1 Information Technologies Tech Shorts SM # Let s Tackle Headers Head-On! When I was a teenager, my friends and I loved to twist street signs so that the roads were labeled wrong. We were not able to do that with all of them, they built some of those signs to be sturdy. The flimsy ones were easy to twist to cause a driver to scratch her head wondering when they renamed the streets. The real victims were the ones who had never been there before. Yes, we were deviant miscreants. We did draw the line at safety signs, like STOP, and YIELD, but we had our fun with the rest. The header of your document is a lot like a street sign. It gives the reader direction and understanding. Take the header of this document for example; you know the title, the document number, and organization who published it. That is a lot of good information if you ever want to find the article again. Today we are going to tackle the mystic art of headers. We are going to accomplish three tasks: We will create a standard header, which consistently appears on every page of the document. We will create a header, which is different on the first page than it is on subsequent pages. We will create a header, which changes with each new section page break. Before we begin, make sure you are using Microsoft Word It is the latest version of Word and is available to all students through your Office 365 account. If you are not using Word 2016, some of this tutorial will not look right (depending on which version you are using). --- SEE NEXT PAGE FOR BEGINNING OF TUTORIAL --- Author: Page 1 of 10

2 Headers That Just Keep Going So, you want a header on your document that is the same no matter what page someone is reading, eh? Well, we can do that. 1. Create a new Word Document 2. On the first page, type: This is the first page of my document. 3. Keep hitting Enter until you get to the second page, then type This is the second page of my document. 4. Right-click the blank space above your sentence on the first page, and select Edit Header 5. You will notice the rest of the document has turned light gray and your cursor is now in the header 6. Set your font size to 20 and make it bold, then type: This is the header then hit Enter 7. Now set your font size to 12, remove the bold, then hit tab twice. Type: Page: then a space. 3 8. Now we are going to insert a page number. You can find instructions on page numbering in TS _HowDoIHateNumbering? Yours should like like this: 9. In the Design tab of the Header & Footer Tools, click the Close Header button. Now you can scroll down to the second page and see that the header appears on both pages, and the page number has incremented like it should. One That Has To Be Different 1. Create a new Word Document 2. On the first page, type: This is the first page of my document. 3. Keep hitting Enter until you get to the second page, then type This is the second page of my document. 4 4. In the ribbon at the top, click on the Layout tab and click the menu fly-out at the bottom-right of the Page Setup section 5. In the Page Setup dialog, select the Layout tab and check the box labeled Different first page then click OK 6. Right-click the blank space above your sentence on the first page, and select Edit Header 7. You will notice the rest of the document has turned light gray and your cursor is now in the header Author: Page 4 of 10

5 8. Set your font size to 20 and make it bold, then type: This is the header then hit Enter 9. Now set your font size to 12, remove the bold, then hit tab twice. Type: Page: then a space. 10. 6 12. At this point, you will notice that the first page has a header, but the second page does not. 13. Now we will put a header on the second page. Right-click on the blank space above the sentence on your second page, and click Edit Header 14. Now set your font size to 12, remove the bold, then hit tab twice. Type: Page: then a space. 15. Now insert the page number using the Quick Parts Field method. 16. Place the cursor after your sentence on the second page and hit enter several times until you get to the third page. Type: This is the third page of my document. Author: Page 6 of 10

7 Now you should be able to see that the header on the first page contains the big bold words This is the header. Pages two and three only contain the text Page:, and the appropriate page number. This means that the first page is different, but each of the subsequent pages match each other. Let s Treat It like An Exegetical 1. Create a new Word Document 2. Create a title page according to the school s standard 3. Once you have created the title page, put your cursor at the end of the date 4. Insert a new section page break (refer to TS _LetsMakeSenseOfSectionBreaks) 5. Type: This is my observations page. Hold down the Ctrl key and tap the Enter key. 6. Type: This is my main idea and outline page. Hold down the Ctrl key and tap the Enter key. 7. Type: This is my introduction page. Hold down the Ctrl key and tap the Enter key. 8. Type: This is my first context page. Then hit enter several times until you reach the next page. 9. Type: This is my second context page. Then hit enter several times until you get half-way down the page. Author: Page 7 of 10

8 10. Type: This is my first content section. Then hit enter several times until you reach the next page. 11. Type: This is my second content section. Hold down the Ctrl key and tap the Enter key. 12. Type: This is my application page. You should now have nine pages, eight of which have only one sentence on them. Now it is time for us to add our bibliography section. 13. Place your cursor after the sentence This is my application page and insert a new section page break. 14. Type: This is my bibliography page. Now we are ready to configure our headers properly for an exegetical. According to the school s standards for an exegetical, you are supposed to place your LastName, Page# in the header of each page of the document beginning on page 1 of the actual paper. This means that the Observations page is the first page of the document (the title page does not count). The page numbering should also end with the Application page. The bibliography page is not to have a page number. There are many requirements, and we can meet them all with header configuration. We will have to take a couple of extra steps, but most of this accomplished with headers and section breaks. 15. Click on the Observations page 16. Right-click in the blank space above the sentence This is my observation page and select Edit Header 17. You will notice the words Header Section2- and Same as Previous attached to the bottom of the header. Author: Page 8 of 10

9 18. In the Design tab of the Header & Footer Tools section of the ribbon, you will notice that Link to Previous is shaded in the navigation section. This means that it is selected, and anything you type in this header, will appear in the header of the title page as well. In order to prevent this, we click the button to deselect it. Now you no longer see the Same as Previous box. 19. Now you will hit tab twice then type your last name followed by a comma and a space. 20. In the Insert section, click on Quick Parts and select Field!!CAUTION!! The Page Number button provides somewhat cool looking page number inserts, but they are very difficult to format properly. These fields can also be buggy, so you should avoid them for academic papers. Author: Page 9 of 10

10 21. In the Fields dialog, you will see an alphabetical list of Field Names. Select the Page field name, then click OK 22. Close the header and scroll through the document. You will see that all but the title page and bibliography page have the LastName, Page# header. In Conclusion That is the whole thing! It really is not that hard, just tedious. Keep this guide so you can refer back to it often. Eventually this will become second nature and you will not need a document to help you through it. Author: Page 10 of 10
