1 Harvard University Library Office for Information Systems Page Delivery Service User Guide The Page Delivery Service (PDS) delivers to a web browser scanned page images of books, diaries, reports, journals and other multi-page documents from the collections of the Harvard libraries. This User Guide is an online help system that describes the features available in the Page Delivery Service. If you need to ask a question about PDS or report a problem, send an message to PDS Support. To begin, click Getting Started or any other topic of interest to you from the table of contents in the left pane. Or, review information in the diagram below. Documents delivered by PDS can be used in ways similar to their print counterparts, for example, browsed through a table of contents or viewed page-by-page. PDS also offers full-text keyword search of document contents and a print option. The Page Delivery Service is developed and supported by the Harvard University Library Office for Information Systems (OIS). More information about PDS, including materials of interest to PDS contributors, is available on the OIS web site. About PDS documents The Page Delivery Service (PDS) delivers scanned documents. The documents delivered by PDS consist of page images that originate in GIF, TIFF, JPEG, or JPEG2000 format. The Page Delivery Service (PDS) can deliver a variety of documents or collections of documents, ranging from a single page (such as a diary entry) to a multi-page journal article, multi-year run of a journal, or a series of annual reports. Most documents have an organizational structure or hierarchy that makes them easier to use. Think of books divided into chapters, reports divided into sections, or a journal divided into volumes, issues, and articles. PDS reproduces this structure by organizing documents into hierarchical levels. There are three basic levels, although additional levels are possible: The citation level represents the top of a document s hierarchy. For a single document, the citation level describes the whole document at the title level. Often, citation level is the first thing a user sees after following a reference from an online catalog or specialized web site. For a collection of

3 Page Delivery Service User Guide Page 3 of 20 documents (e.g., a series of annual reports), the citation level would describe the collection. In PDS, the title of the citation level displays at the top of the screen. Intermediate levels are used to represent the structure of a more complex document (or collection of documents). The intermediate levels usually consist of a list of contents. In PDS, the intermediate levels of a document or collection of documents display as a table of contents in the left-hand pane. In very hierarchical collections, such as an archive of journals, there may be more than one intermediate level (e.g., a journal collection consisting of individual volumes, issues, and articles). The page or leaf level is the lowest level in a document, representing individual pages in the document or collection of documents. PDS reproduces the structure of documents using hierarchical levels How to access PDS The Page Delivery Service (PDS) works in conjunction with online catalogs and specialized web sites developed by the Harvard University Libraries. Generally, access to PDS is provided when a user requests a scanned document from an online catalog or web site. PDS delivers this document to the web browser. To see examples of documents delivered by PDS, consult Annual Reports or Narrative Histories, available from the Harvard/Radcliffe Online Historical Reference Shelf. Access to some of the documents delivered by PDS may require a Harvard ID and PIN. Note about browser support: documents delivered by PDS work best when viewed with version 5 or higher of Internet Explorer, version 7 or higher of Netscape, or a current version of other major modern browsers (e.g., Mozilla, Firefox, Opera, or Safari). Your browser must have Javascript support enabled.

4 Page Delivery Service User Guide Page 4 of 20 Using the PDS Print function requires installation of the Acrobat Reader on your computer. For pages generated using JPEG2000 compression, version 6 or higher of the Acrobat Reader is required. See Printing a Document for more information. Note about session timeout: a PDS session will expire after 30 minutes of inactivity. Once a session expires, your place in the current PDS document may be lost. If this happens, use the table of contents to relocate your page. Revision history 5/24/2007 Minor revisions related to release of PDS version 2.2. See the v2.1 release notes. 4/12/2005 User Guide published for the release of Page Delivery Service version 2.0. See the PDS v2 release notes. What s new in PDS version 2.2? Version 2.2 of the Page Delivery Service includes these changes: Enhancements to the Printable Version (the PDF) of a PDS document: No more Acrobat "colorspace" errors, which prevented creation of PDFs for some PDS documents. Users will now be prompted to download the PDF to disk rather than it opening in the browser window. This prevents browser crashes when trying to open very large PDF files. In the PDF, header text (owner information) and footer text (citation information) are now combined at the bottom of the page, just below the page image. Text will wrap and the footer area will expand to accommodate the full length of the text. Enhancements to the format of the PDS url: The direct url to a PDS document has been simplified and the port number removed. For example: will become What s new in PDS version 2.1? Version 2.1 of the Page Delivery Service includes these changes: Image display options have been changed to better support JPEG2000 images. There is now an Image Size option that allows the user to control image size of pages. The existing Zoom feature has been modified with an image pan option to allow better access to JPEG2000 images. Note that the zoom option no longer applies to page images generated from a TIFF source file. (A future version of PDS will extend zoom and rotate to TIFF and JPG images.)

5 Page Delivery Service User Guide Page 5 of 20 If the user resizes the table of contents frame, this change persists throughout the PDS session (or until frame is resized again). Better handling of logical section page ranges (e.g., "p. 25, seq. 34" rather than "pp , seq "). In the PDF created by Printable Version, the running header now contains the name of the administrative unit rather than the DRS owner code. JPEG2000 pages now stay rotated when zooming. A PDF of a single page that has a section boundary no longer contains the same page twice. The sequence number for a page now displays when the user mouses over a page image. In the Printable Version dialog box, the Page Range radio button is selected automatically when either of the range input boxes is selected. Improved mouse-over help on grayed-out options on the toolbar. Fixed problem with the table of contents frame scrolling off the screen. What s new in PDS version 2? Version 2 of the Page Delivery Service provides: Multi-paned display of page image, table of contents, and navigation toolbar. A persistent table of contents with expandable/collapsible entries. Streamlined page navigation options. Ability to Go to any part of the document (or group of documents) by page or sequence number. Ability to display a scanned page s plain text. Page image zoom-in/out. More printing options (print single page, page sequence, entire document). Links to external web sites (e.g., related catalog record, digital object, or other contextual resources) from the PDS screen. METS replaces MOA2 as the encoding method for the structural metadata underlying page-turned objects. METS (Metadata Encoding and Transmission Standard) is a standard for encoding descriptive, administrative, and structural metadata about objects within a digital library, expressed using XML. METS is being developed by the Digital Library Federation (DLF) and is maintained by the Library of Congress (

The PDS interface is a 3-pane display that consists of: a toolbar pane with document title, document navigation options, and a row of menu options, an interactive (clickable) table of contents, and a document pane containing the page being viewed. Toolbar pane Document pane Table of contents pane Toolbar pane The topmost pane in the PDS display is called the toolbar pane. The toolbar displays the title of the document (or group of documents) that is currently displayed, along with menu options (for searching, printing, etc.), navigation options for moving around in the document, and a thumbnail image of the current page. Main menu options Title ( citation ) for the document Page navigation options Thumbnail page image (used with zoom option) About toolbar menu options Here are definitions of PDS menu options:

7 Page Delivery Service User Guide Page 7 of 20 Search: click on this option to open a search form from which you can search for keywords that occur anywhere within the document (or group of documents). This option will be grayed out if searching is not available for the selected document. For more information, see Searching a PDS document. View Text/View Image: click on this option to toggle between display of the page image and the plain text associated with the page image. The View Text option will be grayed out if plain text is not available for the selected document. See Viewing a page s plain text for more information. Printable Version: click on this option to create a PDF version of the document for printing. There will usually be several options (print selected page, print a page range, print the entire document). See Printing a document for more information. (If you are viewing a group of documents delivered by PDS, the table of contents will list each document title and its sections.) You can click the plus sign (+) next to an entry to see the sections it contains. To display the first page of section, you click on the section title.

If the headings are long, you may need to widen the table of contents pane to see them. Just click and drag the inner right edge of the table of contents pane to increase its width. Or, use the horizontal scroll bar to view the right edge of longer headings. For more information about navigation using the table of contents, see Moving from section to section.

These are page images in GIF, TIFF, JPEG, or JPEG2000 format, created when the document was scanned. For more information about PDS documents, see About PDS documents. 10 Page Delivery Service User Guide Page 10 of 20 Navigating a PDS Document You can move around in a PDS document in ways similar to its print counterpart. You can move from page to page using options in the PDS toolbar pane. Or, you can move from section to section (or document to document) by clicking on entries in the table of contents pane. This section provides more information about PDS navigation options. Moving from page to page Moving from section to section Searching a PDS document Related topics: User Interface Basics Moving from page to page Using options in the toolbar pane, you can go to the next or previous page in a document, or you can go to a specified page. Page navigation options are described in the following table: Toolbar option: Allows you to: Notes: Move to previous or next page Go to page with specified number Go to page with specified sequence number If the previous or next arrow appears gray, you have reached the very beginning or the very end of the document (or group of documents). Type the page number and click Go to. Page number is the number as it appears on the page. See Page vs Sequence note. Type the sequence number and click Go to. Sequence number is the relative position of a page in a sequence of pages. See Page vs Sequence note. What is the difference between a PAGE NUMBER and a SEQUENCE NUMBER? The page number corresponds to the number that appears on the printed page. If you select go to page 12, the page numbered 12 in the original document will display. Often the original document will have some unnumbered pages (cover page, title page, front matter, etc.). In PDS, these will display with a page number none in the Go to page box or unnumbered in the table of contents.

11 Page Delivery Service User Guide Page 11 of 20 PDS uses the sequence number to indicate a page s relative position within a sequence of pages, regardless of the numbering that may appear on the page. So an unnumbered first page of a document would have a sequence number 1 but would have a page number of unnumbered. If a document starts with four pages of unnumbered front matter, the printed page 1 would be identified as sequence number 5 in PDS. Moving from section to section The PDS table of contents pane displays a list of the chapters or sections in a document. (If you are viewing a group of documents delivered by PDS, the table of contents will list each document title and its sections.) Clicking on a table of contents entry will take you to that section in the document. A PDS table of contents is an expandable/collapsible hierarchical list. When a PDS document (or group of documents) is first displayed, the table of contents displays to the second level of the hierarchy (title of the document or group of documents, also known as the citation, plus the next hierarchical level). You can click the plus sign (+) next to a table of contents entry to view the next level in the hierarchy. At each level, a plus sign (+) indicates another level of sections is available. To display the first page in a section, you must click on the title of the section (clicking on a plus sign expands the entry but does not select it). You can click the minus sign (-) next to an entry to close or collapse that section. In the following PDS document, the user has clicked the plus sign (+) to display contents of the Annual Report. Note that the selected section is highlighted in the table of contents. Click the plus sign (+) to open an entry and display the sections below it; click the minus sign (-) to collapse that entry To display a page, you must click on the section title. Using Expand All and Collapse All. If you want to see all the levels in a table of contents, click the Expand All button. All levels in the hierarchy will display (signified by a minus sign (-) at each level). You can close all levels by clicking the Collapse All button. Using these buttons will not change your location in the document. The most recently selected page will continue to display.

12 Page Delivery Service User Guide Page 12 of 20 Searching a PDS document You can use the PDS Search option to retrieve pages in a document (or group of documents) that contain the word or words you specify. The Search option may not be available for some documents; when not available, the Search button will be gray. Note about search scope: this option will search all pages associated with the document or group of documents delivered by PDS. If PDS has delivered to you a single document, Search will retrieve any pages in that document containing the word or words you specified. If PDS has delivered to you a group of documents (e.g., a series of annual reports), Search will retrieve pages from any of these documents containing the word or words you specified. There is no way to limit a search to an individual document or section of a document. To perform a search: 1. Click the Search button in the PDS toolbar. A search form will open in a new browser window. 2. Type a word or words in the text box. See Search tips for more information about formatting a search. 3. [Optional] Select the sort order for search results. The default is By relevance. 4. Click Send to perform the search. The results of your search will display in the same window, in the sort order specified on the search form. If the search finds more than 10 matches, PDS will display your results in groups of 10. Click on an entry in the results list to display the page. Related topics: Search tips Search tips Combining search terms with a Boolean operator. Search terms may be combined using the operators and, or, not, near. The default operator is "and", so the following two queries produce identical results: harvard yard harvard and yard Below are definitions of each operator and an example of its use in a search. Operator Definition Example And And narrows a search by retrieving only pages containing BOTH your search terms. library and inventory retrieves pages containing both library and inventory Or Or broadens a search by retrieving pages that contain either of your search terms. Useful for searching synonyms. vice or crime retrieves pages containing either vice or crime Not Not narrows a search by retrieving only pages containing the first search term but NOT the second search term. norton not eliot retrieves pages containing norton but

Useful for finding words in close proximity when you are not sure which word will appear first. not the word eliot undergraduate near theses retrieves pages containing both undergraduate and theses when these words appear within 100 words of each other, in any order. Searching for a phrase. To search for a phrase, use quotation marks. The search "harvard yard" will only retrieve pages containing the phrase "harvard yard". Searching with a wildcard. Use * as a wildcard at the beginning, middle, or end of a word to find spelling variants. For example: cat* will find cats, catalog catastrophe, etc. *operable will find interoperable, inoperable, etc. *itics* will find critics, diacritics, etc. Using Page Controls You can manipulate documents delivered by PDS in several ways. This section describes how you can: Change page size Zoom and pan a page Rotate a page View a page s plain text Note that availability of some image manipulation options (page size, zoom, and rotate) depends on the format of the page image. For page images generated from JPEG2000 source files, all of these options are available. For page images generated from TIFF source files, only page size is available and other options will appear grayed out. Change page size Use the Image Size option on the toolbar to increase or decrease the size of a page image. Changing image size is helpful when you need to view an oversized page image that is wider that the maximum width of the browser window, or, when text on a page is too small to read.

14 Page Delivery Service User Guide Page 14 of 20 There are four image sizes available: Small (1:8 scale, or approximately 300x300 pixels), Medium (1:6 scale, or approximately 600x600 pixels), Large (1:4 scale, or approximately 1200x1200 pixels) the default, and Maximum (1:2 scale, or approximately 2400x2400 pixels). By default, PDS delivers large-size pages (that is, the largest page image that will fit within 1200x1200 pixels). To increase a page s size, click a larger image size box. You may need to wait a few seconds for the resized page image to display. For some pages, increasing page image size may make the page larger than your browser window and require you to scroll horizontally or vertically to view all parts of the page. If you are trying to view a small part of a very large image (such as a map), you can also use the image zoom controls to focus in on a smaller area of interest. See Zoom and pan a page for more information. To decrease a page s size, click a smaller image size box. You may need to wait a few seconds for the resized page image to display. Once you change the size of a page, every other page that you view in the document will display at that size. Related topic: Zoom and pan a page Small Medium Large (default) Maximum Zoom and pan a page Use the zoom and pan options to view details on a page close up. Zoom is especially helpful when you are trying to focus on a small part of a very large image (such as details on a map). Note: Zoom and pan options are only available for page images generated from JPEG2000 source files. If the zoom icons are grayed-out when a PDS document first displays, zoom and pan are not available. To zoom in on a page (increase magnification), click the (+) magnifier icon on the toolbar. To zoom out on a page (decrease magnification), click the (-) magnifier icon on the toolbar.

15 Page Delivery Service User Guide Page 15 of 20 As you zoom in or out, it may take a few seconds for the page image to redisplay. If the zoom icon turns gray, you have zoomed in or out as far as you can go. How to zoom and pan. As you zoom in on an area of the page, the details get larger while the selection area you are viewing gets smaller. You can see the selection area by viewing the thumbnail image on the right end of the PDS toolbar. Over the thumbnail image will be a blue selection box that represents the portion of the overall page image that is currently in your field of view. To pan (change your field of view), you can move the blue selection box over another area of the page. To move the selection box, click on the thumbnail image. The blue box will be centered over the area you click on. To reduce the size of the blue selection box, click the zoom-in icon again level. Zoom in or out using the magnifier icons Blue selection box over the thumbnail image represents the part of the page that is visible (the zoomed selection). You can click on the thumbnail image to pan (reposition the selection box). Once you have zoomed in, if you change the image size, the blue selection box maintains its size, but the selection covered by the box increases or decreases in size. Rotate a page PDS delivers scanned pages in the same order and orientation that they had in their print counterpart. If the original printed page contained a table oriented sideways, that is how the scanned page will display in your browser. To re-orient a page to make it readable, you can use rotate options these icons are unavailable (i.e., if they display as gray Version option on the toolbar to rotate the page. Rotation using the rotate buttons on the PDS toolbar. If ), you can use the Printable

16 Page Delivery Service User Guide Page 16 of 20 If the rotate icons on the PDS toolbar are gray, you cannot use this option to rotate the displaying page. Use the Printable Version option instead. (These rotate buttons are only available with page images that are generated from JPEG2000 source files.) To rotate a page 90 degrees counterclockwise, click the rotate left icon on the toolbar. To rotate a page 90 degrees clockwise, click the rotate right icon on the toolbar. This rotation effect applies only to the currently displayed page. Once you move to another page, the original orientation will be used. Rotation using Printable Version The Printable Version option on the PDS toolbar will open an Acrobat PDF version of the document. From here, you can use rotate features within Acrobat to re-orient the page. Use Printable Version to rotate a page if the rotate buttons on the toolbar are unavailable. Here is how you use the Printable Version option on the PDS toolbar. 1. Display the page you want to rotate. 2. Click the Printable Version button in the PDS toolbar. A small window labeled Convert to PDF for printing will display. 3. Select the Convert Current Page option if not already selected. Note: you can also convert a range of pages by selecting the Convert page sequence option. 4. Click the Convert button. After a few moments a new browser window will open with the PDF version of the page (or range of pages). 5. On the Acrobat toolbar, click the rotate button until the page is oriented to your satisfaction. 6. You can print the PDF or close this window and return to your PDS document. Related topics: Printing a document View a page s plain text When a document is scanned, the contents of each page may also be converted to plain text. Plain text is used to make scanned documents searchable but lacks formatting so is not the best choice for reading a page online. However, you can use the View Text option on the PDS toolbar to display plain text for a page (if the text is available). Note about scope and quality: plain text is not always available for PDS documents. When not available, the View Text option in the toolbar will be gray. Plain text created by OCR (optical character recognition) will sometimes contain inaccuracies (extra blanks, strange characters, misspellings, etc.) due to the condition of the original page. Here is how to view plain text for a page in a PDS document.

17 Page Delivery Service User Guide Page 17 of Display the page. 2. Click the View Text option in the PDS toolbar. If this button is gray, no plain text is available. 3. The document pane will display the plain text of the page. Once you select this option, each page you view in the document will appear as plain text. 4. To switch back to the page image, click the View Image button in the toolbar. Printing a document To print all or part of a PDS document you can use your browser s print feature or the Printable Version option available in the PDS toolbar. This topic describes both methods. You can print individual pages using your browser s print feature. If you use the PDS Printable Version option, you can print a single page, a range of pages, or the entire document. Printing a page using browser print When printing a framed display from a browser, you have to consider whether you want to print the whole window or just the document page. Most modern browsers support either method. The following steps assume you want to print just the document page. Note that the default size of pages in some PDS documents may be wider than the maximum width supported by your printer. You may need to use the PDS zoom tool to reduce the page size before printing it. 1. Display the page you want to print. Click once on the page to put the document pane in focus. 2. Select the print option from the browser menu (usually, File>Print). 3. In the Print dialog window, look for an option to print only the selected pane (or frame). For Internet Explorer version 6+, click on the Options tab, then choose Only the selected frame. For Netscape version 7+ and Firefox version 1, in the Print Frames section, choose The selected frame. 4. Click the Print button to print the page. Printing all or part of a document using Printable Version The Printable Version option is available from the PDS toolbar. This option will create an Acrobat PDF of a single page, a range of pages, or the entire document that you can print or save to a local drive for later use. Note about Acrobat support: This feature requires installation of the Acrobat Reader on your computer. Some PDS documents are generated using JPEG2000 compression. To use the Printable Version option on these documents, version 6 or higher of the Acrobat Reader is required. If you use the Printable Version option and get a blank PDF, you need to install Acrobat Reader version 6 or higher. If you plan to produce a PDF version of the full document, be sure to review the PDS copyright statement (available from the Copyright option in the PDS toolbar).

18 Page Delivery Service User Guide Page 18 of Display the document. If you want to print a specific page, display that page. 2. Click the Printable Version button in the PDS toolbar. A small window labeled Convert to PDF for printing will display. 3. Select a convert option by clicking a radio button. See Printing tips for more about the convert options. 4. Click the Convert button. You will be prompted to either open the PDF or save it to your file system. If you are converting a large range of pages or the entire document, this may take a substantial amount of time, sometimes several minutes. Please leave the Convert to PDF window open until the conversion is finished. For very large PDFs, it is recommended that you save them to your file system and view them directly in Acrobat. 5. To print the PDF within Acrobat, select File>Print from the Acrobat menu (or click on the printer icon). 6. To save the PDF to a local drive, select File>Save Page As from the Acrobat menu and follow the prompts to save the PDF. 7. To close the PDF window, click the x in the upper right corner. Printing tips The PDS Printable Version option will create a PDF version of a single page, a range of pages, or the entire document that you can print or save to a local drive for later use. Note about Acrobat support: This feature requires installation of the Acrobat Reader on your computer. Some PDS documents are generated using JPEG2000 compression. To use the Printable Version option on these documents, version 6 or higher of the Acrobat Reader is required. If you use the Printable Version option and get a blank PDF, you need to install Acrobat Reader version 6 or higher. Select one of the convert options and click the Convert button to create a PDF. When prompted, you can either save the PDF to your file system or open it in your browser. Convert current page will create a PDF for the page that is currently displaying. Convert page sequence to will create a single PDF for the range of pages specified. Be sure to specify page sequence numbers for this option. Look for the sequence number in the PDS toolbar. A page s sequence number may not be the same as its printed page number. Convert entire document will create a single PDF for the document currently displaying. If PDS has delivered a group of documents (e.g., a series of annual reports), this option will create a PDF for the entire series. If you want a PDF for an individual report, use the Convert page sequence option instead. Note that printing a large range of pages or an entire document may take a substantial amount of time, sometimes several minutes. Please leave the Convert to PDF window open until the conversion is finished. Related topics:

Or, click the button in the toolbar of this User Guide. This should open a new message in your software that is addressed to pds-support@hulmail.harvard.edu. Add your question and send the message. Note: if you are reporting a problem using PDS, please provide a detailed description of the problem, including the title of the document and any error message you receive.
