1 Network Rail Brand Hub USER GUIDE

2 The Brand Hub Using keywords, visual thumbnails and a more upto-date online interface, the new Brand Hub will make searching, browsing and downloading images, templates and guidelines easier and more efficient.

3 Forgotten Password Forgotten your password? You can retrieve it without contacting a site administrator. If you have forgotten your password, please follow these steps: 1. Select the Forgotten password button that is located on the Login page 2. Enter the address you used at registration and click Reset Password 3. You will receive an automatically generated containing your new password 4. Please don t share your user details with anyone 5. You can change your automatically generated password to a more memorable word in My profile.

4 User Profile Keeping your user details up-to-date is important. You can update your details at any time. To edit your profile information: 1. Click on Tools at the top of the screen and My Profile to view and edit your profile information 2. You may edit any details apart from your address 3. Click Update your profile to save the changes If you do not want to save the changes, simply click Back.

5 Changing Your Password To help you remember your password, you can change it to something memorable. In order to update or change your password, take the following steps: 1. Click Tools at the top of the screen to edit your profile 2. Click My profile 3. Click Change password 4. Enter your current password 5. Enter your new password 6. Confirm your new password 7. Click Change your password to save the results.

6 Tools Menu The tools menu remains in the same place throughout the Brand Hub to help you quickly access your Profile, Asset Search, Workspace and your Basket from any screen. From any area within the Brand Hub: 1. Click Tools in the top navigation bar 2. Click My Profile to edit your profile details or change your password 3. Click Brand Asset Search to view all assets available within the Business Division you are viewing 4. Click Workspace to view all your template works (if you are a Template user) 5. Click My Baskets to access all of your created baskets 6. Admin Tools are available to users with the Template User role or Administrator role, enabling them to upload assets

7 Using The Site Switcher The site switcher in the top navigation bar can be used to move between different Business Divisions of the Brand Hub. From any area within the Brand Hub: 1. Click the site switcher to view all areas of the Brand Hub you have been granted access to 2. Select a Site to be taken to the relevant Business Division homepage

8 Searching For Assets You can begin an asset search by navigating to the search icon from any page within the Brand Hub. This will begin a search across the Business Division you are on or all Business Division areas you have access to. To begin a search: 1. Click the relevant area you want to search (the Business Division you are on or all Business Divisions you have access to) 2. Begin typing into the text bar that s below the menu navigation area 3. Select a keyword from those available to begin a search and click Go As you type, keyword suggestions will be updated to match your text. Alternatively, follow the menu item > Settings cog > Brand Asset Search from the top of the page to begin a tailored asset search.

9 Refining A Search Once you have navigated to a search page you can further filter the results using keywords. To filter a search: 1. Add a keyword from the filters list on the left of the page by clicking on it Use the arrow icon to expand a keyword group Use the arrow icon to collapse a keyword group 2. Enter text into the search bar at the top of the page to find matching keywords. Click on Go to apply it to the search results set 3. Click the x icon next to any selected keyword to remove it from the selected filters 4. Use the page size selector to change how many assets you view per page 5. Use advanced search to search by asset name, availability dates or type of asset

10 Downloading Assets Once you have found the asset you need in the grid view, click the thumbnail to view the asset details page. From the asset details page: 1. Click on Original size uploaded button to download the original asset 2. Click the A smaller version of original image uploaded button to download a low res preview of the asset (if available) 3. Click Add to basket button to add the asset to a basket for download 4. Click Quick share via button to send the asset to another user through your client You must agree to the terms and conditions before downloading or sending an asset.

11 Sharing Assets Via You may share individual assets to persons via From the asset details page 1. Click Quick share via 2. Select the versions you would like to send 3. Create a name for your share 4. Select a date for the link to your share is to expire 5. Agree to the terms and conditions of that asset 6. Click Send via Your client will open with an containing the URL to the share, which can be ed to anyone. The link will take the person to a page where they can download the asset.

12 Adding Multiple Assets To A Basket You may download assets in bulk by using the My baskets tool. To add assets to a basket from the grid view: 1. Tick the check boxes located next to the thumbnails of the assets you would like to add to a basket 2. Select the Asset Management button. This will bring up a drop-down menu for you to add assets to your basket. 3. Select Add to new basket You will then need to specify a name for the basket (or select a pre-existing basket) and the versions of the asset(s) you would like to add. Note: the same version(s) must be chosen for all assets when adding multiple to a basket.

13 Adding Single Assets To A Basket You may also add assets to a basket from the asset details view. To add assets to a basket from the asset details view: 1. Click the white Add to Basket button 2. Create a new basket by entering a basket name or add the assets to an existing basket 3. Select the versions you would like to add to the basket 4. Click Add to Basket

14 Downloading A Basket View your baskets at any time from the tools menu in the top navigation bar. 1. You can download a basket by clicking Process Download 2. You must agree to the Terms and Conditions of the assets before the download can begin 3. Once you have agreed to the Terms and Conditions the Brand Hub will create a zip file of all of the assets within the basket. 4. This may take some time (depending on the number and size of the assets within the basket) so an will be sent to you when this is ready to download 5. Follow the link in the to complete the download

15 Editing A Basket You can modify the contents of your basket before you download it. 1. From the My Baskets page, click on the name of a basket to view the contents 2. Download an individual asset instantly by clicking Download 3. Remove an asset from the clicking Remove 4. Click Remove all at the bottom of the page to remove all assets from the basket 5. Click Process Download to begin the download process detailed on the previous page

16 Viewing Guidelines Use the quick links and call-out boxes to navigate to the guidelines pages. 1. Click on a quick link or call-out box to navigate to the required guidelines page 2. Use the Download buttons on the right of the page to download any relevant downloads associated with the guideline page.

17 Help And Support If you require further help or support whilst using the Brand Hub this can be found in the Helpdesk section. 1. Click Helpdesk in the top navigation to access the support pages

18 Leaving Network Rail Brand Hub You can leave Brand Hub at any point 1. From any page click on your name in the top navigation bar 2. You will be directed back to the login page. You will need to enter your log in credentials and click login in order to access the Network Rail Brand Hub again.

20 Managing Assets: Template Users Assets can be uploaded to any of the following areas of the Brand Hub: Brand Hub Community And Relations Thameslink Programme Hoardings You can only upload to an area to which you have been granted Template User access. Assets uploaded into these specific areas will only be viewable to users with permissions allowing them to access the specific area.

21 Asset Template Management Asset templates are used to assign information common to all the assets you are uploading so that you do not have to edit them individually. To create an asset template: 1. First select the Brand Hub area you would like to create the asset template within 2. Click Tools 3. Click Manage Assets and then Create Asset Template Continued

22 Asset Template Management Continued The name of the asset template will not be given to any assets uploaded through it but will be used to identify the asset template within the asset management area. All other information will be passed on to all assets uploaded through the asset template. 1. Give the asset template a name to identify it 2. Enter a usage, description and availability dates. These will be assigned to all assets uploaded through this template. 3. Click Save Continued

23 Asset Template Management The name of the asset template will not be given to any assets uploaded through it but will be used to identify the asset template within the asset management area. All other information will be passed on to all assets uploaded through the asset template. 1. Select the necessary keywords from the keyword tree on the left. Use the arrows to expand keyword groups 2. Select a keyword and click remove to remove it from the selection 3. Click Save to finalise the selection

24 Uploading Assets Through The Browser Click Create assets next to the relevant asset template (or create a new one) 1. Click Select files and choose the files you wish to upload 2. Enter a custom name for each file. This is how the asset will be named within the Brand Hub. If you leave this blank the file name will be used 3. Click Create assets to upload your files Once the upload is complete you will be taken to the grid view of all assets where you can further edit each asset individually if required.

25 Editing Assets Individually You can edit all aspects of an asset in real time. To edit a single asset navigate to the relevant asset details page and use the actions menu: 1. Click Edit basic information to edit the name, description, usage, availability dates, security level and notes on the asset. You can also use this option to delete an asset. 2. Click Edit Keywords to add or remove keywords from the asset 3. Click Edit Master to replace the high res download for that asset 4. Click Edit Preview to replace the Preview download, the preview on the asset details page and the thumbnail in the grid view 5. Click Edit Thumbnail to replace the preview on the asset details page and the thumbnail in the grid view (but leave the Preview download unchanged) Continued

26 Editing Assets Individually Continued 6. Click Manage additional files to upload additional files to be downloadable from the asset details page 7. Click Share Asset to share the asset with another brand area (such as Major Projects) rather than reuploading the asset and re-assigning the metadata. Note: Whilst assets can be deleted from the Edit basic information area we recommend that assets are archived rather than deleted. Assets can be archived in bulk if needed.

27 Asset Versioning If the original asset uploaded has changed or been updated, you have the ability to replace the asset using versioning On the asset details page 1. Select 'Edit Master' from the 'Actions' drop down menu 2. Select a new file 3. Ensure you add a reason why this asset is being replaced. 4. Select Save The new asset will appear as the thumbnail and it ll become the asset the user can download. As a Template user you can see the previous version on the page and you have the option to revert back to this, if required

28 Editing Assets In Bulk You can save time by editing assets in bulk. The bulk edit function can be reached from the grid view. 1. Select all of the assets which you wish to edit 2. Click Asset Management and then Bulk edit Continued

Enter the changes 3. Click Apply changes to make the change to all of the assets Note: Changes made in bulk edit will replace any existing metadata assigned to all selected assets, not add to existing metadata.

30 Uploading Images For Use Within Templates Images can be uploaded to appear within each template to allow you to add them to your artwork Images must be uploaded in the specific Business Division for the relevant template. 1. Select Tools and Template Resource Library 2. Find or add an category that the image is to be stored in 3. Select Upload resource 4. Chose the relevant category and click Add To remove an image, select the image and click Remove resource The image will then appear for you to select in any template within that Business Division that allows for images.

31 Using Templates: Template Users If you have been granted access to the template tool you will be able to create your own versions of templates. Once these are approved you will be able to download the hi res artwork. To access the template tool: 1. Click Templates from the main navigation menu to be directed to the start of the template search wizard. 2. Alternatively, by hovering over Templates from the main navigation menu, you will receive a drop-down consisting of template categories to choose from.

32 Using Templates: Template Users If you have been granted access to the template tool you will be able to create your own versions of templates. Some of the templates will require approval, once these are approved you will be able to download the hi res artwork. To access the template tool: 1. Click Templates from the main navigation menu to be directed to the template required.

33 Using Elastic Search: Templates Users will be able to make an elastic search within the templates section. 1. The templates tab will show all templates that are available within the Brand Hub for the user to edit. 2. Filter by keywords using the filters panel on the left. 3. Alternatively, use the free text in the search box to search based on the template name, description and keywords. You can also make a search by status or creation dates.

34 Template Approval Process: Consultation Templates 1. Hover over Templates in the main navigation menu 2. Click on Consultation to navigate to all the consultation templates 3. Click on the template you wish to edit 4. Create and save artwork Continued

37 Editing Artwork: Templates Once you have completed the template, you will be taken to the artwork details page. If you want to make further changes to your artwork: 1. Click Edit artwork This will return you to the template editor tool. 2. Click Edit details this will take you to the details page, where you can edit the name and the keywords you entered. You can download a low resolution preview of your artwork at any time. 1. Select Download Preview to download a low resolution PDF preview of your artwork. You can view the status of your artwork in the Audit Log. Once the template approver has reviewed your artwork the status will be updated to either Approved or Rejected.

38 Downloading Approved Artwork: Templates Following the link in the approval will take you to the artwork details page. 1. The status of your artwork will now show as Approved 2. You can still download a low resolution preview of the artwork using the Download Preview button 3. You can now also download the hi resolution artwork by clicking on Download Artwork 4. By selecting Download print spec you will be directed to the Network Rail Print Portal

39 Editing Rejected Artwork: Templates Following the link in the rejection will take you to the artwork details page. 1. The status of your artwork will now show as Rejected 2. You can still download a low resolution preview of the artwork using the Download Preview button 3. Click Edit artwork to make the necessary changes to your artwork 4. Once you have made the changes and are ready to send your artwork for approval click Send for approval Your artwork will need to be approved by the template approver before you can download the hi resolution artwork. You will be notified of their decision via .

40 Approver Directory Specific users have been assigned the user role of Template Approver. This enables these users to approve user artwork. Template approver users assigned themselves to the relevant keywords, so that users can select these keywords when creating their artwork. To know who is the person assigned to the keywords, you can select the Approver Directory tab. 1. Select the keyword from the right. You can select the keyword group, or expand the group to select the specific keyword 2. The users address who is assigned to this keyword will appear within the box on the right 3. If no users have been assigned to that keyword, please inform the Network Rail Brand Team at

42 Template Approver Notifications Template approver users must assigned themselves to the relevant keywords. These keywords are then available to users to select when creating artwork. 1. From the Workspace area select Approvals tab 2. Select Approval Notifications tab 3. Expand and select the relevant keyword, which will appear in the selection box on the right 4. Click Update If a keyword doesn t have a template approver assigned, then when artwork is created and sent for approval, no one will receive the notifying them to review the artwork. The status for the artwork will remain Awaiting approval

43 Template Approver Approving Artwork When artwork has been created by a user and they have selected your keyword, an notification is sent to you, with the link to the artwork for you to review Once on the artwork details page you can download the low and high resolution artwork to review You can edit the details or the artwork on behalf of the user If the artwork is correct then select Approve If the artwork is incorrect then select Reject Enter in the reasons for your approval or rejection, as this will appear within the notification to the user. The artwork status will be updated.
