1 This document is a comparison of file sharing and collaboration capabilities offered by Soonr Workplace and Box. Narrative is provided when there is no direct comparison between the capabilities or when clarification is necessary to highlight a particular item. Compared capabilities are organized by major functions in the table below. Connections are a lowertier restricted user type only supported by Soonr and they can be fully managed and controlled by the Soonr Workplace Team admin. With Box, comments and other types of Team notifications are only available from the web UI and cannot be ed or sent as text to other users. Box offers custom branding only in their higher priced plans while Soonr Workplace PRO and Enterprise plans offer company branding as a standard component. Box does not have any integrated Office document edit capabilities with their mobile apps and require the use of third party apps which is an opportunity for data leakage and unauthorized use. Soonr Workplace for ios and Android allows mark-up and annotation of over 50 file types on the mobile device. New annotation documents (such as a handwritten note or a marked-up scan of a document or a photo) can also be created on ios and Android tablets and smartphones. Box does not have any integrated annotation capabilities with their mobile apps and require the use of third party apps which is an opportunity for data leakage and unauthorized use. Soonr Workplace allows documents to the uploaded to a Project using an e- mail address. 3 Scan to PDF on mobile apps Remote Computer Access File Synchronization and Backup Advanced Desktop Agent Controls quick access without downloading every time the document needs to be viewed or edited. Workplace mobile Sync agents are installed on ios and Android tablets and smartphones as a mobile app and allow the selection of Projects or folders within Projects (selective sync) to be synced between the cloud and the mobile device. Soonr Workplace mobile apps eliminate the need for a scanner and can use a device s camera to scan documents to the cloud. This feature enables powerful workflow applications like signing or approving contracts or documents and scanning and marking up photos. Soonr Workplace allows unlimited number of computers to be associated with a user s account for backup and sync operations, and also allows remote access to computers running a Soonr Desktop Agent from the Workplace mobile app or a web browser. This can be enabled/disabled by the Team admin for security reasons as required. The Soonr Desktop agent is designed to give advanced controls to the user including selecting which projects to sync, what files are uploading/downloading, backup controls and other key functions. The Box agent provides none of that. In Box one must go to the Web UI to select which folders to sync. In addition, this affects all computers with that account so there is no ability to have one computer download some folders while others with more disk space and bandwidth download additional folders. Soonr Workplace is unique in offering the ability to selectively back-up a Team member s computer. A Team member may be sharing and collaborating on Projects and may be backing up private or unshared documents at the same time for setand-forget recovery from lost or damaged computers. Computer backup can be enabled or disabled for any Team member by the admin. Box does not offer computer back-up, Soonr Workplace can be configured to back-up any file or folder in the file hierarchy. Both Box and Soonr Workplace create a sync folder on the desktop or an alternated user designated location. Box has a maximum file-size limitation of 5GB on all plans. Soonr Workplace has no such limitations. When backing-up large files that change frequently, Soonr uses incremental and delta backup strategies (detecting parts of files that change) to optimize the use of bandwidth resources and quicker back-up to the service. Box does not support back-up. Soonr offers the Fast Track service to accelerate moving last amounts of data to the cloud, intended for Teams who have more than 100GByte of data. An HDD containing the data can be shipped to Soonr or a Soonr Partner to start the seeding process. Soonr Workplace provides 180 days or versioning of all documents without hitting up the Team member s storage quota. Soonr Workplace provides the ability to lock files for editing on both Windows and Mac computers. Box has no facilities for locking or checking out files when a user needs to make edits to a file. File locking can be configured to be automatic when modifying files in Microsoft Office for Windows. An Office Add-In detects when changes are done to Office documents, and through the agent the file can be locked. While Box claims to provide full-text search of documents, this is limited to the first 10K characters. Since an average single-spaced 8 x11.5 page has about 4K characters, Box s fulltext search is good for about 3 pages, which isn t very useful. Soonr Workplace offers the capability to archive a Project once the documents in that Project are no longer used by anyone but a business requirement for retention may exist. Box does not support any similar retention facilities. While Box supports restoring deleted files, they count deleted files against a user s allocated storage quota which is only benefits Box. Soonr Workplace does not count deleted files against current user quotas. Soonr provides streaming for viewing multi-media content on web browsers and mobile apps. Soonr has a much more sophisticated approach to re-assigning a Project to a new owner when deleting a user who already owns Projects, Soonr allows the installation of the Soonr Desktop Agent as a Windows System Service so that the sync agent is always running when a server is booted up. For syncing content on Windows file servers, this is an important capability, making sure that sync is always running and current. Box does not support computers running Linux. Soonr Workplace Linux Agent allows the sync agent to be installed on computers running Linux as a user. This enables integration with the local Linux file system and syncing of all shared Projects to the Linux computer. Box does not support sync with NAS appliances. This enables integration with the local NAS file system and syncing of all shared Projects to the NAS appliance. While Box makes similar claims, they re less specific (no timeline) and vague. While Box supports the creation of and sharing to Groups, these useful capabilities are limited only to admins. Soonr Workplace allows any authorized user to create a Group (in addition to imported Groups managed by Active Directory) and share documents with their own Groups. This is a very important usability feature for sharing from mobile devices and general productivity. Soonr Workplace integrates with Microsoft Active Directory to import users and groups into the Workplace Teams and performs authentication against AD domain controllers for error-free and simple user provisioning. Soonr Workplace supports two factor authentication (2FA) in the Enterprise Plan as a Team level policy setting based on SMS text messaging and the Google Authenticator soft token.
