3 Accessing Partner Information Manager Exostar s Partner Information Manager (PIM) application is accessed through the Managed Access Gateway (MAG). If you have been requested to access PIM to complete a task, the requestor should have created a MAG account for you if you do not have one already. If a new account was created, please follow the instructions in the First Time Login to establish your account. If you are the first user in your organization to access PIM, you will need to accept the standard MAG Usage Service Agreement. If you see View Service Agreement on the Partner Information Manager Application row in your MAG account, click the link and accept the service agreement. Click Open Application for the PIM application: Access Requirements PIM must be accessed using an approved 2-Factor credential, including Phone-based OTP, OTP Hardware token with proofing upgrade, Medium Level of Assurance Hardware Certificates, DoD CAC, etc. For detailed information on acquiring a credential and approved credentials, please see Copyright 2015 Exostar LLC. 5 Managing Sharing (for PIM Application Administrators) The sharing of your data in PIM is based on Sharing Requests with the PIM Subscriber Organizations (Boeing, Raytheon, BAE Systems, Lockheed Martin). When a PIM Subscriber Organization requests for the supplier to complete a new form or share an existing form, the request will appear in the Sharing status screen as shown below. You will need to accept the sharing request in order for the PIM Subscriber Organization to view the results of Questionnaires or forms you have completed. It is critical that the sharing request is accepted for your data to be visible. Action Pending Sharing Requests To action a Pending sharing request, first click the View link in the Action column of the Questionnaires to Complete gadget (A) or if the questionnaire has been completed, the numerical score in the Result column (B) : A) B) In the Options box on the right sidebar, select the Answers button. 6 On this page, you can view whom you are sharing the form with currently, and who has requested you share the form. To accept a pending Sharing Request, In the Options box on the right sidebar, select the Pending Requests button. Check the box next to the pending request and click Accept. The page will update to indicate the accepted sharing request. Ending / Deleting an Existing Share If you are no longer doing business with a company that you have shared a form with, and/or no longer wish for them to have access to questionnaires you have completed, you can end the form sharing with that PIM Subscriber Company. Click the View link in the Action column of the Questionnaires to Complete (Or Completed Questionnaires) gadget: In the Options box on the right sidebar, select the Answers button. 7 In the Options box on the right sidebar, select the Sharing button. On this page, you can view whom you are sharing the form with currently, and who has requested you share the form. To accept a pending Sharing Request, In the Options box on the right sidebar, select the Pending Requests button. Click the Accepted Requests button. Copyright 2015 Exostar LLC. 8 Check the boxes next to the Sharing Request(s) you wish to Deny, then click Deny. PIM User Guide Forms & Questionnaires Accessing Questionnaires To access and respond to a Questionnaire, it must first be assigned to a user. To assign the form to a user, first click the View link in the Action column of the questionnaires to complete gadget. Next, click the View All link in the Workflow gadget. Then, click the Assign Users button. Select the user you wish to assign the form to, and click Save. Copyright 2015 Exostar LLC. All rights reserved Page 8

9 You will be directed back to the Workflow page. Click the Answers button, then the New or Respond link. This will open the introductory pages of the questionnaire. Follow the prompts and use the guidance links provided to complete the questionnaire. To add additional users to PIM so that they are selectable from the drop down, they will need an account created in MAG and to be subscribed to the PIM application. Instructions for adding and subscribing users can be found in the MAG User Management Guide. Viewing Results and Updating Completed Questionnaires After completing a questionnaire, it will move to the Completed Questionnaires gadget. It is expected that you will maintain and update responses to Questionnaires as your organization changes. To make updates to a completed questionnaire, click the View link for the completed questionnaire: From the results page, click Update Answers in the Options box on the right sidebar to re-enter the questionnaire. Note that the form needs to be assigned to you for the Update Answers button to be available. If you make updates to your responses, please be sure to Submit the questionnaire again from the last page so a new score can be calculated. Copyright 2015 Exostar LLC. All rights reserved Page 9

10 Results Report Expand the Reports box in the right sidebar and click the link to download the detailed PDF report for your completed questionnaire.
