1 Clients Continued... Campaigns Continued To create a Custom Campaign you must first name the campaign and select what type of campaign it will be. Next you will add letters to your campaign from your letter editor and schedule when they are to be delivered. Once the Letters have been added and viewed, click on finish. You will still have to add Contacts to the campaign as well as activate it before it will become a live campaign. & Letters Under the and Letters tab you have the ability to quickly send an or letter/postcard to your client. The and Letters tab consists of 5 sections. Compose an , Sent History, Letter Library, Create Letters and Send Postcard each of which will be explained further. 31

2 Clients Continued and Letters Continued To compose an simply select this option. The editor will open and allow you to type in your unique to your client. You may select a letter from the library or a photo that you have uploaded to your image library as well. Once completed, Preview and spell check prior to sending. The may be sent immediately or you may schedule for it to be delivered at a later date. Sent History From here you can access your sent s to a Client for up to 6 Months. Use the search filter to pull the applicable s. The Letter Library is where you will find all of your custom letters and the company stock letters previously written. The first section is your Personal Letter Library that will hold your personal letters that you have written.. You can create folders for your letters write new letters and delete letters from here as well. 32

3 Clients Continued... The Letter Library Continued Your letter library also holds Stock and Company provided letters. Click on preview to view the letter and then send to send it to your client. Please also remember that these letters can not be edited or changed. Creating New Letters. To create a new letter click on the create letters tab. The letter editor will open and allow you to start your masterpiece. You can also add images that you have uploaded from your image library. Choose a category and then give your name a title. Once completed spell check your letter then select add letter. Postcards... Sending a Post Card. This amazing intranet offers you a variety of pre designed postcards for you to send to your contacts. Select the Send Postcard tab and then choose from the available postcards seen. Once you have selected the design you wish to use it will open in the editor for you to customize, preview and send to your Client. 33

4 Clients Continued Messages You have the ability to post a Message to all clients that will be displayed when they access their extranet or you can post a message to an individual client from within their contact information. Posted messages will be flagged as new messages at a Clients' next login. After the message is read it will be saved for the Client to reference until the scheduled end date. Messages that are left un read and are past their end date can be reactivated, reviewed and edited for 30 days. Calendar & Tasks By selecting the Calendar tab you will have the ability to view your daily calendar and monthly calendar. From here you can also add tasks for yourself. To do so simply select Create Task and the Task editor will open. Once you have scheduled the task, click on submit. 34

5 Listings The Listing tab from the Main navigation will give you access to your Listing Manager, Demo and Manual Listings, Listing Reports, Featured Properties, Flyers and Buyers Tour. Each of these sections will be outlined in detail in this manual. The primary tool within the Listing section is the Listing Manager. The Listing Manager easily allows you to customize the listings associated with your MLS (PUBLIC ID). These changes will display on all sites from the company level on down to all agent sites as well. Listing Manager The first section shows your MLS information. This is a summary of the association that you belong to and your MLS ID (PUBLIC ID). You can add or edit your MLS ID from here as well. The next section is a summary of your current MLS Listings. The listing options located at the top are explained in the report key as seen on the right hand panel of your VAC. To manage any of your listings simply click on view. Under the Listing Data page you will see the general listing information, have the ability to create a QR Code unique to this property and update and change the Listing Description. By editing the remarks here you will take control and overwrite the MLS Remarks for this listing as it is displayed on the web site. NOTE: Personal advertisements or hyperlinks in the description field which will be seen on agent/company websites is PROHIBITED. Violations will result in website suspension. 35

6 Listings Continued You also have the ability to create a Custom Listing Banner or use a Company Provided one that can be displayed on your listing. Once selected or created click on Update. Price Changes can be made temporarily on your website. Please note that any price change here will be updated by MLS data. This is just temporary. You have the ability to show the price history or turn off that feature. Social Network Like Option can also be turned on or off here for all of your listings. They are selected to be ON as a default. 36

7 Listings Continued Advertising your Open Houses on you website could not be easier. Please note that you may only add open house information from MLS Listings with your Agent ID (Public Id). To do so simply click on Add Open House. Input your Date and Times and Driving Directions then click on Add. You have the ability to also Add Documents to be associated with your Listing on your Website. Examples may include Floor Plans, HOA information, Rental Application etc.. You can add PDF, WORD, JPEG and GIF Files. To so click on Upload Documents. Browse and select the document you wish to upload then click on upload file. Photos & Tours The MLS photos will be added to your listing. If you wish to add a different Main Listing Photo and replace what the MLS has imported click on add main photo. Note that if you remove the updated photo the MLS photo will be returned. All specifications on Photo sizes will be explained on the next page. 37

8 Listings Continued... Photos & Tours Continued To upload your photo browse your files and once selected click on upload. Images must have a file size less than 1 MB in physical size. Image file size less than 1024 KB is recommended. You may use any program to resize a photo or use the Photo Utility located in your listing manager. The listing photo display frame is 342 x 267. Photos that match that criteria will display correctly. Those that are larger must be resized to prevent distortion. Manage you Photo Gallery and adding Additional Photos to your gallery is simply completed by following the above instructions and selecting add photo. For optimal page load times a maximum of 12 photos is recommended. You can manually add a Title and Description to each photo, once completed make sure to click on save. You also can change the order of your photos by selecting Change Photo Order. See next page. 38

9 Listings Continued... Photos & Tours Continued To rearrange your Photo Order move your Photos up and down as desired, upon completion click on Save Sort Changes. Virtual Tours can also be added here. Enter in the Tour URL and click on submit changes. You are responsible to verify that the tour link works even if the link was provided by a vendor. A new Virtual Tour uploaded will launch a Home Finder to be sent to a client if it meets their search criteria. You may not upload an Agent Branded Tour into the MLS It is Strictly Prohibited. 39

10 Listings Continued... Photos & Tours Continued Video Home Tours from off site vendors can also be added IE. YouTube. You have 2 options to add a Video Home Tour. Option 1 you can enter in the URL or Option 2 allows you to copy and paste in the HTML Code provided. If you wish to add additional information you can do so below and then select submit changes at the bottom. The final feature that you have available for your listings is uploading Floor Plans. When adding a floor plan make sure that it is an image file ( JPG or GIF) you can also link to an off site vendor by entering a URL. A maximum of 4 is recommended. You can also add titles and descriptions to the floor plans. 40

11 Listings Continued Virtual Showings From the Virtual Showings tab you have the ability to select a specific date range and then run a report to see the consumer viewing activity on a particular listing. Enter in the date range and then click on run report. Flyers Under the Flyers tab you have 2 different options for creating your property flyers. The first option allows you to select a format that can then be printed or ed. Your choices include: Detail Flyer, Floor Plan Flyer, Photo Flyer, Summary Flyer or Thumbnail Flyer. You can double click on each example to view it in a larger format. These Flyers have fixed information so no editing is allowed. Once you have made your selection proceed to send out to your Clients. 41

12 Listings Continued... Flyers Continued Your second option is to create a Custom Flyer. Here you have the ability to change information embedded within. This is a great option if you are sitting an open house on behalf of another agent, Select the Flyer that you wish to customize and the n click on the Customize button. Make your changes and then select Save Flyer. Demo and Manual Listings Demo Listings can be created for you to utilize on a listing presentation. You can create a demo listing for the actual property. Demo Listings are Identical to Active Listings except they are not seen in the Property Search. A demo Listing has it s own listing website with a dedicated URL, Intended for you to show off your marketing to a potential Seller Client and can be converted to a Live Listing via Manual Merge with the click of a button. Once the Listing contract is signed, your demo listing once converted manually will be live and internet and mobile marketing will begin that second. 42

13 Listings Continued Demo and Manual Listings Continued To Create a Demo Listing click on Create. Enter in a Temporary MLS number, Select the County and then click on Continue. The Manual Listing Data Form will open in the next window for you to input the Property information. Demo Listings Continued In the Listing Entry Form input all of the property information that you have and once completed click on the Add Listing Button on the bottom of the page. Once you have submitted the listing you will be directed back to your Listing Manager to upload Photos & Tours, View Virtual Showings and Create a Property Flyer. 43

14 Listings Continued Demo and Manual Listings Continued To merge your Demo Listing to a Manual Listing and make it live you will need to open your Demo Listing by selecting View. Once this listing opens in the Listing Manager select under Listing Data Edit Listing Info. When the editor opens you have 2 options to select from. Option 1 Manual Merge will post your listing as an active listing but will be replaced with the MLS data once available and integrated. The second Option Manual Override will post your listing as an active listing and override all MLS data that is integrated. Manual Listing input allows you to begin marketing your property the moment a listing is taken without having to wait for the MLS integration and data to appear. This feature also allows you to correct persistent problems with MLS data if applicable. Click on Create and follow the same procedures outlined above for Demo Listing. Listing Reports You have access to 4 different report that pertain to your Active Listings and your Website which includes: Seller Report Summary, All Listings Viewed, Listings Viewed Grouped by Client and MLS Update Report. Each is different and will be explained in detail. The Seller Report Summary determines which of your listings lack viewing. You can show all listings or those with/without active seller reports. 44

15 Listings Continued Listing Reports Continued The All Listings Viewed will show a list of every listing detail page viewed on your website. Listings Viewed By Client will show all of the consumers on your website in the last 14 days and the listings that they viewed. The MLS Update Report will identify all recent updates posted to the MLS 45

16 Listings Continued Featured Properties Your Featured Properties and what properties display is your choice. Note that only properties with photos will display as Featured Properties on the main page of your website. If the system can not find any properties to show based on your selection then all listings in the office will automatically display. Your MLS ID (Public ID) must be entered into the user section in order for the system to display your listings as Featured. Your selection options for the Featured Property Settings include: Your Listings, Your Office Listings or Listings that you input MLS numbers for. You can filter the properties based on list price by entering in a range from minimum price to maximum price. Note that if no properties are found within that price range the Featured Property object will not show.. Buyer s Tour You can simply create a Buyer s Tour which can be ed to or printed for a Client. This tour has interactive links for them to view the listings that you have sent to them. Enter 1 or more MLS # s to begin. Then select create tour. 46

17 Listings Continued Buyer s Tour Continued Once the properties pull up your next step would be to add address for those Clients that you wish to send this tour to. You can select from your database an individual Client or a Group of Clients not to exceed 100 total addresses. If you wish to manually type in the Client s you may do so and separate each with a comma. After selecting the recipients of the tour enter a message that you would like for them to see. This will be added to the body of the .. You can also add in additional information or notes pertaining to each listing. To remove a listing from the tour simply select the check mark box and click on remove checked listings. Once completed you may preview and send or preview and print the buyer s tour. 19 Site Builder The Site Builder tab from the Main navigation will give you access to your internal guts of your website solution. You can easily change the appearance and content of your website from here. Your Site Builder contains the following sections that are all customizable by you. Design Center, Site Content, Search Controls, My Searches, SEO Manager, Apps & Widgets and Reports. All of these areas will be explained in this manual. Design Center To begin, click on Site Builder tab and this will open the Design Center where most of the display tools can be found. The tools available to you under your Site Builder include: Pre Packaged Designs, Homepage, Template, Background and Headers. We will look at each of the following in greater detail. Pre-Packaged Designs There are presently 15 different Pre Packaged Designs for you to choose from. Once you have selected the layout that you like, you can easily change the background, headers and colors to your liking. After you have made a selection, you can click on Preview to view what it will look like once satisfied you must click on Publish to make it live. You can easily upload and or restore from any previous versions as well by selecting it from a saved version. 49

20 Site Builder Continued Design Center Continued...Home Page Layout You can change your Home Page Layout by selecting from the options seen below. Once you have made a selection click on the preview button to see how the changes will look prior to publishing. You can also customize your layout with different objects and text areas. To modify any text area, you will do so with a text editor. You can edit the existing text, create additional links, upload photos or create all brand new content. Always make sure to save your work. 50

21 Site Builder Continued Design Center Continued...Template Colors and Background Design There are a total of 58 Template Colors that you may select from to change and customize your template. The color that you select here will be the main color for your page seen in the boxed areas and throughout the navigation panels. You can also select to display your Photo, Company Logo and Contact Information with the click of a button. Your Background design can also be customized. Select from 64 different Background Colors and then choose from 42 different Wallpaper Designs to apply. These changes will be viewed behind the template. Once you have made your changes preview prior to publishing. 51

22 Site Builder Continued Design Center Continued...Header Designs There are 3 Options for you to choose from as to placing a Header on your website or not. You may wish to remain with out a Header at the top of your site or you can choose a stock photo from the Header Library. This intranet allows you to also create your own custom header to be displayed. To do so click on the Custom Header tab to upload your own designs and photos. NOTE - Headers must be 851 to 1151 pixels in width and up to 315 pixels in height. Acceptable files are JPG, GIF and PNG. Recommended dimensions are 951W x 105H. Click on browse to locate your header and then upload. Always preview your design prior to publishing. 52

23 Site Builder Site Content & Image Library ADVANCED FEATURES...ADVANCED USERS... The Site Content tab allows you to change the Content of your website pages, upload images to your Image Library and work on your Blog. We will look at the Content Pages first. Top Navigation refers to the Main Navigation that you see on your website. These are the main topics that the consumer has the ability to select and view information on. Sub Navigation refers to the Children Pages found under the Main Nav. Your Main Navigation and Sub Navigation can be re ordered to your liking. To do so you will click on Change Sort Order and then update. You may change the name of any Main Navigation or Sub Navigation button by selecting Edit Button Properties. There are 4 different types of content items that you can select from. Links, Preset, Template and Editable. To edit the basic properties of any item, click Edit next to the navigation title. You can also show or hide an item by selecting the appropriate button. Hiding a link does not delete it but only removes it from your live navigation. Note that preset pages can not be edited If you choose to use off site links to other URL s it is your responsibility to make sure that you maintain those links. To add, type in the URL, select how you would like it to open. Give it a Navigation Title and order and then click on submit. 53

24 Site Builder Continued Site Content Continued New Pages can easily be added by selecting the add page link which will allow you to create new content. These pages will be set to hide by default until you make them seen. Once you have given your new page a name, the page editor will open to allow you to write your own custom content. Upon completion select the submit button to save your work. A deeper look into how to upload Videos, Hyper Links and Photos in the Editor is below. To insert a Video select the video link and follow the prompts that are requested. You can insert general information The URL or paste in the embedded code. 54

25 Site Builder Continued Site Content Continued Inserting a Hyperlink is easily completed by selecting the Link icon from the menu in the editor and then entering in the appropriate URL Always make sure that you select the target to open in a new window. To insert a Photo open your photo and graphics library. From here you have the options to select an image from Your Images, Company Images or Stock Photos. We will start with uploading your own personal images. 55

26 Site Builder Continued Site Content Continued Photos Continued... To upload you photos select browse and locate your images that you wish to upload. Once selected click on upload. You must accept the terms that the Photos you are uploading are yours to use and not copied from someone that has them copy written. Photos need to be no greater than 300W x 300H and less than 60 KB. Once uploaded you can click on the thumbnail to view the photo larger in the editor. If acceptable, drag and then drop it into your Page editor. Company provided Images and Stock Images will be treated the same way. Select your photo then drop it in the Page Editor. Lastly you can add new Top Level Navigation Buttons as well to extend your main navigation offerings. On the bottom of the Site Content page you will see the following. Add in your Button text, if you wish for the new page to be seen or not and the order of it to be seen in the Main Navigation. Select if it will be a Custom Page, a Custom Form, a Stock Form or link to a Custom URL. Once the Navigation is added you can edit the page as described above. 56

27 Site Builder Continued My Blog ADVANCED FEATURES ADVANCED USERS You have the ability to create and write your own Blog entries in your intranet to be posted on your website. To begin click on the My Blog tab under Site Content. Using the text editor enter a subject as this is a required field. All Blog entries will display ordered by date with the most current entries on top; however you can set up an entry with a future posting date. Once you have completed your post, click on the publish button at the bottom. Search Controls You have the ability to set a localized search radius that clients can search from within your website. To do so use the zoom bar or double click on the map to zoom to the location that you would like your map to default to. Once you have the view you want click on Save My Search Map. Preview your website to ensure that the settings were accepted. Note The consumer can still search within the Company's pre set boundaries. If you wish to centralize your map you can do so by clicking on Reset to Company Map area 57

28 Site Builder Continued My Searches ADVANCED FEATURES ADVANCED USERS To create Custom Searches click on the My Searches tab under Site Builder. From here you can Manage your Searches, Add Searches, Create SEO Search Pages, Create SEO Community Pages and view Client Saved Searches. Each of these topics to be explained in detail in this manual. Under your Manage Searches tab you have the ability to view, edit and use all of the saved searches that have been completed. Adding a Search Select the Add Search tab to create your custom searches that can be copied to a Client, Linked to another page or website or incorporated into an SEO Search. Enter in the Search Criteria as requested. Once completed select Save Search, give it a name and click on submit. This search will now be available for you to select and imbed into a web page from your saved searches on your manager. 58

29 Site Builder Continued My Searches Continued SEO Search Pages From your SEO Search Page you have the ability to enhance your previously saved searches and optimize them for marketing and search engine placement. To do so click on SEO Search Pages tab. From here enter your page name (Link Name). EX.. Mountains Edge- Homes-Las Vegas. The custom URL would be the page domain. Enter in the Page Name there. To create your page layout you will select what Page you wish to attach your Custom Saved Search to. Select the page name and then select the Saved Search that you previously created. Meta-Tags includes the Meta-Title, Description and Keywords. The Meta-Title is the phrase describing the web page. This phrase will also display on the user s computer screen at the top of the browser screen. Also referred to as Web Browser Title Bar Text. The Meta-Description is where you will type a sentence or two describing the web page. This should reinforce the words of the page content and the keywords that you enter. Meta-Keywords are a collection of words that are intended to match what a consumer is searching for. Words should be separated with a comma and space. Try to keep the number of characters to less than 250. Make sure to click on Update and then preview your page on your website for accuracy. 59

30 Site Builder Continued My Searches Continued SEO Community Pages From your SEO Community Pages you have the ability to add to your custom page content Zip Code Demographics. This feature will post information on Economic, Demographic and Population Data; Population Density and School Information. From here enter your page name (Link Name). EX.. Las Vegas The custom URL would be the page domain. Enter in the Page Name there. To create your page layout you will select what Page you wish to attach your Custom Saved Search to. From here you can select any of your Clients searches and save them to your Saved Searches to then use as website links or SEO search Pages. 62

Under the SEO Manager you can also create SEO Searches as previously explained, Add Tracking Codes to your website from Google Analytics or your own SEO Vendor, update your Site Tags and Site Map under Site Verification and manage your Domains as previously explained. To update any of your pages SEO select the Edit SEO next to the page you want to edit. Input your Meta Tags; Title, Description and Keywords as previously discussed, then click on Update. 63

35 Site Builder Continued Tracking Codes ADVANCED FEATURES ADVANCED USERS This is a VERY ADVANCED TOOL. It is created to support you when working with a professional Webmaster or SEO Vendor. Using this tool you are responsible for obtaining your own help via online or a professional service. The use of this tool allows you to place on every page of your website, tracking codes provided by Google or by your own Search Engine Optimization (SEO) Vendor. To set up Google Analytics go to and either create an account or login in with your current account. To add tracking to your website, select Analytics Settings. There under Website Profiles select Add a new Profile. In the page that comes up, type the URL to your website. Once added you will be given a piece of code that you can then copy and paste here in this section. Site Verification ADVANCED FEATURES ADVANCED USERS SEO Site Tags and optimization of your SEO Sitemap. From here you can add Meta-tags or Scripts to your website. You can find out more by visiting Google Webmaster Tools or Bing Webmaster Tools. You can add multiple codes/scripts here from multiple sources. You can submit your Sitemap to search engines once all pages are fully optimized as explained earlier. You can do so through webmaster tools like Google. 65
