3 Executive summary FERTINNOWA is a coordination and support action, involving 23 partners from 10 countries, that strives for a high degree of interaction within the project (between the different partners but also with the External Advisory Board which is considered as an internal feedback body of the project) as well as externally with the broad target community of the project, the so-called FERTINNOWA-platform for exchange of knowledge on innovative water solutions for fertigation. This platform consists of the consortium members on the one hand and stakeholders groups including policy makers, consumers, NGOs, the technology supply and fertiliser industry, growers, scientific community, farm advisers and knowledge institutions on the other hand. A good and clear communication is necessary to fulfill all FERTINNOWA s goals. To communicate externally and internally, digital newsletters, so called E-newsletters, are distributed at least 2 times per year. Two versions of the E-newsletter are distributed: 1. E-newsletter for stakeholders (external): this E-newsletter publishes highlights of the project as well as general project news, event announcements, or invitations to participate in surveys; it will also be posted on the website and is public available. 2. E-newsletter for consortium members and members of the External Advisory Board (internal): this e-letter is identical to the external E-newsletter but includes additionally the highlights of the meetings of the General Assembly and Executive Board, practical information, guidelines, etc. The 2 nd internal edition of FERTINNOWANEWS was released the 5 th of July This edition intended to give consortium members and members of the External Advisory Board a general overview of the current status of the past and planned FERTINNOWA actions, expectations, and deadlines. The 2 nd edition of this internal newsletter became a relevant working document, providing links to both the website (for example the reports of the field visits to growers in Slovenia) and to guiding documents on Projectplace. Consortium members can consult relevant documents by clicking on the links. 3 One week after the release of the newsletter, members of 18 of the 23 beneficiaries of FERTINNOWA had read the newsletter. All of these readers are closely involved in the practical implementation of FERTINNOWA s tasks. These results indicate that the digital newsletter is a good way to communicate the project status to the consortium members. On the 15 th of July, a slightly adapted version of this newsletter was sent to the 16 Members of the External Advisory Board that had confirmed their commitment so far. Half of this group opened and read the newsletter. On the 12 th of July, the 2 nd external version of FERTINNOWANEWS was launched. This newsletter focussed on the announcement of the benchmark workshop, the first big event of FERTINNOWA and gave a short resume of the field visits carried out in Slovenia. Furthermore, one of the first results of collective growers consultations was highlighted, expressing the use and need for this type of consultations. One week after the release, 117 of the 468 subscribers (25%) had opened the newsletter. Table 1 gives an overview of the content and success rate of the 3 versions.

7 1 Objectives The FERTINNOWA thematic network started on the 1 st of January 2016, strives for a high degree of interaction. FERTINNOWA intends to create interaction both at internal and external level what makes a good and clear communication necessary. To support this internal and external communication, a digital newsletter, so called FERTINNOWANEWS, is distributed at least 2 times per year. Two versions of the E-newsletter are distributed: 1. E-newsletter for stakeholders (external): a. Targeted audience: the broad target community of the project, the so-called FERTINNOWA-platform for the exchange of knowledge on innovative water solutions for fertigation. This platform consists of the consortium members on the one hand and stakeholders groups including policy makers, consumers, NGOs, the technology supply and fertiliser industry, growers, scientific community, farm advisers and knowledge institutions on the other hand. b. Content: this E-newsletter publishes highlights of the project as well as general project news, event announcements, or invitations to participate in surveys; it will also be posted on the website and is public available. 2. E-newsletter for consortium members and members of the External Advisory Board (internal): a. Targeted audience: i. collaborators of the 23 beneficiaries and 1 linked third party of FERTINNOWA ii. the 20 members of the External Advisory Board which are considered as an internal feedback body of the project. b. Content: The internal newsletter aims to give consortium members and members of the EAB a complete overview of the status of the current actions of FERTINNOWA and the short-term expectations. Therefore this e-letter is identical to the external E-newsletter but includes additionally: i. the highlights of the meetings of the Executive Board ii. status of the different work packages iii. practical information like deadlines, expectations, guidelines, etc. The internal newsletter is available on Projectplace and placed on a restricted area of the FERTINNOWA website. Consortium members and members of the EAB have access to this web-page. 7 This deliverable (D6.3) report is aimed to inform the European Commission about the release and impact of the second internal and external newsletter.

8 2 Design The design of the 1 st external newsletter was maintained for the release of the 2 nd edition of both the internal and external version of FERTINNOWANEWS. Mail Chimp - an online marketing service- was used for editing and distributing the 2 nd version of FERTINNOWANEWS. For more detailed information on Mail Chimp, we refer to or to the Deliverable report 6.1, section 2 Design. 3 Reporting of sent campaigns Mail Chimp offers the possibility to create reports of the sent campaigns or newsletters. These reports offer the following important information: - The opening rate: how many of the subscribers actually opened the mail - Click rate: how many of the readers clicked on a link, surfing to the related link - Overview of the addresses of the readers. 9 4 Release of the second internal E-newsletter 4.1 for consortium members Date of release: 5 July 2016 The second edition of FERTINNOWANEWS for consortium members was due month 6 of the project, which was June The second edition of the internal version of FERTINNOWANEWS was released on the 5 th of July Content The 2 nd edition of FERTINNOWANEWS for consortium members comprises short articles that focused to: Inform all consortium members of the status of the current activities and tasks. Provide consortium members, involved in the current or further tasks of the necessary practical information like e.g. guidelines and important deadlines. Provide answers to frequently asked technological, administrative or financial questions. Examples of these questions are: o Is it possible to claim PM before a task has started? o What are collective consultations and how can we organize them? Provide general support on Projectplace: Projectplace is a web-based project management tool that includes modules like Team conversations, Document Archive, Issue Management, Planning & Tracking, Meeting Management, Project Portal, and Contacts. FERTINNOWANEWS provides team members of practical tips on how to use Projectplace in a more efficient way and to further the internal collaboration. For example, the App on editing documents directly on the Projectplace platform inhibits the circulation of different versions of 1 document. Provide links to relevant parts of the website or contain links to specific documents on Projectplace that contain more detailed guidelines, overviews, templates, etc. In this way, readers and involved consortium members can easily find the relevant documents. 9 The focus of the 2 nd internal newsletter was mainly on the tasks of WP2, WP3, and WP6: Reporting to the European Commission: completing timesheets and reporting on dissemination activities (t1.2). Growers consultations (t2.3) refers to the questionnaires that are completed. Collective consultations (t2.4). Meta-knowledge database (t2.2). Website (t6.2.1). General information on coming events and FERTINNOWA activities like the Benchmark workshop. A complete version of the 2 nd internal edition of FERTINNOWANEWS is attached in Appendix 1.

10 4.1.3 Distribution list The 2 nd internal newsletter was sent to the complete FERTINNOWA consortium consisting of both technical and financial persons involved in FERTINNOWA. The distribution list consisted of 92 consortium members. The complete distribution list is attached (see Appendix 2) Report In total 38 of the 92 (41.3%) subscribers opened the 2 nd edition of the internal newsletter. Eighteen consortium members of the 23 beneficiaries opened the newsletter. All of these consortium members are involved in the practical implementation of FERTINNOWA s tasks. 15 % of the readers clicked one of the items of the newsletter. The link to the brochure of EIP-Agri was clicked 60 times so far on a total of 81 clicks for the total newsletter. 4.2 for members of the External Advisory Board Date of release: 15 th of July Content The 2 nd internal edition of FERTINNOWANEWS was also sent to the members of the External Advisory Board. The content of this version is almost identical to this of the consortium members. The only difference is that this version includes links to a dedicated web page of the FERTINNOWA website with restricted access as the members of the EAB have no access to Project Place. This protected area gives the members of the EAB access to the reports of the Executive board and the General Assembly. All other reports and documents relevant to the members of the EAB will be available on this webpage. 10 A complete version of the 2 nd internal edition of FERTINNOWANEWS for members of the EAB is attached in Appendix Distribution list The 2 nd internal edition of FERTINNOWANEWS was sent to the list of members of the External Advisory Board that had confirmed their commitment so far. The complete distribution list is attached (see Appendix 4) Report In total 8 of the 16 (50%) subscribers opened the 2 nd edition of the internal newsletter. Only 2 readers clicked one of the items of the newsletter.

11 5 Release of the second external E-newsletter 5.1 Date of release: 12 July 2016 Publication of the 2 nd external E-newsletter was due to month 6 of the project which was June The release of the 2 nd external edition of FERTINNOWANEWS was slightly delayed until the 12 th of July This 2 nd edition of the FERTINNOWA newsletter focussed on the announcement of the Benchmark workshop. After the release of the 2 nd internal edition of FERTINNOWANEWS on the 5 th of July, consortium members were given 1 week time to register on the Benchmark platform. With already some participants in the workshops participants list, the registration platform looked more attractive for interested visitors. 11 Figure 2 Participants portal of the registration platform for the Benchmark workshop 5.2 Content The 2 nd edition of the external version of FERTINNOWANEWS focussed on the announcement of the Benchmark Workshop Meeting growers needs: optimal management of irrigation and fertigation which will be celebrated on the 12 th and 13 th of October in Brittany, France. Besides a short introduction of the event, the newsletter provided important links to the registration platform which also contains more detailed information on the agenda, one-to-one meeting sessions,.. Special focus goes to the call for exhibitors. Furthermore, one of the first results of the collective growers consultations and the field visits carried out in Slovenia were highlighted.

12 To view the complete external newsletter click the link (FERTINNOWANEWS) or see Appendix Distribution list The 1 st internal newsletter was successfully sent to 468 subscribers on a total of 499 subscribers. The group of subscribers is composed as follows: - Advisors: 13% - Authorities (national and European level): 5% - Consortium members of FERTINNOWA: 19% - Dissemination platforms : 2% - EU-officer: 0.2% - Growers and grower s organisations: 38% - Industry, enterprises and SME s: 12% - Irrigation communities: 0.4% - NGO: 0.4% - Research (non-universities, universities, H2020-projects and other national and European projects): 10% Almost 40% of the list of subscribers consists of growers or grower s organisations. 12 Figure 3 Composition of the distribution list of the first external newsletter

13 5.4 Report 117 of the 468 (25%) subscribers opened the newsletter. 4.7 % of the readers clicked one of the items of the newsletter. A click map of the newsletters shows that most clicks occur on the FERTINNOWA events web-page (13 clicks) closely followed by the FERTINNOWA website (11 clicks. Also, the links attached to the field visits of the Slovene growers (8 clicks) and the consultation of the cucumber growers (6 clicks) were clicked. The link to the brochure of the thematic networks was hardly clicked. 13

14 6 Conclusion The 2 nd internal edition of FERTINNOWANEWS intended to give consortium members and members of the External Advisory Board a general overview of the current status of the FERTINNOWA actions and the short-term actions, expectations, and deadlines. The 2 nd edition of the internal newsletter became a relevant working document, providing links to both the website (for example the reports of the field visits to growers in Slovenia) and to guiding documents on Projectplace. Consortium members can consult relevant documents by clicking on the links.
