2 Summarize Data Using Pivot Table Constructing Report Summary Create a PivotTable from worksheet data 1. Select a cell containing data in the worksheet. The cell is selected. 2. Select the Insert tab. The Insert tab is displayed. 3. Select the top part of the PivotTable button in the Tables group. The Create PivotTable dialog box opens and the data range is selected on the worksheet. 4. Select where you want the PivotTable report to appear. The option is selected. 5. Select. The Create PivotTable dialog box closes. A new worksheet is displayed and the PivotTable Field List pane opens. The PivotTable Tools contextual Options tab is displayed on the Ribbon. Add fields to a PivotTable 1. Select the desired field name from the field section in the PivotTable Field List pane and drag to the Row Labels box in the layout section. The selected field name is highlighted and the mouse pointer changes to a move handle. The field name label appears as you drag to the desired location in the layout section. 2. Release the mouse button. The selected field name is displayed in the Row Labels box in the layout section, and a list of the field s data values is displayed in the PivotTable report worksheet. 2 P a g e

3 3. If necessary, select the next desired field name from the field section in the PivotTable Field List pane and drag to the Row Labels box in the layout section. The selected field name is highlighted and the mouse pointer changes to a move handle. The field name label appears as you drag to the desired location in the layout section. 4. Release the mouse button. The selected field name is displayed in the Row Labels box in the layout section, and a list of the field s data values is displayed in the PivotTable report worksheet. 5. Select the desired field name from the field section in the PivotTable Field List pane and drag to the Column Labels box in the layout section. The selected field name is highlighted and the mouse pointer changes to a move handle. The field name label appears as you drag to the desired location in the layout section. 6. Release the mouse button. The selected field name is displayed in the Column Labels box in the layout section, and column labels are displayed, along with a Grand Total column and row, in the PivotTable report worksheet. 7. Select the desired field name from the field section in the PivotTable Field List pane and drag to the Values box in the layout section. The selected field name is highlighted and the mouse pointer changes to a move handle. The field name label appears as you drag to the desired location in the layout section. 8. Release the mouse button. The selected field name is displayed in the Values box in the layout section. The field s data values, along with Grand Total values, are displayed in the PivotTable report worksheet. 3 P a g e

4 Grouping dates and items 1. Select the desired field to apply the group in the PivotTable. The cell is selected. 2. Right click on the field, select Group. The Group option is displayed. 3. Select Month from the list. The data are now grouped using the month field. 4 P a g e

5 Presenting Data Visually Creating Small Charts 1. Select the cell range containing the data you want to chart. The range is selected. 2. Select the Line button in the Charts group. The Line gallery opens. 3. Select the desired chart subtype in the 2-D Line section of the gallery. The gallery closes and the chart appears in the worksheet. 4. Select the Switch Row/Column button in the Data group, if necessary. The x axis switches between displaying row and column data. 5. Select the Layout tab on the Ribbon. The Layout tab is displayed. 6. Select the Chart Title button in the Labels group. The Chart Title gallery opens. 7. Select Above Chart in the gallery. The gallery closes and, if appropriate, the chart title appears in the worksheet. The insertion point is placed in the formula bar. 8. Type the desired text as necessary. The text appears in the formula bar. 9. Select [Enter]. The title text appears in the title box of the chart. Move and Size charts 1. Select the chart you want to move. A frame with sizing handles appears around the chart. 2. Drag the chart to the desired location. An outline of the chart appears as you drag and the chart appears in the new location when you release the mouse button. 5 P a g e

6 3. To resize a chart, point to the desired sizing handle. The mouse pointer changes into a double-headed arrow. 4. Drag the sizing handle to the desired location. The chart expands or contracts as you drag and the resized chart appears when you release the mouse button. Removing Visual Junks 1. Select the chart elements you want to delete. Sizing handles appear around the elements. 2. Press [Delete]. The chart element is removed from the worksheet. Duplicating Charts for Each Items 1. Select the chart you want to copy. Sizing handles appear around the elements. 2. Select from the Clipboard group in the Home tab. The chart is copied to the clipboard. 3. Select button The chart is pasted from the clipboard 6 P a g e

The chart is copied to the clipboard. 3. Select button The chart is pasted from the clipboard Making a Clean Design Aligning and Resizing Charts 1. Select the chart you want to move. A frame with sizing handles appears around the chart. 2. Drag the chart to the desired location. An outline of the chart appears as you drag and the chart appears in the new location when you release the mouse button. 3. To resize a chart, point to the desired sizing handle. The mouse pointer changes into a double-headed arrow. 4. Drag the sizing handle to the desired location. 8 Automating Dashboard Creating a Dropdown 1. Select the Developer tab. The tab is displayed. 2. Click the Insert button from the Controls group. A list of control displayed. 3. Click the Combo Box (Form control). Drag the control to the appropriate area. 4. Right-click on the combo box control and select Format Control. 5. From the Control tab, fill in the input range and cell link. This is served as the location for the dashboard to pick up selected item from the drop-down list. 6. Click OK to confirm. Writing a Very Simple Macro to Activate the Automation 1. Select the Developer tab. The tab is displayed. 8 P a g e 2. Click the Visual Basic button. The visual basic application window is displayed. 3. Select the Insert menu and click Module. The code window is displayed. 4. Enter the code that will link the filtered PivotChart field to the drop-down list. To start writing the macro, use the Sub command. To end, use the End Sub command. 5. Exit the code window after inserting the codes.
