5 COMMUNITIES 1. INTRODUCTION Communities are the one of the main features of Satori. Community helps users to maintain documents under public or private premises with file management options like editing, copying, Moving, Mailing, Buzzing and merging it. Where private premises provides five level of roles for the users to manage the documents which are Owners, Admins, Collaborators, Contributors and Viewers. Each role of access has different privileges so that document can be more secure and privatized when it is getting uploaded in particular place. Those are Workspace, Repository and folders. A workspace can have N number of repositories and Repository can have N number of folders and files in it. In Figure-1 shows the same where yellow boxes represents the folders and blue boxes represents the files in it. Each level of container and even a single file can have its own privacy level where user can able to make the document which he is uploading. While user is uploading user need to define how to privatize the container or a document. 4

6 2. ROLES AND PRIVILEGES. User of satori is having five level of roles and privileges in community. Those are explained in below table. 7 Figure -2 explains about the various operations can be done inside the community in row name and various role in column name. Inside this mark shows that the user who is having respective role can able to do this operation and this mark shows that the user cannot perform the operation with the respective role. For example user can able to edit community if he is having owner role and he cannot if he has any other role (Refer row #1). 3. PROCESS FLOW. Process flow of community is having many steps, for explanation this can be divided in to many flow as shown in Figure-3. Users cannot create community they can only able to edit the community. And editing community has a simple process flow as shown in Figure-3. 8 Communities which are already present in the satori can be used for creating containers in said it. But before that user needs permission to access the community, once user had permission to access a community user can able to create a workspace. Workspace is a container for the repositories and these are having separate permission level. Inside workspace user can able to create repository which is the container for folders and files. Where repositories are also having different level of permissions. Inside repositories folders can be created, even files are also can be uploaded directly. Where either files or folders both are having different level of permissions. Uploaded files are having basic file management actions like edit, delete, copy, move and merge. Apart from the files, community provides user to maintain data inside the community as custom list and users who are having privilege can able to create custom list, Edit and delete custom list. Repository level containers are having separate user interface to do all file management actions and permission management. Each level of containers are having its own page which are having separate settings of it according to that. In each level of containers will show the basic view and basic settings of next level containers. As a feature of community user can have rich view of their community by creating community page. Where user can have html editor for creating community pages which gives rich look for communities. As another feature of communities satori is having a page which shows reports of particular community and it is having statistics of the particular community like how many documents been uploaded, like how many documents are downloaded by a user. Creating containers are having many options like making repository under any workflow, buzzing a file, Alerting by messages if any file or changes are been done in particular container. Managing permissions in different levels so on. 7

9 4. DESCRIPTION Community cannot be created by the users, it can be created by developers of satori on request. So user may have number of communities by default. But all users may not have permissions to access communities. They can able to get permission to access the community by requesting inside the community. Before that there are many ways to reach a community. One is by selecting communities in side menu list as shown in Figure-4. There it will show three different icons. Where this icon shows the list of communities. User can able to search the community by typing the name of community inside the search bar. It is not necessary that all the communities which are displayed in the list are permitted to access by current user. Some community will ask user for Access Request. Figure 5 Dashboard my Communities There my community icon will be having a feature that shows the number of communities that user is currently having in his profile. By clicking the icon user will be navigated to the page where all the workspace are displayed in GUI. As shown in Figure 6. 8

10 Figure 6 my communities page From my communities page user can able to go into the particular page by clicking this icon and this icon can be revealed only when user moves mouse pointer across the community name. In order to see the workspace name in the community user needs to click at anywhere at the community. Once user clicks the community an expansion will open in blur division where it will show three workspace at a time. User can see all workspace by clicking the right and left arrow in the top right corner of the division. Clicking the workspace at anywhere will show one more expansion where all the repositories can be visible at there and by clicking this icon will directly take user to the respective workspace page where all the repositories which are there in the workspace will be visible. Finally by clicking the repository will take user to the respective page. a) Community page. 11 Figure 7 shows the screen shot of community page where circled part of the figure shows the possible setting in it. Where View Community Reports will be having statistics of the community like which document is downloaded by which user most, and user s visiting counts, Searching a document or people or repository or workspace with in the community etc. Figure 7 Community page This community report page will be looking like Figure 8 which is the screen shot of report page. 12 b) Creating community page. User can make their community in rich looking way by creating community page with html editor as shown in Figure-9 Figure 9 Community custom page This is almost like any other editor which many options to customize the page for more better user interface option and look. Created community page will be looking like Figure-10. Figure 10 Custom Community page By clicking any of the link will show relevant document inside the community. This link will be shown in community page useful link sections. 11

13 c) Community Forum. User can able to discuss about some topics inside the communities from the buzz and it will be coming under the particular community alone. Which will be looking like Figure-11 Figure 11 Community Forum Each forum will take user to the respective forum page which will be looking like buzz activity streams. In forum page column names will show the topic names, posts and latest post which may be useful for user to find discussion about relevant topics. If a community does not have any forum inside that then user can able to create a forum by clicking Create new forum from the forum page where the community which doesn t have forum. Which will show the creating page looks like Figure 12. If a community is already having the forum then it will show the existing forum like Figure-11. Where user can able create new forum by clicking ADD FORUM button which is circled in Figure -11 which will also open a page looks like Figure-12. From the forum creating page user can find the category, which will classify the user s forum in separate category type. This categories are defined by satori developers on request of owners and admins of the particular community. 12

14 Figure 12 Creating forum From the forum creation page user can find title, which will be the title of forum and description will allow user to edit with HTML editor. Then user can able to select position and state of the forum then by submitting it forum will be created. Created forum will be added in the community forum by clicking the topic of particular topic a page will open, which will be like Figure 13. Figure 13 Community forum topic Where a topic will show number of replies, views and latest post and over all a button called Edit Forum and Delete forum will be there. Edit forum will edit the forum by taking user to create new forum page the delete forum will delete page. From this page user can add topic by clicking the ADD TOPIC button mentioned in Figure- 13. Then by clicking topic name user can get into the forum. Which looks like Figure -14. Where REPLY button will be present on the top of the page as circled in Figure -14. There user can also 13

15 find the Edit topic and Delete Topic as like forum page. Where each and every topic will be having Edit Post, Delete post, Mail and Like buttons. Figure 14 Forum reply page As like all other functionalities of satori, community forum are also having the different privilege for different roles of satori. 16 According to this users with different roles can be able to perform relevant tasks as mentioned in Figure-15. d) Creating Workspace. User can create workspace by clicking the Create Workspace button over there in Community settings division as mentioned in Figure- 7. Which will open a popup looks like Figure 16. Figure 16 Creating Workspace Where the first field will be the Workspace Name and second one will be Workspace Description. Optionally user can able to upload an image will be the logo of the workspace. Finally by clicking Submit will create new workspace. [Warning!] Creating Workspace is one time process which mean once workspace is been created then it cannot be deleted except the developers of satori. Created workspace will be added in the list of workspace which are been created before in community page. By clicking the respective workspace user can get a page for workspace like below Figure 17. Where red circled part will be mentioning the repositories present in the work space. If workspace is created newly then the red circled part will show like No repositories yet in this workspace. Click here to create a new repository & start sharing documents. So by clicking the button user can create new repositories in it. The part where yellow circled is showing that tree view of workspace present in the community. By clicking it will expand the repositories present in the workspace. Like community page, Workspace page will also show the user whether user is having which kind of role for the Workspace. This page is having search box which provides search with in the workspace. 15

17 Figure 17 Workspace Page Unlike the community page this workspace page will show GUI version of repositories like mentioned in Figure 17. From that this permissions which can be elaborated in this manual. Then this icon will take users to the page Manage icon will enable user to edit the repository. All admins and owners will be having another options called settings which shows the three options as following Manage Master Tags Repository Advance Settings Manage Meta Data Where manage Master Tags will open a pop up which shows tags field (auto complete text field), Repository advance settings button will open a popup which shows the option called show or hide files options and manage meta data will open a popup which will be looking like Figure-17. 18 User can add more fields while creating new repository. Which mean owner of the community can add Meta data which the user who creates the repository is required to enter. User can make that mandatory by checking in the box Mandatory and user can add more Metadata by clicking Add Another Metadata button. Just like community page, workspace page is also having settings where these setting will be having Workspace Report, Edit Workspace, Manage Permissions, Create Repository and Create Community Page. Where Manage permissions will take user to the permissions page which is elaborated in this manual. Then Create Repositories will create new repositories. e) Creating Repositories To create new repositories under the particular workspace the user need to click Create Repositories in the workspace page. Which will open a popup which looks like Figure-19. Figure 19 Creating repository The popup which shows in Figure-19 will have number of fields to be filled by user. Those fields can be created by the owners of the community or repository by selecting metadata settings from 17

19 the workspace page. These repository creation popup is having a filed called workflow which is so important in workflow management of documents. Here master tag will be the tag for whatever people uploading inside the repository. Then tags are the keywords to find files in search. Workflows of repositories. Files which are uploaded by the user can be sent through workflow, which mean a document can be reviewed or approved or rejected by the person who is been allocated for the particular repository workflow. There are three different kind of workflows in the repositories. Which are, Sequence Concurrence Workflow B Where Sequence workflow will be like below Figure (20). Which mean if user A approves then it will go to the User B then User C so on till the end of user s list which added when creating the repository If anyone rejected then it will not be published. Where when a file is uploaded approval goes to all the user added in the workflow. 20 Where Workflow-B will be like Figure-22. Here only one user is allowed to the workflow then approval will go to the particular user. If user is willing to publish it then he can publish it. Though user can send the document to any person in the satori but they will not be having the privilege to approve or reject the file. It is just to send file to another person. Main User If Main user sends to A User A If A send to B User B If B send to C User C Approve Reject Figure 22 Workflow-B To add users into the any workflow then user needs to type user name in the text field the user have to click this button then suggested names will be displayed below that, then user needs to select a user by clicking this button. Then those users will get notification from the satori and those users can check their workflows by checking My Workflow in menu=>my workflow (Figure-23). From there user can also check the files which are waiting for the approvals. By clicking My Pending user can able to select number of files which are been waiting for user s approvals. Which will be explained in Figure -24. Where the page will be having a file name and if it need to be approved then it Figure 23 My workflow. will be having options like and to select. This will be common for both sequence and Workflow-B. As shown in Figure-24. Where sequence workflow will be marked as red color and workflow-b will be marked as Blue in color. Green shaded division in Figure -24 will be concurrence workflow my pending files. Where this one will be having button where this will publish. Will approve the file and send to next person and will allow user to upload newer version of the file. Finally will make sure that file is not been published. 19

Once workflow-b user approves and sends to next then next will be having only following two, one is and another is but the user who is not in main workflow-b cannot publish. Similarly in Process files will be displayed like my pending files. But there will not be any button to control it. f) Repository Page. By clicking respective repositories user can able to get into the repository page which is different than workspace page and community page. (Figure-26). Repository page will be looking like file and folder explorer. User can see folders and files in it. And user can do multiple operations which ever people can do in file explorer. For example document management actions like copy, move, re-name, merge then viewing by published, workflow and expired then sorting my list of files and folders as list view and grid view by selecting these icons and respectively. Where a single file will be looking like the Figure 25. It will be having file name with extension, Author Figure 25 Files in grid view. name, Uploaded by, Date and time of file been uploaded. Then the icon for viewing the file and icon to edit the properties of the file. Where edit icon will open a popup which will be having the fields to upload the file. Then those files can be sorted by A-Z order or Date new to old or old to new. 20

22 Figure 26 Files and folders The left panel will be to refine the listed document and containers tree to find the relevant file and folders in it. From there an Edit button (Marked blue in color) will be there which make changes in workspace fields like logo, name and description about workspace. To refine the list the page provides the factors like refine by Extension, Created on and By which mean author or contributors then user have to type the key word too and have to submit by clicking GO button. Then the list of file will be refined according to the user s refine factors. User can go to respective parent container by clicking the flow marked red circle in the Figure-26. Other than the options this page will be having many options which will give users better user interface. 21

Where Uploading file will be having separate popup which will be looking like Figure 26 and this is having extra feature called dragging file from the local drive or file explorer. 24 In order to upload a file user can either drag a file from the local disk or from explorer or by clicking Add File. Once file is been selected or dragged from drive that can be shown as status icon. Then user must enter some description about the file which is been uploaded then user should enter the Author. This can be done by user name selection box. Optionally user can enter the tags for the files which are been selected. If user wants to fix the expiry date for the file user can feed date in date picker input field. Then user can also buzz the file upload by checking in the buzz check box. Finally by submitting the page will upload the file inside the repository of the file. Similarly Uploading Zip will be uploading a file but in this a file will be uploading as zip file which should have number of files inside that. By automatically the zip file will be extracted and uploaded inside the repository or folder. That popup will be looking like below Figure (29). Figure 29 Uploading ZIP The main advantages of uploading the files by doing like this is, user can have the file structure which ever user made it inside the zip file in satori repository and user need not to extract the file and upload the file inside the satori. [Tip-1]User can N number of files inside the repository by selecting Upload ZIP. But satori will allow user to have files which are below 40 Mb. 23

25 Creating folder will create new folder inside the repository where the folders are like another level of containers. By clicking the Creating Folder user can enter the input fields inside the popup shown in Figure-30. Figure 30 Creating folder Where fields of creating folders are simple which are having Folder Name, Folder Description and Tags. Then by submitting it folder will be created. Actions and Downloads are having many options. From that click to download original file user can select the file and can click button from the top panel. If user wants to download a file as PDF then user can select the file and can click this button to download it as PDF. If user wants to download a file as Excel sheet then user have to click this button to download as excel. According to the selected object options can be revealed to perform. For example user is selecting folder then Folder Permissions will reveal. It will not be activated if user selects files. Then user can buzz files by clicking this icon. Buzzing is explained in manuals of activity streams, for more information about buzzing a file user can refer activity stream manual. To mail particular file to particular file user can click this icon and by clicking this will open a popup which will be having people selection input box user can select users from there to mail particular file. Then if user wants to make a file favorite then user needs to click this icon. And it will pop up a window like Figure-31. Where user can select the group to mark the file as favorite. 24

26 Figure 31 making file as favorite If people wants to see the properties of the particular file then user can able to see it in pop up window by clicking this icon. If people wants to edit the file then user can click this icon. Where this will open a pop up which is similar to the upload file pop up. If user wants to get alert for the particular file then user can click this icon which will mark as alert subscribed file. And by clicking that again it will mark it as unsubscribed for alert. To copy the file user have to select the file and have to click the pop up window which is shown in Figure-32. this icon and user can get Figure 32 Copying File Where user have to select the destination place and if user wants to copy the file along with the tags associated with the file the user can click the check box then by submitting the pop up will copy the file. 25

27 If user wants to move a file then user have to select the document and click this icon then user can get a pop up window which is almost similar to the copying the document pop up (Figure - 32). Moving is process is almost similar to the copy. If user wants to merge files then user have to select two are more different files which are user want to merge then click this icon. This will open a pop up which will be having the list of files that user have selected. Once user submitted it will be merged and converted into PDF. And user can save it. Which will be looking like Figure-34. Figure 33 Merging files From this popup user can rearrange the list which has been selected and by clicking Merge Files it will convert it in to pdf and let user to download file. Permissions are very important in the communities because privatizing the files or folders or repositories are done by giving permissions. So this user manual explains it in separate subchapter. Deleting files or folders are done by selecting file(s) then clicking this icon. This will open a pop up shows the name of the files which are been selected and by submitting the pop up it will delete the files. The deleted files will not be removed permanently from the satori, it will be kept under community recycle bin. To see the files under the community recycle bin user need to click this icon. Then it will open a window like Figure-34 [Note-1] Viewer cannot see community recycle bin and only owners can able to delete files from community recycle bin. The only Admins and owners can able to restore files from community recycle bin 26

28 Figure 34 Community recycle bin Community recycle bin will be having files which are deleted by the users and those can be restore by clicking RESTORE button which can be revealed only moving mouse pointer around the icon of file which is marked by red circle in Figure-35. View is almost like sorting the list with filters which the filtering factors are by published, Workflow and expired. Where by clicking will show all the files which is been published, then by clicking this will show the files which are in workflow currently. And then by clicking this user can filter the files which are expired. g) Permission management. Where ever the word Manage permission or this icon is there or just Permissions then user can able to open a page where user can give permission to the respective container. Where user can able to give permission to particular person for particular container level. Before adding the users into the community or any level of container user should make sure that a group should be there in the community owned by current user. If user does not having any group then user should create group by doing following process. Creating group: To create group user should be having owner level privilege and user can create group by clicking the Create New Group button on the page in Figure-35 27

30 There user need to enter the name of the group and enter the role of the group. By submitting it will create group. Once group is created by current user then current user can see the actions toward the groups will be visible as shown in Figure-37. Figure 37 Editing group By clicking this icon user can delete the group, then by clicking this icon user can enable editing the group. Which looks like Figure -37 where user can edit name and roles then by clicking small save button user can save changes (red circled icon in Fig-37). If user wants to add new users inside the group then user have to select this icon. It will open a new page which is user selection page (Figure-38). Figure 38 Adding people in the community Where the page will allow user to add more user and it has one more option to send mail to the user who got added optionally. Community permissions: Once group got created then user can give permission by typing user name in Figure 35, and user need to press this then number of suggestion will come under the search box, there user have to click this icon will add user in to the list then user need to select the role to be assigned to the user, after selection of role a group and create new group will reveal, through that user can select the group with same role and created by current user. By clicking Give Permission will give access to the users to overall entire community. Permissions for lower level containers: If user wants to give permission specially to some level of container like for a workspace or a repository or some folder or a file user need to edit the permission which mean Breaking permission. Which can be done by clicking either Edit permission or clicking red circled part of the Figure

31 Figure 39 Editing permission (Breaking permission) By doing the Breaking permission the current level of container and its descendent level will follow according to the permissions which the current container is having. User can come to know by reading the Note mentioned in the above figure whether the level of container got inherited the permission of it ancestors permissions or new permission got broken. If permission got broken it will be look like Figure 40. Figure 40 Broken permission By providing permission by breaking inheritance user can able to give permissions to the particular level of container. So that the user cannot access the previous level s content. So privacy of content will be prevented here. These permission management is same in all level of containers and files except the least ancestor called community. 30

32 h) File viewer. Each file can be seen as more focused. Which enables user to see the preview of the file and downloading it as PDF or downloading it and lock for editing. Then all file management operations which we discussed before, like buzz, alert, copy, move, manage permission, rating for file from users, Uploading newer version of file which overwrites the file which is already been there and then if the file is in workflow then approve and reject buttons. As shown in Figure-41. Figure 41 File preview 31

33 Under each of the file preview user can able to reply their comments by typing in the text box and by pressing Share button it will be posted. [Warning!]Comments cannot be deleted or edited, so make sure of your comment text before sharing it and this will be mailed to the author of the file too. The preview tool enable user to read the document or the file with many feature for example adjusting zoom level, jumping to particular page number, single page view and two page view etc. If the file is not text oriented or password protected or not readable like.zip file then it will not be displayed in preview instead of that this (Figure -42) will be displayed. 34 5. FREQUENTLY ASKED QUESTIONS QUESTION: ANSWER: QUESTION: ANSWER: QUESTION: ANSWER: As a collaborator can I edit the permission of any level? Yes you can edit the folders permission for only those folders or files which are created by you and the files uploaded by you. Can owner of a community can add another user as owner? Yes, Owners can add other people as owner of community. But satori prefers to not have more than two owners. What is the maximum size of the file to be uploaded? 40Mb is the size limit of each file which we can able to upload QUESTION: Can I edit Community or workspace or repository or folder? ANSWER: If you are an Owner of community then you can able to edit community or workspace respectively, If you are admin of community then you cannot edit a community but you can edit workspace or repo in it. If you are collaborator then you can edit only folder and files and if you are contributor then you can only edit files. If you are viewer you cannot edit any of these. Though renaming add deleting are not possible by any one. QUESTION: ANSWER: QUESTION: ANSWER: How can I get permission to particular community? Search the community name in search bar then select the community which you need to access then click Request for Access icon which will be there in that particular community then a mail will be sent to owner and admin of the community. If they approve then you will get access to that particular community How do I download a file which I know only the name but not entire path of file? Simply search the file name in respective communities search (Search with in community) then from result view the file. 33

35 QUESTION: ANSWER: How can I know my role in community? Go to community home page and see My Role in the community which will say the role of you. QUESTIONS: How can I know the list of file extensions which are supported by satori?
