4 Request TransForm licenses To receive your TransForm licenses, you must install the software and request the licenses within the product. This document provides instructions on requesting and installing TransForm licenses, along with general licensing information and troubleshooting licensing issues. Read this document in its entirety before beginning the licensing process. This document contains important information in the license maintenance section. After you install the license, review this section to avoid issues with future upgrades of the product. Note If you use a closed proxy, note that the license has to be manually cut. Refer to the License request form download section. Prerequisites Perceptive TransForm requires Message Agent for Apps and Message Agent Transaction Pack. Ensure that you have these assets and licenses separately. Ensure that, within the notes for the License Key for TransForm Annual Submissions, the following message is present: Your licenses are ready to be requested from within the TransForm product This step indicates that the necessary pre-processing steps are complete for the licenses to be generated when you submit the licensing request form. If this message is missing, contact your Perceptive Professional Services resource or licensing@perceptivesoftware.com. To request TransForm licenses, complete the following steps. 1. Download and install the software from the Customer Portal. The installers consist of TransForm- Designer, TransForm-EFM, TransForm-iFiller, and TransForm-Filler. Refer to the Perceptive TransForm E-Forms Manager 8.x Installation and Setup Guide for full installation instructions. Note Make sure you download the same version of TransForm-EFM and TransForm-iFiller. 2. Upon installation, to open the E-Forms Manager Administration Console, click on the E-Forms Manager desktop shortcut or select Start > All Programs > Perceptive TransForm > Perceptive TransForm E-Forms Manager > Administration Console from the Windows Start menu. This opens the login page. If you chose to start the console from the end of the installation process, you should already have the console open. 3. If this is a new installation, enter the administrator user ID and password that you provided during the installation process. Otherwise, you may provide any E-Forms Manager login that has administrative privileges. To access the main page, click the Log In button. If this is a new installation, a message displays at the top of the page that states that the application has not been licensed. 4. Click the Administration icon on the right side of the screen, then select the Licensing menu option. 5. On the Licensing page, click the link in the Request License section. 6. Click the Download Form button. This opens an e-form in Perceptive TransForm Filler that you use to submit a registration and license request. Note If you do not have Perceptive TransForm Filler installed, the e-form will not open when you click this button. You must first obtain and install a free copy of Perceptive TransForm Filler. 7. If you have Perceptive TransForm Filler installed and this form fails to load, refer to the License request form download section. 8. When the e-form opens, complete the Contact Information section. 4

5 9. In the License Type section, specify a perpetual license. If you are upgrading a system with an existing perpetual license but you want to enable new features, select the Perpetual option. 10. In the Annual Submission Capacity section, select an option that represents the number of form submissions you expect to receive in this server on an annual basis. If you do not know the submission information, select a submission amount and, in the notes section, document that this information is not known. In all cases, this information is compared with the software order, which is used as the submission amount for the license. 11. After the license request form (from the product) is received, the licenses are uploaded to the Customer Portal under Live. The minimum initial TransForm order should consist of the following license files. (x3) PSI_Customer_Designer_1.txt PSI_Customer_New_Perpetual_PROD_XXX.pff The test licenses are included as they are requested from within the Test Environments. (x2) PSI_Customer_New_Perpetual_TEST_XXX.pff Note Allow up to 1-2 business days for the completion of this step. Install TransForm licenses To install the TransForm licenses, complete the following steps. 1. You must save the PSI_Customer_New_Perpetual_PROD_XXX.pff file and upload it into the E- Forms Manager system to activate the software for your Production Environment. Follow the same instructions to import your test licenses into your Test Environment. The license confirmation form contains information about your license, including licensee information, licensed features, and annual submission capacity. 5

6 2. After you save this form file, to access the License Registration screen, from TransForm E-Forms Manager, select the Administration tab and then select Licensing. 3. To import the registered E-Forms Manager license, complete the following substeps. 1. Click the Import License button on the E-Forms Manager licensing screen to display the Import License screen. 2. Using the Browse button, select your License Registration Form from your file system. If you saved the License Registration Form to the Filler's default directory, the path should be similar to the following path. [drive:]\documents and Settings\[user name]\my Documents\My Forms 3. To import the license to E-Forms Manager, click the Import button. If your license import was successful, you should see your license details displayed on the License Summary screen. The following figure shows an example of the minimum license features that should be enabled. 4. To import the registered TransForm Designer license, complete the following substeps. For each TransForm E-Forms Manager production license issued, three separate TransForm Designer license keys are generated for use. Note One license is to be used per one TransForm Designer installation. 1. Open and save the designer files attached to a folder on the local PC. 2. From the Windows Start menu, select Start > All Programs > TransForm > TransForm Designer. 3. In TransForm Designer, select Help > License. The Enter License Key window populates. 4. Copy and paste the license key that is contained in the text file, as needed. 5. Click Apply. This presents the licensed TransForm Designer program. Repeat these substeps for each TransForm Designer installation. The licensing process is now complete and you can configure the product. 6

7 General TransForm license information This section outlines how the various licensing dates available in the Licensing Summary Information are set for E-Forms Manager. The Issued Date is the date the license is generated and distributed. The License Expiration Date is not set, meaning this license does not expire. The Maintenance Expiration Date is set depending on if you have a previous SMSA agreement with Perceptive. If there is not a previous SMSA date, this date is set to one year from the Issued Date. If there is a previous SMSA date, this date is set to the same month and day as the SMSA agreement but expires on an annual basis. Note A new license is uploaded yearly to the customer portal as long as the SMSA is current. For any additional E-Forms Manager licenses, the License Maintenance Expiration Date is set to the same date as the first license. The license capacity re-setting date is set to the License Maintenance Expiration Date; annually on this date the submission count resets. License maintenance when upgrading TransForm Consider the following factors when upgrading TransForm. If, during upgrade, you completely uninstall and reinstall TransForm, you must request a new license. If the SMSA period has expired, you must upload the newest license before upgrading the software. Troubleshoot licensing Incorrect licensing information If you need to correct any incorrect licensing information for the TransForm E-Form Manager license, complete the following steps. 1. From TransForm E-Forms Manager, select the Administration tab, select Licensing, and then select the update license link on the Licensing Summary Information page. 2. Download the E-Forms Manager License Request form. 7

8 3. If you are updating any licensing information on the same computer, fill out the order form with the updated information. Update licensing information If you need to update licensing information because you need new items or incorrect items were ordered, complete the following steps. 1. Contact your Project Manager or AEX about your Perceptive TransForm order. 2. From TransForm E-Forms Manager, select the Administration tab, select Licensing, and then select the update license link on the Licensing Summary Information page. 3. Download the E-Forms Manager License Request form. 8

9 4. If you are updating any licensing information on the same computer, fill out the order form with the updated information. Change environments for E-Forms Manager If you need to change environments for E-Forms Manager licenses, complete the following steps. 1. In the old TransForm E-Forms Manager system, click the Administration tab and then click Licensing. 2. Scroll down to the Capacity Information section. 3. Click the here link in the Contact/Notify section to open a form in Filler that is pre-populated with the license and capacity information. 4. Edit the Request Contact information on the E-Forms Manager Contact Request/Notification form and include your address. 5. To send the information to the license server, click the Submit button. After submitting the capacity information, the License Manager receives an that includes the details regarding the capacity used for that particular license. This ensures that the capacity amount in the new license is correct for the new E-Forms Manager system. 9

10 Note The day the Capacity Usage is submitted from the old environment must be the day TransForm E-Forms Manager is installed in the new environment. This covers the instance of submissions being lost between the migrations of software. 6. Install TransForm E-Forms Manager in the new environment. 7. Fill out and submit a new TransForm License Request form that contains the exact customer and usage type information of the original system (production or non-production) and a note that the license request is for a Client New System Migration. You may also add any additional special instructions or your in the additional notes area. 8. The License Manager then updates the existing license to contain an expiration of 48-hours from the day the new license request is submitted. This is sent to the address you gave in the E-Forms Manager Contact Request/Notification form. 9. Save the updated existing license that contains the 48-hour expiration and import it into the old environment s E-Forms Manager system. 10. Required. You must send a screenshot of the Licensing Screen to confirm that the old system will expire in 48 hours, as needed. Send this information to licensing@accesseforms.com. Important License Manager will not send the new license for the migrated E-Forms Manager system until the license screenshot is received. 11. The License Manager approves the new license, enters the remaining capacity amount, and sends new licenses. Change environments for TransForm Designer If you need to change environments for licenses for TransForm Designer, complete the following steps. 1. Open the old TransForm Designer instance. 2. Select Help > License. 3. Enter the following non-license key: 5D2A CE5EA8075BC64B32161BE 4. Required. You must send a screenshot of the Licensing Screen to licensing@accesseforms.com to confirm that the old Designer application has successfully imported the non-licensed key. Ensure that this includes the Client Name. Important The License Manager will not send the new license key for the migrated TransForm Designer software until the license screenshot is received. After proof is received that the old application has imported the non-licensed key, the License Manager then creates the needed TransForm Designer license key and sends it for importing into the new environment s TransForm Designer application. License request form download If you are unable to download the license request form, complete the following steps. 1. From the Home page of TransForm E-Forms Manager, click the About E-Forms Manager link. 10

11 2. In the About section, copy the ID code. 3. Send an to with the following information. Include the E-Forms Manager ID code. Attach the completed license request form, which you can access from here: _EForms_Manager_License_Request_Form_8.x.pff Notes Save the license. Do not submit the license. To view the license request form, you need to have Perceptive TransForm Filler installed. You can download the installer here: State that you are unable to download the license request form from the product and you need your licenses manually cut. 11
