1 Creating a Google Sites Electronic Portfolio Page 1 of 1 Creating An Electronic Portfolio Using Google Sites Objective: Create an online teaching portfolio using Google Sites. rev. 2/25/13 This document presents step-by-step instructions for setting up an online teaching portfolio website using Google Sites. You can use this portfolio to showcase your best work for potential employers. PART ONE Setting up your new site Begin by signing in to the Google Sites page by directing your browser to Step 1. Sign in or sign up If you have a Google account, sign in using your address and password. If you do not have a Google account, you can create one by clicking the SIGN UP box at the top of the page.

Even if you already have a Google account, you may wish to create a new one if your current account does not reflect a professional image. An address like fluffybunnies2004@gmail.com does not project an image of a professional music educator. Step 2. Create your new website Get started with a new site Click the CREATE box to start building your site. This will launch the Google Site Builder Wizard. Select a template The Google Site Builder Wizard will ask you to select a template. We have set up a template that you can use to start building your website. Click on the BROWSE THE GALLERY FOR MORE option to search for the template.

3 Creating a Google Sites Electronic Portfolio Page 3 of 3 After you click the BROWSE THE GALLERY FOR MORE box, the SELECT A SITE TEMPLATE dialogue box will open. Enter UTSA Music Education in the search box at the top of the page and then click the magnifying glass icon to search. Locate the UTSA Music Education Portfolio Template in the search results (it will probably be the only document that appears). Click on the template name to pull up a preview of the site.

4 Creating a Google Sites Electronic Portfolio Page 4 of 4 The preview page has a brief description of the template and a screen shot of the blank, formatted website. Click the PREVIEW TEMPLATE link at the bottom of the page. You MUST go through this step to select this template for your site. At the top of the template preview page, you ll see a blue bar with a USE THIS TEMPLATE link. Click this link to use this template for your website. But I Don t Like The Way This Template Looks! Don t worry, you can always go back and change your template. Changing the template does not remove any of your content or files, it merely changes the layout and look of your web page. If you are not in love with the colors or the way the items on your website are arranged, you can change them at any time. The template we ll use has a clean, professional look and will get you started on the right track, but you can change it to suit your professional needs and creative urges. You can also use any one of the hundreds of templates Google Sites provides for your website or create your own from scratch!

5 Creating a Google Sites Electronic Portfolio Page 5 of 5 After you click the USE THIS TEMPLATE link, the Site Creator Wizard will take you back to the first screen. Notice that you now have the UTSA Music Education Portfolio Template selected as the template for your site. Name your site For this example, we ll use Rowdy Musician. Select a short name for your site and enter it into the dialog box. This name will appear at the top of each of your web pages, so you might want to enter your first and last name as the site name. Whatever you choose as your site name, be sure that the name is professional and relatively brief. Notice that Google automatically creates a site location based on what you have entered as your site name. Google will place your website on their servers so that it can be accessed by anyone anywhere in the world. Go ahead and stick with the location that Google suggests for now. You can always move your site around later. What!? My information is all over the Web? Don t worry. Google has controls that allow you to keep your website totally locked down and private. You can choose to make your website accessible to everyone in the world or only to people you select. More info on that later in this tutorial!

6 Creating a Google Sites Electronic Portfolio Page 6 of 6 Don t worry about the Select a theme or More options menus right now. You can always go back and customize your site more later. Google will ask you to enter a CAPTCHA code in the final box to finalize the creation of your site. Click the CREATE button at the top of the page to finish the website creation process. Congratulations! You ve just created your own website to house your electronic teaching portfolio! Your website should look something like the page below.

7 Creating a Google Sites Electronic Portfolio Page 7 of 7 PART TWO Exploring Your Website Editing window Let s take a look at just a few of the important features of your new website. First of all, since you are logged on as the creator of this site, you have access to some tools and options that will not be available to your site visitors. For example, you are able to change the content of all the pages, but your visitors are not able to make any changes unless you give them permission (something you may wish to do if you are working together on a project but that s a different tutorial!) If you re logged on as the creator of the website, you ll see some editing options at the top of each page. Edit page click the pencil icon to edit the content of this page. Add a page click the paper icon to add pages to your website. More click the More button options. for more advanced site and page editing The SHARE button is very important for our purposes. Hover your mouse over the SHARE button without clicking. Notice that by default, Google has set your site to be accessible to anyone on the Internet. Eventually, Google will process everything you place on your site so that your page shows up in Google searches! Other search engines like Yahoo and Bing will eventually find your page and add your page to their search results too (as long as you choose to share your information)!

8 Creating a Google Sites Electronic Portfolio Page 8 of 8 Click the SHARE button for even more sharing options. Link to share you can cut and paste the web address for your site into any docment or emal to share access with others. You might include this link at the bottom of an to a potential employer or as a link in your resume or in a job application. Share link via notice you can share your new website via mail, Google Plus, Facebook or Twitter. Who has access you can control who has access to your website. You may choose to only give certain individuals access to your page. For instance, you may only want people who know the web link to your site to be able to view it. This keeps your information private except for people you select. You can also choose to password-protect your site to lock it down even more. Notice that you have complete control over most aspects of your website from this page using the menu items along the left side of main window. Click the top link item (marked <Rowdy Musician in our example) to return to your home page.

9 Creating a Google Sites Electronic Portfolio Page 9 of 9 Navigation Menu The navigation menu along the left side of your website takes you to each of your pages. If you are logged on as the creator of the site, you can click on any page to edit the layout or content of each individual page (we ll cover editing in the next part of the tutorial). Let s look at some of the pages that are included in the template. Resume This page is a blank template which includes the major sections you may wish to include in your resume. You can fill in your information by clicking the pencil icon at the top of the page. Potential employers can print this page, but I would recommend creating a separate PDF document with this information so you have complete control over how your printed résumé looks. Attach a PDF copy of your résumé by clicking the ADD FILES link at the bottom of the page. Certification This page gives you a place to insert a copy of your official teacher certification documents after you have graduated. You can obtain a copy of your certification from Philosophy Upload a very brief philosophy of teaching and learning. Keep this short (one or two paragraphs). Present your thoughts on the value of a comprehensive music education. Try to avoid I think or I believe statements. Since you want to appeal to a broad audience of potential employers, avoid language that covers only one area of specialization (such as band, choir, orchestra, or general music). Work Samples Select some of examples of the best of your work that you have completed as a part of your courses at UTSA. Include lesson plans you have written for various

10 Creating a Google Sites Electronic Portfolio Page 10 of 10 grade levels and activities, games, teaching analyses, program notes, sample programs that you have written, arrangements you have made for different ensembles, assessment tools you have designed, reflections on your teaching, and other projects you think best exemplify your teaching knowledge and skills. Media There are two sections in the Media portion of your electronic portfolio website. You may wish to upload audio files from your recital, seminar performances, or of groups you have worked with or conducted. In the video section, you can upload microteaching episodes, teaching episodes from student teaching or field experience (only with permission), recordings of your conducting or performances on your primary instrument. Click the ADD FILE button to upload video or audio files to the respective pages in the Media portion of your site. Recommendations Include copies of letters of recommendation from your professional references including people you have worked with, work supervisors, cooperating teachers, and others who have seen you teach. You can also include favorable jury sheets or recital comments or s, letters, or even drawings or notes from students or parents. Academics In this section, you can include an unofficial copy of your transcript ( information about your teaching certification ( and any academic awards or honors you may have received. Links Add other links to your own personal website or to other project pages you have created. You may also wish to add links to professional organizations to which you belong such as TMEA, NAfME, ASTA, ACDA, TBA, TCDA, TODA, Phi Mu Alpha - Sinfonia, Kappa Kappa Psi, Mu Phi Espilon, and so forth.

11 Creating a Google Sites Electronic Portfolio Page 11 of 11 PART THREE Customizing Your Site Editing Text In PART TWO, we talked briefly about customizing the information on the pages of your site. Now let s walk through editing part of the home page to show you exactly how you might go about customizing your electronic portfolio. Navigate to the HOME page of your site by clicking on the HOME link in the Navigation bar. Click the pencil icon at the top of the page to edit the home page. NOTE: If the pencil icon does not appear, you may not be logged in; visit to log in. You can now add and edit information in the editing boxes on the HOME page (I would recommend that you NOT change the name of the pages at this time). Notice that you now have many of the same editing tools that you might have in a program such as Microsoft Word. In the example above, we ve added some text about Rowdy.

12 Creating a Google Sites Electronic Portfolio Page 12 of 12 Let s say I wanted to change the format of some of the text perhaps I want to make the word trumpet stand out. I could highlight the text in the editing box and then select the Bold button and change the text color. Adding Links In addition to formatting columns, lists, and paragraph styles, you can also add in hyperlinks to other parts of your website or to other web pages. For example, let s add a link to the main UTSA web page ( in the text we ve entered. In mode (click the pencil icon if you have exited the edit mode), select the text University of Texas at San Antonio.

13 Creating a Google Sites Electronic Portfolio Page 13 of 13 Next click the link icon at the top to insert a hyperlink to the UTSA main page. This will open the Create Link dialogue window. Click Web address to enter the UTSA home page address in the Link To This URL box. Click OK at the bottom of the page to add the hyperlink. You can also link to other pages in your website by celecting the Sites Page option in the Create Link dialogue box. Adding Photos Let s say you also wanted to add a (professional!) picture of yourself. At the top of the page, select Insert>Image. This will open a dialogue box in which you can upload a photo you have stored on your computer. Notice that you can add all sorts of items to your page including Google calendars, Google maps, and all types of documents. If you use Google Docs, you can add those directly to your website.

14 Creating a Google Sites Electronic Portfolio Page 14 of 14 Click the Browse button to locate the photo file on your computer. After your photo has uploaded, click OK to see how your photo appears on the page. Click the SAVE button at the top to save your page.

15 Creating a Google Sites Electronic Portfolio Page 15 of 15 Ooops! I messed up! Don t worry if you save a page and then want to change things later. Everything you save or change can be reworked over and over again feel free to experiment! Also, you can revert to any of multiple, saved versions of any page you have edited. Just select More>Revision History at the top of any page you ve edited. This will allow you to revert back to any saved version of your page at any time! Uploading Files Some pages are intended to be placeholders for various audio, video, text files and images. As an example, we ll upload a short video under the MEDIA section of our website. Click the VIDEO link under the MEDIA section of the navigation pane on the left side of your website. If the VIDEO link does not appear, click on the small, grey triangle next to the word MEDIA in the navigation pane.

16 Creating a Google Sites Electronic Portfolio Page 16 of 16 The video page in this template is set up in a format that Google calls a file cabinet. What this means is that, while you are still able to edit the page normally (using the pencil icon at the top of the page), you can upload files just by clicking the Add file button. Clicking the Add file button opens a dialogue box allowing you to choose files from your computer. In this case, I selected a file called Sample Video.mov from my desktop and clicked Open to add the file to my website. Visitors to your site can now download videos directly to their computer and view them later. You can also imbed YouTube videos in your website using the Insert>Video>YouTube option in the page editor mode.

17 Creating a Google Sites Electronic Portfolio Page 17 of 17 Important Reminders 1. Keep your website well organized and professional. Remember this is the first impression potential employers might have of your work! 2. Share your electronic portfolio! Include the link to your portfolio website in any , application letter, resume, or other application materials you send to potential employers. 3. Share your portfolio link with UTSA! We plan to set up an Employ A Roadrunner page on the UTSA music website with links to all of our graduates portfolios. Be sure that one of the faculty at UTSA knows the link to your portfolio.
