10 Chapter 1: What is Microsoft OneNote and Why Should I Use it? Welcome to your very first chapter in this informational book that will teach you everything you need to know about Microsoft OneNote and how it can greatly benefit your life! Congratulations on selecting such a great book! In chapter one, we re going to begin with a brief and basic introduction to OneNote so that you can understand what the program is and how it works. There is a chance, for some readers, this is the first time you re hearing about such an application. If so, this is a great first chapter and beginning point for you! Let s get started! Your very first question, at the moment, is probably: What is Microsoft OneNote? What does it do? Great question! Microsoft OneNote is a computer program created by the Microsoft Corporation that allows you to store all your notes (written or typed), documents and spread sheets in one easy to use and easy to access location! You can also store things like your drawings, math equations, music, or screenshots in the program as well! Furthermore, all of these documents, pictures and music files can even be shared with other OneNote users! You will also be pleased to hear that OneNote users can access their documents at any time, make changes to them and the program will save them periodically throughout this time. Meaning, you never have to worry about losing any work, documents or files! So, overall, OneNote can store all of your important documents, pictures and music files, share them with other people and let you edit them at anytime! Now that you understand what OneNote is, you might also be curious about how this program can benefit you. First, if you re a highly unorganized or scatter-brained person who desperately wants to become more organized and better about keeping track of important things, then this program can assist you in doing so! Furthermore, this program can also be beneficial to you if you re a student or involved a lot with business. In both of these roles, chances are, you re required and find yourself taking a lots of notes. These notes may be on your computer, or, they may even be handwritten. Regardless of how you take the initial notes, OneNote can save them, all on one location! This means, when you have Mid Terms week, or you need to refer to your notes from that important business meeting last week, everything is in one, easy to access location! Additionally, if you have an occupation that requires you to keep a lot of documents or spread sheets that you then need to be able to share with a wide range of people, on a variety of different computers, then OneNote couldn t be more perfect for you! This program will allow you to save everything that s important to you in one location and then allow you to share it between several people and computers! Lastly, if you already use Microsoft Office, then OneNote, will fit perfectly into your current Office scheme!

11 You can easily write a word document or make up an Excel spreadsheet and save them right into your OneNote program! Based on this information, you can see that OneNote is incredibly easy to access, use and because of these conveniences, it can do nothing but help your busy lifestyle!

14 Chapter 2: How Microsoft OneNote Works Now that you understand what OneNote is and why it would be a great addition to your computer and occupational life, it s vital to understand how the program works! Here in chapter two, we ll take you through a step-by-step process you can follow to set up and learn how to use OneNote! Here we go! Your very first step is to step up your OneNote profile. This will, of course, mean, if you want to use OneNote on your computer, in conjunction with Microsoft Word and Microsoft Excel, that you need to have Microsoft Office already previously installed on your computer, or, you need to purchase a subscription to the programs. If you need to purchase a subscription to the programs, you can do so online and simply have them downloaded and installed on your computer, or, you can go out and purchase a Microsoft Office CD. This CD will have all the Microsoft Office programs on it and once you insert it into your computer, the applications will be installed and saved into your hard drive. The CD is good for three different sets of programs. Meaning, when you purchase the CD, you can use it to install the Microsoft Office programs on three separate computers. However, if you have a different platform you d like to use, say, for example, your Windows phone, then you can simply use the OneNote App alongside the other Office components! Once you have Office set up on the electronic platform of your choice, you can now move ahead with creating your profile on OneNote. This will simply require you to open the program and select an username and password. This way, you now have a profile you can log into on many different devices to access and share your documents, pictures and music! Then, once this is complete, your second step is to create your very first Notebook within your OneNote profile. You should see this option easily displayed on one of the task bars in the OneNote App. This notebook works exactly like a notebook you might hold in your hand, but, instead, it s on your computer screen! You can add or delete things from this notebook at any time. Usually, people choose to set up different notebooks based on different topics. For example, you might want to create a Notebook for things like grocery lists and to-do lists and another Notebook for things like lecture notes from your Psychology 101 class. At anytime, you can add or remove notes from your Notebooks, or, you can choose to share them with others. It s also exciting and important to note, here, that by using OneNote, you re going paperless! Meaning, you no longer have to search through entire notebooks, page by page to access and find certain notes! Furthermore, using OneNote also allows you to keep all of your notes and documents in one location that is easy to carry around with you! Instead of five notebooks for your university classes, you now just have one! Now, within each Notebook you decide to have, you will also have different color-coded tabs across the top of each, breaking your Notebook down into different sections. This

15 will help you to keep your Notebook even more organized as well as helping you to easily identify which section is which because the tabs are easily identified by their different colors. Within each section, you can organize your notes by category or subject. Each note that you decide to store in each different section will be will be listed under the section header, so that you can easily find and access different documents or specific notes. Now, if you want to quickly store a note or document but you don t have time to organize it at the moment, you can simply use the QuickNotes tab to store it in this location until you want to move it or organize it elsewhere. Lastly, if you re in a hurry and you need to find a document, note, music file or picture immediately, you can simply use the search bar at the top of the page to directly search for specific files. In just seconds, you can access what you re specifically looking for! Now, let s discuss a third step. At this point, you will want to upload and move everything into your OneNote App. Remember, you can store anything here! Word documents, written notes, Excel spreadsheets, music files and even pictures! Gather everything you d like to have organized in OneNote and move it to the App! This is where your fourth step comes in. Now that you have all of your documents uploaded to the OneNote program, you can go ahead and begin to organize it! This is the step that might begin to overwhelm you. However, don t worry! With OneNote, this will be an easy process! For example, you can perhaps place all of your pictures under one tab and all of your notes, from say, a specific lecture at school or your important business meetings in another tab. Basically, you want to begin to create different tabs with specific topics and then file your documents under those headings. Now, as you re organizing your files, you will also want to keep in mind one one highly convenient feature of the OneNote program. You ll probably remember that we previously mentioned, when you re in a hurry to find certain documents, you can use the search bar to find specific documents. This is an excellent feature that can save you a lot of time and effort! However, in order to help you better organize and then find your files, you will need to store them, under different sections and accompany them with different tags and keywords so they can be easily found and identified when you go to use the search bar. While you re saving your files under certain sections, you can also create the different keyword and tags at this time. For example, if you want to save all the notes from a specific class at school and find them in the future, based on the different dates you took them on, you can perhaps save them with a title like this: Psychology 101; December 5th Then, later, when you want to use the search bar option to find this specific set of notes, you can simply type this title into the search bar and the file should be found in a matter of seconds! Yet another step you will want to consider taking is to create free or blank space right away in your different notebooks. This can come in handy for a few different reasons. First, there is a chance you re learning and starting to use OneNote because you need to

16 save, organize and find files on the go. Therefore, if you re trying to save a new file to your OneNote application and there is no more blank space left in the specific notebook, you re trying to save it in, this is going to mean taking more time out of your schedule to create more space in the Notebook and then going back to save the file. To save yourself the time and effort, you can simply go ahead and create the blank space right away! On the other hand, this is also in your best interest so that you know, right away, how to create more space in a Notebook, rather than waiting until the very moment when you need to save something, you re in a hurry and you have no idea how to complete this simple step. Again, this will simply slow you down and require more effort from you, so, best just to do it now! Finally, your last step! Now you ve got all your different documents, notes, pictures and music set up and organized, so, now what? Well, yet another great feature of OneNote is that you can sync it on all of your different platforms. This means, accessing and storing all the identical files and how you ve organized them on your computer, phone or tablet! So, to complete your OneNote set up, you will want to sync your documents across all of your devices. You will find this quite simple to do, by selecting the sync option in the app!

19 Chapter 3: Ten Microsoft OneNote Hacks Welcome to your third and final chapter in this helpful, insightful and informational book on Microsoft OneNote! At this point, you now understand what OneNote is, how it might benefit your life, how it works and how you can begin setting up your own OneNote system! Now, here in chapter three, we re going to give you several different suggestions as to how you can use different options in OneNote to get the very most out of this helpful and organizational app! This will help you to have the best experience possible when it comes to OneNote!

20 Take notes without opening OneNote By using different shortcuts on your keyboard that correspond with the OneNote system, you can cut down on the time you use saving your notes! You can even save a note or document without ever opening the OneNote application! To do this, simply press Win+N and a quick note will be opened immediately. You will find that this note will be saved under the QuickNote section in your OneNote program. Or, if you re in the middle of working on a document or you want to save whatever is on your screen at the moment, as fast as you can, then press Win+S and a screenshot of your screen will be taken. You can save this right in your OneNote system! Furthermore, if you want to save something like an audio or music file on the go, you can do that, too! By locating the OneNote icon on your computer s task bar and right-clicking on it, you can begin to recorded an audio file. Additionally, you can also change this to preform whatever setting you d like. So, if you d like something different than audio, you can perhaps select a screenshot to be taken when you right-click, or even something as simple as opening the OneNote program. There are several different options to fit your preference!

21 Using keyboard shortcuts to edit your notes If you ve already saved notes in OneNote but you find that you need to edit them in a timely manner, using keyboard shortcuts to do so can save you so much time and effort! Let s discuss a few! -To create a Heading, Heading 2 or Heading 3, simply press CTRL+ALT+1, 2 or 3 (depending on which header you want to create in your file) To create a checklist in your file, press CTRL+1 To add a star or custom tag, press CTRL+2 To create a reminder through Outlook, press CTRL+shift+1 To add a bulleted list to your document or note, press CTRL+. To insert a web link or URL, press CTRL + K To add a new page below your current work, press CTRL+N To add a subpage to your work press CTRL+shift+ALT+N Of course, these are just a few different options and there are so many more, but these should help you get started in making quick, easy edits to your files that have been already saved in your OneNote Notebooks!

22 Clip web pages and add it to your work There will probably be times you want to add a web page or URL to the files you ve saved to OneNote when you decide to make adjustments or edits to your work. Thankfully, there is an easy way to do this! The easiest way to do this will be through Internet Explorer. When you re already on the Internet and there is a site you d like to link to a file in OneNote, you can simply open a save window on the task bar and select send to OneNote, or, Link to OneNote. This will send the page you were on directly to OneNote and will also preserve how the formatting looked, provide you with the time and date in which you clipped it and the URL address! However, if you re not using Internet Explorer, you can still complete a task like this by selecting send to OneNote through the print option on the task bar of whatever browser you happen to be using.

23 Insert other files to OneNote When it comes to OneNote, you can also save pictures, audio, music and Internet addresses and even things like math equations to your system! Better yet, once these are saved in OneNote, you can use tags or keywords to make it easy to search for them in the future, just like you would a regular document! You can complete a task like this by simply using the different options found in the insert menu! Just a few of your different options are to scan handwritten notes (or just take a picture of them!) into your computer and upload them to your OneNote system. If you prefer audio recordings over handwritten notes, you can instead record what s most important to you in your class or business meeting and simply insert them into whatever files or sections you d like! Finally, you can also take screenshots of certain web pages you d like to have for later, save or insert them into your archives with tags or keywords and then spend only seconds searching for them later! However, it s important to note that in order to compete tasks like this, you will need to enable the options first. To do this, simply complete the following process: File/Options/Audio and Video.

24 Change your OneNote view You re probably using OneNote for various types of work and sometimes, depending on what work you re doing, it s better to adjust your working screen to make your work easier, faster and more time-efficient. Thankfully, if there is a certain set-up that s hindering your work, or you want to change your OneNote configuration to benefit your work, there are easy ways to do so! To begin with, your OneNote application will be set up in normal view. Meaning, you will see the standard screen, with all of your notebooks, sections and pages in view. If you don t like this view or you want to try something new, you can change to the menu view instead. This will create a bit more space and put your sections, pages and notebooks into a handy drop-down menu option. This way, you will see these options, off to the side but the wide selection won t be readily viewable. For another option, you could try the full page view, by pressing F11. This type of view will give you significantly more space by reducing the amount of distractions you have (notebooks, sections, etc) and offering you more room to take notes! Or, if you re looking for an option that will allow you to take notes with, say, an open web page right alongside, then the Dock to Desktop viewing option is your best bet. This will allow you to work out of both programs at once! You can choose which viewing option is best for you by selecting File and trying the different options listed there!

25 Helpful Templates Although it s always nice to create and edit your own, original work, sometimes it s also nice to get a little assistance. For example, if you re struggling to come up with a proper outline for your class notes, there are ready-made templates though OneNote that may be able to assist you! Or, if you perhaps need to make a quick to-do list but you struggle with keeping it organized, then try one of the templates that have already been prepared for you! You can find all of these helpful templates if you select page templates under the page menu. If you don t like the templates you found there, then you can also download more! Furthermore, you will also find that there are many helpful and easy to use add-ins when it comes to the versatility of OneNote. You will find many add-in programs that work directly with OneNote! Even better, most of these are free! For example, you can add-in a program called OneTastic. This app can assist you by working hand in hand with OneNote by allowing you to view all of the materials saved in your OneNote system through a calendar! Additionally, you can crop, rotate and edit pictures you may have saved in OneNote as well! On the other hand, if you have a Mac or ipad, you will find that a program called Outline is extremely beneficial to you. Since OneNote is a Microsoft created and run program, it can be difficult to get your saved documents, images and notes through a Mac and Apple run system. Outline will take the documents, images and notes you ve created and saved on your PC device and sync them to your Apple or Mac platform! Although there is an OneNote version specifically for ipad, you may find that this version falls short. If you want to keep the specific formatting and other editing you ve done to your documents and notes, then it might be best for you to use a program like Outline in conjunction with OneNote for a PC. You will find there is a basic, limited, free version of Outline and a full, plus version available for $14.99.

27 OneNote With Other Office Programs Chances are, you re not seeking out the OneNote program to simply use it by itself. You probably want to use it with other Office programs, like Microsoft Office Word of Microsoft Office Excel. Thankfully, there are many programs that you can use right alongside OneNote! For example, with Microsoft Excel and OneNote, you can use a conjunction of both and when you want to go ahead and save your work, you can embed your work from Excel right into OneNote! This means, you won t have to switch back and forth between one program and the other as well as save your work in both places! This also means you can save and edit your work-at anytime-through both programs! This opens so many doors for you! Furthermore, you will also find that one of the best options this integration opens up for you is between Microsoft OneNote and Microsoft Outlook. For example, in OneNote, you can place a flag next to any line of text and then, in just a few seconds, turn it into a to-do through Outlook. Additionally, within OneNote, you can also take any document, note, picture or music file you d like and send it to someone else directly though Outlook. Of course, this usually means giving up the already edited formatting, however, this is thankfully not the case when it comes to the relationship between OneNote and Outlook! When you want to send one of your notes, documents or files from OneNote, through Outlook, all of the formatting and important edits will be preserved, even if the person reading the file on the other end doesn t have a PC or Microsoft Office! You will also be pleased to find that this process also works the other way around! So, you can take documents, files, notes and even things like pictures that you ve received from Outlook and not only open them through OneNote but save them there as well!
