3 Executive Summary This deliverable focuses on the publication of the initial set of materials to define and promote BASMATI s identity. It reflects the creation of a solid communication and dissemination foundation in relation to the upcoming interaction with BASMATI s key stakeholders across Europe and Korea. Key outputs are: First communication approach with a set of communication and dissemination principles The creation of a project branding with logo, color scheme and QR code A set of templates for the official documents An MS PowerPoint presentation providing a general description of BASMATI The project s official website as main tool to communicate information about the project Presence in social media with guidelines A project factsheet A first press release BASMATI Deliverable D7.1 Page iii of iv

5 1 Introduction In BASMATI, four distinct streams Dissemination, Communication, Exploitation and Standardization focus on raising awareness of the project amongst the industrial and research community and the expansion of business opportunities. These actions support each other, have distinct actors and are connected to specific stakeholders in the project. This deliverable documents the activities and outputs laying the foundation in particular for BASMATI s dissemination and communication activities. A detailed report of connected communication, dissemination, exploitation and standardization planning and activities will be provided in the upcoming deliverables D7.2 Market analysis and business potentials, D7.3 Exploitation plan, D7.4 Communication plan and activities, D7.5 Training plan and activities, and D7.6 Standardisation plan and activities and their interim versions. In the following sections, the initial activities and set of materials produced to define and promote BASMATI s identity are presented. 2 Communication Approach The overall goal of BASMATI s communication approach is to communicate and disseminate about BASMATI through various activities to strengthen its credibility and increase awareness and commitment. Therefore, we identified the communication needs and the communication channels in order to prepare an overall plan. The objectives of BASMATI s communication approach are among others: Establishing a communication policy for the BASMATI project Definition of objectives and actions for communication and dissemination that inform and engage our target stakeholders and promote BASMATI knowledge and results Identification and classification of target stakeholders Identification of communication channels and materials to be used for communication and dissemination Planning and delivering an effective communication to all target stakeholders at EU as well as on national and local levels will drive BASMATI s communication strategy. To that end, we have to (a) identify our target audiences; (b) decide on the information we want to provide adapted to each target audience; (c) determine appropriate communication channels and timing within the given budget; and (d) monitor and evaluate our activities and, if needed, adjust the activities in order to satisfy the requirements. BASMATI has defined the following principles to which its communication approach and respective activities underlie: BASMATI Deliverable D7.1 Page 1 of 15

7 3 Corporate Identity Based on the principles for communication and dissemination, we have created best practice guidelines for corporate identity and branding to be followed by the BASMATI members. These aim for coherence, clarity, consistency and a common look & feel for any project communication across different communication channels. The logo and color scheme form the core graphical corporate identity elements (see Figure 2). The logo is available in different formats and sizes (see Figure 3 and Figure 4). The official font is Calibri. In addition, a favicon consisting of the cloud only (see Figure 5) is to appear in the URL line of web browsers. 9 4 Templates To support coherence and consistency in the communication of the project, we created various types of templates that assemble the graphical elements in order to ensure and facilitate the communication and dissemination actions of BASMATI members according to the recommended styles (illustrated by as example): Word template for deliverables General Word template for articles, press releases etc. PowerPoint template for presentations BASMATI Deliverable D7.1 Page 5 of 15
10 Figure 6: Microsoft PowerPoint template for the BASMATI project 5 Standard Presentation A standard presentation has been created that the consortium members can reuse and adapt for any communication and dissemination activity. The standard presentation provides a ready to use power point slideshow. This presents a general description of BASMATI together with an overview on its vision and mission, figures and references how to follow and connect with us on the website and on various social media and regularly updated outcomes. The standard presentation is available for all consortium members via the internal collaboration space and is regularly published on the website 1 and on SlideShare 2. 6 Web Presence BASMATI s project website is the main tool to communicate information about the project and its activities to the wide public. The project website is based on WordPress 3 with the domain address basmati.cloud hosted by CAS Software. It is used for presenting project activities and progress, making public statements and announcements as well as for the dissemination of the https//wordpress.com/ BASMATI Deliverable D7.1 Page 6 of 15
11 public deliverables, events, presentations etc. Activity on the website is monitored using Piwik Analytics Platform 4 to better understand who and how the website is visited or how events affect the number of visitors. Figure 8 and Figure 9 show the BASMATI frontpage and illustrate the website structure and BASMATI s communication tools: social media links, news section, BASMATI use cases and software solutions information, information for press and additional promotional material. 14 7 Social Media The presence in social media is undisputable of high importance to engage with active users and easily link with existing and potential BASMATI communities. Social networks enable BASMATI to spread the word and raise interest to a large group of people in seconds and to maintain relations with followers and subscribers continuously. Of course, this requires dedicated efforts by all BASMATI members to satisfy the highly dynamic processes of social networks with regular project updates and active networking activities and campaigns. The consortium has decided to focus activities to LinkedIn 5, Twitter 6 and Facebook 7 based on an evaluation of impact of different social media, required efforts and technical feasibility 8. In addition, SlideShare 9 is used to manage and share presentations. ations will be accessible in an open, dedicated repository from the BASMATI website and registered in registries of scientific repositories like DataCite 10 (see also upcoming Dx.x for further details). In addition, the BASMATI consortium will promote and share publications via their individual accounts on ResearchGate 11 (no group account possible). 18 9 Fact Sheet We have created a fact sheet 13 summarizing the context, motivations, challenges, solution and expected impact of BASMATI (see Figure 13) based on the European Commission s guidelines. This fact sheet can be published in the upcoming European Commission s H2020 Project Portfolio brochure. Figure 13: BASMATI Fact Sheet 10 Conclusions This deliverable reports on the initial actions taken and initial set of material produced for the already started and upcoming communication and interactions between BASMATI and its key stakeholders. The presented communication and dissemination foundations target to support the main objective of the BASMATI project, i.e. developing an integrated brokerage platform targeting federated clouds that supports the dynamic needs of mobile applications and users, with the ultimate purpose to foster broad awareness of and commitment to the project and to communicate its vision, results and achievements BASMATI Deliverable D7.1 Page 14 of 15
19 The presented material serves as guideline for all consortium members to communicate and dissemination the opportunities and benefits of the project results and outputs. We have initiated reliable communication via different key stakeholders via various channels. Based on this, the BASMATI project will establish various communication activities using the public website, traditional media, social media (LinkedIn, Twitter, Facebook, SlideShare, ResearchGate etc.) and other channels to communicate with the project s target audiences. The effectiveness of these communications will be continuously monitored and evaluated with automated tools where possible. As corporate identity and branding form an important part of BASMATI s communication approach, we have created best practice guidelines for corporate identity and branding to be followed by the BASMATI members and to be consistently addressed through all dissemination and communication activities. The BASMATI consortium agrees that the outcomes to be produced will not be useful if they are not aligned coherently with the needs and actual problems of cloud providers, developers and end users. To that end the continuous dialogue with our various stakeholders is of high importance and will influenced our activities. To that end, the first year s activities will focus on creating awareness and communicating the BASMATI vision whereas the second year will be for us the year of implementation built upon a higher level of recognition from our key stakeholders and the a wide adoption and sustainability.
