Conventions Typographical The following table explains the typographical conventions used in this guide. Convention Application Bold User interface controls, commands, and keywords in body text. italic Represents an input field where user input is expected. < > Generic parameters that must be replaced by specific code or text. Icons The following table explains the icon conventions used in this guide. Convention Application Note: This icon designates a note or helpful suggestion or reference relating to the surrounding text. Best Practice: This icon designates a suggestion for best practice relating to the surrounding text. Alert: This icon designates a warning or alert relating to the surrounding text. In this situation, the user should exercise caution to avoid an undesirable result. Page 3 of 22

4 1 About GlobalLink Translation & Review Portal GlobalLink Translation & Review Portal (TRP) revolutionizes the way organizations manage their translation projects and internal reviews of translated content. GlobalLink Translation & Review Portal is a web-based application that provides translators with a collaborative environment to translate content with an integrated Translation Memory and Glossary. The translated content can then be proofread and reviewed by globally distributed client reviewers who can review, revise, and comment on translations with an integrated glossary checker and filters designed to streamline the entire review process. The Translator, Proofreader, Reviewer and Language Manager could be a vendor or organization user who translates source content and reviews and proofreads target content. They could also use an integrated translation memory and glossary. 5 2 Getting Started This section includes basic information that will help you get started with the GlobalLink Translation & Review Portal. Browser Support Screen Resolution Logging In Requesting a Password Reminder GlobalLink Translation & Review Portal Dashboard Browser Support GlobalLink Translation & Review Portal is supported by the following web browsers: IE9, Mozilla Firefox Autoupdate and Google Chrome. Additionally, a minimum 5Mbps internet connection speed is recommended. Screen Resolution The tool supports a minimum screen resolution of 1366 x 768 pixels. Logging In When the System Administrator creates a GlobalLink Translation & Review Portal (TRP) user account, an notification is sent to the user. The notification includes the TRP URL, submission name, user name and temporary password. When you login to GlobalLink Translation & Review Portal for the first time, you will be prompted to change the temporary password. The Project Manager and Account Manager roles will receive this notification when a user account is created for them. The linguist role will receive this notification only when a submission is assigned to them. An example of an notification is given below. Page 5 of 22

6 Chapter 2 - Getting Started GlobalLink Translation & Review Portal To log in to the GlobalLink Translation & Review Portal: 1. Using a supported web browser, navigate to the URL provided. Page 6 of 22

7 Chapter 2 - Getting Started GlobalLink Translation & Review Portal The System Login page appears. 2. Enter the User Name and Password. 3. Click Login. The First Login page appears. 4. Enter the New Password and click Save. Page 7 of 22

8 Chapter 2 - Getting Started GlobalLink Translation & Review Portal The GlobalLink Translation & Review Portal dashboard appears. If there are any important updates, a splash screen will appear as shown below. Requesting a Password Reminder If you have forgotten the password to log in, you can request a password reminder. To request a password reminder: 1. On the System Login page, click the Forgot your Password? link. Page 8 of 22

9 Chapter 2 - Getting Started GlobalLink Translation & Review Portal The Password Reminder Request page appears. 2. Enter the User Name and Address as set up in the Translation & Review Portal. 3. Click Send Password. Your current password is sent to your address. GlobalLink Translation & Review Portal Dashboard The various parts of the GlobalLink Translation & Review Portal dashboard are described below. Page 9 of 22

10 Chapter 2 - Getting Started Number GlobalLink Translation & Review Portal Use to... Menu bar open submissions for translation, review or proofreading, view submission instructions, export submission files as HTML, filter submissions, refresh dashboard, view the help, and log out from the tool. Refer to Basic Menu Options. Sorting icon sort the submission details in ascending or descending order, enable or disable columns, and filter column information. Submissions view the details of submissions created by or assigned to a user. The List submission list shows the following: ID: includes the Project Director Submission ID. This will be populated for submissions automatically created by Project Director Description: includes the submission name or description Status: includes the submission status, such as In ogress, Overdue, Pending, Completed and Cancelled Workflow State: includes the current workflow state of the submission Progress: includes the number of files marked completed by the current user and the total number of files Instructions: states Yes, if the submission includes an instruction. 14 6 Basic Menu Options The GlobalLink Translation & Review Portal dashboard basic menu options are as follows: Use to... Open Submission review assigned submissions by modifying target segments and providing notes. Submission Instructions view special instructions to be followed when processing submissions. Submissions search for specific submissions. Filter Refresh refresh the dashboard to view recently created or modified submissions. Logout log out of GlobalLink Translation & Review Portal. Help view help. Page 14 of 22

15 7 Default Color Representation The GlobalLink Translation & Review Portal incorporates different color codes to represent submission status. The color codes are as follows: Color Representation In Progress New submissions Overdue Delayed or beyond due date submissions Pending Submissions in the process of being created An example of the use of color codes to represent submission status is given below. 16 8 Notifications The Translator receives an notification when the Project Manager creates a new submission for translation. Note: Note: If you are assigned to a submission for the first time, you will receive the user name and temporary password generated by the System Administrator in this notification. The Proofreader receives an notification when the Translator completes the translation of a submission. Note: If you are assigned to a submission for the first time, you will receive the user name and temporary password generated by the System Administrator in this notification. The Reviewer receives an notification in the following instances: Translator or Proofreader completes a translation submission and the workflow includes the review step. Project Manager creates a new submission for review. Note: If you are assigned to a submission for the first time, you will receive the user name and temporary password generated by the System Administrator in these two notification instances. Supervisor reassigns a submission for review. Page 16 of 22

17 9 Filtering Submissions Submissions can be filtered based on submission name and files within a submission. Filtering by Submission Name 1. On the dashboard, enter the submission name or part of the submission name in the Submissions Filter text box. 2. Press Enter. The submissions with the entered text filter appear as shown in the screenshot below. 3. Click to clear the entered text filter and view all submissions. Finding Files in a Submission 1. On the dashboard, select the Find Files checkbox. 2. Enter the file name or part of the file name in the Submissions Filter text box as shown in the example below. Page 17 of 22

19 10 Column Preferences The dashboard and Submission page columns include preferences for the following: Sorting in Ascending or Descending Order Enabling or Disabling Columns Filtering Dashboard Column Details Sorting in Ascending or Descending Order To sort a column in ascending or descending order: 1. On the dashboard or Submission page, click the drop-down arrow next to the column header. The sorting options appear. 2. Click Sort Ascending or Sort Descending to view the submissions in ascending or descending order based on alphabet or number. Enabling or Disabling Columns To enable or disable columns: 1. On the dashboard or Submission page, click the drop-down arrow next to the column header. The sorting options appear. 2. Click Columns. Page 19 of 22

Filtering Dashboard Column Details To filter columns details: 1. On the dashboard or Submission page, click the drop-down arrow next to the column header. The sorting options appear. 2.
