4 1 General Log in to the mylink administration tool by browsing the following URLs: myfidelio.net production system: myfidelio.net test system: Provide the username and password: Use the same that you would use for the myfidelio.net.net application (OCM or ORS). If you have access to multiple properties you will be asked to select a hotel. Choose from the list of values. myfidelio.net Software as a Service 4
5 After logging in to the administration tool, you will be prompted to the below screen, which is the Web Analytics functionality for a hotel. The following menu options are available from the navigation bar on the top: Colours: Click here to change font and background colours in selected areas of the mylink (see 2.) Fonts: Click here to choose from different Font families or to change to a particular Font style (see 3.) Upload: Click here to upload images, a logo and terms and conditions (see 4.) Layout: This section is to change the positioning of the different control boxes on the mylink (see 5.) Setup: Click here to change property specific parameters (see 6.) Web Analytics: Click here to track user behaviour and monitor where your business comes from (see 7.) Help: Receive documentation about how to work with the mylink admin tool. myfidelio.net Software as a Service 5
6 The control panel in the middle gives you the following options: Hotel Code: Shows the property code of the hotels link that you are currently connected to. Chain Code: Shows the chain code to which the property belongs. Chain Option: Click this box to update the chain link. Untick this box to go back to the individual link (see chapter 8). Logged In: Shows the user that is currently logged in to the admin tool. Logout: Click here to log off from the administration tool. Undo changes: Click this button to undo all changes that have been made in the current session Save changes: Saves all changes that you have made in the current session. This will update the source file on the web server. You cannot undo any changes after hitting this button. Preview: Click here to load the preview window. Default Style: This will overwrite all changes you have done and replace all customization with the standard look and feel (white background, black font, blue headers). myfidelio.net Software as a Service 6
7 2 Colours There are two different customization options within the colours section: 1. USING A DESIGN TEMPLATE For hotels using a design template as per chapter 9, there are a few customization options. Once a design template is chosen the customization of colours will still be possible for Page background, Page Foreground, Hyperlinks and Mouse over Hyperlinks. Page background/font: Changes the background colour or font colour for the entire booking process Hyperlinks: Changes the font colour of all hyperlinks on mylink, such as Click here for special rates or I accept the policies Mouse over Hyperlinks: Once you hover over the hyperlinks with the mouse it will change the colour. 8 1. USING A LEGACY DESIGN For hotels using mylink legacy design there are a few more decision points to be taken. Choose the Colours section from the navigation bar in order to change background and font colours of selected categories. Categories: Page background/font: Changes the background colour or font colour for the entire mylink Hyperlinks: Changes the font colour of all hyperlinks on mylink, such as Click here for special rates or I accept the policies Hyperlinks myfidelio.net Software as a Service 8
9 Mouse over Hyperlinks: Once you hover over the hyperlinks with the mouse it will change the colour. Here you choose to which colour it will change. Header background/font: Changes the background colour and /or font colour of the headers on the entire mylink Headers Buttons background/font: Changes the background colour or font colour of all buttons, such as Check Availability or Select Rate Buttons Help title background/font: Changes the background colour or font colour of the headers of the help text boxes Help text background/font: Changes the background colour or font colour of all boxes that contain help text. Those boxes will pop up when you click the question marks in the right corners of the headers. Help text Rate description fields: Changes the background colour of the rate description fields. 10 Price fields: Changes the background colour of the price fields. Light beige in the below example. Price fields Calendar passed days background: Changes the background colour of the days in the past within the Availability Calendar Calendar available days background: Changes the background colour of the days that are available within the Availability Calendar Calendar selected days background: Changes the background colour of the days that the booker has selected for the availability search Calendar closed days background: Changes the background colour of the non-available days within the Availability Calendar Calendar restrictions background: Changes the background colour of the restricted days within the Availability Calendar Calendar prices font: Changes the font colour of the rates and currency codes in the Availability Calendar Availability calendar myfidelio.net Software as a Service 10
11 Navigation Bar past step background/font: Changes the background colour or font colour of the steps you have already done in the navigation bar. Example: Your current step is select a rate so the past step in this case would be Search a room Navigation Bar Nav.Bar Mouse over past step: If you hover over the past step on the navigation bar it will change the colour. In this category you can change it How to modify a colour Depending on what category you choose you will either see four or two buttons in the middle between the list of categories and the Colour Editor. Example: When you choose the first category (Page background/font) you can change the font colour as well as the background colour of mylink. Hence you will find 4 buttons in the middle that lets you update or show the Font Colour (Foreground Colour) or the Background Colour. myfidelio.net Software as a Service 11
12 When you select the second category (Hyperlinks) you will only see two buttons in the middle because only the font colour of the Hyperlinks can be changed. Apply Foreground Colour: Applies the colour you have chosen in the Colour Editor as Font Colour for the category chosen in the Categories list Show Foreground Colour: Shows the current Font Colour and the RGB and Hex Code in the Colour Editor on the right Apply Background Colour: Applies the colour you have chosen in the Colour Editor as Background Colour for the category chosen in the Categories list Show Background Colour: Shows the current Background Colour and the RGB and Hex Code in the Colour Editor on the right Colour Editor RGB: Enter the RGB colour code here Hex: Enter the Hexadecimal Code for the colour here Apply: Press apply to see the corresponding colour for the RGB or Hex code you have put in to the small preview box. Alternatively you can manually change the colour with the controllers. This will update the Colour Codes automatically. myfidelio.net Software as a Service 12
13 Example: Change the background colour of mylink to a yellow (Hex Code EDECEB) and the Font Colour to a dark blue (Hex Code 0000CE). 1. Put in the Hex Code in the required field and press the Apply Button next to it. The corresponding colour will show in the little box. myfidelio.net Software as a Service 13
14 2. Click on the Category that you want to update, in this case Page background/font. 3. Click <-Apply Background Colour 4. Press Preview : The Preview section will be updated myfidelio.net Software as a Service 14
15 5. In order to change the Font Colour, you put in the Hex Code in the Colour Editor and hit <- Apply Foreground Colour 6. Hit Preview again to show your latest change 7. Click Save Changes to save your work myfidelio.net Software as a Service 15
16 Colour Templates Please note that colour templates customization is only required for the legacy mylink. For the new mylink design templates this option is therefore hidden. In case you don t wish to customize the colours of mylink yourselves you can choose from four design templates. Choose either Default Style Green Style Red Style Blue Stye Then press Preview to see how it looks, then press save changes to make this style permanent. myfidelio.net Software as a Service 16
17 3 Fonts Font Editor With the Font Editor you can change the Font style. You can either choose from a font family or put in the Font style you wish in the free format text field below the list of font families. After you have selected a font family, press Preview to see the chosen font in the preview section. Press Save changes to apply the changes to the source File. Please note that not all font styles display on the different types and versions of web browsers like you see it in the preview. It is recommended to choose from the font families Arial, Verdana, Sans-Serif or Verdana, Garamond, Times New Roman. myfidelio.net Software as a Service 17
18 4 Upload In this section you can upload images, a logo and terms and conditions myfidelio.net Software as a Service 18
19 Files Upload Exterior Image: Click here to upload the exterior image of the property. Only one exterior image can be uploaded. The image must be in.jpg format. The tool will automatically resize the image Room Images: Click here to upload room images. You can upload one room image per room type. The images must be in.jpg format. The tool will automatically resize the images Picture Gallery Images: Click here to load images into the gallery. The images must be in.jpg format. The tool will automatically resize the images When you hit View and delete you will see all gallery images at a glance. Tick the box next to an image and hit delete in order to remove an image from the gallery. The gallery picture order box gives you the option to set the order in which the images will display. myfidelio.net Software as a Service 19
20 Company logo: Click here to upload your company logo. If you don t upload your own logo, the link will by default display the MICROS-Fidelio logo. The logo must be in gif format. The tool will automatically resize the gif file. The width of the logo should not exceed 850 pixels. Company Terms and Conditions: Click here to upload the companies terms and conditions in all languages that are setup for the chain the hotel belongs to. Supported formats are html, pdf, doc and txt. Browse; Click this button to select the path where the images you want to load are located. Upload: Click this button to upload the image. Once uploaded you will see a preview of the image. Save: Click this button to save the image onto the web server myfidelio.net Software as a Service 20
21 5 Layout In this section you can change the positioning of the control boxes in the different steps of the website. You can also control if certain boxes should be displayed or not. Select step: Select one of the five steps of the booking process for which you want to change the layout. Items to add: If you have removed a box from the screen, it will show in the Items to add section so you can allocate it again to either the left, right or middle zone. Tick the item you want to add and select one of the three zones. Then press Add. myfidelio.net Software as a Service 21
22 Drag and Drop: In order to move the boxes from one zone to the other just hover over the header with the mouse. Then you can drag and drop the box and move it to another section. Minimize / Delete: When you click the little arrow in the right corner of the headers the Minimize / Delete pop up box will appear. Click on minimize to minimize the box or click delete to remove the box from that section. After you have removed one item it will automatically show in the Items to add box. myfidelio.net Software as a Service 22
23 6 Set Up The setup option allows you to configure the property specific parameters. Those parameters enable additional functionality. Access to these parameters might be driven by user rights. myfidelio.net Software as a Service 23
24 6.1 Application Settings Availability The following customization options are available. Note: There are several pages. Additional parameters on 2 nd and 3 rd page myfidelio.net Software as a Service 24
25 Activate children age availability This option enables the possibility to search availability for children based on the children age. Please bear in mind that this functionality also has to be activated in myfidelio.net in this case please contact the myfidelio.net customer service team. Availability Search based on children ages Display corporate number, group number, IATA number, promotional code This option defines whether any of the below options under click here for special rates shall be hidden or displayed on mylink. By default all options are displayed. Display maximum number of adults Define for how many adults per room a booker can perform an availability search. Display number of children Define for how many children per room a booker can perform an availability search. myfidelio.net Software as a Service 25
26 Display number of nights Define for how many nights max. a booker can perform an availability search. Display number of rooms Define for how many rooms a booker can perform an availability Search. Use availability rate type Options are: AVR = Average Rate TTR = Total Rate FNR = First Nights Rate This setting controls the price that will be displayed in the select a rate screen when searching availability for more than one night. So far we have displayed the total rate for the entire stay. Now the display can be adjusted to show the average rate or first nights rate. For a longer stay this might be more user friendly for the booker not to see the total price at the first glance and drive more business to the hotel. Example: The guest wants to stay from Friday to Monday. Friday = 200 Saturday = 150 Sunday = 150 AVR would show (( ):3) TTR would show 500 ( ) FNR would show 200 myfidelio.net Software as a Service 26
27 Use Google Maps Enable or disable the Google maps option Google is not allowed to access map data for certain destinations via their API hence it is possible to hide it on mylink. myfidelio.net Software as a Service 27
28 6.1.2 Presentation The following options are available under Presentation More parameters on 2 nd page Configure Look & Feel Option to select a design template from a list as explained in detail in 9: mylink design templates. Display languages in their own language Each language attached to a flag is displayed in the language of the flags country if this is set to yes. Alternatively all language names would display e.g. in English if English is selected or German if German is selected as a language. Enable collapsible panel for special rate options This field is by default enabled to show entry fields for corporate number, IATA number, group code or Promotion code upon clicking on Click here for special rates: myfidelio.net Software as a Service 28
29 When setting the field to N, it is no longer required to collapse the field in the booking engine, all entry fields are shown automatically. See below: Enable flight information in special request When option is set to Y, the booker will be shown this screen during the reservation process. Enable My Reservations button when in onbehalf mode When set to Y, a onbehalf booker is able to see all reservations that were made. An onbehalf booker is a person with a login for repeat reservations. Set confirmation letter format It can be defined whether the confirmation letter to the guest shall be sent in TXT or HTML format. In HTML format the confirmation setter is sent with the colours and logo of the hotel. myfidelio.net Software as a Service 29
30 6.1.3 Profile The following definitions can be made for booker profiles: Display loyalty program on profile When this function is activated loyalty numbers can be attached to the profile. The loyalty program in question can be added per hotel under Loyalty program Display option for states When active, states will be displayed in customer details page corresponding to the countries. For Germany or the US this will be enabled. Countries that usually do not specify states in the address or don t have states in their source markets can disable this. Display passport information on profile Offers the input of a passport number and place of issue when entering profile details. myfidelio.net Software as a Service 30
31 Show travellers list on profile for OnBehalf When logged in as an Onbehalf user, the list of previous travellers of that company is shown Calendar It is an option to show or not to show prices on the availability calendar on mylink Reservations The following parameters are available for Reservations: More parameters on 2 nd page myfidelio.net Software as a Service 31
32 Use additional reservation Type in an E Mail Address here to have a copy of the confirmation sent to this address for each booking made for this hotel Use Guest confirmation s Set this parameter to Y if you want each booker to receive an confirmation letter for the reservation. When set to N, no confirmation is sent to the customer. Use reservation best deal Please be aware that this function is not available when applying CLOSE restrictions to rates or rate categories! Please consult the myfidelio.net customer service team before enabling this function. The Reservation Best Deal offers to book a combination of best available rates within one reservation. With the previous version of myfidelio.net it was only possible to book a rate that is available through the entire stay. Let s say we have a rate schedule like the below and the guest wants to stay from Friday to Monday Mon Tue Wed Thu Fri Sat Sun Rate Rate With the old version he had two options: Rate 1 = = 420,- Rate 2 = = 360,- myfidelio.net Software as a Service 32
33 The Availability Calendar is proposing the best rate for each day. By using Reservation Best deal the system allows you to book a combination of multiple rates within one reservation. The best deal in our example would be Mon Tue Wed Thu Fri Sat Sun Rate Rate Best Buy Rate = 320,- Use Reservation details text only in English Enable this setting to show reservation details in English independent from the language chosen on mylink during the booking process. Use reservation packages With myfidelio.net.net Version 5 we offer the option to book additional packages. This functionality must be enabled in the admin tool. When activating the package function this feature also has to be activated in the layout menu! myfidelio.net Software as a Service 33
34 6.2 Payment Providers mylink offers an online payment solution powered by PayPal. The merchant account details will be entered here. Please contact the myfidelio.net customer service team for more information and user guide for the PayPal integration. myfidelio.net Software as a Service 34
35 6.3 Search Engine Optimization (SEO) Search Engine Optimization enables hotels to provide certain tags that are related to their mylink booking engine, so that the online booking functionality can be found more easily by Search engines. By clicking on Edit in one of the SEO options, you will be able to insert search criteria or define rules for search engines and confirm by clicking on Update. A description of each section is provided by clicking on the i -button or by a SEO item. myfidelio.net Software as a Service 35
36 Content Language: The main language of your booking engine. Description: Description will be displayed in search engine results, should be short, powerful and connected to the content of the booking engine. myfidelio.net Software as a Service 36
37 Keywords: Keywords are used for categorization on Search engines. It is recommended not to use too many keywords or keywords that are not related to the content of the page. Robots: The Robots Tag declares to search engines whether they shall index and follow the link to your booking engine or not. myfidelio.net Software as a Service 37
38 Title: An eye catching title including words to be found with by search engines. The title can influence the ranking positively. myfidelio.net Software as a Service 38
39 7 Web Analytics The web analytics functionality enables hotels to track what type of visitor came to the mylink booking engine when and how intensively to either book the hotel or for information purposes only. A variety of reports is available to track the performance of the booking engine. Explanation of terms Visits - shows the number of persons who visited your website Hits - shows the total number of clicks by any person Pages - groups the hits per pages by any person Users - this is the grouped hits done by "onbehalf" users With the navigation Export to PDF, Export to Excel and Print the user has a choice of options to save the report to the local PC, which he can access when the report is displayed. An additional option under Web analytics is External trackers, available to admin users. It is possible to connect to external providers of Pay per Click marketing. This allows to track results of a Marketing campaign, e.g. how much revenue was generated via google adwords. 40 How to run a report: Select the Report Type, The Start and End Date and click on Display report. First the values of each category in the report (in this example Browser types) will be displayed. Below this you will find the display of values in a diagram. myfidelio.net Software as a Service 40
41 The following report types are available: Page views by month: This report shows the booker hits, visits, pages and onbehalf users grouped by month/year in the last 12 months. Page views by day: This report shows the booker hits, visits, pages and onbehalf users grouped by days. myfidelio.net Software as a Service 41
42 Page views by day of week: This report shows the booker hits, visits, pages and onbehalf users grouped by weekdays. Page views by hours: This report shows the booker hits, visits, pages and onbehalf users grouped by hours. myfidelio.net Software as a Service 42
43 Page popularity: This report shows a comparison on how often each step of the booking process was visited. Bookers by country: This report shows what country the visitor on the website comes from. myfidelio.net Software as a Service 43

45 Site referrals: This report shows the site where the bookers first request comes from. Most often this is the hotel home page or any other web site the hotel may advertise the link. Look to book: The look to book shows which percentage of availability requests and modifications represent in comparison to the reservations made. myfidelio.net Software as a Service 45
46 Last Page before break off: This report shows the ratio of last pages the booker used before making the decision to leave the site. Booker clicks: This report shows the booker hits by the navigation items being clicked. myfidelio.net Software as a Service 46
47 8 Chain Link Tick the Chain Option Box in order to change colours for the chain link. You can customize the first page of the chain link only. Once the chain link directs you to a particular property this one will show in it is individual look and feel. You can update the chain link from any property that belongs to the chain. Open the Admin tool and log in to a property of the chain. In the preview section you will first see the layout of the individual link. When you click the Chain Option Box you will see in the preview section that now the chain link layout will be loaded. Do your changes and then hit save changes. Once you untick Chain option the admin tool will be pointing at the individual link again. myfidelio.net Software as a Service 47
48 9 mylink design templates 9.1 Overview mylink design templates meet the expectation of a fresh and up to date look and feel of your mylink booking engine. Apart from images, a logo and terms there is no need to spend time and energy on the colour specifications. This is how the blue mylink design template looks like on the first page of the booking process: myfidelio.net Software as a Service 48
49 9.2 What is new? Plenty of things have been redesigned in general independent from any template selected: My profile and Cancel/modify reservation have been moved to the top. Those navigation items can be found by the booker more easily. The language flags have been removed and the language selection has been moved to the top right side. The image of the room selected in Select a rate will be shown in each part of the booking process, to display to the booker the selection that was done. myfidelio.net Software as a Service 49
50 The Customer information has been cleaned up by clearly indicating mandatory fields and removing a few. Flight information is by default not shown, but can be activated on property level. Within each design template the following major changes have been done. The changes are always referring to the colour template selected. In the below screens they are in blue, but they can as well be red, grey or any other colour from a template: Icons have been redesigned according to the colours of the template in use Buttons, Navigation and Headers have been enhanced with gradient colours using little images instead of text fields. Buttons, available navigation and scroll down menus change their colours when the mouse is hovered over them. myfidelio.net Software as a Service 50
51 Any scroll down menu has been changed as follows: Old style: New style Check box design has been improved Select rate bar has been redesigned The availability calendar has been redesigned: These were just a few changes that can easily be captured. But there are many other small items that were enhanced which in the end make mylink a great user experience for any booker. myfidelio.net Software as a Service 51
52 9.3 How to change a template The Configure Look & Feel menu appears, when being logged in to the mylink admin tool, moving to Setup under the section Presentation. Classic is the legacy style for mylink templates, whereas any other colour belongs to one of the new design templates. By default any newly loaded hotel has the new blue design template attached. The following colours are available: Blue, red and silver are designed as of now. Green and orange are to be released shortly. The available templates will be shown by clicking on Edit first and expanding the navigation myfidelio.net Software as a Service 52
53 mylink administration tool Available design templates: When the desired template is selected press update Then go on preview Monitor the changed layout and save your changes, if you like to keep it. Please note that the logo does not automatically change the colour. The logo upload can be done under upload. myfidelio.net Software as a Service 53
54 Please note: Once you have chosen a design template the customization of colours is still possible for Page background, Page Foreground, Hyperlinks and Mouse over Hyperlinks. As the other navigation items consist of images instead of text fields those are defined by template. myfidelio.net Software as a Service 54
55 9.4 What if a hotel requires completely customized colours? The new design is available in different colours already, so you might find your custom colours in the existing templates. If you wish to use a new customized template that meets the requirements of your hotel Corporate design, those can be developed at a an additional charge.
