2 MySites: Navigation to your My Site: Tacoma Schools Home Page Click on either SharePoint or Intranet in the bottom right corner Click on your name in the top right corner Select My Site Edit Your Profile: Select the My Profile link across the top. Click Edit My Profile under the picture space. SDESSEAU 4/18/13 2
3 Profile Options: Only fields with * need to be completed. Indicates a field that is updated automatically from the district directory. Changes to these properties may be lost. You can use the drop down arrow under Show To to adjust who will be able to see your profile choices per line item. Picture: You may upload any picture you have saved on your computer. Ask me About: Topics you can help people with, such as your responsibilities or areas of expertise. Contact Information: Complete any contact information you wish to include in your profile. Newsfeed Settings: Identify any areas of interests and modify Notifications and Activities per your interests. Be sure to Save and Close when done. SDESSEAU 4/18/13 3
4 Colleagues Add people as colleagues to follow their activities such as profile updates, blog entries, and tagging. Using Colleagues also makes for a quick way to view shared documents. Click on My Colleagues. Click Add Colleagues. Enter colleagues by name, TPS Username, or use the address book to search for colleagues to add. Use a semi-colon; between names when adding multiple colleagues. Use the Check Names verify. to Click OK to add colleagues. SDESSEAU 4/18/13 4
5 Viewing Colleagues Information Click on colleague s name Use the tabs below the colleague s name to view their information. The Content tab under their name will give you access to any documents they have shared. SDESSEAU 4/18/13 5
6 Document Storage in My Site Select My Content in the menu bar across the top of your My Site. Shared Documents: Other users have access to these documents. Personal Documents: Only you have access to these documents. You must be logged into the TPS website with your username and password to see these. Click Add Document Use Browse to locate an individual document you wish to add. Use Upload Multiple Files to open a new window where you can drag folders or multiple files to upload at one time. Maximum files to upload at one time = 100. Check the Overwrite existing files box if you wish to maintain the latest version of duplicate files. Click OK when ready to upload. SDESSEAU 4/18/13 6
7 Accessing your Documents Your documents will appear in the main web part under Shared Staff Documents and Personal Documents. This main web part often is the most recently added documents. Use the links in the left navigation column to access the complete document libraries. ipad Users! You can access your documents from your ipad with the SharePlus or SharePlus Lite (free) APP. Granting Permissions to Specific Files or Folders 1. Check the box for the file or folder you wish to change permissions for. 2. Use the drop down arrow to the right and select Manage Permissions. 3. Select Stop Inheriting Permissions 4. Click OK on the next Message from webpage window. 5. Select Grant Permissions. SDESSEAU 4/18/13 7
8 Grant Permissions: 6. Select Users: Add users by name, TPS Username, or use the address book to search for people to add. 7. Check the Grant users permission directly button. Select the level of permission you wish. In most cases you want Contribute (user can add, modify and read documents) or Read only access. 8. Uncheck Send welcome to the new users. It is not necessary to send them an . If you do wish to have an sent, you may leave it checked and add a personal message. 9. Click OK when ready. SDESSEAU 4/18/13 8
9 Class Collaboration Provisioning (creating) your Class Site: 1. Tacoma Public Schools Intranet (click Intranet at the bottom of the TPS Home page). 2. Teacher Portal Tab 3. Click on the class you wish to provision. SDESSEAU 4/18/13 9
10 4. Add any staff members now that your think might want to use this site with your class. It is much easier to add them now than later! Think about librarians and specialists. Use a semi-colon ; between names. Use the check names and address book to locate and confirm names. 5. Click Provision Site(s) at the bottom. Be patient. It takes several minutes for the site to be provisioned. Use the refresh button, or F5 key to refresh until you see the site set-up is complete. 6. Once complete, you will also receive an with detailed information regarding the site, including student names. You can use the link in the as a shortcut to your class if you prefer. 11 Site Components: 1. Objectives: Use the Add New Item to add entry tasks, Do Now tasks, and Learning Targets. Files can be attached. 2. Assignments: Use the Add New Item to post assignments and files for students to complete. Students should always open the assignment, save it to their H Drive or My Site to complete. 12 3. Assignment Turn In: Students Add Documents to turn into the teacher as either Draft or Final. Please see the section on Assignment Turn In Naming Conventions for specific information regarding naming documents for successful uploads. a. Draft: The teacher can open assignment and leave comments for students. Students can still open and revise assignments. Modified by will indicate the last person who opened the assignment. b. Final: Assignments marked as final become Read Only to the students. They will no longer be able to open and revise, or delete the assignment. The teacher can open to add grades and make comments for students to view. 4. Agenda: Teachers can post agenda items and related documents. 5. Links: Teachers add links to websites they wish their students to use as part of school assignments. Be sure and test links from a student computer to be sure they will work. SDESSEAU 4/18/13 12
13 6. My Assigned Tasks: Assignments can be assigned to specific students for completion. Only the student assigned will be able to view and open the assignment. 7. Team Assigned Tasks: Teacher can post tasks here to be completed by teams of students. All students on the team can open the task and work on it cooperatively. 8. Team Shared Work: Teacher can post assignments here to be completed by teams of students. All students on the assignment and document to work on cooperatively. This is especially useful for PowerPoint files in where each student can each be responsible for a particular slide. Students need to be careful not to overwrite other students work. 14 9. Discussion Board: Teachers and students both can post discussion questions for others to view and respond to. Responses become immediately visible to all, making for a great real time forum for discussions. Students need to understand their responses are visible to all right away, so they need to be monitored and watchful of their comments. SDESSEAU 4/18/13 14
15 Assignment Turn In Naming Conventions File Names should contain no spaces, and avoid symbols. Using the underscore _ symbol is helpful in breaking up the name for ease of reading, and is a safe symbol to use for all applications. Think about the naming convention that may work best for you and your students. Teach and use one naming convention only for ease with your students over time. When viewing your students work in the Assignment Turn In section, you can filter and sort so this may be something you want to consider when determining a naming convention. The Assignment Turn In section will show you modification dates, so you will know at a quick glance when the assignment was turned in or last edited. Some may like to include the assignment assigned date for sorting. Here are some suggestions for naming conventions you may want to consider. 1. Date assigned/assignment/student username Example: 0130MartinLutherKing_aborish 2. Student Username_Assignment Example: aborish_martinlutherking 3.
