3 Introduction & Basic Structure Congratulations on taking the reins to your new Budget Pro Wordpress 4 CMS Website. Whilst this guide is written specifically for Budget Pro Websites by Lime Dezign, the information herein equally applies to Wordpress websites generally. The Wordpress CMS (Content Management System) is arguably the most user friendly, reliable and widely used Open-Source Website/Blog platform used by individuals to organisations around the world. CMS websites are easier to manage than older HTML sites. Unlike an HTML site where web-page files are individually created and uploaded to the host server, a CMS differs in that a complete website platform is pre-installed. Content can be entered/edited by any authorised person via an easy user-interface (commonly referred to as the Back-end), without the need for specialised root-level web skills. All entered-information is stored in the website s database. The database is essentially the library where all the content information is referenced from, to display on the website Front-end. All content can be published, edited or deleted without making any changes to the actual site structure. Similarly, widgets (which are functions within the website eg. side menus and banners) can be activated or deactivated as required. To access the Wordpress administration interface (the Back-end). 1. Type the full website URL (web address) into your browser s address bar with the extension /wp-admin added at the end. Press Enter to bring up the Login screen. 2. Copy & Paste in your username and password and enter the anti-spam Captcha value (where applicable). Proceed through to the administration back-end which looks similar to the sample below: Above: The Dashboard is the first screen in Admin back end. 2

4 The comprehensive functionality of the Administration Back-end can seem daunting at first. Don t worry; you don t need to know all of the functions to effectively manage your site. Just the tasks outlined in this handbook will enable you to do the basics to start with. The Back-end also provides great tools for web-designers and developers. If you re unsure whether you should change any particular settings, just ask Lime Dezign. Pages The static content in your website is managed in the Pages section via the main menu. When working on a page, it is helpful to have the Website (front end) open in one browser-window, and have the Admin User-interface (back end) open in a second browser-window. This way, you can check how your changes look as you update your pages. Just refresh the front-end view as you Update (save) changes in the backend. Editing a Page 1. Login to open the Dashboard. Hover on Pages in the Menu to the left. 2. Select the All Pages option. 3. Hover the cursor over the relevant Page title to show the edit options. 4. Click Edit, which enables you to the change/update the content of the page. (Quick Edit enables you to change/update only the page details & meta data without leaving the All Pages list screen.) 5. The Edit Page screen displays the content as rich-text with some formatting to enable easy editing, but it does not display elements exactly as they appear in the website front-end. A plain-text editor (code-view) is also available by selecting the Text tab at the upper right of the edit field. More text-editing tools are available by clicking the Toggle Toolbar button on the toolbar. Always create a backup copy* of the page before editing. To do this; i. Select the Text tab ii. Select and copy all code displayed iii. Paste code into a plain-text document like Notepad To upload and place images, click on the camera icon in the toolbar. It is best practice to re-size images correctly to a suitable screen resolution (72dpi) before uploading, however clicking on the placed image will open a small window to edit some basic options such as title, caption, display size and alignment. 6. When your edits are done, click Update. * If you need to restore the page from your backup at any time, just paste the code back in to the plain-text editor, and save using Update button. 3

5 Above: Page Editor Creating a New Page 1. Login to open the Dashboard. Hover on Pages in the Menu to the left. 2. Select Add new. 3. Enter the Title and the text for your new page into the relevant fields. 4. In the Page Attributes to the right of the screen, select a Parent to set how the new page will be grouped with other pages. 5. Click Publish. Pasting Text Text can be pasted into articles, but precautions should be taken. The text-formatting in any Word-Processing document (such as MS Word) does not comply with webstandards, so a direct copy & paste will often produce erroneous and unpredictable formatting in the web-page. The only sure way to avoid this issue is to scrub the text by pasting it into the plain-text field (Text tab), and then switching back to the rich-text editor (Visual tab) to apply clean formatting. External Links Images and text in any Article can be linked to other URLs. To place a link on an image or text: 1. Find the URL to the link you require, and copy it to the clipboard of your PC (Ctrl+c) 4

6 2. Select the text or image to have the link placed on it, and click the chain-link icon in the tool bar. 3. Paste the copied link (Ctrl+v) in the URL field. Enter a Title. Select the option to open the link in a new window/tab. 4. Click Add Link 5. Click Update Linking the Page to a Menu After the page has been created, a new Menu Item will still need to be created to enable access to the page from the front-end of the website. 1. Login to open the Dashboard. Click Appearance > Menus in the left menu. 2. Select the Menu you wish to add-to / edit, from the list at the top of the screen. 3. Select the page/s from the list that you wish to add, and click Add to Menu. 4. Click the Save Menu button. 5. Return to website front-end, refresh the page, and check your new menu item and page are displaying correctly. Blog entries (Posts) Wordpress was originally designed as a Blog platform. However with subsequent years of development, it has become a formidable and well favoured platform for small-business websites as well. Managing Blog entries is similar to managing Pages, but with a few minor differences. Regardless of whether you wish to use the Blog functionality of your website, familiarity with it will help you to better understand and manage your site. To display Blog posts, you will need to change your Home page settings; 1. In the Menu, select Appearance > Customise > Static Front Page 2. Switch the Front Page Display setting to Your Latest Posts 3. Click Save at the top of the menu column 4. You may also need to re-active your side column to enable navigation of your Blog entries. a. In the menu, select Pages > All Pages > Home > Edit b. Scroll down to Page Attributes and change the Template setting to Default. c. Click Update 5

7 Creating a Blog Entry (Post) 1. Login to the Dashboard. Click on Posts in the Menu to the left. 2. Select the Post from the list and click on the Add new option. 3. Enter the Title and the text for your post, into the relevant fields. More text editing tools are available by clicking the Toggle Toolbar button on the toolbar. To upload and place images, click on the camera icon in the toolbar. It is best practice to re-size images correctly to a suitable screen resolution (72dpi) before uploading. 4. Select the relevant Category and Tags (see next section for further information) 5. Click Publish. Editing a Blog Entry (Post) 1. Login to the Dashboard. Click on Posts in the Menu to the left. 2. Select the Post from the list and Click on the All Posts option. 3. Hover the cursor over the relevant Post title to show the edit options. Edit enables you to the change/update the content of the post. Quick Edit enables you to change/update only the post details & meta data without leaving the All Posts list screen. 4. Perform edits as required. 5. Click Update Categories Categories are sections and sub-sections within the blog into which Posts can be organised. Deleting a Category will not delete the posts within it; they will just default to Uncategorised. Tags Tags are keywords that you can assign to posts and images. Tags identify important information and enable posts/images to be located via search functions. Posts can also have a URL friendly version* (called a Slug ) meaning that the URL can read something like; instead of *Note that the Settings may have already been configured to do this by using the blog title as the URL. 6

8 Comments One of the features of a blog is the facility for viewers to leave comments after your Post/s. Although User registration is required in order to leave a comment, spam can be an issue. Your Budget Pro website has an anti-spam Captcha feature installed to ensure that login can only be done by persons and not Spam-bots. Spam is unfortunately an inconvenience that will continue to affect most web users. Should the Captcha method prove less effective than required, an anti-spam subscription may be worth engaging. Wordpress recommends Askimet as an effective subscription against spam ($5 per month) or SI Captcha Anti-Spam (free). Tutorials for installation of these plugins are available online, otherwise, please contact Lime Dezign for assistance. To manage Comments: 1. Click Comments in the Dashboard. 2. Move the cursor over the selected comment to show the options Unapprove Reply Quick Edit Edit Spam Trash Image Slider and Gallery (where applicable) The image-slider on the Home page, and the gallery accessed from the main menu, are both features that have been enabled by the installation of website plug-ins. Access to the settings for each is via the Admin side-menu. Image Slider Your Budget Pro Website may be installed with Revolution Slider which is a feature-rich image slider with responsive, full-width capability and animated, CSS-enabled caption layers. The task of adding and configuring images requires some more advanced webmanagement skills, and may be too complex for many website managers to undertake without such. If in doubt, please contact us to assist with edits and updates to the Image Slider. Gallery The Photo Gallery plug-in settings are relatively simple and intuitive to navigate. Website managers can add and edit images without the need for any web-coding skills. The size of the images in the gallery is 1024x683px. For consistency, new images should be sized to match be being uploaded. To upload and add images; 1. From the Admin side-menu, select Photo Gallery 2. Click on Add Images, which opens the Add Images window 7

9 3. Click Upload Files, and browse to select the relevant image file/s. 4. Click Open, and wait for the file/s to upload (may take a few moments, be patient) 5. Click to select the uploaded image, and click Add selected image/s to gallery 6. To change the list order the image, click & drag the icon to the left of the listing 7. Click Save (or Apply, to save and keep the image list open) Website Traffic Statistics With the appropriate tracking code installed, Google Analytics provides information about the website traffic that has visited your site. Budget Pro websites are also installed with a plugin that enables basic Google Analytics data to be viewed directly from the website Administrators Menu in the back-end. To view Analytics data in more detail, go to and sign in with your Gmail account details: Implementing well-planned Search Engine Optimisation and Website Marketing strategies will serve to connect potential customers with your website, and is often required for a website to be effective in a competitive environment. Website Reliability and Security As web technologies develop at an ever increasing rate, website maintenance has become an ever increasing necessity in terms of both security and reliability. Your website owes most of its style and function to a combination of the latest offerings from a range of publishers and developers. As developers find new ways to improve 8

10 online experience, so hackers find new ways to exploit server and platform security, and developers in turn find ways to preserve that security. This process results in a very short service interval for crucial software updates (including the website platform and all extensions and plugins), and a need for regular website backups. Failure to perform regular updates and maintenance usually results first in a minor fault with either the website or the Administrator back-end function, but can also manifest in major failure or breach. Cost involved in website maintenance is usually little other than the time taken to perform the tasks. Updates should be performed by someone technically knowledgeable in website administration. Back-ups can be easily performed by any authorised person via the host-server cpanel. There is also a good range of third-party developed Wordpress backup plugins available. Please contact Lime Dezign if you d like the peace of mind having these tasks performed for you. Backup Procedure (cpanel) 1. Login to your web-hosting control panel eg Under Files, select Backup Wizard 3. Click Backup 4. Click Full Backup 5. Leave Destination as Home Directory Select the Do not send... option Click Generate Backup 6. The backup will take several minutes to complete. Once complete, the backup download link can be accessed via Files > Backups > Download or Generate a Full Website Backup 9
