5 Widgets and Menu Shortcuts Overview A widget in Solar Eclipse is an extension of the Solar Eclipse menu bar. The Solar Desktop displays all widgets you create based on the category you select. A widget placed on the Solar Desktop provides quick access menus and programs, such as queues and windows. You can also create widget shortcuts to menu items which launch windows that you use frequently and place them in the widget toolbar. Note: Widgets are available for all users. No permissions are required. About Widgets Widgets offer quick access to areas of the system that you use frequently, and also provide real-time statistics at a glance for queues and other areas that require daily monitoring. Widgets display Solar Desktop in the Solar Eclipse main window. For example, as a purchasing agent or a salesperson, you might check the Bid Follow Up Queue multiple times per day. You can set up a widget that always displays in the widget toolbar that tells you how may items are in the queue that are associated with a particular user ID, how many are waiting, and how many have failed. This widget provides you with the vital information you need to determine if you need to visit the queue. Note: Not all widgets load data when you log into the system. Widgets that have not loaded data display grayed out in the toolbar with the message "Waiting for data" displayed. Each base widget available has different parameter settings that are identical to the header information that you indicate to populate the window. For example, the Procurement Confirmation Queue parameters include Branch, Selected Items, and Buyer ID the same fields you fill out to populate the queue. About Widget Shortcuts You can create shortcuts to menu items that launch windows that you use frequently and place them in the widget toolbar, such as Your Hold Entries or Product Maintenance: 1

6 Widgets and Menu Shortcuts Overview You can create a shortcut to any menu to which you have access, including user-defined menus. The shortcut provides a way to access any window in the system that you have access to without having to navigate through the menu structure. 7 Solar Eclipse Widgets and Menu Shortcuts Adding Widgets to the Solar Desktop Widgets provide real-time statistics for queues and other areas that require daily monitoring at a single glance. Widgets display in the Solar Desktop and are available for most queues in the system. One of the most commonly used widgets is for Quick Sales Order Entry. This widget offers a single place to access sales orders, purchase orders, and transfers. For information, see Quick Sales Order Entry Access Overview. Each widget contains a set of parameters that is the same as the header fields you use to populate the queue when you access it from the main menu path. For example, if you open the Outgoing Fax Status Queue using the System > Printers > Outgoing Fax Status Queue menu, you enter information in the User ID and Time Zone fields to populate and filter items in the queue. The parameters are the same for the widget associated with the queue. See Creating Shortcuts to Menus for information about adding menu shortcuts to the Solar desktop. To add a widget to the Solar desktop: 1. From the Solar Desktop menu, right-click and select Add Widgets to display the Widget Maintenance window. 2. In the Widget Look area, complete the following fields to customize the widget: Note: You can right-click in any widget field to use Cut, Copy, and Paste features for the text with which you are working. Field Widget Title Description When you select a widget from the Base Widgets list, this field populates for you. Change the default title with a title that is more descriptive or to shorten it, such as instead of Suggested Purchase Order Queue, you may rename it to Sugg POQ. Note: New in Release 9.0, a base widget has been added for Eclipse Reports. Widget Size Widget Background* Flash on Change* Widget Icon* Widget Category* Select how large you want the widget to display. See About Widget Sizes below. By default, the system defaults to Gray # Use the drop-down list to select a different color. Select the check box to have the Solar Desktop flash when information updates in the widget, such as when a message comes in. Select an icon to link to the widget. The icon displays in the background. If you have categories set up on the Category Toolbar, you can select a category into which to place the widget. * Optional 3

8 Adding Widgets to the Solar Desktop 3. From the Base Widgets area, select the widget you would like to add. The system does the following: Displays the Widget Parameter s associated with the widget you selected. The parameters are the same as the header fields for the queue for which you are creating the widget. Enters the default widget title in the Widget Title field. The widget title is the text that displays above the widget in the Solar desktop. To enter a SQL Widget, the SQL Widget Parameters must be defined in advance. 4. In the Widget Parameters area, enter the parameters for the widget. Each widget contains a set of parameters that is the same as the header fields you use to populate the queue when you access it from the main menu path. Press F9 in the fields in the Widget Parameters section to see more information about each field. For example, if you add the Open Order Status Review Queue widget multiple times with different parameters, it might be useful to label each widget to indicate what it is displaying. 5. Use the Activation Key Stroke area to add a keyboard shortcut for the widget. For example, if you want to use Alt+Ctrl+F2 select F2 in this field. Using shortcuts can help your efficiency by keeping your hands on the keyboard when using the system, rather than having to use a mouse. If you add this keyboard combination to the Widget Title, you display the shortcut on the Solar desktop: Note: We recommend using function keys F1 through F8. The remaining function keys (F9 through F12) are used by the system for functions that cannot be overridden, such as launching the online help. Note: The Use CONTROL-ALT field is not available for all widgets. 6. Click OK to add the widget to the Solar Desktop. The system displays a confirmation message. About Widget Sizes Depending on the widget's function, the system may limit the available sizes. For example, Eclipse Reports requires more space on the Solar Desktop than the Open Order Status Review Queue. 4

10 Creating Shortcuts to Menus Creating Shortcuts to Menus Shortcut widgets let you create quick access to menus on the Solar Desktop. If you have menus that launch windows that you use frequently in your daily job, you can create a shortcut to the menu item that launches the window and place it in the widget toolbar of the Solar Eclipse main window. The shortcut provides a way to access any window that you launch from a main menu, including user-defined windows, to which you have access without having to navigate through the menu structure. You can set up menu shortcuts to contain icons to help you identify their purpose and custom titles to better match your business best practices. In the example below, the user now has access to Your Hold Entries and Product Maintenance by double-clicking the appropriate item in the widget toolbar. To create a shortcut to a menu from the widget toolbar: 1. From the Solar Desktop, right-click and select Add Widgets to display the Widget Maintenance window and select the Main Menu Shortcut tab. 2. In the Solar Main Menu Item field, type a keyword in the menu item to which you want to create a shortcut widget. For example, type user in this field to return any menu item that contains the word "user" in it. Press Enter or click the down arrow to display a list of all the menu items that contain the word you entered. The list displays the menu items with their menu paths. For example, User Maintenance displays as User Control/User Maintenance. 4. Select the menu item to which you want to create the shortcut. The system displays the menu path in the Solar Main Menu Item field and populates the Widget Title field with the name of the window that launches from the menu path. 5. Select the size of the widget you want to use: Tiny (1'x1") - The PVOQ in the example above for Purchase Order Variance Queue. Small (3"x1") - The Vendor Maintenance and Your Hold Entries example above. This option lets you have quick access to menu options without and using less screen real estate. This option also allows for longer descriptions. Note: The Small option is only available for Solar Main Menu widgets. 6. Complete the widget setup information. 7. Click OK to add the shortcut to the Solar Desktop. The system displays a confirmation message. 6

11 Solar Eclipse Widgets and Menu Shortcuts To create a menu shortcut from a window: 1. Open the window for which you want to create a shortcut widget. 2. From the User Tools menu, select Add Widget Shortcut to add the item to the Solar Desktop. 3. To edit the title of the shortcut, add an icon to the widget, or select to load the window each time you log in, select the Edit icon (pencil) on the title bar of the widget. 7

12 Working with the Widget Toolbar Working with the Widget Toolbar Widgets and shortcut widgets display on the Solar Desktop. You can arrange the widgets on your Solar Desktop manually or have the system arrange them, open the window associated with a widget, edit or refresh the content of a widget, and remove a widget. Many options display using the right mouse button: Arranging Widgets on Solar Desktop You can drag and drop each widget or menu shortcut in the widget toolbar to arrange them in the order you want. If you have more widgets than display in the widget toolbar, the system adds a scroll bar to the toolbar. Use the scroll bar to access widgets that do not display in the main toolbar. You can also have the system set the order of your widgets and align them in a grid format. To auto arrange widgets and menu shortcuts on the Solar desktop: 1. Right-click anywhere in the Solar desktop. 2. Select Auto Arrange Widgets. To save your widget arrangement: Eclipse automatically saves your widget changes. If you rearrange your widgets manually on the Solar Desktop, we recommend saving your changes manually. If you navigate away from the Solar Desktop your changes may be lost: 1. Right-click anywhere in the widget toolbar. 2. Select Save Widgets. Opening a Widget's Related Window Each widget or menu shortcut represents a queue or window in the system. You can open the queue or window directly from the Solar desktop. The system displays the queue with the parameters you have set in the widget. Do one of the following: Double-click the widget to display the window or queue. Right-click on the widget and select Open Widget to display the associated window or queue. Editing Existing Widgets or Menu Shortcuts on the Toolbar You can edit the contents, the title, or an image associated with a widget or menu shortcut after you add it to the Solar desktop. 8

13 Solar Eclipse Widgets and Menu Shortcuts To edit a widget or menu shortcut: 1. Use the Edit icon on the widget or menu shortcut you want to edit: The Widget Maintenance window displays. 2. Edit the parameters, as necessary, and click OK to save your changes and close the window. Refreshing Widget Contents on the Toolbar You can refresh your widgets at any time. If a widget has updated information after a refresh, it displays with a highlighted border. Use the Refresh icon to make sure you have the latest data. Note: You can also right click on the Solar Desktop and select Refresh Widgets. The system refreshes the data in all the widgets available in the toolbar. 9

14 Removing Widgets and Menu Shortcuts from the Toolbar Working with the Widget Toolbar If you no longer need a widget, you can remove the widget from the toolbar at any time. Use the Delete icon to delete a widget you no longer need. The system removes the widget. 10

15 Solar Eclipse Widgets and Menu Shortcuts Widget Examples Solar Eclipse offers several widgets from which to choose to ensure that you can complete your job effectively and efficiently. The following are examples for different widgets you can add and how they can be used. A/P Preview Queue for Unapproved Invoices 1. Right-click on the Solar Desktop and select Add Widgets to display the Widget Maintenance window. 2. In the Base Widgets area, click AP Preview Queue. 3. In the Branch/Tr/All field, enter ALL. 4. In the Approved field, select Unapproved. 5. Click Add This Widget. By default the system places the widget in the first available grid area of the widget space. 6. Adjust the widget placement, as needed. Customer Calling Queue for Trouble Tickets 1. Right-click on the Solar Desktop and select Add Widgets to display the Widget Maintenance window. 2. In the Base Widgets area, click Customer Calling Queue. 3. In the Branch field, enter All. 4. In the Type field, enter Trouble. 5. In the Writer field, enter the user ID for the writer you want to keep track of. 6. In the Trouble Days field, enter Click Add This Widget. By default the system places the widget in the first available grid area of the widget space. 8. Adjust the widget placement, as needed. Will Call Queue for All Items in Will Call for Branch 1 1. Right-click on the Solar Desktop and select Add Widgets to display the Widget Maintenance window. 2. In the Base Widgets area, click Will Call Order Queue. 3. In the Br/Terr/All field, enter Click Add This Widget. By default the system places the widget in the first available grid area of the widget space. 5. Adjust the widget placement, as needed. 11

16 Widget Examples Will Call Queue for All Your Will Call Orders 1. Right-click on the Solar Desktop and select Add Widgets to display the Widget Maintenance window. 2. In the Base Widgets area, click Will Call Order Queue. 3. In the Br/Terr/All field, enter ALL. 4. In the Writer field, enter the user ID for the writer you want to keep track of. 5. Click Add This Widget. By default the system places the widget in the first available grid area of the widget space. 6. Adjust the widget placement, as needed. Invoice Preview Queue for Disputed Invoices 1. Right-click on the Solar Desktop and select Add Widgets to display the Widget Maintenance window. 2. In the Base Widgets area, click Invoice Preview Queue. 3. In the Br/Terr/All field, enter ALL. 4. In the Invoice Status field, select DISP. By default the system places the widget in the first available grid area of the widget space. 5. Adjust the widget placement, as needed. Open Order Status Review Queue for Shipping Tickets Not Available 1. Right-click on the Solar Desktop and select Add Widgets to display the Widget Maintenance window. 2. In the Base Widgets area, click Open Order Status Review Queue. 3. In the Br/Terr/All field, enter In the Select Items field, enter Unavailable. 5. Click Add This Widget. By default the system places the widget in the first available grid area of the widget space. 6. Adjust the widget placement, as needed. Bid Follow-Up Queue 1. Right-click on the Solar Desktop and select Add Widgets to display the Widget Maintenance window. 2. In the Base Widgets area, click Bid Follow Up Queue. 3. In the Br/Terr/All field, enter ALL. 4. In the User ID field, enter the user ID for the user you want to follow up on. 5. In the Cut-Off Date field, enter MO/+3/YR in order to see bids due in the next three days. Adjust the variable date for the days you want to see. 6. Click Add This Widget. By default the system places the widget in the first available grid area of the widget space. 12

18 Creating and Modifying Widget Templates Creating and Modifying Widget Templates You might have a group of users, such as your counter sales people, that would benefit from having the same widgets. Instead of recreating each widget for each user, you can add a set of widgets to a widget template and then assign the template to a user, multiple users, or to a message group. You can assign multiple widget templates to a single user. You must be assigned the SOLAR.WIDGET.TEMPLATE authorization key to create and assign widget templates. To save widgets in the widget toolbar as a template: 1. Add the widgets to the widget toolbar that you want to include in the template. 2. Right-click anywhere in the widget toolbar and select Save Current Widgets As Templates. 3. In the Enter Template ID field, enter a unique name for the template and click OK. To access the template to make modifications or to assign it to users, select Widgets > Widget Template Maintenance from the File menu. To create a widget template: 1. From the Settings menu on the Solar desktop, select Solar Administration > Widgets > Widget Template Maintenance to display the Widget Template Maintenance window. 2. From the File menu, select New Template and enter the template name, such as Counter Sales, in the Enter Template ID field. The system adds the template to the Widget Templates list. 3. In the Widget Templates list, select the template you added in step 2 and select Edit > Add New Widget to display the Widget Maintenance window. 4. Add the widget you want to be part of the template. The widget is added to the template and is listed in the folder for the template in the Widget Templates list. 5. Repeat steps 3 and 4 to continue to add additional widgets to the template. Double-click a widget listed in the template to make modifications to it. 6. Save your changes and exit the window. To assign a template, see Assigning Widget Templates to Users. To modify a widget template: 1. From the File menu, select Widgets > Widget Template Maintenance to display the Widget Template Maintenance window. 2. In the Widget Templates list, expand the template you want to modify. 14

19 Solar Eclipse Widgets and Menu Shortcuts 3. Do one of the following: To... Modify a widget in the template Add a widget Delete a widget from the template Delete a widget template Do this... Double-click the widget to display its parameters and make changes as necessary. Select the template in the Widget Templates field and select Edit > Add New Widget. Select the widget you want to delete and select Edit > Delete. Select the template in the Widget Templates field and select Edit > Delete. 4. Save your changes and exit the window. 15

20 Assigning Widget Templates to Users Assigning Widget Templates to Users After you create widget templates, assign them to the user or message group that would benefit from the same widget set up. Users to which you assign templates must have widgets enabled to view any widgets you assign to them using a template. For more information, see Enabling Widgets and Menu Shortcuts.You can assign multiple widget templates to a single user. You must be assigned the SOLAR.WIDGET.TEMPLATE authorization key to create and assign widget templates. Important: If you modify a widget template and reassign it to a user, any widgets the user has that were assigned from the original template are removed and replaced with the new widgets in the template. To assign a widget template to a user or message group: 1. From the File menu, select Widgets > Assign Solar Widget Template to display the Widget Template Assignment window. If you are creating a template and are in the Window Template Maintenance window, select the template you want to assign and select Edit > Assign Template to display the Widget Template Assignment window. 2. In the Assign Template ID field, select the template you want to assign. 3. In the To User ID/Message Group field, enter the ID of the user or message group. Click the Multiple button to enter more than one user or message group. 4. Click OK to assign the template to the users or click Cancel to close the window without assigning the template. The system sends a message to the users to which you assigned the template indicating that widgets have been assigned to them. Users must log out and back in to see the widgets in the Solar desktop. 16

21 Solar Eclipse Widgets and Menu Shortcuts Assigned Widget Details Your system administrator, or someone else at your site might assign you sets of widgets using widget templates. If you are assigned a set of widgets, you receive a message through the message system indicating that the new widgets are available the next time you log in. Any widgets that are assigned to you display in the Solar Desktop automatically the next time you log in. Any widgets that you created prior to receiving a template remain unchanged in your Solar Desktop. Important: You can modify or remove any widgets assigned to you through a template. However, if the template is reassigned to you, your changes are overwritten with those in the template. 17

22 Monitoring Widget Usage and Performance Monitoring Widget Usage and Performance As a system administrator, you can monitor how many widgets are active on your system and how many each user is running at any time. Monitoring widget usage provides insight into system slowness and other troubleshooting around widgets. Note: You can view the same information without the ability to filter the contents in the Active List tab in the Widget Administration window. You must have the SUPERUSER authorization monitor widget usage and performance. To monitor widget usage and performance: 1. From the Settings > Solar Administration > Widgets menu, select Widget Administration to display the Widget Administration window: 2. To filter the contents of the queue, enter search criteria in any of the header fields. To view all the widgets without filtering, leave all the header fields blank. Search Criteria User ID Widget Template Active Widgets Only Description Enter the ID of a system user to display only the widgets that user is running. Select the widget ID to display only widgets of that type. Enter the template name to display only widgets that are assigned to that template. Template names are case sensitive. For more information about templates, see Creating and Modifying Widget Templates. Select this check box to display only widgets that currently logged in users have running. To display all widgets defined in the system, even those for users that are not currently logged in, leave this field deselected. 3. Click Update to display the widgets that match your criteria. 18

23 Solar Eclipse Widgets and Menu Shortcuts The table displays the following information for each widget: Field Base Widget ID Widget ID Widget Title Refresh Time User ID User Name Template Description The widget type, such as Customer Calling Queue (CCQ) or Currency Exchange (XRATE). The internal, database record ID for the widget. If you are troubleshooting issues with your widgets, this ID is helpful to Eclipse customer support. The title assigned to the widget when the widget was created. For information about providing titles for widgets, see Adding Widgets to the Widget Toolbar. The amount of time in-between when the phantom runs to update the content of the widget. For example, the Customer Calling Queue widget might take 5 minutes to update. If the refresh rate for the Customer Calling Queue is set to 10 minutes, the phantom waits 10 minutes after it finished gathering data and updating the widget before it starts the process again. For more information, see Setting Widget Refresh Rates. The system ID of the user running the widget. The first and last name of the user running the widget. The widget template of which the widget is a part. If this field is blank, the widget is not part of a template. For more information about templates, see Creating and Modifying Widget Templates. 4. To view the parameter settings for an individual widget, double-click the widget in the table. 5. Click Close to exit the window. 19

24 Setting Widget Refresh Rates Setting Widget Refresh Rates Widgets in each user's widget toolbar periodically refresh their data to provide the most up to date information possible. Each widget type, such as the Customer Calling Queue widget or the Invoice Preview Queue widget, has a default refresh rate. You can change the refresh rate for a particular widget type if your company needs to see updated information in that widget more often than the default setting, or if you are experiencing system performance issues when a widget type refreshes for all of your users. For example, the Customer Calling Queue widget might take 5 minutes to update. If the refresh rate for the Customer Calling Queue is set to 10 minutes, the phantom waits 10 minutes after it finished gathering data and updating the widget before it starts the process again. You must have the SUPERUSER authorization to set widget refresh rates. For more information about monitoring widgets in your system, see Monitoring Widget Usage and Performance. To set the refresh rate for a widget type: 1. From the Settings > Solar Administration > Widgets menu, select Widget Administration to display the Widget Administration window: 2. In the Base Widgets list, select the widget type for which you want to set the refresh rate. 3. In the Widget Type Phantom Refresh field, enter the amount of time in minutes you want to elapse between each refresh of the widget type. This time must be the same or more than the time listed in the Minimum Widget Refresh Time field. For example, the Customer Calling Queue widget might take 5 minutes to update. If the refresh time for the Customer Calling Queue is set to 10 minutes, the phantom waits 10 minutes after it finished gathering data and updating the widget before it starts the process again. 20

25 Solar Eclipse Widgets and Menu Shortcuts The window also displays the following view-only information for each widget type: Field Current Number of Active Instances Widget Type Phantom Refresh Time (Min) Minimum Widget Refresh Time (Min) Last Phantom Start Time Last Phantom Finish Time Last Phantom Run Time Description The total number of widgets of this type that currently logged in users are running. For example, if five users have two Customer Calling Queue widgets each, and all five users are logged in, this field displays 10, as there are ten Customer Calling Queue widgets running. Click the Active List tab to view the widgets for the type selected in the Base Widgets field that are currently active on your system. To view a list of active and inactive widgets that you can filter by user ID, widget, or template, see Monitoring Widget Usage and Performance. The number of minutes for the widget type when the phantom will refresh automatically. The default is 2. The minimum number of minutes after which the widget must refresh. The default is 2. The last time the refresh process for the widget started. The last time the refresh process for the widget finished. The total elapsed time it took for the system to refresh the widgets of this type with new data. 4. Save your changes and exit the window. 21

26 Accessing Recently Used Windows Accessing Recently Used Windows As you work in Solar Eclipse, you might find that you frequently access the same windows for your dayto-day job. You can set up menu shortcut widgets for these windows, add them to Your Favorites list, or you can access your 10 most recently viewed windows using the Recent Screens menu on the main menu bar. This menu displays the last 10 windows you have viewed. Note: Only windows accessible from a main Solar Eclipse menu are included in the Recent Screens list. Windows that you access from within another window, such as the Additional Customer Information window accessible from Customer Maintenance, are not included. To access a recently used window: 1. From the Main Menu, click Recent Windows. The list contains the 10 most recently accessed windows. 2. Select the window you would like to display. To clear the Recent Screens list: 1. From the Recent Windows menu, select Clear Recent Windows to reset the list. The system begins to rebuild the list the next time you access a window. 22

27 Solar Eclipse Widgets and Menu Shortcuts Creating Favorites Lists As you work in Solar Eclipse, you might find that you frequently access the same windows for your dayto-day job. You can create a widget shortcut to add to your Solar Desktop or, if you find your desktop filling, you can add that window to your My Favorites list. To access a recently used window: 1. From the Main Menu, locate the menu item you want to add, such as A/R Inquiry, but do not select it. 2. Right-click on the menu item and select Add to Favorites. 3. Click My Favorites at the top of the Main Menu to check that it was added. Using My Favorites on All Windows If you create favorites on a regular basis, you can set the the My Favorites menu your default menu display on every window in Solar Eclipse. Use the Use "My Favorites" On All Windows option from the User Settings Menu. This means any user-defined favorites you have defined display first when you open any window. Note: If no favorites are defined, the main menu for the window displays. 23

28 Viewing Open Windows Viewing Open Windows As you work in Solar Eclipse, you might find that you have several open windows. To display another open Solar window and view which windows you have open, use the Open Windows display or your computer task bar. Open Windows At the bottom of the Solar Desktop the Open Windows area indicates how many Solar windows are currently open. Click the Open Windows area to expand the area and display thumbnails showing which windows you have open and even what information you are currently working on. This is useful when you have multiple vendor records or product records open, so you can select the correct window you need.
