5 1 HP Roam Requirements At-A-Glance The purpose of this document is to provide HP Roam administrators with an overview of how to enable and deploy the HP Roam solution in a business environment. Use the following checklist as a high-level overview of the HP Roam requirements. HP Roam Embedded Printer App requirements The administrator password must be set in the printer s Embedded Web Server (EWS) to install the HP Roam Embedded Printer app. Printer requirements HP Roam is compatible with select HP LaserJet Enterprise, HP LaserJet Managed, HP PageWide Enterprise, and HP PageWide Managed printers. To view the list, go to the HP Roam for Business compatibility matrix. Printers must be running HP FutureSmart firmware version 4.6 and newer. For more information, go to the Latest Firmware Versions. Printer must have an address assigned in the format of printer@hpeprint.com (assigned automatically after registering with HP Connected). Web Services must be enabled in the printer s Embedded Web Server (EWS). IPP/IPPS must be enabled on the printer in order to receive print jobs via HP Roam. Bluetooth BLE must be enabled in the Embedded Web Server (EWS) (Security tab). Printer must have Bluetooth capability for auto-discovery (optional). To enable auto-discovery, install a Bluetooth accessory. If using a RadBeacon Bluetooth accessory, the printer must be created in the HP Roam Admin Console before pairing the accessory with the device. HP Roam App requirements Must be an Android, ios, or Windows device Android 5.5 or newer ios 10 or newer Windows 7 or newer Windows platforms require.net installed on the client workstation ENWW 1

6 Must have Bluetooth capability enabled to auto-discover printers and release print jobs (optional). Must have HP Roam printer app installed and associated with an HP Roam account. If using a RadBeacon Bluetooth accessory, the device must be paired with the accessory after it is installed on the printer. Android and ios devices must have Location services enabled in order to use HP Roam. Android and ios devices must allow notifications in order to receive HP Roam discovery prompts when nearby printers are detected. Network configuration requirements Make sure a proxy is set (if applicable) before deploying HP Roam. Printer must meet the following firewall requirements: Port 631 IPP/IPPS Port 443 HTTP HP Roam Administrator Console requirements Must have internet access to Must have administrator permissions and be logged in with administrator credentials. Printers must be added to HP Roam using the HP Roam Admin Console. Must set Azure AD authentication options via the Authentication tab (if applicable). The Printer Discovery Utility in the HP Roam Admin Console has the following requirements: Server W2k8R2 or newer Network access and administrator credentials Printer must support the following device protocols: Bonjour (mdns); requires port 5353 Active Directory Managed Printer Lists (MPLs) HP eprint Enterprise export HP Web JetAdmin User access configuration requirements Users must be allowed printing access (either all guest access or a restricted list of users). 7 2 Setup an HP Roam account To setup HP Roam, follow these steps. Activate the HP Roam license and administrator account To activate the HP Roam license, follow these steps: 1. Select the Access the products link in the HP e-software Delivery Confirmation you received. You will be directed to the HP Electronic download page. 2. Type or copy/paste the confirmation number and customer address for the order, accept the terms and conditions, and click Submit. You will be directed to a page containing the license information. NOTE: This address will become the primary administrator account. 3. Click Download Entitlement Certificate. ENWW Activate the HP Roam license and administrator account 3

8 4. Locate the License Key on the License Entitlement Certificate you received via Go to 6. Type or copy/paste the License Key from the certificate and the address from the order, and click Activate. A confirmation message displays indicating that the activation was successful and to check the for further instructions. 4 Chapter 2 Setup an HP Roam account ENWW

9 7. Open the and click Activate. A browser window opens. NOTE: HP Roam s might take several minutes to arrive in the inbox. Please make sure s have not been routed to junk or spam folders. 8. On the HP Roam for Business SaaS Agreement prompt, click Accept. 9. Create a password, click Submit, and close the browser. NOTE: Password must adhere to the following standards: User name must not be present in password. Password must not have 4 or more consecutive letters or digits. If password has 8 9 characters, it needs at least 1 letter, 1 number, and 1 special character. If password has 10+ characters, two characters are needed from two of these three categories: Letters, Numbers, Special Characters After the password has been set, you can log into the HP Roam Admin Console and start preparing the printer(s) for HP Roam. The Setup the HP printer section will walk you through the setup process. ENWW Activate the HP Roam license and administrator account 5

11 3 Setup the HP printer To setup the HP printer to work with HP Roam, follow these steps. Make sure the printer is compatible HP Roam is compatible with select HP LaserJet Enterprise, HP LaserJet Managed, HP PageWide Enterprise, and HP PageWide Managed printers. To make sure the printer is compatible, go to the HP Roam for Business compatibility matrix. If the printer is not listed, it cannot use HP Roam. Check the firmware version For HP Roam functionality, the printer must be running HP FutureSmart firmware version 4.6 or newer. To check the latest version of firmware for the printer and for firmware update instructions, go to the Latest Firmware Versions. Set the EWS password The Embedded Web Server (EWS) password is not required for HP Roam functionality, but is recommended for printer security. However, if you plan on installing the HP Roam app on the printer, you must set the password. To set the EWS password, follow these steps: 1. Open the EWS. a. Open a web browser. b. Type the printer s IP address in the url field and press Enter. 2. Login with administrator credentials. 3. Select the Security tab. 4. Under the Set the Local Administrator Password section, type and confirm the new password. 5. Click Apply. ENWW Make sure the printer is compatible 7

12 Set the proxy settings If the company uses a proxy server, you might need to enter the proxy server information in the printer s EWS for the printer to communicate with the internet. To set the proxy settings in the printer s EWS, follow these steps: 1. Open the EWS. a. Open a web browser. b. Type the printer s IP address in the url field and press Enter. 2. Login with administrator credentials. 3. Select the HP Web Services tab. 4. Select the Web Proxy option from the left pane and complete the provided fields. 5. Click Apply. Enable HP Web Services in the EWS For HP Roam to work, HP Web Services must be enabled. To enable HP Web Services, follow these steps: 1. Open the EWS. a. Open a web browser. b. Type the printer s IP address in the url field and press Enter. 2. Login with administrator credentials. 3. Select the HP Web Services tab. 8 Chapter 3 Setup the HP printer ENWW

13 4. Click the Enable HP Web Services button. 5. Wait for the process to complete. It might take several minutes. NOTE: If Web Services fails to enable due to a communication problem with Web Services servers, click Enable Web Services to try again. If HP Connect fails to connect, click Refresh to reconnect. If another error is received, there might be an internal firewall preventing the connection. Double-check the Web Proxy configuration. If the issue persists, contact the system administrator. 14 6. After Web Services is enabled, a printer address is automatically generated. NOTE: Take note of the printer address. You will need this to add printers to the HP Roam Admin Console unless the automatic discovery tool will be used. 10 Chapter 3 Setup the HP printer ENWW

15 Enable discovery of HP Roam-enabled printers (Optional) To enable discovery of HP Roam-enabled printers, enable Bluetooth on the mobile device or install a wireless accessory on the printer. Only one is needed to discover printers automatically but both options can be used for greater flexibility. NOTE: For guest users that want to discover HP Roam-enabled printers in a guest printing environment such as a coffee shop or university, enable Bluetooth on the mobile device. The Bluetooth beacon, available for HP printers via optional accessory, uses Bluetooth Low Energy (BLE) to help users locate HP Roam printers within the company. After users select the desired printer via their mobile app, the print job is securely sent directly to the printer from the HP Roam for Business cloud. No connection is established between their phone and the printer. If a Bluetooth accessory will be used to notify users they are in proximity to an HP Roam-enabled printer, the Bluetooth Low Energy (BLE) setting must be enabled in the EWS. Enable Bluetooth on the mobile device, or Install a wireless accessory on the printer (HP Jetdirect or RadBeacon) Step one: Enable the Bluetooth Low Energy (BLE) feature in the EWS Bluetooth is available for HP printers only via an optional accessory. It uses Bluetooth Low Energy (BLE) to detect nearby HP Roam printers. If a Bluetooth accessory will be used to notify users they are in proximity to an HP Roam-enabled printer, the Bluetooth Low Energy (BLE) setting must be enabled in the printer s EWS. To enable BLE, follow these steps: NOTE: This setting should remain enabled after a standard firmware update. If a partial clean or format disk was performed on the printer prior to updating, BLE support will need to be enabled again. 1. Open the EWS. a. Open a web browser. b. Type the printer s IP address in the url field and press Enter. 2. Login with administrator credentials. 3. Select the Security tab. 4. Scroll down to the Bluetooth Low Energy (BLE) section. 5. 16 Step two: Install a Bluetooth accessory on the printer Method one: Install an HP Jetdirect 3100w BLE/NFC/Wireless accessory The HP Jetdirect 3100w BLE/NFC/Wireless accessory can be installed as an external USB accessory, or inserted into the printer s Hardware Integration Pocket (HIP2). For instructions, watch this video. NOTE: You might want to install the HP JetDirect 3100w as an external accessory if the printer will also be using an HP Proximity Badge reader which should be installed into the HIP2 pocket. Additional setup, configuration, and troubleshooting information can be found at jd3100w. Option one: Install in the HIP2 pocket 1. Power off the printer. 2. Locate and open the HIP2 pocket on the printer. The HIP2 location may vary by printer. Refer to the printer user guide, if needed. NOTE: The HIP2 is covered by a rectangular cover that is retained by clips along its short edges. Using a thin, flat-blade screwdriver, gently pry the cover off. 3. Using the short USB cable from the accessory box, connect the white connector to the 3100w. 4. Connect the other end of the USB cable to the socket in the printer s HIP2. 5. Insert the hook-shaped clips of the 3100w into the HIP2 recess. Gently push the 3100w onto the rounded clips so it is held securely in place. 6. Power on the printer. Option two: Install as an external accessory 1. Using the long USB cable from the accessory box, connect the white connector to the Jetdirect 3100w. 2. Push the long USB cable into the slot on the accessory cover, insert the Jetdirect 3100w into the accessory cover, and snap into place. 3. Fastener strips (included) may be used to secure the accessory box to the printer. 4. Connect the USB cable to one of the USB accessory ports on the printer. The accessory ports are usually located at the back of the printer. 5. When prompted, reboot the printer. The Jetdirect 3100w will automatically configure itself for HP Roam. No additional configuration is needed. 12 Chapter 3 Setup the HP printer ENWW

17 Method two: Use a RadBeacon USB accessory with an HP printer NOTE: The RadBeacon USB accessory is not currently supported but will be supported at a later date. When supported, it can be used along side the printer as an external USB accessory to help users auto-detect HP Roam-enabled printers. A direct connection to HP printers is not supported. This feature will be available in a future release of HP FutureSmart firmware. Pair the RadBeacon USB accessory with the HP Roam-enabled printer Since the RadBeacon is not connected to the printer, it must be connected to an external power source or power adapter and it must be paired to the HP Roam account before it can be used to print. To pair the RadBeacon USB with the printer, follow these steps: NOTE: The pairing process is performed from the HP Roam mobile app and you must be logged in with HP Roam administrator credentials. 1. Open the HP Roam mobile app. 2. Login using HP Roam administrator credentials. 3. Connect the RadBeacon USB to an external power source or charger. 4. Click on the three-line menu icon, and select the address. 5. Select Pair Bluetooth Beacons. A list of printers available in the HP Roam Administrator Console is generated. 6. Select the printer name you want to pair with the RadBeacon accessory. ENWW Enable discovery of HP Roam-enabled printers (Optional) 13

19 9. Confirm the printer to be paired with the RadBeacon and clear the Update Security check box (optional). 10. To require authentication before printing, select the Update Security check box and type an 8 digit PIN number. ENWW Enable discovery of HP Roam-enabled printers (Optional) 15

21 Install the Embedded HP Roam Printer App on the printer The Embedded HP Roam Printer App allows the printer to retrieve jobs directly from the HP Roam cloud from the printer control panel. To install the Embedded HP Roam Printer App on the printer, follow these steps: 1. Download the Embedded HP Roam Printer App. a. Go to one of the following ftp sites on HP.com: FTP access: HTTPS access: Drop Box host: ftp.usa.hp.com ( , Failover: ) SFTP access: sftp -o Port=2222: sftp -P 2222: b. Login with the user name and password. Login: roamoxpd Password: R0am1234 NOTE: The password is case-sensitive. c. Click the.exe file to begin the installation and click Run. 2. Type the printer IP address or host name and the EWS admin password. You will be asked to type the printer IP address or host name and EWS admin password during the installation. 3. Select Install. 23 4 Manage printers and users with the HP Roam Admin Console The HP Roam Admin Console is a portal that administrators can use to manage HP Roam printers and HP Roam users including the following options: Add or remove printers from HP Roam Enable or disable HP Roam printers Enable or disable Guest printing access on printers Add or remove user access or guest access to HP Roam To manage HP Roam-enabled printers using the Admin Console, follow these steps. 24 Add printers to the HP Roam Admin Console Printers can be added to the list in one of three ways: Method one: Manually add printers using the +Add Printer button To add a printer(s) manually, use the +Add Printer button. 1. Open the HP Roam Admin Console. To do this, type or copy/paste the following URL into a web browser: 2. Login using administrator credentials. 3. Select the Printers tab. 4. 25 Color printing (supported, not supported) (required) Address, City, State/Province, Country, Postal Code (optional) Google Map location (optional) 6. Select Save. Method two: Import printers using a.csv file format To import multiple printers at one time, follow these steps. NOTE: The.csv format required to successfully import the printers is: Name, ,Color:true false,address1, Address2,City,State,CountryCode,Postal Code. 1. Open the HP Roam Admin Console. 26 3. Select the Printers tab. 4. Select the Import Printers button. 5. Copy/Paste the printer information in a.csv format into the Import Printer dialog. NOTE: You can copy/paste the information from a.csv file or an Excel file as long as the information is formatted in the.csv structure. 27 Method three: Discover printers automatically using the HP Roam Printer Setup Tool To discover and register printers automatically with the HP Roam cloud, download the HP Roam Setup Tool. 1. Open the HP Roam Admin Console. To do this, type or copy/paste the following URL into a web browser: 2. Login using administrator credentials. 3. Select the Printers tab. 4. Click the Discover Printers button. 5. Click the Download Discovery Tool button. 6. Click Run and wait for the HP Roam Setup Tool to download. NOTE: The HP Roam Setup Tool is an application that allows administrators to easily find and register printers with the HP Roam cloud. The tool supports multiple printer discovery methods and automates the registration process for discovered printer information with the HP Roam cloud to reduce the amount of data that must be entered manually. 7. Accept the End-User License Agreement and click Install. 8. Open the HP Roam Setup Tool using the app icon now available on the mobile device or workstation. a. Login using administrator credentials. b. Click Discover HP Roam capable printers. c. Wait for the printers to be detected. ENWW Add printers to the HP Roam Admin Console 23

29 Enable HP Roam printers and Guest printing After the printer list has been populated, administrators must enable HP Roam user access and/or guest access on each printer. NOTE: The number of printers that can be enabled is restricted by the number of devices in the license. 1. Open the HP Roam Admin Console. To do this, type or copy/paste the following URL into a web browser: 2. Login using administrator credentials. 3. Select the Printers tab. 4. Select the check box to the left of the printer you want to enable to use HP Roam. 5. Under the Enabled column, click the slider bar to enable the printer to receive HP Roam print jobs. 6. Under the Guest column, click the slider bar to allow Guests to also use the printer. NOTE: Printers enabled as Guest printers, will allow HP Roam users outside the company to send HP Roam print jobs to them without authentication. ENWW Enable HP Roam printers and Guest printing 25

30 Remove printers from the HP Roam Admin Console To remove printers from the HP Roam Admin Console, follow these steps: 1. Open the HP Roam Admin Console. To do this, type or copy/paste the following URL into a web browser: 2. Login using administrator credentials. 3. Select the Printers tab. 4. Select the check box next to the printer(s) you want to remove. 5. Select Delete Printer. 26 Chapter 4 Manage printers and users with the HP Roam Admin Console ENWW

31 Add users to the list of Allowed senders Users must have an HP Roam account before they can print and retrieve jobs on HP Roam printers. Users can be added to the list in two ways: Add users manually using the +Add User button Import users using a.csv file NOTE: Adding a user to the list will generate an invitation to HP Roam containing a link prompting the user to activate their account. For instructions, see the section Activate the HP Roam license. This will also provide the links to the HP Roam apps. Method one: Add users manually using the +Add User button NOTE: If you encounter an error message when adding a user, the most likely cause is that this user is already a member of another HP Roam site account, or has created their own account with that address when using the HP Roam driver or mobile app. The user will need to delete any other HP Roam accounts associated with that address before you can add them to the HP Roam site account. To add HP Roam users manually, follow these steps: 1. Open the HP Roam Admin Console. To do this, type or copy/paste the following URL into a web browser: 2. Login using administrator credentials. 3. Select the Users tab. 4. Select the +Add User button. 5. Type the information for a single user including the following fields: First name Last name ENWW Add users to the list of Allowed senders 27

33 Method two: Import users using a.csv file format To import multiple users at one time, follow these steps. NOTE: false. The csv format required to successfully import the printers is: ,First Name,Last Name,Enabled:true 1. Open the HP Roam Admin Console. To do this, type or copy/paste the following URL into a web browser: 2. Login using administrator credentials. 3. Select the Users tab. 4. Select the Import Users button. 5. Copy/Paste the user information in a.csv format into the Import Printer dialog. NOTE: You can copy/paste the information from a.csv file or an Excel file as long as the information is formatted in the.csv structure. ,First Name,Last Name,Enabled:true false 6. Select Import. 34 Enable user access to HP Roam After the user list has been populated, you can enable/disable users for HP Roam access via the slider bar: To enable HP Roam users, follow these steps. NOTE: Printers enabled as Guest printers will allow HP Roam users outside the company to send HP Roam print jobs to them without authentication. Administrators can also decide whether their HP Roam users can print as guests to HP Roam-enabled printers outside the company. 1. Open the HP Roam Admin Console. To do this, type or copy/paste the following URL into a web browser: 2. Login using administrator credentials. 3. Select the Users tab. 4. Select the check box to the left of the user you want to enable to use HP Roam. 5. Under the Enabled column, click the slider bar to enable or disable the user to send HP Roam print jobs. 6. 35 Disable user access to HP Roam To disable user access to HP Roam, follow these steps. 1. Open the HP Roam Admin Console. To do this, type or copy/paste the following URL into a web browser: 2. Login using administrator credentials. 3. Select the Users tab. 4. Select the check box to the left of the user for which you want to disable access. 5. Select Delete User. ENWW Disable user access to HP Roam 31

36 Enable Authentication (Optional) The Authentication section is optional, and not required for HP Roam functionality. If this section is not enabled, user address and password will be used for authentication. To enable authentication, follow these steps: 1. Open the HP Roam Admin Console. To do this, type or copy/paste the following URL into a web browser: 2. Login using administrator credentials. 3. Select the Authentication tab. 4. Use the following information to complete the fields: Enable Azure AD Settings check box - Select to enable an Azure AD service connection to the HP Roam instance. OAuth 2.o Authorization Endpoint - Type the URL hosted by Azure AD where HP Roam redirects the user when they attempt to sign in to use the service. OAuth 2.0 Token Endpoint - Type the URL where HP Roam requests Access, ID, and Refresh tokens. HP Roam uses these tokens to determine the authentication status of the user. If the credentials have expired, the user is forced to re-authenticate. 32 Chapter 4 Manage printers and users with the HP Roam Admin Console ENWW

37 Microsoft Azure AD Graph API Endpoint - Type the Azure AD Graph API endpoint url. The Graph API allows HP Roam to synchronize data between the Azure AD and HP Roam user stores. User info endpoint - Type the URL where HP Roam requests information about the user. Application ID - Type the unique ID of the HP Roam service that was generated when you registered HP Roam with Azure AD. The HP Roam Server requires this value to authenticate with Azure AD. Application Key - Type the unique client secret key for the HP Roam service. You must generate this key in Azure AD and copy the value immediately. The HP Roam Server requires this value to authenticate with Azure AD. Enable User Sync check box - Select this check box to allow HP Roam to synchronize user information from the HP Roam user store with the Azure AD user store. 5. 39 5 Install the HP Roam app on a workstation or mobile device The HP Roam app allows a Bluetooth-enabled mobile device such a laptop or phone to send stored jobs directly to the HP Roam cloud and release print jobs from the printer control panel. To install the HP Roam mobile app, follow the steps for your operating system. App overview The HP Roam mobile app provides the following functionality: Mobile print driver and queue Bluetooth notifications when HP Roam enabled printers are nearby and a print job is in the queue RadBeacon pairing option for administrators (optional) Install the HP Roam App for Android NOTE: Roam. 41 Install and Setup the HP Roam App for ios To use HP Roam for ios, install the HP Roam app and then setup the profile. NOTE: Roam. 42 a. Open the ios Settings and select General. b. Scroll down and select Profile. c. If the profile is already installed, select Remove Profile. NOTE: If screen lock is enabled, enter the pin to continue. d. On the pop-up message, select Remove to confirm. e. Close the ios Settings. 3. Open the HP Roam app. 4. Open the Settings menu in the upper left of the screen. 5. Select the user name. 6. Select Add printer profile. This will launch Safari. 7. In the Safari window, select Allow. This will open the ios Settings. 8. In Settings, select Install in the upper right of the screen. NOTE: If screen lock is enabled, enter the pin to continue. 9. In the pop up message, select Install to confirm. 10. Select Done to return to Safari. 11. Select Open to return to the HP Roam app. User should now see HP Roam displayed in the printer list when submitting a job. Install the HP Roam App for Windows The HP Roam installer for Windows will install both the HP Roam app and the print driver. To install the HP Roam for Windows app and print driver, follow these steps: NOTE: The HP Roam printer is the default printer during installation. Windows might change this default printer based on the Let Windows manage my default printer setting. 1. Make sure the following system requirements are met: Windows 7 or Windows 10.Net or newer 2. Download the HP Roam software. 3. Run the.exe installer as an admin. a. Double-click RoamInstaller.exe to launch the installation process. b. 43 c. To set HP Roam as the default printer, click Installation settings. d. Click Install. When completed, there is no confirmation message. The app will be visible on the workstation from the programs menu. Install the HP Roam App for Mac The HP Roam installer for Mac will install only the HP Roam print driver. To install the HP Roam for Mac print driver, follow these steps: 1. Go to 2. Login to the HP Roam account. 3. Click Show me how to watch and learn. 4. Send print jobs from an Android device to the HP Roam cloud NOTE: After users select the desired printer via their mobile app, their print job is securely sent directly to the printer from the HP Roam for Business cloud. HP Roam Print FAQs I can t see HP Roam in the list of printers on my iphone or ios Make sure the profile has been added. See the section Install and Setup the HP Roam App for ios under Step two: Add the printer profile. What is the maximum file size that can be sent via HP Roam? The maximum file size that HP Roam can send is 100 MB. How many print jobs can be in the queue at one time? While there is no limit to the number of jobs that can be in the print queue, the jobs will time out eventually. How long will a print job remain in the print queue? Currently, print jobs will remain in the print queue for 72 hours. What tray selections and media types are available? Currently, Letter and A4 sizes are available. What happens when the document I print is formatted for a paper size unavailable on the HP Roam-enabled printer I release to? The document will be scaled to fit the paper size of the printer. Will HP Roam have more finishing options in a future release? Yes. Future versions of HP Roam will have additional input/finishing options.
