8 About the Web Client Introduction Chapter 1 provides the following information. Product information Browser requirements License requirements About Océ Web clients This manual refers to the Web product as Océ Engineering Exec Web Client. The title of your web client is 'Electronic Job Ticket for the Web' or 'Doc Exec Pro for the Web'. The users who operate in a non-windows environment cannot access the document management and print capabilities available in the Océ system with a standard installation of the client software. Océ Engineering Exec provides these capabilities to the users in a non-windows environment. User Manual provides the following over the Intranet. Search functions View functions Export functions Print job creation and submission tools Note: The licenses that are assigned to the web server control the title of the web client. For the purposes of this manual, the title Océ Engineering Exec Web Client refers to all web clients. 8 Océ Engineering Exec Web Client

9 Browser and Server Requirements Introduction Before you begin, you must install your system according to all browser requirements described below and you must configure your network settings. MIcrosoft Internet Explorer 5.5 or higher Cookies enabled Java script enabled Server PC requirements The server must be a dedicated Windows 2000 Server with service pack 4 or Windows 2003 Server, Web Edition and registered with the network domain. The following applications are required on the server PC. Internet Information Server Configuration, Internet Service Manager 4.0 and World Wide Web Service MS Front Page Server Extensions Paging File configured with an initial size of 256 MB, 512 MB or more maximum MDAC 2.8, supplied with the Océ Engineering Exec setup MS Management Console Windows Scripting Host Note: The amount of memory in the PC, the processor speed and network speed can affect the performance of the system. 10 License Requirements Introduction The licenses assigned to the web server and the permissions of the user control the web pages and the functions you access from the web client. Doc Exec web server license only When a Doc Exec web server license is assigned to the web server, the web application title is 'Doc Exec Pro for the Web'. The default web page is the 'Folders' web page. Electronic Job Ticket web server license When only an Electronic Job Ticket web server license is assigned to the web server, the web application title is 'Electronic Job Ticket for the Web'. The default web page is the 'Vault Search' web page. Print Exec Pro server license When a Print Exec Pro server license is assigned to the web server, the 'Add to Job' function is activated and the 'Job Ticket' and 'Job Status' pages are available. Doc Exec Pro server license When a Doc Exec Pro server license is assigned to the web server, the 'Vault Search' page is activated. 10 Océ Engineering Exec Web Client

12 Getting Started Introduction Chapter 2 provides the following information. The log on and log off procedures Language selection The user interface structure Getting Started You logon to the Océ Engineering Exec Web Client after you complete a successful installation of the web server. After you logon to the web application, you can take advantage of the document management and print capabilities. 14 Logon to Doc Exec Pro for the Web 1. Browse to the Default.asp page found in the directory indicated during the Océ Engineering Exec installation. 2. Click 'Deutsch', 'Espanol', 'Francais', 'Italiano', 'Japanese', 'Nederlands', 'Svenska', 'UK English' or 'US English' to select a language. Note: If you are on a Japanese system, you see the Japanese and US English language options. Otherwise, you see all the language options except Japanese. 3. Enter your user name in the 'User Name' field. 4. Enter your password in the 'Password' field. 5. Select either 'Inches' or 'Millimeters' from the 'Units' section. 6. 15 Language Selection Introduction Océ Engineering Exec Web Client is completely internationalized, which enables you to run all the components of the application in the language you select. When a language is selected, a cookie is written to the browser. The next time you logon to the web application, the following items are used. The last language you selected Your user name The unit selection Cookie A cookie is a piece of data that the web server stores on your machine. The Basics 15

16 User Interface Structure Introduction The web application contains six main web pages. The name of the web pages display below the web application name of the current web page. Note: The pages and links you access depend on the licenses assigned to the web server and the user permissions. You do not have all the web pages displayed in this manual unless you have the correct licenses and permissions. Note: The term, document, refers to an image saved in the vault. Files are the images that are saved on a local or network drive. 17 Folders A user can do the following from the 'Folders' web page. Add documents and folders to a print job Look at the documents as full size images and as scalable images Export the documents from the vault Look at and edit the document properties Look at and add document comments Look at the folder properties Vault Search A user can do the following from the 'Vault Search' web page. Search for the documents by class Search for the documents with predefined searches and views Add the documents to a print job Look at the documents as full size images and as scalable images Export the documents from the vault Look at and edit the document properties Look at and add document comments Check in and check out documents from the vault Undo a check out Job Ticket The user can do the following from the 'Job Ticket' web page. Give the print job a name and add notes to a print job Add files to a print job Define the settings for all documents and files in a print job Add the recipients to a print job Define the setting for each recipient of a print job Remove the files, documents and folders from a print job Reset a print job Submit a print job Look at the documents and the files in a print job as full size images and as scalable images Look at and edit the properties of the documents in a print job Look at and add document comments Look at the properties of folders in a print job Look at and print the job confirmation after a job is submitted The Basics 17

18 Job Status page The 'Job Status' page displays a list of the submitted print jobs and the status of each print job. When the user logged on to the web application is an administrator, the 'Job Status' page displays all print jobs in the system. When the user is not an administrator, only the jobs submitted by the user display. Note: The jobs that are archived or purged do not appear on the 'Job Status' page The user can do the following from the 'Job Status' web page. Look at the status of submitted print jobs See a list of the documents, files and recipients contained in a submitted print job Look at the details of the recipients of a submitted print job Look at the details and the status of the documents and the files in a submitted print job Look at the documents and the files in a submitted print job as full size images and as scalable images User Settings page The users set the following preferences for the web client from the 'User Settings' web page. 'Document Searching' 'Destination' 'Ticket Information' 'Formatting Information' Administration An administrator can set the following rules from the 'Administration' web page. 19 Exit 'Exit' closes the web application and returns the user to the logon web page. Contact Us 'Contact Us' allows the user to send feedback to an account assigned by the system administrator. The contact us option is set from the 'Administration' web page. The Basics 19

20 How to log off the Web Client Log off Doc Exec Pro for the Web 1. At any time during your session, you can log off the application. 2. Click 'Exit'. When you close with this method, the concurrent license you were using becomes available to another user. 20 Océ Engineering Exec Web Client

22 Folders web page Introduction Chapter 3 provides the following information. The structure of the 'Folders' page How to navigate the 'Folders' page How to work with documents from the 'Folders' page When a Doc Exec Web Server license is assigned, the 'Folders' page displays at logon. Access to documents and other product features in Océ Engineering Exec Web Client is done through the folder structure of the application. In the Windows client application, users can develop the folders with subfolders. There are two scopes for subfolders, user and world. A user folder contains the objects organized by each users. When a user logs on Océ Engineering Exec Web Client, the user only sees the folders that the user created in the Windows client. An administrator creates a world folder. 23 Folders A user can do the following from the 'Folders' web page. Add documents and folders to a print job Look at the documents as full size images and as scalable images Export the documents from the vault Look at and edit the document properties Look at and add document comments Look at the folder properties Documents list The 'Documents' list of the 'Folders' page displays all documents contained in a selected folder. At logon, the 'Documents' list defaults to the 'Documents' root folder. Each folder displays as a link. Check box A check box displays to the left of folders and documents. Select the check box for an object to do an action with the object. Object Type An icon displays for each item in the 'Documents' list. An open yellow folder is a root folder with a user scope. An open yellow folder with a globe is a folder with a world scope. An open blue folder is a dynamic folder. A piece of paper is a document. Folders Web Page 23

24 Status boxes The three small boxes that display for a document show the revision status, document status and image status for the document. The first box displays the Revision Status. The second box displays the Change Status. The right box displays the Image Status. The following table describes the status values. [1] Color Status Color Status Value White The current revision of the document The document does not contain status information The document has an image. Red Revision Status The document is an older revision of the document. Blue Change Status The document has information in the 'Object Change Status'. 25 Checked Out documents A document icon displays for each document. The icon represents the 'Check Out' status. The following table describes each icon. [2] Check Out status icons Component Function A document icon with a green check mark displays for a document that is checked out of the Océ Engineering Exec vault and all processes associated with the check out completed successfully. In a centralized system, a document icon with a yellow check mark displays for a document that is checked out of the Océ Engineering Exec vault and has a pending check in approval status in 'Advanced Import and Index'. A document icon with a red check mark displays for a document that is checked out of the Océ Engineering Exec vault and the file conversion process failed. [2] Check Out status icons Thumbnail Image When you look at the page with thumbnails, a thumbnail image displays in the row for the document. Internal Name The internal name of the folder or document displays for all objects in the 'Documents' list. Folders Web Page 25

26 How to navigate the folder structure Introduction The 'Documents' list of the 'Folders' page displays all documents contained in a selected folder. At login, the 'Documents' list defaults to the 'Documents' root folder. Each folder displays as a link. Navigate the folder structure 1. Click the folder link in the 'Documents' list. The contents of the folder display in the 'Documents' list. 27 How to work with the links of the Folders title bar Introduction The title bar of the 'Folders' page provides the links to refresh the web page contents, search the folder contents and change how the 'Documents' list displays. A user can search for a document from the 'Folders' page and display the contents of the folder that contains the document in the 'Documents' list. 28 Refresh the contents of the Folders page 1. To refresh the contents of the 'Folders' page, click the 'Folder Refresh' link. The 'Documents' list refreshes and the most current contents of the 'Documents' folder display. Search a folder for documents and subfolders 1. Click the 'Folder Search' link. 29 2. Enter the folder name in the 'Folder Name' field or the document name in the 'Document Name' field. 3. Click the 'Search' button. If you require the contents of the folder to display in the 'Documents' list of the 'Folders' page, click on a folder or document in the 'Folder Search' window. 5. 30 How to change the display of the Documents list Introduction The users can select to see thumbnail images of the documents in the 'Documents' list. View thumbnails 1. 32 Folders Select menu Introduction The 'Folders' page displays the 'Select' menu at all times. Add documents and folders to a print job Look at the documents in the vault Export the documents from the vault Look at the document and folder properties Look at and add document comments Edit the properties of documents. From the 'Documents' list of the 'Folders' page, you can move to a folder that contains documents or folders and do the above actions. 32 Océ Engineering Exec Web Client

33 The Select menu The 'Select' menu is available from most web pages. The functions of the menu change according to the actions of the user and which web page displays the menu. Folders Web Page 33

34 How to add items to a print job Introduction Users can add documents and the contents of a document folder to a print job from the 'Folders' page. Add items to a print job 1. From the 'Documents' list, click on the folder links to move to the folder that contains the items to add to the print job. 2. Click the check box to the left of the item or items. You can select any combination of one or more documents and folders. To select all items in the current folder, click the check box to the left of the 'Select' menu. 3. Click the 'Select' menu. 4. 35 How to view documents from the Folders page Introduction From the 'Documents' list of the 'Folders' page, a user can look at the documents in the vault as scalable images and full size images. The system administrator sets the view options from the 'Administration' page. View an image as a scalable image 1. Click the check box to the left of the items to view. You can select one or more items. Click the check box to the left of the 'Select' menu to select all items in the list. 2. Click the 'Select' menu. 3. Select 'View document as scalable image'. Use the 'Fit to Window', 'Reduce', 'Magnify' and 'One to One' buttons to change the image view. 6. When you finish, select 'Close'. Folders Web Page 35

36 View an image full size 1. Click the check box to the left of the items to view. You can select one or more items. Click the check box to the left of the 'Select' menu to select all items in the list. 2. Click the 'Select' menu. 3. Select 'View document full size'. The 'Document View' window displays. 4. Select an item in the left pane of the 'Document View' window to see the image in the right pane. 5. Use the 'Fit to Window', 'Reduce', 'Magnify' and 'One to One' buttons to change the image view. 6. 37 How to export documents from the Folders page Introduction When you have the correct security permissions, you can export a document stored in the Océ Engineering Exec vault. When you export a document, you move a copy of the image file from the vault to a location you select. This feature enables you to use an image outside of the vault. Note: The documents are exported in their native format. The name that was used to archive the document is the name that is used when it is exported. Exported Documents When you export a checked out document with the 'Export' feature, the document exports as follows. If you are the user who checked out the document or you have administrative permission, you receive a copy of the original image. If you do not have administrative permission and are not the user who checked out the document, you receive a copy of the annotated version of the image. Note: From the 'Documents' list of the 'Folders' page, you can move to the folder that contains the document to export. Folders Web Page 37

38 Export a document 1. Click the check box to the left of the document or documents to export. You can select one or more documents. Click the check box to the left of the 'Select' menu to select all of the documents. 2. Click the 'Select' menu. 3. Select 'Export Document'. The 'File Download' dialog box displays. The 'Save As' dialog box displays. 5. Move to the folder to save the file. 6. Click the 'Save' button. When the download is complete, the 'Download Complete' dialog box displays. 7. Click the 'Close' button. The 'Document View' window displays with a list of the selected documents. 8. Select the next document to download. The 'File Download' dialog box displays. 9. Repeat steps 4 to 8 until all documents are downloaded, then click 'Close' on the 'Document View' window. 38 Océ Engineering Exec Web Client

39 How to view document properties from the Folders page Introduction From the 'Documents' list of the 'Folders' page, you can move to a folder that contains a document and look at the properties of the document. View document properties 1. Click the check box to the left of the document or documents to look at the document properties. You can select one or more documents. Click the check box to the left of the 'Select' menu to select all the documents. 2. Click the 'Select' menu. 3. Select 'Go to Document Properties'. The 'Document Properties' window displays. Select the 'Attributes' and 'Change Status' links to look at the properties of the document. 6. Repeat steps 4 and 5 for each document. 7. Click 'Close' after you look at the properties. 40 Document Properties window Introduction The title bar of the 'Document Properties' window contains the 'General', 'Attributes' and 'Change Status' links for the document selected in the left pane. The General Link You can look at the properties of the 'General' link, but you cannot edit the properties. The 'General' link displays the following properties. [3] General Link of the Document Properties window Property 'Class' 'Description' 'Internal System Name' 'Created by' 'File Type' 'Size' 'Date Created' 'Date Edited' Function The class name of the document. The class description of the class of the document. The Object_Name that is defined for the class. The user name of the user who added the document to the vault. The original file type of the document. The original size of the document. The date that the document was imported into the vault. The date that the attributes of the document were last edited. [3] General Link of the Document Properties window Attribute Values The 'Attributes' link displays the attribute values for the selected document. The class of the document establishes the attributes that display. Users can see the attributes and edit some of the attributes on the 'Attributes' link. Change Status The 'Change Status' link displays the 'Internal System Name' and the 'Change Status Text'. You cannot edit the 'Internal System Name', but you can edit the 'Change Status Text'. 40 Océ Engineering Exec Web Client

41 How to edit document properties from the Folders page Introduction After you find a document in the folder structure, you can edit the attribute values of the document. Edit document properties 1. Make the changes to the attribute values. 4. Click the 'Apply' button to save the changes. Note: You must click the 'Apply' button before you move to another link or close the window. 43 Document Comments Window Introduction When you open the 'Document Comments' window, the comments for a selected document display. The comments order from most current to the oldest on the right side of the window. Left Pane The left side of the 'Document Comments' window displays the documents. When you select a document, all revisions of the document display below the document. You must select one document before you can add or view 'Document Comments'. You cannot select more than one document at the same time. Use the scroll bars or maximize the 'Document Comments' window as needed. Right Pane The right side of the 'Document Comments' window displays the comments added with the 'Add Comments' function and the 'User Comments' and 'System Comment' added for 'Check In', 'Check Out' and 'Undo Check Out'. Use the scroll bars to move through the comments of the selected document. Folders Web Page 43

44 How to view and add document comments Introduction The 'Document Comments' function is available in the Océ Engineering Exec Web Client from the 'Folders', 'Vault Search', and 'Job Ticket - Documents' web pages. This function allows a user to look at and add comments to a document. View Document Comments 1. Click the check box to the left of the document or documents to look at the document comments. You can select one or more documents. Click the check box to the left of the 'Select' menu to select all documents. 2. Click the 'Select' menu. 3. Select 'Go to Document Comments'. The 'Document Comments' window displays. 4. Select a document on the left side of the 'Document Comments' window. All revisions for the selected document display in a list below the document. 5. Select a revision. The comments for the selected revision display. 6. Add comments to the document or click 'Close' to exit the 'Document Comments' window. 45 Add Document Comments 1. View the document comments. 2. Click the 'Add Comments' link. 3. Enter text in the empty text field. 4. Click the 'Apply' button to save the changes. Note: You must click the 'Apply' button before you move to another link or close the window. The changes do not save until the 'Apply' button is clicked. Folders Web Page 45

You can select one or more documents. To select all documents in the current folder, click the check box to the left of the 'Select' menu. 3. Click the 'Select' menu. 4. 69 How to export documents from the Vault Search page Introduction When you have the correct security permissions, you can export a document stored in the Océ Engineering Exec vault. When you export a document, you move a copy of the image file from the vault to a location you select. This feature enables you to use an image outside of the vault. Note: The documents are exported in their native format. The name that was used to archive the document is the name that is used when it is exported. Exported Documents When you export a checked out document with the 'Export' feature, the document exports as follows. If you are the user who checked out the document or you have administrative permission, you receive a copy of the original image. If you do not have administrative permission and are not the user who checked out the document, you receive a copy of the annotated version of the image. 70 Export a document 1. Click the check box to the left of the document or documents to export. You can select one or more documents. The comments order from most current to the oldest on the right side of the window. Left Pane The left side of the 'Document Comments' window displays the documents. When you select a document, all revisions of the document display below the document. You must select one document before you can add or view 'Document Comments'. You cannot select more than one document at the same time. Use the scroll bars or maximize the 'Document Comments' window as needed. Right Pane The right side of the 'Document Comments' window displays the comments added with the 'Add Comments' function and the 'User Comments' and 'System Comment' added for 'Check In', 'Check Out' and 'Undo Check Out'. 76 How to view and add document comments Introduction The 'Document Comments' function is available in the Océ Engineering Exec Web Client from the 'Folders', 'Vault Search', and 'Job Ticket - Documents' web pages. This function allows a user to look at and add comments to a document. View Document Comments 1. Click the check box to the left of the document or documents to look at the document comments. You can select one or more documents. Click the check box to the left of the 'Select' menu to select all documents. 2. Click the 'Select' menu. 3. Select 'Go to Document Comments'. 78 Check In / Check Out Overview of Check In / Check Out Introduction The 'Check In / Check Out' features provide users with the capability to lock a document in the Engineering Exec system while the user makes changes to the document. These features help to protect the integrity of the document vault. The Engineering Exec system keeps a log of all 'Check In', 'Check Out', and 'Undo Check Out' processes. Centralized Check In / Check Out System In a 'Centralized' system, the 'Check In' process and approval of the image for import are separate actions. After a user checks in a document through 'Add Documents' or the web client, the Engineering Exec system puts the document in 'Advanced Import and Index' for review. Another user approves and imports the document from 'Advanced Import and Index'. Normally, one user checks the document in and a different user approves and imports the image. Decentralized Check In / Check Out System When a user checks in a document in a 'Decentralized' system, the approval and import of the document into the vault is immediate. Check Out A user can check out a document from the Engineering Exec vault and make changes to the image. The other users can view, print and export a checked out document, but cannot make changes. The users can only check out the current revision of a document. 'Check Out' processes occur from Web Clients and 'Add Documents' in the 'Doc Exec Pro Client', 'Electronic Job Ticket' and 'Set Print Manager'. The Engineering Exec system provides an annotation feature that the system administrator sets for the 'Check Out' process. The annotation feature assigns what a user sees when the user views, prints or exports a checked out document. 78 Océ Engineering Exec Web Client

79 Annotation Process In the Engineering Exec system, an annotation is a note that overlays the image of a document that is checked out of the vault. When a user accesses a checked out document from an Engineering Exec product and the system administrator assigned an annotation, the user receives a copy of the image with the annotation. The system administrator manages the annotations from the 'System Settings' utility. File Conversions When the system administrator selects an annotation setting that requires file conversion, the conversion or annotation process can fail. The processes can fail for the following reasons. The file format is not supported The document does not exist The document is in use An error occurs with the application of the annotation Note: If an error occurs during the annotation process, a blank page with the error message 'The document is checked out. The file conversion failed' displays. Accessing images during the annotation process When a user views, prints or exports a document that is in the 'Check Out' process and the annotation process is not complete, the user receives a message to tell the user that the image is not available and the image is in the annotation process. Check In When all changes are complete on a checked out document, an administrator or the user who checked out the document can check the document back into the system. You can replace the image of the document, revise the image or save the image as a new document in the vault. 'Check In' processes occur from the Web Clients and 'Add Documents' in the 'Doc Exec Pro Client', 'Electronic Job Ticket' and 'Set Print Manager'. Vault Search Web Page 79

80 Undo Check Out When a user checks out a document from the vault by accident, that user or an administrator can undo the 'Check Out'. The 'Undo Check Out' process reverses the 'Check Out' process. The document attributes and image do not change. 80 Océ Engineering Exec Web Client

81 How to Check Out documents Introduction A user with 'Check Out' permission can check out a document stored in the Engineering Exec vault from the 'Add Documents' dialog box in an Engineering Exec client application or from the 'Vault Search' page of the Web client. You can check out the following types of documents. Documents that are in the 'Documents' class or classes created from a base of the 'Documents' class The most current revision of a document Check Out documents 1. Click the check box to the left of the document or documents to check out. You can select one or more documents. Click the check box to the left of the 'Select' menu to select all documents. 2. 82 4. Click the check box to the left of one or more documents in the 'Check Out' window. Click the 'Select All' check box to select all documents. Note: The status bar displays the number of documents selected. 5. Complete the 'Check Out Comments' section. If 'Required' displays with 'User Comments', you must click in the 'User Comments' field and enter information. If 'Optional' displays with 'User Comments', you can enter information or not enter information in the 'User Comments' field. Note: To cancel the check out procedure and close the 'Check Out' window, click the 'Close' button before you click the 'Check Out' button. 6. Click the 'Check Out' button. The documents that check out correctly are removed from the 'Check Out' window. Note: If an error occurs during 'Check Out', correct the errors and check out the document again. 84 Check Out Documents for Check Out The left side of the 'Check Out' window displays the documents you selected from the search results of the 'Vault Search' page. A document icon displays to the left of the select box for each document. The icon represents the 'Check Out' status. Checked out documents display with a red check mark. Use the scroll bars or maximize the 'Check Out' window as needed. Note: You cannot export an image during 'Check Out' from the Océ Engineering Exec Web Client. Export an image from the Web Client You cannot export a document during the 'Check Out' process from a Web client. If you require a copy of the image exported locally, export the document before or after you check out the document. You export the image from any of the web pages that provide the 'Export Document' option. Check Out Errors Only documents with correct 'Export Information' and 'Check Out Comments' check out. When an error occurs, the documents with the errors display with an error icon and the labels of the fields with errors display in red text. Note: Other errors can occur during a 'Check In / Check Out' process. You receive an error message for these errors. The error message provides information about the error and the action or actions needed to correct the error. System Comment for Check Out The Engineering Exec system generates the 'System Comment' in the 'Check Out Comments' section. You cannot change the 'System Comment'. The 'System Comment' contains the date, time and user name. 85 User Comments for Check Out The System Administrator can require a user to enter comments during a 'Check Out' procedure. If the 'User Comments' are required, 'Required' displays. If the 'User Comments' are not required, 'Optional' displays. The 'User Comments' apply to all documents selected for 'Check Out'. 87 How to check in documents Introduction When a user finishes with a checked out document, the user must check in the document. A user with 'Check In' permission can check in a document from the 'Add Documents' dialog box in an Engineering Exec client application or from the 'Vault Search' page of the Web client. Check In documents 1. Click the check box to the left of the document or documents to check in. You can select one or more documents. 90 Check In Introduction The 'Check In' window has two possible titles 'Check In' 'Check In Pending Approval' Check In Window When the Engineering Exec system is setup as a 'Decentralized' system, a user checks in the document with 'Add Documents' or the Web client and the import occurs immediately. The title of the window is 'Check In'. Check In Pending Approval window When the Engineering Exec system is setup as a 'Centralized' system, a user checks in a document with 'Add Documents' or the Web client, but the approval for 'Check In' and import occurs from 'Advanced Import and Index'. The title of the window is 'Check In Pending Approval'. Documents for Check In The left side of the 'Check In' window displays the documents you selected from the search results of the 'Vault Search'. You must select one document before you change the 'Check In' information and 'Check In' the document. You cannot 'Check In' more than one document at the same time. Use the scroll bars or maximize the 'Check In' window as needed. Source Image You must use the 'Source Image' Browse button and browse to the location of the document image and select the image file. 91 Check In Type The 'Revise' and 'Replace' options display when 'Duplicate Checking' and 'Revision Checking' are enabled. The 'Save As New' and 'Replace' options display when 'Duplicate Checking' and 'Revision Checking' are disabled. Note: If the System Administrator has disabled 'Replace' in 'System Settings', the 'Replace' option is not available. Revise Select 'Revise' to add the new image to the vault and keep all of the key attribute values except the 'Document_Revision'. You must enter a new value in the 'Document_Revision' field in the 'Document Attributes' section. Replace Select 'Replace' to replace the original document in the vault with the new image. You cannot change any of the key attributes. If the system administrator disabled the 'Replace' option, the option displays, but is not available to select. Save As New Select 'Save As New' to add the new image to the vault. You can change any of the attribute values in the 'Document Attributes' section. Document Attributes The 'Document Attributes' section shows the current values of the attributes for the selected document. When you undo a 'Check Out', the status of the document in the vault changes to 'Checked In'. Changes do not occur to the image in the vault or the attributes. 105 How to create and submit print jobs Introduction If a default job name is not set on the 'User Settings' page, the user must give the print job a name. The user must enter a name in the 'Job Name' field and optionally enter notes in the 'Job Notes' field. As the user moves through the pages of the 'Job Ticket', the 'Job Name' and 'Job Notes' display on all job ticket pages. Checked out documents You can print checked out documents. If the system administrator enabled the 'Alert user when printing a checked out image' setting, you do not receive a warning message before the documents print. See your system administrator for information about how your system is set up. Add files to a print job 1. Click the 'Add file' button on the 'Job Ticket - Documents' page. 123 How to add recipients to print jobs Introduction Before you submit your print job, you must add the recipients to your print job. Add recipients to a print job 1. Select the check box to the left of one or more recipients in the 'Available Recipients' list. To select all available recipients, select the check box to the left of the title 'Available Recipients'. 2. Click the 'Add Recipients' button. The selected recipients are added to the print job and the recipients display in the 'Recipient Name' list. 125 The Pickup queue Introduction You can select the 'Pickup' queue from the queue list for one or more recipients. If you select the 'Pickup' queue, you must enter a pickup queue password when you submit the print job. Note: The pickup password is not set from the 'Job Ticket - Recipients' page. You set the password after you submit the print job. The following procedure describes how to set the pickup password after you click the 'Submit Job' button. Set the Pickup password 1. After you click on the 'Submit Job' button of the 'Job Ticket' page, the 'Set Pickup Password' box displays in the center of the web page. Enter a password in the 'Password' field. When a non-administrator user logs on to the web application, the 'Administration' page is not available. An administrator defines audit rules, system wide settings, image processing and web page navigation rules from the 'Administration' page. The left pane of the 'Administration' page displays the administration nodes. To look at the options for a node, the user must click on the plus sign to the left of the node.
