1 DALLAS INDEPENDENT SCHOOL DISTRICT PURCHASING DEPARTMENT ADDENDUM No. 4 PROFESSIONAL BOND REQUIREMENTS RFP CM STUDENT AND STAFF COMPUTING DEVICES The Purpose of this Addendum No. 4: To provide answers to questions pertaining to the RFP. Please see the attached document. The information in this Addendum is hereby incorporated and made part of any contract awarded pursuant to this solicitation.

2 1. Tech specs. Min requirements pg and next page: Are you looking for 2 all in one or a desktop all in one? We are looking for a desktop and an all in one. The desktop should be a tower and preferable a mini tower or smaller form factor. 2. Does the monitor have to be 23 with a desk cam? Yes, that is the basic 3. Evaluation form 1: It adds up to 95 not 100. Did you get 95 too? We can add Added Value in 2b? 4. MWBE forms were left out: (Addendum was posted on 12/9 for the forms) spec: Is it for student? Yes, that is the minimum requirement. 6. V pro is a zip processor, ok? Do not understand the question. 7. Computrace is listed as an option? Yes, we can remove that. It is replaced by Absolute DDS and is a requirement. 8. Under break fix, network support is required. Can you expand on what will be needed on that? We may need services that will have to do with projects we are working on and need someone available to work with us. They will need to be available as needed. 9. Break fix: What is in scope for this service? Is it past install base? So you want all of those as a unit price as oppose to separate cost? Do not understand the questions. 10. On pricing: Does the cost include onsite install? Yes 11. Install: On the legacy equipment, will we be moving that out or is there something in place already? Yes, the vendor will be expected to move that out to a designed location set by DISD. 12. You are requesting 250 devices within a 24 hour turn around. Is that for a specific device? That would include all devices. 13. Engraving desktops? You want engraving including in pricing? No 14. Break fix: Can we have data on previous tickets? I did try and get this. This information was not collected for a long enough period of time to be valid 15. Specs call for windows 8.1 and 10. Which one? Use On pricing do we put it on a separate page per devices and options since there is not enough room provided to respond? Use extra pages as needed to respond. 17. In the past DISD normally would purchase a term license for Absolute DDS on the client systems that matches the warranty of the devices you are purchasing. In other words, if you all bought a laptop with a 3 year warranty you would purchase a 3 year absolute DDS license. It looks like on this particular RFP you all specified 4 year absolute license. Do you want us to provide the responders with the 4 year part number or the part number that matches the warranty for each device? 3 18. We have a different product specification for Chromebooks (Page 19, section 6)> the part description for Chromebooks is: MTM Chrome Premium. Please clarify that part for the addendum and we will provide that to the responders. See question I would like to ask for an extension on the question close date and an extension on the bid due date. This is an in depth project and more questions may be needed as well as more questions are due to be released. This may result in more questions being asked. We can discuss. 20. I see that on the staff and student devices bid, it requires 3 years of audited financials. Are there any other options for documents that you will accept in its place? We are not aware that there are other options, however if you have something comparable, please provide it. 21. Should the Laptop Specification on page and the Chromebook Specification on pages include Accidental Damage protection warranty? It s listed with the tablet but not on the Laptops or the Chromebooks. No. You can add but we would probably never purchase because it is too costly. 22. I was wondering if you will have a bid opportunity on computers that are being phased out or coming off lease. We currently have an Agreement with Global Assets to recycle all of our end of life and obsolete technology assets that will end December 31, I'd like to ask if you will allow us to provide pricing for charging carts, as an additional accessory only bid. I would like to have a district spec for carts. They may add as additional accessory. 24. Understand you want Win 10 but will you desire to have Win 10 Pro quoted or any version of Win 10, such as a Home equivalent and use an appropriate enterprise agreement I m assuming you would have with Microsoft? We have a letter of eligibility from Microsoft for Shape the Future Program. This will allow you to use the operating system that is part of Shape the Future Program. Please find a copy of the letter attached for your reference. 25. There seems to be some inconsistency within the RFP bid doc on what services are included and which ones they indicate as optional in Sect v Sect For instance, there is NO Asset Tagging, asset reporting and factory imaging in the minimal specs for the AIO in Sect. 6.0 and listed only in options. But in Sect under AIO the Asset Tagging, Asset reporting and factory image is listed in minimal specs. Could you please confirm what is and isn t to be included in minimal specs for each category? Each device requires: Asset tagging, DISD factory imaging and asset reporting 26. Along these same lines, what exactly is expected for Customer Orientation under specs? Logging customer into network, delivering to end user, etc? This will be detailed out later in the process. 27. We can load a less expensive Win 10 OS for DISD as long as you can confirm DISD has an appropriate agreement with Microsoft allowing activation of Win 10 Pro regardless of which OS we load on the machines. Can you confirm if our loading a less expensive Win 10 OS is acceptable to the district and Microsoft? We have a letter of eligibility from Microsoft for Shape the Future Program. This will allow you to use the operating system that is part of Shape the Future Program. We can provide a copy of that letter. 2

Based on the bolded sentence at the bottom of this page, should we strike out the sentence Absolute DDS Premium Education 4 Year Term / SKU # KIT DDSPRME D DI* that is listed under the Options Heading and include the cost for Absolute DDS in the price of the Chromebook? Or should this be listed in the cost of the Chromebook and the Options? Please remove the duplicate under options. It is a requirement. 29. Tablet Computers has the following Options requested: One Year ADP, Two Year ADP, Three Year ADP. (On Page 28 of 81) Question: Do you want pricing for these options for the Chromebooks also? No. 30. In Section 6.0 of the RFP, Technical Specifications, for the category of Chromebook Computer Minimum Requirements : Does Dallas ISD agree that all devices that meet the technical requirements of this category are eligible for award under this category, not just Chromebooks? We are asking for Chromebooks. 31. Will Dallas ISD change the category heading to a more generic heading that does not specify a particular vendor s brand name device, similar to other device categories? No. 32. Will Dallas ISD change the operating system requirement from Google Chrome OS to Google Chrome OS, or equivalent, similar to other device categories? No. 33. Will Dallas ISD change the requirement Enrollment: Google Management to Mobile Device Management? No. 34. Will Dallas ISD change the Options requirement of Chromebook Carrying Bag to Device Carrying Bag? Yes. 35. Please describe the deployment schedule for all units purchased? This is to be determined at a later date. 36. Will Dallas ISD be purchasing all units at the same time or will it be purchasing them in phases? Phases 37. Will all devices ship to a central location or will they ship to various locations? Devices may be delivered directly to a campus or to a designed warehouse. That will be decided per project. 38. If shipping to various locations, what are the quantities shipped to each location? This is to be determined at a later date. 39. Is Minority/Woman owned business participation mandatory for this RFP? The Minority/Women Business Enterprise (M/WBE) Policy is based upon good faith efforts. It isn t mandatory; however M/WBE participation is encouraged. If you do not complete the M/WBE forms you will be deemed Non Compliant 40. For EFT payments, which method does the District utilize: (1) CCD+ (Cash Concentration or Disbursement plus Addendum), used for single invoice payments; or (2) CTX (Corporate Trade Exchange)? The ACH Debits on account 2920 are files that Dallas ISD is initiating which are CCD. 41. Please provide details regarding performance bond requirement, and the information required to be provided by vendors. Not required for this RFP. 42. Please provide detail regarding all existing/currently used District applications and software, with which the hardware systems need to be compatible. We will not be able to provide this information but we will test software during the phase 2 process. 43. Is hard drive formatting a reference to image installation? If not, to what does it refer? Yes, it refers to image installation. 44. Is WIN 10 a sufficient operating system as WIN8.1 will not be available on new product ordered? We will only require Windows 10 or better.

5 4 45. Is the first Desktop build an AIO form factor or is it a tower, Mini, small form factor? It a tower. (mini or small form factor) 46. Is the 13-inch Notebook/Laptop a student or teacher device? It can be both. 47. Is a NonVpro processor acceptable in the 13-inch Notebook/Laptop? No. 48. In an effort to be environmentally conscientious, may HP provide its 92-page 10-k report solely as an electronic file? We can also provide a link to access this report on demand. Yes, an electronic copy or a copy on a jump drive will be fine. 49. Please clarify what is expected in the reference to timely manner? Timely within the scope of the project and desired schedule. 50. Does the reference to catalog mean the list of pricing vendors are required to include? Catalog means all of your items that are available for sale. If you have a current catalog that you can provide, that will suffice. 51. Will the District need 250 of each device ready for purchase within 24 hours or, is the requirement for specific devices? May be both. 52. Do we need to submit the RFP response in the original RFP document provided by DISD? Or, can vendors create their own response templates? Keep to the original. 53. How many images will the district have? One. (One for each individual device) 54. If DISD has Shape the Future letter from Microsoft which Travis Washington should have a copy of, Microsoft requires the manufacturers to get a copy directly from the district. See attached letter attached. 55. What are we agreeing to when signing the EFT Payment Details Form? (attached). Does this also refer to credit card payments? The EFT Payment Details Form is agreeing the EFT payments administered by Dallas ISD only not credit card payments. 56. Can you please provide more detail around the GSC state approved catalog that is mentioned under the Proposed Service and Support Plan? Does this need to be published online? Yes. Do we need to provide a complete catalog with this bid? If available. Should this be aligned with DIR or purchasing coop pricing? Yes, if possible. If the item is out of stock and you are notified within 10 days, does that qualify as meeting turnaround time? It depends on the project.

In addition, Microsoft may request Dallas Independent School District submit proof of receipt of the Licenses, such as an OEM invoice, a shipment record or similar documentation which demonstrate receipt. Dallas Independent School District eligibility to participate in the Initiative described herein will expire April 1, Any modifications or extensions to participation in the Initiative, including but not limited to, Initiative terms, conditions, and eligibility criteria must be in writing and issued by Microsoft.
