3 1 Introduction The purpose of this document is to capture the transcript for the Introduction to Skype for Business Training Video in the Skype for Business Learning Series. The video can be accessed via the Portal Help Pages. The timings indicate the section of the video that is being referred to and its length. To move to a particular section within this module, move the timer on the video to the time detailed in this document. 2 Transcript This section covers the transcript of the Introduction to Skype for Business module. 2.1 Objectives (00:00-00:26) This is the Introduction to Skype for Business module. Upon completion of this module you will be able to understand the core functionality of Skype for Business, sign in and sign out and access settings to adjust your personal preferences. 2.2 What is Skype for Business? (00:27-01:17) Skype for Business is the collaboration tool that enables you to send instant messages to colleagues both inside and outside of your organisation. The tool also provides you with information on the availability of your contacts. Using Skype for Business you will be able to communicate with colleagues across health and social care more easily and in real-time. For example, if you needed to ask a colleague a question and needed a quick response. Instant messaging is also available from your web browser within Outlook Web App. For more information, refer to the Outlook Web App Instant Messaging section of the Outlook Web App Learning Series. 2.3 Signing In and Signing Out of Skype for Business (01:18-04:21) Signing in to Skype for Business will mean that other users of the service will be able to see your presence and send you an instant message. Your local IT team may have installed Skype for Business in a number of different ways on your desktop: either to start up once you log on to your desktop, to appear as a shortcut on your desktop to launch the application, or to appear in your Programmes from the start button. You should refer to your local IT team for guidance on accessing the Skype for Business application. If you already have Skype for Business set up on your computer, to sign in, enter your address in the Sign-in address box. Your Skype for Business user name will be your Page 3 of 5

4 address. Then click Sign In at the bottom left of the window. You should then type your password in the Password box that appears on screen and click Sign In again. You will then be taken to the Skype for Business Contacts page, where you can send and receive instant messages. Signing out of Skype for Business will mean that your status appears as Offline and other users of the service will not be able to send you an instant message. To sign out of Skype for Business, click the downward arrow at the top right of the screen next to the settings icon, select File from the drop down list and then click Sign Out. If you select Exit, then you will be logged off and the Skype for Business application will close. This will change your status to Offline. If you select Close or click the cross at the top right of the window, the application will continue running in the background meaning people can still message you. If you have any conversations open when you sign out, a message will appear on screen notifying you that all open conversations will be ended. You will not be able to go back to a conversation unless you have saved it. For more information on saving conversation refer to the Skype for Business Preferences section of the Skype for Business Learning Series. Click Yes to confirm that you would like to sign out. Once you have signed out, you will be taken to the Skype for Business sign in screen. 2.4 Overview of Skype for Business (04:22-06:40) From the Skype for Business home screen, you can access application features, such as Contacts, Conversations and Meetings. In the Contacts page you can see contacts that you have added to your Contact List and you can also choose how to view these - You can view contacts by Groups, for example, a group could be created to include members of your team; Status, for example, all of your contacts that are available; Relationships, for example Work Group or Colleagues; Or New which will display contacts that have recently added you to their Skype for Business contacts. For more information on contacts, refer to Contact Management in the Skype for Business Learning Series. To search for contacts that you have not added to your contact list, ensure that contacts is selected at the top left of the window. Type a name or address of someone in the Directory in the search bar at the top of the window and the list of names will be refined. If you click on the conversations icon at the top of the window, you can view your conversation history. If you have saved a conversation, it will be saved here. Refer to the Skype for Business Preferences section of the Skype for Business Learning Series for more information on saving conversations. If you click on the Calendar icon, you can view any upcoming appointments and meetings you have in your Outlook Calendar. You can provide others with information of your availability by setting your presence status. The location bar at the top of the screen also allows you to provide information on your Page 4 of 5

5 whereabouts. For example, if you are in the office or working from home. For more information, refer to Presence Management in the Skype for Business Learning Series. 2.5 Skype for Business Preferences (06:41-07:33) You can change your personal settings in Skype for Business in order to view and use the application in a way that is preferable to you. To edit your settings, click the settings icon at the top right of the window and a window will appear on screen where you can change your preferences, such as whether to reopen the conversations you were having when you last signed out of Skype for Business, whether to launch Skype for Business when you start up your computer and changing your contact viewing settings.
