6 6 1 e-builder Online User Assistance 1.1 Views About Views Views allow you to filter the information that is displayed on the main tab of each module. When a module is accessed from the account level, the first page that appears may include a predefined view created by your account administrator. Whether or not a view is already available to you, you have the ability to create your own. The views you create will only be accessible by you. The benefit of creating views is that they present only the information that you want to see and you can create as many as necessary. This feature can be used to organize your work so you can focus on the items that require your attention. For example: You might be responsible for approving design documents for a set of construction projects located in the west region of your company s territory and only those managed by a specific project manager. You could create a view in the Documents module that shows you all the data you need, for only the documents that meet these criteria. This would ensure that when you access this module you see only those projects and files that are pertinent to this function of your job. The remaining information, while not displayed, can be still be accessed at any time by going into the module. Tip: If you ve created or have access to a view that you believe will be valuable for other team members, let your e-builder Administrator know, so that they can duplicate it and make it available to others. For instructions on creating your own views, see Add Views Key Concepts of Views e-builder is an integrated project management and collaboration system for the construction industry. The Views in e-builder allow you to filter the information on the main tab of each module to display only the information that is relevant to your work. Before you start using e-builder you should familiarize yourself with some key concepts since you have the capability of building your own customized view(s) in each of these modules.
7 e-builder Online User Assistance 7 Project Most everything in e-builder takes place within the context of a project. Projects in e-builder refer to the various projects that you are participating in. Each 'real world' project is associated with a project in e-builder. If you are working on the 'real world' project, then you can be added as a member of the project in e-builder. Your Project Administrator or Manager will be able to add you as a member of a project in e-builder. Forms Within e-builder you can create and route electronic forms. Your e-builder administrator can create an endless number of forms to mimic your paper process. The forms are created according to your business process and automatically route to various team members or roles on your projects. Unlike paper forms, these forms allow you to check on the status of a particular issue simply by clicking on the form in the home or forms modules. Documents Each project has a document repository where you can store all of your important project files. e-builder accepts any file type. You can create any folder structure that you d like. It works just like Windows Explorer, except -- for each folder you can set security access levels. This way, you control who can submit, edit, delete, or even view the documents in each folder. Once a file is submitted, over 200 file types including word documents, excel spreadsheets, MS Project files, photos, and many others are automatically converted to pdf's. Your other team members won t need any special software to view these files. Calendar Every e-builder project has a project calendar. This calendar contains the project work week, work times, and any non-working calendar days. These dates manage each projects due date calculation on forms, can be tied to cash flow forecasting, and are maintained by your Project Administrator.
8 8 Contacts An e-builder contact is a record of contact information (such as phone number, fax, address, street address, etc.) associated with an e-builder Company. Contacts can be stored solely as a reference or associated with Bids in the bidding module. Companies An e-builder company is a record of contact information (such as phone number, fax, address, street address, etc.) for a company. There can be more than one contact associated with a company but only one company can be associated with a contact. Companies can be stored solely as a reference or associated with commitments, costs or bids in the cost and bidding module. Bidding The e-builder bidding module helps manage the process that owners, general contractors, and other industry participants go through to purchase goods and services associated with the development and construction of capital projects. It streamlines the exchange of documents, drawings and communications that surround the bid process Typical Job Functions Using Views e-builder supports the different team members that are involved in every project. All project members will be able to utilize views that their e-builder administrator has created for them, and any that they have created for themselves.
9 e-builder Online User Assistance 9 When you first access e-builder by default you will be able to access a certain set of account level views that have been predetermined to fit for you based on your role on the project or projects. If you recognize a view that you created yourself that you believe to be valuable for other team members, let your e-builder Administrator know and it can be built to be shared for them too. For example, you might be involved in approving design documents for a set of construction projects located in the west region of your corporate owner company. It would be nice to setup a view that returns you all the projects located in the west region. By default the view will only return those projects in the west region that you are participating in. This would ensure that when you access the documents module you will see only those projects that are important for you to see since that is where most if not all of your activity falls under. This sort of view might also be valuable for other team members working in the west region. Please refer to Add View to understand specifically how to build a view Accessing Views How Do I Access Views? The Views in e-builder are in the drop down box at the top of the main page of each module. To switch from the view that is currently displayed click on the drop down box under the name of the module.
10 10 Then select the name of the view to display. After you select a different view, the data shown will reflect the filters associated with that view Add Views In e-builder, every user has the ability to create custom views for the different modules they have access to. Views allow you to see specific information for one or more projects at a time, or multiple projects. You can create a number of custom views to suit your needs. To create a custom view: 1. Click the desired from the Top Navigation Tabs. 2. Click the Add View link. The Add View page displays.
11 e-builder Online User Assistance Enter the name of the view the Name field. 4. Use the Search Criteria section, to specify the criteria for this view. Note: Options in the Search Criteria section will differ for each module. a. Click the Search Rule #1 drop-down arrow and select an event or project detail by which to choose the first criteria of this custom view. b. Click the second column drop-down arrow to select a qualifier. c. In the third column, enter the qualifying value. If available, you can also click the Lookup button to select from a list of options. 5. Repeat step 4 for each required search rule. 6. If the section: Columns Displayed (numbered left to right) displays, click the drop-down arrows for specific the order of your columns from left to right. 7. If the section: Select the primary column, and then select Ascending or Descending. 8. Click Save.
12 12 Related Topics: Add/Edit Views Page Overview Edit Views How Do I Edit a View? To edit an existing view: 1. Click the name of the desired module in the Top Navigation Tabs. 2. Click the Edit link. The Edit View page displays. 3. Make all required changes, and then click Save.
13 e-builder Online User Assistance If you have selected to edit a View that was created by your e-builder Administrator, an error message displays. You are able to make a copy of the view, and make changes to the copy, and you can hide this view so that it does not show in your drop down list. To hide the view select the Hide this view so it does not show in my list of views check box, and then click Continue. Proceed with the changes to your copy of the existing view.
14 Add/Edit Views Page Overview This page allows you to create custom views. Views allow you to filter the information that is displayed on screen when a module is selected from any of the Top Navigation tabs. Custom views are beneficial in that they allow you to see only the information you deem most important, and as many views can be created as necessary. Views are highly customizable. As a result, there are various filters on this page that enable you display only the items that match your search criteria. For instructions, see Add Views. Below are descriptions of the fields and buttons located on this page. Field Description Save Click to save changes. Cancel Click to discard changes. View Name Name Enter a name for the view in this field. Depending on the module you're creating the view for, examples might include: 'Bids in Development', 'Open Bids in A/E & Constructions', 'Open RFI's', 'Open Change Orders' etc. Search Criteria
15 e-builder Online User Assistance Search in 15 Note: This option is available in all modules except for Companies/Contacts and Cost. This filter allows you to narrow the results that appear in your view by any of the listed categories. Options will vary between modules as follows: All Projects - Select to include items from all projects. My Projects - Select to include only items from the projects that you are a member of. Projects I Administer - Select to include items only items from the projects that you are an administrator of. All Events - This option is specific to the Calendar module. Select to include All events, from projects across the account. For instructions, see Create All Events Calendar View. My Events - This option is specific to the Calendar module. Select to include only the events that you are a participant of. For instructions, see Create All Events Calendar View. Forms Initiated By Me - Select to include only the forms that you've initiated. Forms In My Court - Select to include only the forms that currently require your attention. All Forms - Select to include forms from every project on the account, including those that you've initiated, those that require your attention as well as forms initiated by others and are in the court of other account participants. Processes Initiated By Me - Select to include only the processes that you've initiated. Processes In My Court - Select to include only the processes that are currently in your court. All Processes - Select to include processes from every project on the account, including those that you've initiated, those that require your attention as well as processes initiated by others and are in the court of other account participants. My Schedules - Select to include only the schedules that you manage. All Schedules - Select to include all project schedules available on the account. My Tasks - Select to include only the tasks that are assigned to you. Tasks I Manage - Select to include only the tasks that you
16 16 Process Type This field is only available for Process views. To restrict this view to a single process type, make a selection in this field. Search Rules The Search Rule options allow you to further define the data elements to include in your view. Option will vary between modules, but a few common examples include: active status, project status, city, zip and custom fields. Columns Displayed (numbered left to right) Columns This section allows you to choose the order in which columns will display in your view. Sort View Sort Column Select a column to be the first that displays and used to sort data in the views.
