2 News in Caesar CRM 2016 R3 Caesar CRM 2016 R3 contains many requested news, such as completely new document template management and the possibility to import data from an Excel file. You are also able to create information views to limit the information visible to the user. On top of all this you will get improved tools for integration and automation, and as usual, a lot more! Central templates management of templates and documents will help your users to follow the sales process. The templates are only available when needed. Automation Several functions for merging and calculating fields have been added. These are often used when integrating Caesar CRM with another system and exchanging information. Integration tools Our new REST API makes it simple to create a web service in Caesar CRM in order to enable another system to access and update information in Caesar CRM. Select a template and create notes directly from an activity. This new functionality also makes it possible to create mail merge documents from a tablet or from a browser lacking ActiveX support. Import You can import information from an Excel file. This works for ad-hoc imports like leads import after an event, as well as for structured recurring imports. Information views This feature helps you limit the data visible to the user based on specific parameters i.e. Swedish salesmen are only allowed to view customers located in Sweden. An information view affects all reports, search and browse

3 Powerful document management Centralized document templates Common document templates enable you to communicate in both a uniform and professional way. Proper templates facilitate work for your salesmen and helps them save time. In Caesar CRM 2016 R3 you can create Word and Excel templates directly in Caesar Admin. You pick the templates available to the users and who should be able to use each template. This helps users to follow your business process since they will only see templates currently in use for an opportunity phase or an activity of a certain type. If you have several languages in Caesar CRM, you can easily create templates for these languages. The user selects desired language and Caesar CRM will then remember the last language used. Since templates are created centrally in Caesar Admin, it makes it easy to update them when needed. All users will then get the latest and most up-to-date template from the central repository and you no longer need to think about distributing them. You can of course create mail merge fields from Caesar CRM in your templates. This could be basic information like the customer name and address. But you can also pick what fields to use based on a system report. This enables you to find all information that is connected to the element you are currently working with. There is a new, language independent format for mail merge fields that makes it easy to move a template between different environments. You can also create templates to be used from a Saint action or from Caesar Marketing. Document templates for Edge, Chrome, Firefox and Safari Do you want to create documents from a tablet or from a browser that lacks ActiveX support? Today only Internet Explorer supports ActiveX. Below are some browsers that don t: Microsoft Edge Chrome Firefox Safari, e.g. on a Mac or ipad Select the templates that should be available to the users. A quotation templates and a calculation in Excel is available when the user reaches the quotation phase. Without ActiveX there are some limitations to how much Caesar CRM can automate the document management process. But because templates are stored in Caesar CRM, documents can still be created for you on the server. If you want to change the document, you just download it, make your changes and upload it again. The preferable browser to use would still be Internet Explorer whenever possible. Using ActiveX saves you some manual steps since documents are automatically downloaded and then uploaded when you close them

4 Clever features in reports We always listen to our customers and Caesar CRM 2016 R3 contains a lot of the news you have asked for. Reports and goals There is plenty of new features available when creating reports. Prioritization of fields using Coalesce Add a calculated column that picks fields according to your priority. Example: Create a report with phone number priorities. If there is a Home phone number, pick that one. If there is none, pick Cell phone. If this doesn t exist either, pick Direct phone number. Similar controls can be used in many ways in order to prioritize what field to select information from. A few examples are addresses, , estimated/ quoted/agreed deal value, or different date fields. New types of calculated column Many of the new types of calculated columns are used in system reports to set dates for follow up purposes. You can add calculated columns that: Calculate the difference in time between two date fields. Add days, months or years to another date field. Set a date to the end of the current month. Info tab in Excel When you open a report in Excel, meta data is put into a tab called Info, in which you can see the name of the report, the filtering used and when the reports was run. This information can be used to create a customized layout on another tab. Save a copy of a report filter You may have many filters in a report with common parameters. Now you can choose Save as in order to save a copy of the filter and only change information that differs. Lock filter in a portal A setting that prevents users from changing filters used in a specific portal. Address column for users You will get all address fields automatically in the <Address> column. This field is now also available in reports based on current user Mass update multi-value and 1-1 relationships You can use the action Mass update from reports to set values in fields that can contain more than one value. You can also set values in tables with a 1 1 relationship to the table you report against. New pickers There is a lot of ways to connect information in Caesar CRM. An activity may have several responsible salesmen, a contract may be connected to several customers etc. You can now limit the information you connect by replacing the standard list with one or several search reports. Examples: When picking responsible for an activity, you can only choose among those on the same level as you in Organization, or among those with the same role as you. When you connect an activity to an opportunity, you can limit the list to contain opportunities in certain phases and created this year. When connecting key account plans to an opportunity, you can only see active key account plans within a certain business area. Who executed the report and when? When exporting to Excel, report information is added to the Info tab. When connecting key account plans to an activity, you can only select from the key account plans you are responsible for

5 New possibilities Information views If you want to hide information from a group of users (role), you can use parameters in information views. Examples If a group of users only is allowed to see Swedish customers, you create an information view for the Customer table and set your country parameter to Sweden and connect the view to the role of the users. Using the same technique, you can hide opportunities labeled Secret or only display certain types of documents etc. Other examples: A user group is working with a specific brand and they are only allowed to see activities and opportunities connected to that brand. A particular type of contacts should only be visible to the technical department. Contracts should only be available to sales people. I am only allowed to work with key account plans that someone in my team are responsible for. Individuals that are diseased should never appear in a selection. How does an information view work? Creating information views resemble using parameters in a report. The difference it that an information view affects all elements, reports, search and browse. The information view operates on row level. This means that if you can only see Swedish companies you can only see information connected to these companies. You cannot see their activities, opportunities, contacts etc. Caesar Marketing Document templates - Use your own document templates directly from an action in Marketing. Customize lists - The lists for campaigns and campaign parts have been converted into information lists maintained in Caesar Admin. Caesar for Outlook Caesar for Outlook Together with Caesar CRM 2016 R3 you will get several news in Caesar for Outlook: New pickers - You can limit what you can connect to by replacing the standard list with one or several search reports e.g. when connecting an incoming to an opportunity Log in using OpenID connect - If you have your own service that is using OpenID Connect, you can replace the trusted AD login with your login service. Save on send - New default settings. Multi-value fields - Support for multi-value code fields. Caesar Mobile CRM Hyper links - You can open hyperlinks visible in notes directly from Caesar Mobile CRM. Improved support for goals - You can select QTD, MTD and WTD in goals (QTD=This quarter incl. today, MTD=This month incl. today, WTD=This week incl. today). Caesar Territory System Service job in Territory Set that a service job triggered by a business rules only runs within the same territory. If you have implemented Caesar Territory System, information views can be used as a supplement. You will still not be able to see any information outside the territory

6 Customize and enhance Caesar CRM Caesar CRM is built to be easily customized and developed. You can design how you want the standard product to be in order to comply with your work routines. Import Import leads - If you have an Excel file with new leads, you can import them to Caesar CRM. Update information - When importing, you select what fields to match. If your file contains unique identifiers such as customer number, or primary keys (CustomerID, ContactID etc.), you can update existing information. Submodules Add submodules in Caesar CRM - If you need an element in the database similar to activity and opportunity, you can add a submodule. A submodule is always subordinate to a company/individual, object or module. Import templates - If you frequently import a file with the same format, you can save the import settings as a template. A wide range of possibilities - You can import many different types of information: Companies and individuals Contacts Activities, opportunities and projects Objects, competitors and other modules Industry codes Campaigns and campaign parts Sales, items and item groups A submodule is always attached to a company, an object or another module. No application entry in the navigation pane - A normal module always appears as an application in the navigation pane. This is not the case for a submodule; it is only displayed under its main element (Customer, object, module). A submodule does not have a module card dialog

7 Small changes that make a big difference Technical New version of the database - The database has to be upgraded to version in order to work with CRM 2016 R3. New REST API - Using the new REST API makes it easier to integrate Caesar CRM with other systems. You can quickly create a web service to enable external systems to read, create, change and/or remove information from Caesar CRM. Automation Business rules Previous value - You can save your old value in another field, make field data mandatory when moving from phase 1 to 4 or compare the new value with the old one. The information to be published is determined by a system report. This makes it easy to keep parameters and information up-to-date if new or changed business processes makes new demands on the integration. By using web services when connecting systems, you can avoid installing components in foreign environments. Use your own login - In addition to the trusted login through AD accounts, you can now use OpenID Connect to login to Caesar CRM. An example of login services that uses OpenID Connect is Google; you can login to Google and then login to Caesar CRM without having to enter your credentials twice. It is also possible to use Facebook login. If you already have your own login service that uses OpenID Connect, you can use the service to login to Caesar CRM. Support for default values in Custom forms - You can use default values in customized dialogs in the same way you do in standard dialogs. When an opportunity moves from the phase Qualified to Quotation you must enter data in certain fields. Service jobs Support for multi-value and 1-1 relationships - You can set values in fields that can contain more than one value. You can also set values in tables with a 1 1 relationship to the table you report against. Start service jobs from SDK - An external application can start a service job using the SDK. System reports Actions You can use actions from a system reports in the same way as from a normal report. Code as constant column You can set a code to a constant value in a report. This is used for system reports and service jobs. New calculated columns Both prioritization using coalesce and the new types of calculated fields are often used together with system reports and service job
