1 Scheduling Skype Meetings Please select the appropriate choice: A. Desktop Apps B. 2 A. Skype Meetings using Desktop Apps Contents 1. Scheduling Skype Meetings using Outlook Joining Skype Meetings using Skype for Business... 5 You need to have Office 2016 Desktop Suite installed on your personal computer from your CHC Office 365 account to be able to schedule a Skype Meeting using Desktop Apps (Outlook and Skype for Business). To install these apps, follow this link Alternatively, use the Web based application and follow this link. If you are using a CHC Loaner Laptop, use the Web based application and follow this link. 2 P a g e

Scheduling Skype Meetings using Outlook Requirements CHC Office 365 account (Skype invitation must be sent from CHC account, not from your personal account) Office 2016 & Skype for Business installed on your personal computer from your CHC Office 365 account 1. In your Outlook Calendar, click on New Skype Meeting. Note: You may be asked to sign in to Skype for Business. Locate this in your start menu and your login details are your CHC address and password. 2. Fill out the fields as you would for a standard Outlook meeting (To, Subject, Location, Start Time, etc.). In the To field, if the participants are CHC staff or students, enter their CHC address (not their personal address). If they are external people, enter their personal address (such as Gmail, Hotmail etc.). Do not delete the Join Skype Meeting link. You can type in a message above this line but make sure NOT to change the content under this line. 3 P a g e

Joining Skype Meetings using Skype for Business Requirements CHC Office 365 account (Skype invitation must be sent from CHC account, not from your personal account) Office 2016 & Skype for Business installed on your personal computer from your CHC Office 365 account 1. In your Outlook Calendar, open the event and click on Join Skype Meeting. Note: Alternatively, sign into your Skype for Business using your CHC address and password, and join the meeting by clicking the Meeting tab in the main window and clicking Join. 5 P a g e

Sign in to Skype for Business by entering your CHC address and password if you haven t signed in (You may be logged in automatically if you have signed in previously and ticked for Save my password ). 3. Select Use Skype for Business (full audio and video experience) and click OK. You can select Don t show this again, if you wish. 6 P a g e
7 4. Unmute your Microphone by clicking on the microphone icon (if it s muted). 5. Click on the Video icon and Start my Video. 6. Wait until all the other participants join to start the meeting. 7 P a g e
8 7. After you finished your Skype Meeting session, click on the phone receiver icon and close the Skype for Business window. 8 P a g e

10 B. Skype Meetings using Web Apps Contents 1. Scheduling Skype Meetings using Outlook Web App Joining Skype Meetings using Skype Meetings Web App Troubleshooting The Skype Meetings Web App allows the users who don t have a full version of Skype of Business (Desktop app) to participate in Skype Meetings. A scheduled meeting via an Outlook Calendar invitation is required as a guest cannot join without an invitation. If you are using a CHC Loaner Laptop, use this Web based application. 10 P a g e
11 3. Scheduling Skype Meetings using Outlook Web App Requirements CHC Office 365 account A supported browser 1. Log in to your CHC Office 365 account online (via Student Portal and the link on CHC website) and click Calendar to open the Calendar app. 2. Click New and select Calendar event. 3. In the meeting window, click Skype meeting, then Add Skype meeting 4. Fill in the appropriate fields such as date and time etc. 11 P a g e
12 5. Type in the participants address in the Required field under People. If they are CHC staff or students, enter their CHC address (not their personal address). If they are external people, enter their personal address (such as Gmail, Hotmail etc.). When you have typed in the participant s address, press Enter. Make sure that you see their address under Attendees. 6. Type in your message in the message area. Do not delete the Join online meeting link. You can type in a message above this line but make sure NOT to change the content under this line. 7. Click Send. 12 P a g e
13 4. Joining Skype Meetings using Skype Meetings Web App Requirements CHC Office 365 account* A supported browser *This requirement only applies to CHC Staff and students. External people will receive their meeting invitations in their personal account which can be on any platform such as Gmail and Hotmail. 1. Log in to your CHC Office 365 account online (via Student Portal and the link on CHC website) and click Calendar to open the Calendar app. 2. Click on the event (Skype Meeting) and click Join. Note: A person who received the invitation joins the Skype Meeting via the you sent them and by clicking on the Join Skype Meeting (or Join Online Meeting) link in the . Then follow the rest of the steps. 13 P a g e
14 3. Click on Join with the Skype Meeting App (web). Note: As part of joining a meeting, you will need to download and install ( Run the downloaded file) the Skype Meetings App (Web) for the first time. Follow the on-screen instructions to install the app. The installation of the app is a one-off process for the first time. This Web app has already been installed on all CHC loaner laptops. 4. On the next screen, enter your name and click Join. 5. Once you have joined, Unmute your Microphone by clicking on the microphone icon (if it s muted). 6. Click on the Video icon and Start my Video. 14 P a g e
15 7. Wait until all the other participants join to start the meeting. 8. After you finished your Skype Meeting session, click on the phone receiver icon and close the Skype Meeting App window. 9. The following message will appear. Select Discard. IMPORTANT: Depending on the browser and device you are using, your experience might be slightly different. 15 P a g e
16 5. Troubleshooting 1. If you have encountered some issues in the process of installing the app, you may see the following window with no specific application listed (you only see Choose other Application in the box). Click Cancel. 2. On the next window, click Let us help troubleshoot. 3. Click Reinstall and then click on join the meeting in the window below (Note: There won t be any pop-up message to tell you when the installation is finished. The installation should not take long). 16 P a g e
17 4. If the Launch Application window like below opens, make sure that Skype Meeting app is selected and click on Open Link. 17 P a g e
