5 CAT for the Supervisor Topic 1: Using CAT for the System Owner The System Owner has the highest level of access and authority in CAT Enterprise. This manual will cover the functions that are unique to the System Owner. Your Role as the System Owner The System Owner has all the functionality available to the Participant, Supervisor, and Administrator, along with some additional functions no other role possesses. Because the System Owner has unrestricted access to all the functionality in CAT, this role is usually limited to one person. The Tools Menu contains the functions unique to the System Owner. These include Custom Properties Editor, Competency Map Update, Development Activity Update, Role Permissions, and Site Configuration functionality. The System Owner has two main responsibilities: Maintaining all changes that affect the application s operation or appearance Creating Report Templates that will be shared Navigating the System Owner Homepage When you log in as a System Owner, your homepage will look similar to the image in Figure 1. 6 Topic 1: Using CAT for the System Owner You have the option of displaying a Position tree in a left frame window on your homepage and other pages. To display the Position tree, click on the small arrow at the left edge of the screen (2). This tree contains the Positions that have been assigned to you. The left frame can be expanded or collapsed, making the main screen wider. Put your cursor on the middle of the movable bar or splitter between the left and main screens then click and drag to expand or collapse the left frame. Figure 2 About the Tools Menu To access the System Owner functions, move your cursor over the Tools button on the menu bar (Figure 33). A list of five functions will be displayed: Custom Properties Editor, PetroSkills Competency Map Update, PetroSkills Development Activity Update, Role Permission Set Editor, and Site Configuration Editor. 2

11 CAT for the System Owner Topic 2: Custom Properties Editor The Custom Properties Editor allows either additional information to those who can view an object s properties or additional options for report filtering. The Custom Properties Editor allows you to: add, edit, or delete Custom Properties for Development Activities, Maps, Positions, Skills, Skill Descriptions, and Skill Groups; include additional entry field(s) to be setup for tracking/information/standards. Tip: If the information in the Custom Properties Editor cannot be maintained and updated for a specific property, or there is no clear ownership of that data for updating CAT, the property should not be added to the system. To access the Custom Properties Editor, click the Custom Properties Editor link under Tools in the menu (Figure 55). Figure 5 Adding a Custom Property To add a Custom Property: 1. Right-click on the tree object you want to add a Custom Property to, and click on the Add Custom Property link that appears (Figure 6). This will display the Custom Properties Editor screen. 5

On the Custom Properties Editor screen, type in the Property Name and Property Description; select the Property Type from the dropdown menu; type in the Validation and any Default Value you want to be shown. The Enabled box is checked by default (Figure 7). These fields are explained in more detail below. Tip: Each time you add or remove data from each field, it is saved automatically. Figure 7 6

13 CAT for the System Owner Property Types There are four Property Types: String - text value. Numeric - number value. Date - displays a date selection calendar to let a user select a date. Boolean - creates two radio buttons with a true/false caption. Validation This limits data entry based on the property type selection. Validation of the Custom Properties data will be based on the custom property type selected. When a certain data type is selected, a default validation will be entered. This is denoted by bolded text in the table below. 14 Topic 2: Custom Properties Editor Default Value Assigned when a new Custom Property is created. The entered value will be displayed when an Administrator creates a new Object: Positions, Maps, Development Activities, etc. Existing object(s) will be given the default value when it is first created. Changing the default value will not update all objects that have been assigned this value. Enabled When checked, this makes the property active within the system. If this box remains unchecked the System Owner(s) will see this property and only in the Custom Properties Editor. When a Custom Property is created, it is also added to the Role Permission Set Editor for all roles within the Function and Property tabs. No permissions are granted by default, so leaving a custom property Enabled still requires that you update the Permission Sets appropriately. Note: If the view/edit permissions have not been decided for all roles, the custom property should not be created. Renaming or Removing a Custom Property To rename a Custom Property: Right-click on a Custom Property name in the Objects tree, then click on Rename in the popup menu (Figure 8). To remove a Custom Property: Right-click on a Custom Property name in the Objects tree, then click on Remove Custom Property, or you can click on the Delete Custom Property icon, indicated by a red X in the upper right corner (Figure 8). 8

19 CAT for the Supervisor Topic 3: PetroSkills Development Activity Update The Development Activity Update is a means to synchronize all official PetroSkills Development Activities on client databases with the master PetroSkills database. This feature is only available to the System Owner, and updates will be provided by PetroSkills Support when they are available. The Development Activity Update allows an XML file upload, so that Development Activities can be created, updated, and archived as appropriate. Uploading an XML File To access the PetroSkills Development Activity Update, click on its link under Tools in the menu (Figure 9). Figure 9 You will now see the Development Activity Update page (Figure 10). Click on the Click to select xml file button to open the file upload screen. You can then choose an XML file to upload. Figure 10 A popup dialog box will appear. Click on the Browse button and select a Development Activity XML file, and then click the OK button (Figure 11). 11

25 Topic 4: PetroSkills Competency Map Update The Competency Map Update is a means to bring individual alliance Maps within your site in line with the latest version. This feature is only available to the System Owner, and update files will be provided by PetroSkills. The Competency Map Update allows an XML file upload and comparison, so that Maps, Skill Groups, Skills, Skill Descriptions and Development Activity links to Skill Descriptions can be created, removed, and updated as appropriate. Before Updating Before updating any Competency Maps, the Development Activities should be updated to ensure that all Development Activity links to Skill Descriptions can be updated. If the Competency Map update will impact existing positions, it will be necessary to coordinate the timing of the update and any Position edits required with your internal stakeholders. These updates will affect existing Positions as described below: Competency Map Skill Group Skill Skill Description New Moved Removed No effect on existing N/A N/A Positions. No effect on existing Positions. No effect on existing Positions. If created within an existing Skill, it will be set as Required on a Position by Position basis only if the skill descriptions to the right are required. Skill(s) assigned to Positions will still appear within their Skill Group but will appear within the map the skill group was moved to. The Skill will appear within its new Skill Group / Competency Map. If moved from one skill to another skill, it will be set as Required on a position by position basis only if the skill descriptions to the right are required. Skill(s) assigned to Positions will still appear within their Skill Group but under Unassigned as a map. The Skill will appear under Unassigned. Removed from all Positions 15

26 CAT for the Supervisor Custom Skill Groups and Skills If you have customized a PetroSkills Alliance Map with custom Skill Groups and Skills (with no regional ID), they will not be affected by the Map Update. The following rules apply when updating a Map with custom Skill Groups and Skills: Custom Skill Groups will never be removed The order for custom Skill Groups is left alone by the Map Update, so they still appear in the same order before the update Uploading an XML File To access the PetroSkills Competency Map Update, click on its link under Tools in the menu (Figure 16). Figure 19 This will upload the XML file to your site for the next steps and may take a minute or two. Options For each Competency Map update, several options can be set: Competency Map Sub Classifier One value must be chosen from the drop down list and this will control where the map is located within the tree following the update. Assessment Modification, if any, based on the type of change: Minor Change - Determined by the Curriculum Adviser (CA) network as not significant enough to warrant assessment review. Generally these are wording update for clarification or formatting changes. 17

CAT for the Supervisor Major Change - Determined by the Curriculum Adviser (CA) network as significant enough to warrant recommending that the Skill Description assessments be redone, or a new skill description Unexpected Change - When the comparison is done, anything not flagged as a change within the update but that does not match the current map will appear as an unexpected change. Default assessment changes can be set for each of the above types of change. The default is set to Do Not Change for all three. Once the comparison has run, specific Skill Descriptions settings can override the default at your discretion (Figure 20). Figure 20 Comparison Click the Start Comparison button to start the update. This will compare the update file to your system and return a graphical display of the updates required. If the file is not the correct format, the Map does not need to be updated, or there are errors that would prevent a successful update you will receive one or more error messages. Once the comparison is complete the toolbar buttons are available (Figure 21): Sync Map will update the system Legend Expand / Collapse All Printer Friendly Version Help 18

29 Figure 21 Warnings Will include anything that would not stop the update but that may require some follow up. For example, if there were development activities referenced in the update that do not exist in the system. Information Will list other maps affected by this update. For example, if a skill were to move from one competency map to another, generally this will be 0. Will list all positions that use skills within this map. Competency Map Details The name of the map, expanded one level by default will display a summary of the changes required for each Skill Group (Figure 22): 19 Figure 22

30 CAT for the Supervisor Expanding each Skill Group will display the detailed comparison. For Major, Minor, and Unexpected changes the existing skill will be displayed over the updates with a row separation to display what the change is. For skills being added or removed there is no comparison (Figure 23). Figure 23 If stakeholder input is required, or to provide notification of change, the Printer Friendly Version icon can be used to generate a fixed width HTML view of this comparison. This can then be printed to paper, printed to a driver to create a PDF, or saved as a file. To this point, no changes have been made within CAT. Update After any required stakeholder input has been obtained, the Map update process simply requires that the Map Sync icon be clicked. When the update is complete a Sync Successful message will be displayed. If for any reason the Map update is not completed in its entirety, all changes will be rolled back leaving the Map as it was prior to the update attempt. You ve reached the end of Topic 4. 33 Topic 5: Role Permission Set Editor The Role Permission Editor allows for System Owners to customize roles and access rights within CAT Enterprise. Overview The security structure for CAT Enterprise will use roles, permission sets, and context objects to determine if the person has access to Participant, Supervisor, or Administrative functionality. It is important to note at this point that the System Owner will not be able to create or delete roles. The System Owner can, however, create, manipulate, and delete permission sets that can be assigned to the roles. Roles are static (in terms of creation and deletion) but can be manipulated by changing a role s permission set and context. The terms context, context object, role, permission set, and security policy will be used: Context - What is accessible within the system. There are two context models for the CAT Enterprise system: Supervision and Competency Framework. Within these context models exist context objects. Context Object - A single Position, Competency Map, Development Activity, or Group. For a Position, Competency Map, or a Development Activity, security policies are issued at the Management node level of the classifier and sub-classifier. For a Group, security policies are assigned at the Management and Participant node. Role - A static generalization of a person s functional capabilities within a Position, Competency Map, Development Activity, or a Group. Roles are assigned to the person for a context object. Permission Set - The fine-tuned permissions granted to a given role. Permission sets are assigned to the role for a context object. Security Policy - An association between a role, a permission set, a context object, and a person. System Owners are global to the system and are not associated with any context objects. 23

34 CAT for the Supervisor Functionality To access the Role Permission Set Editor, click on its link under Tools in the menu bar. A selected role will allow viewing criteria permissions, editing criteria permissions, and adding new permission sets. Permission Sets - Add new, duplicate, or delete permission sets for a role. Permission Set Editor Navigation Tabs - Select permissions for permission sets role which include User Interface, Functional, Property, Reporting, and Profile. Role Selector From the Role Selector dropdown menu (Figure 25), you can choose the role you want to View Permissions, Edit Permissions, Duplicate Permissions or Create a New permission set for. The predefined roles in the selector cannot be removed and no other roles can be created. Any number of Permission Sets can be created for each of the roles. 24

35 Figure 25 Tip: If the default permissions set for a role needs to be changed; it is recommended that it first be duplicated. Even if the duplicated permission set is never used it will act as a point of reference for the default system permissions set should you need to compare the two in the future. It is suggested that Permission Sets for Roles that cross multiple contexts have multiple permission sets based on the context object. For example, the Administrator Role would have four Permission Sets: one specific to Position, Competency Map, Development Activity, and Group. Permission Sets A permission set is a subset of the permissions associated with a role. Once you have selected a role from the Role Selector, the default permission set for that role will become visible in the Permission Sets section with the default radio button selected. 25

36 CAT for the Supervisor The Permission Set Editor has five options: Create New Permission Set Edit Permission Name Duplicate Permission Set Delete Permission Set Set Default Permission Set Note: Only one default permission set can be selected per role. This default is assigned automatically to new context objects when they are created. Viewing/Editing Permission Sets To edit a permission set, click in the area anywhere right of the radio button (Figure 26). You will now see checkboxes next to each Criteria Object in each of the permission set criteria tabs. By checking and un-checking the boxes you are setting the permissions on the abilities of that permission set. This function has an auto-save capability as you check and uncheck boxes. 37 Creating a New Permission Set Click on the Create Permission Set icon to create a new permission set (Figure 27). The permission set criteria will be displayed in editable mode for each of the tabs. From here you can make necessary permission criteria selections for your new permission set. Figure 27 To rename a permission set, click on a highlighted permission set name, and then click the Edit Permission Name button. The name becomes editable as shown in Figure 28. Type in a new name and hit Enter to save. Figure 28 Duplicating a Permission Set This function is the same as the new button except the permissions selected by default are identical to the permissions of the previously selected permission set. To duplicate a Role Permission Set (Figure 299): 1. Select the Role Permission Set you want to duplicate. It will be highlighted in blue. Note: The radio button indicates the default permission set. Highlighting a permission set simply selects a permission set. 27

38 CAT for the Supervisor 2. Click on the Duplicate icon. Figure 29 A copy of the Permission Set you chose previously will be duplicated and will show as a Copy of that permission set (Figure 30). You can rename the duplicate permission set and make changes to the permission set criteria. Figure 30 Deleting a Permission Set To delete a Permission Set (Figure 311): 1. Select the Permission Set you want to delete. 28

39 2. Click on the Delete icon, indicated by a red X, to remove the permission set along with its associated permissions permanently. Note: A permission set cannot be removed if it is currently being used within the system; furthermore, a permission set cannot be removed if it is the last permission set for the selected role Figure 31 Setting a Default Permission Set The default permission set to be used by the system is identified by having the radio button selected in the Default column. After creating a new permission set(s) you can choose which set will be used as the default permission set by clicking the Default button (Figure 32). Only one default permission set can be selected per role. Note: Changing the default permission set does not change any existing assignments of the permission set to the context object. 29

40 CAT for the Supervisor Figure 32 Permission Set Editor Navigation Tabs Navigation tabs are used for setting permissions for the permission set selected. The control tabs include User Interface, Functional, Property, Reporting, and Profile (Figure 33). Figure 33 30

41 User Interface Permissions Controls access to areas within the system. (When Competency Inventory, Gap Analysis, Activity Profile, and Development Plan are disabled, this will not only prevent access to these areas, but the corresponding tabs will not appear for anyone viewing a Learner s profile.) Functional Permissions Controls access to functionality within the system. Property Permissions Controls whether one can view or edit a property of an object within the system. Reporting Permissions Controls access to reports and report functionality within the system. Profile Permissions Controls whether one can view or assign person profile data. 47 Topic 5: Site Configuration Editor Topic 6: Site Configuration Editor Site Configuration settings are options that affect all users within the system. The System Owner controls these settings. To access the Site Configuration Editor, click the Site Configuration Editor link under Tools in the menu bar (Figure 34). For example, in Figure 37 Development Plan is selected in the System Options tree, and its options for configuration are displayed in the main screen under the Options tab. Depending upon the option selected, the New, Edit, Delete and Save icons will be available as appropriate. For simple options that are either text, Yes/No, True/False, or dropdown selection, the edit automatically saves when either is selected or after a field edit exit. Create New Edit Delete Save 38
