1 Symplicity Career Services Manager Student User Reference Guide WELCOME TO SYMPLICITY! Wayne State University Law School Career Services Office Symplicity is the new web-based career management system used by the Career Services Office. Using Symplicity, you may search job postings, apply online for positions, participate in on-campus recruitment programs, and view announcements of upcoming CSO programs and events. I. LOGGING IN & HOME PAGE To access Symplicity, go to Enter your username (your address) and password. If you forget your password, you may click on the Forgot my password tab to have a new password generated and sent to your address. Once you login, you will see the Symplicity home page. A button next to the help icon on your home page will launch an instructional video. Available videos include: Getting Started, Employers, Jobs, Events and Interviewing. The Announcements section of the home page will contain messages from the Career Services Office. The Alerts section will display system-generated messages. Use the calendar on the right to quickly access information on CSO programs/workshops, application deadlines, and other events. Several tabs are located across the top of the page to direct you to other sections of the site which are explained in this handout: home, profile, documents, jobs, employers, networking, OCI, events and calendar. You may return to the home page from anywhere in Symplicity by clicking the home tab. USER TIP: While navigating through Symplicity, use the return link provided at the top of each page. You cannot use your browser s back button to return to a previous page. USER TIP: To select more than one option from a dropdown menu, hold the control button and click selections with your mouse.

2 II. PROFILE Complete the profile section to gain full access to Symplicity. Please complete your profile as completely and accurately as possible. When you do, the CSO will be able to contact you about specific job opportunities, career-related panels and programs that may interest you. There are tabs within the profile section that request specific information. Required fields are marked by an asterisk. The Personal Information page asks for information such as your address and telephone number. Be sure to click Save Changes or Save Changes and Continue at the bottom of the page to save your information. Save Changes will save the data and keep you on the same page; Save Changes and Continue will save your information and take you to the next page of the profile section. If you would like to change the password that was generated for you by Symplicity, use the change password tab under profile. Click the change button to confirm the change. Activity Summary will show you all of the actions you have performed on the site. A link to this section is also located on the home page under quick links. On the Academic Information page, provide information such as anticipated graduation date and preferred practice areas. Under the Privacy tab, click yes to make certain that you receive important messages from the CSO. On occasion, we may generate Resume Books for employers. For example, at an employer s request we can use Symplicity to search for students who have a background in science or engineering and group their resumes together in an online Resume Book for the employer. If you would like to have your resume included in these Resume Books, click yes under Promote My Resume to Employers. III. DOCUMENTS The documents section of the site allows you to upload and view your resume, cover letters, unofficial transcript, writing samples and references. A. How do I upload documents? Click documents to upload documents and view previously uploaded documents. To upload new documents, click the Add New button. Enter a title for your document and select the document type (resume, cover letter, unofficial transcript, writing sample, or other documents; other can be used for your references). Click the Browse button, find the file you wish to upload from the 2

3 saved documents in your computer, and double click on the document file. Once the file appears in the box next to Browse, click the Submit button. The system will convert the document into pdf format. The conversion process typically takes 5-10 minutes. While the system converts the document into a pdf format, the Status column will read converting. Once the document is converted to pdf format and is ready to submit to employers, the Status column will read ready. B. Can I store multiple versions of my resume? You may store multiple versions of your resume by clicking the Add New button and uploading a new resume file. You will have to designate one resume as your default resume. The default resume is the resume that employers will see in the Resume Book if you have chosen to activate that feature under the Privacy tab in profile. Your default resume will also be highlighted at the top of your resume list every time you submit your resume, though other resumes will also be available for submission. You may change your default resume at any time by clicking on the make default button in the Options column. C. Can I store multiple versions of my other documents? You may also store multiple cover letters and writing samples. You will have the option of choosing which cover letter or writing sample to submit to an employer during the bidding process. D. How many documents may I store? Altogether, you may store ten documents. When you have reached the maximum, you will receive an on-screen message and you ll have to delete one document to upload another. E. How do I upload my transcript? Log onto Pipeline and copy and paste your transcript into a document to upload to Symplicity. IV. JOBS View job postings by clicking jobs from the top navigation bar. Use the drop down menus at the top of the page to sort job postings by employer, position type, etc. You may find a specific job by inputting details into the Keyword 3

4 Search box on the top right, and then click the Apply Search button. Review position details by clicking on the position s link in the Title column. Review the posted date and resume submission deadline (if any) by using the Important Dates feature on the right. Submit a resume by highlighting the resume from the resume dropdown ( Application Status on the right side of the screen). You may also add a cover letter, writing sample, transcript, and references that you have previously uploaded along with cover notes. Click the Submit button from the Application Status on the right. A. What is an Advanced Search? From the Advanced Search tab, you may refine your job search by using keywords, locations, position types, etc., and then clicking the Submit button. Save your advanced search as a search agent by clicking on the Advanced Search tab, checkmarking Save As, and then inputting a name in the Search Agent field. View a list of search agents by clicking on the Search Agents tab. Search Agents can be programmed to run automatically according to a predetermined schedule. You enable the Search Agent by clicking on the Search Agents tab, selecting the appropriate agent name under the Label column, clicking yes on the next page, and setting the Period and Multiple settings. For example, to run a search every two weeks, select Week under Period and 2 under Multiple. Any enabled Search Agents will run automatically and Symplicity will the results to you. B. What is a Favorite job posting? You may mark any job posting as a Favorite to be reviewed again later. You can do this by clicking on Add Favorite in the last column of the jobs list under the jobs tab, or clicking the Add to Favorites button on the bottom of a specific job posting page. To view your saved favorites, click on the Favorites tab. V. EMPLOYERS Click employers from the top navigation bar to browse employer profiles and designate favorite employers. To search for specific employers, input the name of the employer in the Keyword Search box and click the Search button. If an employer has a profile or available positions, then the employer name will be underlined. You may designate any employer as a Favorite to review again later. Simply click on the Add Favorite link. To view all employers you have marked as 4

5 favorites, click the Favorite Employers tab. Take employers out of Favorites by clicking on the Remove From Favorites button. VI. NETWORKING The Wayne Law Mentor Directory will soon be available on Symplicity. The Career Services Office is in the process of inviting alumni to sign-on as mentors for students and recent graduates. When we have a critical mass of participating alumni, we will provide instructions for accessing and using the Directory. VII. OCI Students will utilize Symplicity to participate in the Law School s on-campus recruitment programs, including Fall OCI, Spring OCI, and the Public interest Career Fair. A. Searching Employers To view a list of participating employers, click the OCI link on the top navigation bar, click the Employers/Bidding tab, and select the appropriate OCI session (Fall OCI, Spring OCI or Public Interest Career Fair). You may refine your employer search by entering information into the Keywords field such as employer name and location. Then click the Search button. Click the Review button to the left of each employer to review their recruiting information. The OCI Schedule section (top left of the page) will provide a link to the employer s website, interview length, the class years of the students they are recruiting and the interview location. The Employer s Schedules section (bottom left of the page) will provide information on the employer s interview date, the offices for which the employer is recruiting, application materials required, and the employer s hiring criteria. The Bid Details section (top right of the page) shows your bid status and the required application materials. To research participating employers, be sure to go to the employer s website. You may also research employers using and Westlaw. It s also a good idea to google an employer to find out whether it has been in the news recently. B. Bidding for Employers To bid for employers, choose the appropriate session from the Session dropdown menu under the Employers/Bidding tab of the OCI page. You may 5

6 click the Review button to the left of the employer name or the Apply button in the Bidding column. On the next page ( Bid Details ), you will see dropdown menus for each document required by the employer. Select which of your uploaded resumes to submit and, if required, which cover letter, transcript, writing sample or other document to include. If the employer is interviewing for more than one office, you can specify your office preference in the Preferred Location(s) box. Click Apply to submit your bid. You may confirm that your bids were correctly submitted. Under the Employers/Bidding tab, select the correct OCI session from the dropdown menu. From the Employers dropdown menu, select With Bids and click search. The list of employers you have bid for within that particular OCI session will display in the lower portion of the screen. A Note on Class Rank: Many OCI employers have a class rank requirement. The Law School has not yet announced class rankings. In the meantime, there is no reliable method for estimating your class rank. Thus, you should apply to those employers in which you have an interest and whose additional requirements you meet (such as anticipated graduation date, Law Review, Moot Court, etc.) When applying, please exercise reason and sound judgment. If you have a 2.2 GPA, it s safe to assume you re not in the top 10% of the class. Also, be sure to include your grade point average on your resume. C. Notification and Scheduling of Interviews When you are selected for an interview, you will be notified by . Log into Symplicity, click OCI. Under the Employers/Bidding tab, select the correct OCI session from the dropdown menu. View the employers for which you have already bid. Under the Invitations header, you will see the response to your bid. If you were selected by the employer, an Accept pre-select button will appear. If you were not selected, the status will display not invited. Click the Accept pre-select button and you will be prompted to choose an interview time slot with that employer. Only available time slots will display. Make a selection and click sign up. Review your scheduled interviews by clicking the Scheduled Interviews tab under OCI and selecting the appropriate session under the Session dropdown list. All of your scheduled interviews will display. 6

7 To decline an interview, please contact the Career Services Office at or Fall OCI Tip: During the busy fall recruitment period, check your and log into Symplicity at least once a day. RESUME COLLECTION AND DIRECT SEND EMPLOYERS Some employers listed on the OCI section of Symplicity are not conducting interviews on-campus. Some employers have requested that we collect resumes from interested students and send the resumes to them in one packet or wish students to apply to them directly. These employers will contact students directly about interviews. How do I apply for resume collection employers? Employers requesting a resume collection are included in the Collection Only session. The interview date listed for each of these employers is their bidding due date; the interview location will be shown as Collection Only. You should bid for Collection Only employers in the same manner for which you bid for interviewing employers, bearing in mind that all future communication regarding possible interviews will come directly from the employer. How do I apply for direct send employers? Employers requesting that students contact them directly are listed in the Send Direct session. All Send Direct employers have an interview date of December 1 st listed; you can ignore this deadline as it is just a place holder in the system. You will be able to review the application requirements for these organizations on Symplicity but all application materials must be submitted directly to the employer. If the employer has an application deadline, it is listed in the Additional Requests column under the Employer s Schedules section of the employer review page. All future communication regarding possible interviews will come directly from the employer. VIII. EVENTS/CALENDAR Information on all CSO programs, workshops, events and recruitment deadlines can be found on Symplicity. You may access this information through the events or calendar tabs. Click on the calendar tab from the top navigation bar and select either the Day, Week, Month or Year tab. Select a specific date, week, month, or year to view all the events in that period. Scroll to the bottom of the page to see a list of events for that period and click on any event to see its details. You may use the 7

8 Personal Events tab under calendar to include information on anything else you would like. You may also click on the events tab to see a listing of all programs and workshops being held by the CSO. Click on any event to see its details. 8
