is enabled, all attendees must have a user account on your site to attend the meeting. For information about how attendees can obtain a user account, ask your site administrator. In the Meeting Center Advanced Scheduler, check Require attendees to have an account on this Website in order to join this meeting. Use Entry or Exit Tone or Announce Name Feature Using this feature prevents someone from joining the audio portion of your meeting without your knowledge. This feature is enabled by default for Meeting Center and Training Center. To adjust the settings, select Audio Conference Settings > Entry and Exit Tone. Restrict Available Features Limit the available features, such as chat and audio, if you allow attendees to join the meeting before the host. Request that Invitations not be Forwarded Request that your invitees do not forward the invitation further, especially for confidential meetings. Assign an Alternate Host Assign an alternate host to start and control the meeting. This keeps meetings more secure by eliminating the possibility that the host role will be assigned to an unexpected, or unauthorized, attendee, in case you inadvertently lose your connection to the meeting. Note When inviting attendees to a scheduled meeting, you can designate one or more attendees as alternate hosts for the meeting. An alternate host can start the meeting and act as the host. Thus, an alternate host must have a user account on your Meeting Center website. 15

16 During the Meeting Best Practices for Hosts During the Meeting Restrict Access to the Meeting Lock the meeting once all attendees have joined the meeting. This will prevent additional attendees from joining. Hosts can lock/unlock the meeting at any time while the session is in progress. To lock a meeting, Select Meeting > Restrict Access. Tip This option prevents anyone from joining the meeting, including participants who have been invited to the meeting but have not yet joined it. To unlock a meeting, select Meeting > Restore Access. Validate Identity of all Users in a Call Accounting for every attendee by using a roll call is a secure practice. Ask users to turn on their video or state their name to confirm their identity. Note To attend a meeting using a phone, a caller only needs to know a valid WebEx dial-in number and the nine-digit meeting ID. Meeting passwords do not prevent attendees from joining from the audio conference portion of WebEx. If attendees without an account are allowed to join the meeting, then unauthorized users can identify themselves with any name in your meeting. Remove a Participant from the Meeting Participants can be expelled at any time during a meeting. Select the name of the participant whom you want to remove, then select Participant > Expel. Share Application, Not Screen Use Share > Application instead of Share > Screen to share specific applications and prevent accidental exposure of sensitive information on your screen. After the Meeting Assign Passwords to Recordings The best way to prevent unauthorized access to recordings is to not create recordings. If recordings must be created, you can edit meeting recordings and add passwords before sharing them to keep the information secure. Password-protected recordings require recipients to have the password in order to view them. 16

17 Best Practices for Hosts Personal Conferencing for Hosts Delete Recordings Delete recordings after they are no longer relevant. Personal Conferencing for Hosts In the My WebEx Preferences section of your WebEx site, create a strong Audio PIN and protect it. Your PIN is the last level of protection for prevention of unauthorized access to your personal conferencing account. Should a person gain unauthorized access to the host access code for a Personal Conference Meeting (PCN Meeting), the conference cannot be started without the Audio PIN. Protect your Audio PIN and do not share it. 17
