Introduction The aim of this comprehensive guide is to help you get started with the usage reports web environment, by showing the essentials of working with the Scopus and Science Direct web environment usage reports. It is designed for first time users to find the right report by explaining which report holds what content,elaborating on the most important terms. As a Scopus/ScienceDirect customer you have certain privileges. One of which is the possibility to track the usage of the two platforms for your account. Elsevier automatically tracks and stores all Scopus/ScienceDirect usage 24 hours a day, 7 days a week. Every month, a comprehensive selection of this tracking data is made available through the usage reports. Every customer thus, gets access to his or her personal usage data. Elsevier provides COUNTER compliant reports and additional reports that are produced according to the same quality standards. Without going into further unnecessary details, let s continue by logging in to the usage reports web interface. Login related To login to the usage reports, you must navigate to usagereports.elsevier.com and enter your obtained username and password into the designated fields. In the case you ve lost your password and/or username? Just click on the lost username/password button to retrieve it, which should take no longer than five minutes. First navigation As stated previously, you will have access to specific reports and platforms, depending on your subscriptions. If you have subscriptions on both Scopus and ScienceDirect, you will have access to an overview page right after logging in. 6 If you are subscribed to 1 platform, the above overview page will not show and you will be directed to the reports overview. When clicking on any folder, your location in the folder hierarchy will be shown in the grey bar at the top of your screen. Click on any of the blue, underlined titled folder locations, from there you can restart your search through the usage reports. Click on Platform Overview to change between platforms. 7 Part 2. Reports overview Types of reports Finding the relevant report can be rather complex during your first visit to the web environment usage reports. This chapter contains an overview on the different reports across both Science Direct and Scopus which should help you get started. Extensive descriptions of every report available in both ScienceDirect and Scopus are accessible at usagereports.elsevier.com. There are two extensive guides. One for each platform. N.B; Not every user will see the same reports in each folder. Some reports can only be accessed by certain users. This is done deliberately as we only want users to see the reports that are relevant for them and them only. Therefore, there is a possibility that some of the discussed content is unavailable for your account. In the following pages, you will find the explanation of the ScienceDirect reports first, followed by an explanation on Scopus reports. We recommend you log in and scroll through the web environment while reading the explanation of the report of your choice. If you cannot use your own login credentials yet for whatever reason, but still want to take a look at the reports, please login with username demo and password demo. ScienceDirect usage reports 1. Journals Reports in this folder contain information on the usage of journals within the user s subscriptions. The folder contains a maximum of nine reports of which four are COUNTER compliant. The distinctions within these reports are based on: - Text type: abstracts and/or full text articles. - Entitlements: There are numerous types of titles, categories of journals available within your subscription. For example, backfiles are uploaded journals that date back from before 1995 and a lot of journals are categorized by their specific content and gathered in the entitlement subject collection. You can narrow down the amount of data shown in your reports by selecting one of these titles. Basic Usage Guide on how to get you started on the Elsevier usage reports web environment. 3
8 2. Books & Reference works Reports in this folder contain information on the use of books and reference works. The folder contains a maximum of nine reports, of which four are COUNTER compliant. Some jargon asks for a short introduction. - Section request (report BR2): you can download different chapters of a single book. A section request is the download/usage of a book chapter. 3. Search reports Reports in this folder contain information on search queries are carried out by users within the range of your subscription. The folder contains a maximum of four reports, of which two COUNTER compliant. Some jargon asks for a short introduction. - Federated searches: these are search queries done from another search engine than the ScienceDirect home page. When an article is stored within ScienceDirect is being shown in the search results, the article will be counted into this metric. o N.B : federated searches originate only from Elsevier partner search engines. Searches being done from other, sometimes larger, search engines such as Google Scholar will not be counted in. - Sessions: A session begins from the moment a user clicks on at least 1 link on When a user is inactive for more than 30 minutes, the session will automatically end. Overview reports Reports in this folder contain information on a set of important general indicators of the use of ScienceDirect within your organization, such as the total amount of searches done, the amount of active users and the amount of abstracts viewed. The folder contains a maximum of six reports, of which zero are COUNTER compliant. - File type (report 4d): different types of files refer to different categories of articles. All articles can be viewed as a PDF file. An HTML file generally indicates an article from post 1995, from which the original article was being published digitally. Pre 1995 articles are available as abstracts and references, which do not appear as a full text article 5. Navigation reports Reports in this content folder contain information on the use of the url within your organization. The question: how do users find their journal/article/book/other search result? is answered in this report. In other words, they show the search process users used to reach their results list. The folder contains a maximum of five reports, of which zero are COUNTER compliant. Two reports require some elaboration. - 5a: This shows the amount of people that have reached their search results by typing a query on in contrast to other search engines (federated searches). - 5b: Users can set automated alerts. When such an reaches the user, the user will click on the link within this , subsequently 1 alert is being counted in this report. 10 Scopus usage reports 1. Overview reports Reports in this folder contain information on the most important general indicators of the use of Scopus within your organization, such as the total amount of searches done on the amount of active users, the amount of abstracts viewed etcetera. This folder contains the COUNTER compliant report. 2. Search reports Reports in this folder contain more detailed information on the type of search queries users have performed. On there are numerous search options, such as advanced search and author search. Reports within this folder show the counts of the usage of all of these options. Reference and linking reports Reports in this folder contain information on the following two usage topics; - Inward linking: usage of links that lead to Scopus from other sites - Outward linking: usage of links within Scopus that lead to external sites 4. Analytical tools reports Reports in this folder contain information on the use of the Scopus analytical tools. This includes usage of author profile, affiliation profiles, citation overviews, author, journal and results analyzers. 13 Part 3. Working with the reports The Elsevier web environment usage reports provides several easy to use tools when working with reports. With these tools you can sort your report, visualize your data, export your report, print your report and you can also choose how much of data you want shown. In the following few pages, there will be a brief evaluation on these five tools Amount of data being shown You can create a more comprehensive view of your data by showing only parts of the available content. Create a different overview by using the page by drop down menus (see screenshot below): different reports show different sort by menus, you can use this to limit your amount of data to a certain extent. Take a look at figure 1 on where to find these menus. Choose the amount of data being shown - metrics Choose the amount of data being shown - account Sort your report You can sort the data in your report in the following two ways. - Quick sorting ascending or descending: In order to do this, you must click on the small arrows shown next to or underneath each column title. - More extensive sorting: to do this, click on the data button and select sort. Sort your data as desired in the prompt that pops up. Take a look at figure 2 to see where to find these menus. 14 Visualize your data The web environment usage report offers a way of visualizing your data. You can click on the graph icon in the report bar. By clicking here, you will find your data is visualized in a comprehensive graph. You will find the same sorting and exporting options in the above image as you would in the grid view. There is a third way of visualizing your data, also accessible from the report bar. It is a combined view of both the graph and the grid in one display. 15 Export your report You can export your report in to four different formats; Excel, PDF, CSV and HTML. To do this, click on the home button in the menu and select export. Click on the desired format and your data file will automatically start exporting. The second way of exporting your data file goes as follows, click on the small export icon in the report bar, select the desired format(s) and other options in the prompt will pop up, finally click on export. Take a look at figure 3 to see where to find these menus. In case the report contains a page by, you can select the expand all page by fields option in the export options screen to export all report data in one go. Print your report There are two ways to reach the prompt print. The first way is by clicking the print icon in the report bar and the second way is clicking the home menu and clicking print. Both ways will open the same prompt print. In the prompt you can change the header and footer of your report. The printing options are limited, so in order to get more printing options, export your file to the desired format and use the printing options in the exported file.
