1 Filling a New Prescription Pharmacy Technology Solutions May, 2013

2 Filling New Prescriptions: Filling a New Prescription 1. From the Workbench, press or click the Patient button. 2. Type the patient s last name in the Last Name field. 3. Press or click the Search button. The Patient s record is displayed in the search results pane If no records appear, check your spelling, enter more search criteria or see Creating a New Patient Record 4. Highlight the correct patient record. 5. Press or click the OK button. 2

3 Filling New Prescriptions: Filling a New Prescription (cont d) Filling prescriptions from the patient profile gives you an opportunity to review the patient s medication before filling, which helps eliminate errors and saves time. 6. Press or click the Profile tab. 7. Press or click the New button. 3

Type the required information in the following fields: Patient = Patient s name on prescription - When filling new prescriptions from the patient s profile tab, the patient s name automatically populates Drug(s) = DIN, Generic or Trade name of the Drug(s) - When unsure of the correct spelling, type a portion of the drugs name and the system will attempt to find it Doctor = Prescriber s name on the prescription - Separate the last name and the first name with a comma (,) - Do not type the prescriber s designation such as Dr. Qty Auth= Quantity authorized by prescriber including all repeats Qty = Number of tablets/capsules/units that is being dispensed for this fill SIG= Prescriber s instructions for use administration of the medication and can also refer to as the dispensing directions - The instructions are retained when prescription is refilled, rebilled, or reauthorized Days Supl = The duration number of days the prescription will last - The field may automatically populate when using the systems SIG codes 9. Press or click the Process button. DO NOT use the Enter key to move from field to field, use the Tab key Press the Shift + Tab keys to move backward to previous fields Use the Tab key to update changes or make additions to a field 4

5 Filling New Prescriptions: Filling a New Prescription (cont d) Since the Drug name was entered instead of the DIN number, the Drug and Mixture Search window opens. 10. Press or click to highlight the correct drug. 11. Press or click the OK button. 12. Press or click to highlight the correct doctor record. 13. Press or click the OK button. 5

6 Filling New Prescriptions: Filling a New Prescription (cont d) The Interaction Summary window displays all drug interactions and associated levels of severity that the patient may experience by taking this prescription (e.g., drug-drug, drug-allergy, drug-food, drug-condition) and is based on the patient information in PharmaClik Rx. 14. Press or click the Accept button to continue. 6

7 Filling New Prescriptions: Filling a New Prescription (cont d) Before filling the prescription, scan the paper version of the prescription to attach it to this record. 15. Press or click the Rx button. 16. Press or click the Attachments button. 17. Press or click the Single Scan button when scanning of one side of document is required. OR Press or click the Duplex Scan when scanning is required for both sides of document. 18. Feed the document into the document scanner. 7

8 Filling New Prescriptions: Filling a New Prescription (cont d) The Preview Image window displays a sample of the image prior to attaching it to the prescription or folder Once you are satisfied with the scanned image, you can accept the image and continue filling this prescription 19. Press or click the Accept button. 20. Press or click the Fill button. 8

9 The Rx Detail Folder: a Glance Rx tab Indicates when the prescription is New, Refill, or ReAuth Contains the main information that is required when a prescription is filled Extended tab Provides a place to enter additional criteria, such as interval time periods Third Party tab Contains third party adjudication information Notes tab Contains prescription notes 9

10 The Rx Detail Folder: a Glance The Rx tab is comprised of seven (7 ) information boxes: Patient Information box Doctor information box Alerts information box Prescription information box Label information box Price information box Drug information box Patient information box Contains patient name, third party billing information, phone number, age, medical allergy, and medical condition checkboxes Press or click the yellow folder icon to open the patient s folder to view and/or modify patient information Press or click the magnifying glass icon to open the patient s clinical tab to view, add, or remove allergies or conditions Doctor information box Contains the doctor s name, phone number, license number and address The drop-down list allows you to choose the correct address for the prescription Press or click the yellow folder icon to access the doctor folder Drug information box Contains the Drug Information Number (DIN), pack size, onhand inventory (OH), generic and trade names, strength, form, manufacturer, and description Press or click the yellow folder icon to access the drug folder 10

11 The Rx Detail Folder: a Glance (cont d) Prescription information box Provides dispensing details of the prescription with fields populated based on information entered in the New Prescription window Displays the active third party drug plans Allows you to denote the prescription as verbal (V) or written (W) Displays the user currently logged-in to PharmaClik Rx Label information box Provides a preview of the expanded dispensing directions based on the SIG codes entered in the SIG field Alerts information box This displays all notes attached to this prescription and can be one or more of the following: Prescription notes, Patient notes, Doctor notes, Drug notes, and Group notes Price information box Displays the pricing information including cost, markup fee and total amounts before adjudication 11

12 The Rx Detail Folder: Action a Glance The following buttons allow you to perform various functions on prescriptions, as well as allowing you to finish or complete prescriptions in various ways. Rx button Contains a list of functions that can be performed on this prescription The TP Paid, Copay, Deduct, and Pays amounts will populate AFTER the prescription is filled Hold button Places the prescription in the Completed tab and in the patient s profile with a status of HOLD Escape button Exits the prescription without saving Pend button Places the prescription in the Pending tab with a status of Incomplete You may complete the prescription at a later date Queue button Processes prescriptions in the In Process tab to be adjudicated in the background while you continue to work on other prescriptions Fill button Process the prescription immediately on-screen Revert button Erases any changes made since opening the prescription in Rx Detail Multi-Fill button Allows you to add prescriptions in the Queue without sending them for immediate adjudication A multi-fill prescription appears in the In Process tab on the Workbench with a red letter M to denote it as multi-fill Once shown on the Workbench, you can submit these prescriptions all at one time 12

13 Adjudication Claim Summary a Glance This screen is important to check when a patient has a question about medication pricing or when there is a discrepancy in cost during adjudication. To view this screen: 1. View the prescription in Rx Detail. 2. Press or click the icon in the Price section. This opens the Pricing Details window. 3. Press or click the Claim Summary tab. Requested information box - Contains the cost, markup, dispensing fee and total dollar value submitted for reimbursement Claim information box Payment information returned by the primary third party. The two-character third party code is displayed at the top of the box. The cost, markup and fee Approved by the primary third party is shown on the first row in the box The Difference is displayed in the second row and is the difference between the requested and approved amounts Plan Pays - The amount paid by the third party CoPay - The total of all costs, markup and fee differences returned by the third party. This amount will be submitted for coordination of benefits. Deductible The patient s pre-determined deductible as returned by the third party. This amount will be submitted for coordination of benefits. Patient Pays This is the final amount that should given to the patient for payment Claim Response Code - This field displays generic response codes related to this prescription Claim Response Messages This field displays any specific messages from the third party plan Rebill button Based on Claim responses you may want to rebill this prescription Refuse button Allows you to refuse this prescriptions directly from the claim summary OK button Selecting this means that you have made all the necessary changes or that you accept the information as is and it completes the prescription Cancel button Escapes out of the claim summary abandoning any changes that you have made 13
