1 PwerSchl ffers a variety f tls that schl administratrs and ffice staff can use t cmmunicate infrmatin effectively with students, parents, and staff members. Learn hw t create mailing labels, print reprts fr individuals and grups, and create frm letters, reprts cards, reprts, rsters, and daily bulletins. Mailing Labels Use mailing label templates t print mailing r ther infrmatin n labels fr students r staff. Fr example, fr a frm letter that must be mailed t each student s hme, create mailing labels fr the envelpes. Or create file flder labels r name badges. T set up the mailing label template: 1. On the Start Page, click System Reprts > Setup > Mailing Labels 2. Click New 3. Enter a title reflecting the purpse f the labels and the label stck type, such as Parent Mailing Label Avery Select a data table: Students r Staff Quick Reference Card 6. Fr the Label Cntent, fllw these rules: Enter text as yu want it t appear n every label Enter PwerSchl fields and data access tags using the syntax ^(field name) Put spaces between the bjects Bulk mailing labels shuld use uppercase letters in Curier r Helvetica fnt, and n punctuatin and tw spaces between the state and zip cde Use the syntax ^(field name;uppercase) fr uppercase letters 7. Select whether the labels will be available t all users r nly users at yur schl Fr the parent label, chse Students. 5. Enter the page and label size dimensins using the infrmatin frm the label stck bx, r use a ruler t figure ut the dimensins including: Matching the values fr the fnt size and line height Using padding t create a margin n the label, but nt t much r the lines will creep dwn the page Printing a test page t check the alignment Cpyright 2014 Pearsn 1

Select whether teachers can print the labels, and click Submit Printing Reprts Use the Print Reprts page t print custm reprts fr individual students and staff members, as well as grups f students and staff members. Printing Reprts fr an Individual Student 1. Search fr and select the student 2. Click Print A Reprt 3. Chse which reprt t print 4. T print student schedules, select enrllments t include; t print a fee list, select which transactins t include 5. If using a watermark, select text and mde 6. Define when t print the reprt 7. Click Submit Printing Reprts fr an Individual Staff Member 1. On the Start Page, click Staff Search 2. Search fr and select the staff member 3. Click Print a Reprt 4. Chse which reprt t print 5. If printing a fee list, select which transactins t include 6. If using a watermark, select text and mde 7. Click Submit Printing Reprts fr Grups f Students 1. Select a grup f students 2. Click the Select Functin arrw and chse Print Reprts 3. Chse which reprt t print 4. In the Fr which students sectin, select hw the reprt will be printed fr the selected students 5. Select the print rder 6. T print student schedules, select enrllments t include; t print a fee list, select which transactins t include 7. If using a watermark, select text and mde 8. Define when t print the reprt 9. Click Submit Printing Reprts fr Grups f Staff Members 1. On the Start Page, click Staff Search 2. Select a grup f staff members 3. Click Functins > Print a Reprt 4. Chse which reprt t print 5. Select whether t run a test reprt by printing the first few pages 6. If printing a fee list, select which transactins t include 7. 3 Frm Letters Use frm letters t print custmized letters fr students and staff. Fr example, create a letter fr parents ntifying them f their student s attendance ttals r GPA. There are tw parts t setting up a frm letter. Setting Up the Frm Letter Template 3. Type the bdy f the letter Use PwerSchl fields t insert infrmatin frm the database (click the blue Fields link t select valid fields). Use data access tags t insert data frm the server. Use HTML tags t frmat the style f the text with bld r italics emphasis. 1. On the Start Page, click System Reprts > Setup > Frm Letters 2. Click New 3. Enter a title, such as Perfect Attendance Award 4. Select a data table: Students r Staff Fr the Attendance letter, chse Students. 5. Frmat the page style and dimensins The rule f thumb is t make the line height tw pints higher than the fnt size. 6. Select whether t make the frm letter available t all users r nly users at yur schl 7. Select whether teachers can print 8. Click Submit Setting Up the Bdy f the Letter 1. Click the title f the new frm letter 2. Click Reprt Bdy 4. Click Submit Reprt Cards Use the reprt card template t create any reprt n which yu need student schedule infrmatin, such as reprt cards, prgress reprts, student schedules, and attendance letters. Reprt cards print either current grades r stred grades, but can nly include terms within the term selected n the PwerSchl Start Page. There are five parts t setting up a reprt card template. Enter a title fr the template, such as Prgress Reprt r Semester 1 Reprt Card 4. Enter the title that will print at the tp f the reprt card r prgress reprt 5. Chse the title style 7. Click Submit Schedule Listing 1. Click Schedule Listing 6. Click Submit Heading 1. Click the title f the reprt card template 2. Click Heading 3. Chse the heading text style and alignment 4. Enter text that yu want t appear in the heading 5. Enter PwerSchl fields t insert infrmatin frm the database and data access tags t insert data frm the server 2. Fr Clumn Title and Class Listings, chse a fnt style 3. Make the listing line height tw pints higher than the fnt size 4. Fr Frame, enter a width f 1 r 2 5. Fr Crner Runding, enter a value t rund the crners f the frame, such as 6 6. Fr Divider Line Width, enter values, such as.25 t create a grid arund the schedule infrmatin 7. Fr Padding, enter a value such as 6, t create white space in the grid cells t increase the readability 8. Enter terms t repeat if yu want t shw schedule listings fr tw different terms in tw separate grids 9. Define the clumns by selecting what each clumn shws 10. Specify the term cde, if needed 11. 5 12. Enter clumn widths in inches 13. Enter clumn alignments - L (left), R (right), r C (center) 14. Check When listing classes taken in a specified term and enter the terms separated by a cmma t list nly classes that cntain a final grade 15. Check Extended stred grade retrieval t include additinal stred grades Fter 1. Click Fter 2. Select the fter text style and alignment 3. Enter text 4. Enter PwerSchl fields t insert infrmatin frm the database and data access tags t insert data frm the server 5. Enter HTML tags t frmat the style f the text 6. Click Submit Reprt Setup Specify wh can print the reprt card and what the reprt card will lk like when it is printed. 1. Select whether t make the reprt card available t all users r nly users at yur schl 2. Select whether teachers can print 3. Click Margins & Page Setup t alter the margins and page setup if yu want t print the reprt n schl letterhead 4. Click Special Printing Optins t print multiple reprts per page 5. 6 Imprting and Exprting Reprts Imprting Reprts Yu can brrw reprts frm ther PwerSchl users. These may be available frm the PwerSchl User Grup (PSUG), ther user grups, r directly frm ther PwerSchl users. Verify that the template is a.pst file. 1. On t the Start Page, click System > Imprt Reprt Template 2. Select the character set t match the perating system f yur server if it has nt been set autmatically (Mac Rman is the default fr Mac servers; Windws ANSI is the default fr Windws PC servers) 3. Click Brwse, and select the file t imprt 4. Click Imprt Exprting Reprts Exprt reprts fr several reasns. Yu may wish t share a reprt with anther PwerSchl user, r yu may want t save a backup f a particular reprt while yu re making changes. 1. On the Start Page, click System Reprts > Setup 2. Select ne f the fllwing: Frm Letters, Mailing Labels, Object Reprts, r Reprt Cards 3. Click the title f yur reprt 4. Click Exprt Reprt as Template 5. Save the file t yur desktp Printing Class Rsters The Class Rsters (PDF) reprt creates a PDF file that displays specified infrmatin fr students in the classes f teachers yu chse. Printing a cpy f the Class Rster is an excellent way fr the teacher t have a class list as a field trip rster r end f term grade verificatin sheet. 1. On the Start Page, click System Reprts > Class Rster (PDF) 2. Select the teacher(s) t print rsters fr 3. Select the meetings 4. Select which students t include 5. Chse hw the text in the header will appear n the reprt 6. Select when t print the heading 7. Set up the heading text: Enter text Enter PwerSchl fields t pull infrmatin frm the Sectins table, and enter data access tags as needed Nte: The field ^(class_expressin) des nt wrk; use ^(expressin) instead. 8. Chse hw the rster clumns will appear n the reprt 9. Set up the rster clumns using the frmat: field name\clumn title\clumn width\alignment 10. Set the rster page dimensins and settings 11. 7 Using the Daily Bulletin The daily bulletin is a tl administratrs use t pst annuncements, messages, and reminders t ther staff, students, and parents. The bulletin is an nline bulletin bard, nt an utility. Creating Bulletin Items 1. On the Start Page, click Special Functins > Daily 2. Click New + 3. Enter a date range 4. Select the target audience Public: All users (administratrs, parents, students, and teachers) can view the item Teacher Users: Administrative users and teachers can view the item Admin Users: Only administrative users can view the item 5. Enter the srt rder 6. Enter an item title, such as Staff Meeting This Friday 7. In the Item Bdy, type yur message using the frmatting tlbar and HTML, if desired 8. Click Submit Editing Bulletin Items 1. On the Start Page, click Special Functins > Daily 2. Click the start date f the bulletin item yu wish t edit 3. Edit the Date Range and Target Audience fields 4. Enter the preferred srt rder, such as 10 Items that have the same srt rder will srted by date. Use the default srt rder f 0 fr items that are very imprtant and need t be listed first. 5. Edit the Item Title and Item Bdy fields 6. Click Submit Deleting Bulletin Items 1. On the Start Page, click Special Functins > Daily 2. Click the bulletin item s start date 3. Click Delete Viewing All Bulletin Items 1. On the Start Page, click Special Functins > Daily 2. 8 Changing Bulletin HTML Frmatting Preferences 1. On the Start Page, click Special Functins > Daily 2. Belw the list f items, click Bulletin HTML frmatting preferences 3. Fr Item Title Start, enter HTML tags, as shwn belw, t specify hw yu want text t appear in bulletin item titles Indicate which fnt t use, hw large the letters shuld be, and what clr the letters shuld be. 4. Fr Item Title End, enter HTML tags t turn ff the specificatins fr fnt, size, and clr that yu entered in the Title Start field 5. Fr Item Bdy Start, enter HTML tags t specify hw yu want the text t appear in the bdy f messages 6. Fr Item Bdy End, enter HTML tags t stp the frmatting 7.
