3 Quote Sync Installation & Customization Instructions Install the OpFocus Quote Sync App from the Salesforce AppExchange Step 1: Go to the OpFocus Quote Sync listing on the Salesforce AppExchange. Step 2: Click Get It Now. Step 3: Select if you would like to install the app in your Production (includes active, trial or developer orgs) or in Sandbox (if applicable). Step 4: Review the terms and conditions and check I have read agree to the terms and conditions. Click on Confirm and Install! Step 5: Re-enter your Salesforce username and password. Step 6: Review Package Installation Details, click on Continue. Step 7: Review and approve all the required access by clicking on Next. Step 8: Choose Grant access to admins only for security settings and click on Next. Step 9: Click on Install to finalize the Package Installation. 3
4 Profile Access and Security Setup There are 2 Permission Sets that come with the app: OpFocus QuoteSync Admin This Permission Set grants users access to the OpFocus Quote Sync app and Quote Sync Custom Field Mapping tab. This Permission Set should be assigned to Salesforce Users who will be configuring the OpFocus Quote Sync app. OpFocus QuoteSync Standard This Permission Set grants users access to the QuoteSync WebService class that drives the Sync/Unsync button. It also grants access to the Quote Sync Fields in Opportunity and Quote. This Permission Set should be assigned to Salesforce Users who will be synchronizing Opportunities and Quotes. Permission Sets for System Administrator Step 1: Go to the User record for the person who will be the admin for the OpFocus Quote Sync app. Step 2: Scroll down to Permission Set Assignments related list in the User Detail page and click Edit Assignments. Step 3: Select OpFocus QuoteSync Admin, add to the Enable Permission Sets and click Save. 4
5 Permission Sets for Other Users Step 1: Go to the User record for each person who will be using the OpFocus Quote Sync app to synchronize Opportunities and Quotes. Step 2: Scroll down to Permission Set Assignments related list in the User Detail page and click Edit Assignments. Step 3: Select OpFocus QuoteSync Standard, add to the Enable Permission Sets and click Save. 5
6 Quote Sync Field Mapping Configuration Step 1: Open the OpFocus Quote Sync App from the Force.com App Menu. Step 2: Click the Quote Sync Custom Field Mapping tab. Step 3: In the Opportunity and Quote Field Mapping section, select a custom Quote field from the dropdown menu in the rightmost column to map with a custom Opportunity field in the leftmost column. The Quote field must be the same field type as the Opportunity field. Click Save in the section to save only the Opportunity and Quote Field Mapping or click Save All to save both Opportunity and Quote Field Mapping and Opportunity Line Item and Quote Line Item Field Mapping. 6
7 Step 4: Repeat Step 3 for Opportunity Line Item and Quote Line Item Field Mapping. Stop Using Salesforce Standard Sync If you have some Opportunities that are syncing with Quotes using the standard Salesforce Sync functionality and you want to switch to OpFocus Quote Sync, you must stop the standard Sync before clicking the OpFocus Quote Sync Sync/Unsync button. Using the Standard Salesforce Sync in conjunction with OpFocus Quote Sync will create duplicated Opportunity Line Items and Quote Line Items for the syncing Opportunity and Quote. To check if an Opportunity is syncing with a Quote, look on the Opportunity page, in the Quote related list for Syncing. If it is checked, click on that quote and click Stop Sync. 7
8 Exposing Sync/Unsync button and Quote Sync Fields Step 1: On each Quote page layout, add the Sync/Unsync custom button to the Quote page layout and remove the standard Start Sync from the Quote page layout. Step 2: Add the Syncing custom field to the Quote page layout and remove the out of the box Syncing field from the Quote page layout and save the layout. Step 3: On each Opportunity page layout, update Quote Related List to show Syncing field from OpFocus Quote Sync instead of the original Syncing field. Click the wrench icon in Quote Related List. The original Syncing field is in Selected Fields by default, you should add OpFocus Quote Sync: Syncing field to Selected Fields before removing the original Syncing field. 8

10 Reconfigure the Field Mappings after Deleting a Field in Opportunity, Opportunity Line Item, Quote or Quote Line Item It is a best practice to reconfigure Quote Sync Custom Field Mapping after you delete or rename a field in Opportunity, Opportunity Line Item, Quote or Quote Sync, so users won t get an error message when they try to save the syncing records. You can check to see if there are any deleted or renamed fields remaining in the mappings by going to the Quote Sync Custom Field Mapping tab and clicking the Show Invalid Fields link. To remove any invalid field mappings, go to the Quote Sync Custom Field Mapping tab and click Save All. This will save the current mappings on the page and delete any invalid mappings that refer to deleted or renamed fields. 10
