3 Purpose This guide provides information on how to manage users in Holocentric BMS. It describes the user provisioning, configuration and administration functions that are available in the Modelpedia Administration Portal. The information in this guide is useful for an organization s Modelpedia Administrator. 6 1 Introduction A user must be provisioned in the Holocentric BMS to be able to successfully access Modeler and Modelpedia published websites. The following types of users can be provisioned in the BMS. External user synchronization - synchronizing users and user groups from a corporate Active Directory (AD) or provisioning users from Azure Active Directory (Azure AD). Internal users - creating users via the Modelpedia Administration Portal. These users can only exist in a Lightweight Directory Service (LDS). AG_Managing Users_BMS3.2.0_v1.1 Page 6 of 43

7 2 Organizations An Organization is like a server tenant and is used for conveniently grouping users. A single client instance of Modelpedia could have one or more Organizations configured in their Modelpedia Administration Portal. For example, if you have a group of companies, each of the companies in that group can be created as an Organization in your Modelpedia Administration Portal. You must first create an Organization to be able to synchronize the BMS with the user directory service or to create internal users within Modelpedia. You must be assigned the role Repository Administrator to be able to create an Organization and configure user directories for a selected Organization. 2.1 Creating Organizations 1. Navigate to Configuration -> Organizations and click on Create Organization. 2. Provide the following details: Parameter Name Description Mandatory? Organization Name Name for the Organization Yes Organization Alias As a best practice, provide the name you used for the Organization Name field. Organization Domain The domain name for the organization you are creating. Note: If you are configuring an Azure AD user store, then you must provide the domain here (e.g., holocentric.com). 8 When Azure AD users login with their UPN (User Principal Name) as the user name, Modelpedia will check the domain in the user name provided against the Organization Domain specified, to identify the Azure AD configuration relating to the user logging in. If you have multiple domains (e.g., sampledomain.com.au, sampledomain2.com.au, sampledomain3.com.au) in a tenant, you must create an Organization for each of these domains. 3. In the User Directory window, a. Select the relevant option for Automatic Synchronization. You can select if you want the synchronization to be automatic or not. This synchronization is used to synchronize users from the configured AD or LDS user directory to the BMS. b. Select the time to synchronize. You can pick the time the synchronization must occur daily in the Synchronize at field. In the case of an Azure AD configuration, this setting will have no effect, since all Azure users will be Just In Time (JIT) provisioned in BMS. You can view all users (only if less than 10,000 users) to verify successful synchronization by navigating to Configuration -> Users. If you have more than 10,000 users, you must view them by using the Export Users function. AG_Managing Users_BMS3.2.0_v1.1 Page 8 of 43

9 4. In the Task and Notification section, you can select if an needs to be sent out to users by selecting the relevant option for Summary to users. When enabled, relevant users will get summary s when there are tasks assigned to them as well as notifications relating to updates on any of their Watched Items in the Modelpedia published website. You can pick the time the must be sent in the Summary to users field. You must do the following setting in Modeler to ensure that the task and notification s are sent out: Right click on the parent content area and select Properties. Click on the ellipsis next to the field Owned by and select the relevant Organization that was added in Modelpedia Administration Portal. AG_Managing Users_BMS3.2.0_v1.1 Page 9 of 43

10 Once you create an Organization, you can then configure the user directory related to the organization. 2.2 Configuring a user directory 1. To configure a user directory, in the User Directory section, click on the Configure button next to User Directory Provider. 2. In the window that opens, you can configure any one of the following user directories: a. MS Active Directory b. Active Directory Lightweight Directory Services (AD LDS) c. Azure Active Directory (Azure AD) Once the user directory is configured, If you have enabled automatic synchronization for your Organization, in the case of AD and LDS, all users from the user directory will be synchronized to your BMS at the specified time. If you have disabled automatic synchronization for your Organization, in the case of AD and LDS, you will need to manually synchronize all users to your BMS. You can do this by navigating to Configuration -> Organizations and clicking on the Synchronize Now button in Manual Synchronization. User directory synchronization does not apply on configured Azure Active Directory. Only one user directory must be configured for an Organization. AG_Managing Users_BMS3.2.0_v1.1 Page 10 of 43

11 2.3 Default Organization Groups When you create an Organization in Modelpedia Administration Portal, a Default Organization Group will be created for it. This will be in the format All <organization_name> Users. All users created within the Organization will be listed within the Default Organization Group. When an Organization is edited or deleted, this will edit or delete the default organization group in the BMS. The permissions applied to the Default Organization Group will be applicable to any new users added into the Organization. See the next section, for information on assigning roles to the Default Organization Group. To view all users within the Default Organization Group, In Modelpedia: Navigate to Configuration -> Users and enter the Organization name. In Modeler: In the Repository Explorer window, click on Filter Options and select Show All Areas. Right click on a selected Organization and select Properties. Select the Users tab and all users provisioned to the default organization group will be listed Assigning roles to a Default Organization Group Follow the instructions below to assign role/s to a Default Organization Group. Let s take an example where you have an Organization named LDS Test. Let s assume that by default, you want to give all users within the Organization, Model Contributor permissions to the content area Example Libraries. AG_Managing Users_BMS3.2.0_v1.1 Page 11 of 43

12 1. In Modeler, right click on the content area Example Libraries and select Properties. 2. Select the Authorization tab and click on the Add icon. 3. Make the following selections, using the ellipsis icon next to each field: Role: Model Contributor Members: All LDS Test Users Click OK. 4. Save changes. Now all users in the Organization LDS Test will have Model Contributor permissions to the content area Example Libraries. In a Teamwork environment, if you want to create working libraries for a group of users, you cannot do this using the Default Organization Group. Instead, you must assign the Model Contributor role to users/user groups as detailed here. AG_Managing Users_BMS3.2.0_v1.1 Page 12 of 43

13 You must assign authorization for the default user group that is created for the Organization. If no authorization is provided, the users will get authenticated but will not be authorized to view any model libraries. 2.4 Granting authorization to users from different Organizations There may be instances where there is a need to provide users from a different Organization to access or view model content of a selected Organization. This can only be done by a Repository Administrator, who can access all users that belong to different Organizations within the BMS. The Repository Administrator must configure for users to be shared across different organizations. To allow an Administrator role to see users of a different Organization you must configure the Organization using one of the following options: All users of a different Organization/s Selected users from different Organizations The following configurations will need to be done by a Repository Administrator Granting authorization to all users Let s take an example where you have two Organizations: Organization A and Organization B. You want to grant permissions to all users in Organization A, access to Organization B model libraries. To do this, 1. In Modeler, select Organization A and then right click on it. Select Properties. 2. Click on the ellipsis next to the Can See field and select Organization B from the list. AG_Managing Users_BMS3.2.0_v1.1 Page 13 of 43

14 Save all changes. 3. The Administrator user can now see the users in Organization A. He/she can now assign required roles to those users to view Organization B model libraries. For details on assigning roles, see the related section in this guide Granting authorization to selected users Let s take the example where you now want to grant access to Organization A model libraries to a few selected users who do not exist in Organization A. To do this, 1. In Modeler, select the Organization A and then right click on it. Select Properties. 2. Click on the ellipsis next to the Seen By field and select the users from the list. 15 Save all changes. 4. The Administrator user can now see the users in Organization A. He/she can now assign roles to the selected users so that they will have the necessary permissions in Organization A. For details on assigning roles, see the related section in this guide. The reverse of the Seen By field is the Can See field. When using the Seen By or Can See fields, these can be configured only for Organizations or Users. 16 3 Internal Users Internal users are users that you create from within the Modelpedia Administration Portal. These users can only exist in an LDS user directory. 3.1 Configuring LDS user directory You need to configure a LDS user directory for your organization when you want to provision users from an LDS user store. Fill in the following information relating to this: Parameter Name Alias Root Sync Path Enabled for Synchronization Read Only Description As a best practice, it is recommended that you use the same name you provided for the Organization Name when creating the Organization. This is the directory schema for the required users. This must be in the following format: <server name> /<LDS organization name>/<distinguished name for LDS entry> This option must be selected for Automatic or Manual Synchronization to occur. Default: Enabled If this option is selected, it will be a synchronization that occurs from LDS to BMS. User details updated in BMS will not be synchronized to LDS. Mandatory? 17 3.2 Creating LDS users You must be assigned either one of the roles Repository Administrator or Organization Administrator to be able to create users. Due to technical limitations, when the number of LDS users in a single server instance exceeds 10,000 users across all Organizations, any new users must be created using the Import Users function and users must be viewed using the Export Users function. You can create LDS users within a given Organization, using any one of the following user creation methods: Synchronizing users Manually creating users Importing users Let s look at each of these methods in detail Synchronizing users User synchronization can be automatic or manual depending on the configuration you did at the time of creating the Organization. The feature synchronizes all users from the user directory to BMS. AG_Managing Users_BMS3.2.0_v1.1 Page 17 of 43

18 If you have disabled automatic synchronization, you must select the Synchronize Now button to synchronize users from the LDS user directory to the BMS. Even if you have automatic synchronization enabled, if you want to synchronize users prior to the scheduled time, you can do this by selecting the Synchronize Now button Manually creating users Internal users can also be manually created for a selected Organization. Follow the steps below to manually create a LDS user: 1. Navigate to Configuration -> Users and select Create LDS User. 2. Fill in the following details: Parameter Name Description Mandatory? Organization Select the Organization from the Yes available list. User Name Enter the user name for the user here. Yes First Name Enter the first name of the user here. Yes Last Name Enter the last name of the user here. Yes Display Name Enter the display name for the user here. This name will appear when the user logs in to Modelpedia. 19 Address Enter the address of the user here. Expires on Pick a date when the user account must expire. User will not be able to access Modeler or Modelpedia once the selected date elapses. Contact Number Enter the user s contact number here. New Password Enter the password the user must use Yes when accessing Modeler and Modelpedia. Confirm Password Re-enter the password here. Yes Group Select one or more groups from the list of user groups. Note: These user groups are created in Modeler. See User Groups for more information. Comments Enter any additional information here. 3. Once you have completed the information for each of these fields, click the Create button to create a new user. Once users are created in the Modelpedia Administration Portal, these users will be automatically synchronized to the LDS user directory that is configured provided the Read Only option is left unchecked at the time of configuring the LDS user directory Importing users You can import LDS users from a CSV or MS Excel file. The spreadsheet can be uploaded to Modelpedia Administration Portal and this will create the user accounts in BMS. This is useful when you have a bulk user creation that needs to be done in Modelpedia. Follow the steps below to import LDS users into BMS: 1. First create the CSV file or MS Excel file with the relevant user information. The file formats are included in the appendices section. 2. Save the file to a local directory. 20 3. In Modelpedia Administration Portal, navigate to Configuration -> Users and select Import LDS Users. 4. Select the Default Organization from the drop-down menu and choose the import file you saved in your local directory. Click on Import to import all users in the uploaded file. 5. Once completed, you can check the status by navigating to Current Activity -> Job Queue. User created using the bulk import, must use the I forgot my password option that is available in the Modelpedia login page on their first login attempt. 21 3.2.4 Exporting users You can export LDS users as a CSV or MS Excel file. For details on how you can export users, refer section on Exporting users in this guide. AG_Managing Users_BMS3.2.0_v1.1 Page 21 of 43

22 4 External Users You can synchronize/provision users from the following user directories: MS Active Directory (AD) Azure Active Directory (Azure AD) You must first create an organization and the user directory can then be configured within the created organization. 4.1 Configuring Active Directory This option is used when you want to synchronize users from your MS Active Directory (AD) into your BMS. Fill in the following fields relating to AD synchronization: Parameter Name Description Mandatory? Alias The value entered here must match the Yes alias provided for the Organization. Root Sync Path This is the directory schema for the Yes required users. This will take the format of <AD server name>/domain component. 23 The service account running the LDS service must have read access to the LDS directory to be able to retrieve users. 4.2 Configuring Azure AD You can configure BMS so that all your Azure AD users will be provisioned BMS and they can access Modeler and Modelpedia. Before you configure the Azure AD user directory, the Azure Administrator must setup Modelpedia in the Azure portal. Instructions for configuring Modelpedia in the Azure portal are available in the relevant Admin guide titled Configuring Modelpedia in Azure Portal Configuring Azure AD in Modelpedia Administration Portal In your Modelpedia Administration Portal, you can configure an Azure AD user directory for a selected Organization, by selecting the option Create Azure AD Config. In the window that appears, fill in the following information: Parameter Name Description Mandatory? Alias Enter any value here. The value Yes entered here is used to track records relating to this user directory in the relevant error logs. Tenant Name This must match your tenant name in Yes Azure portal. e.g., <cloud_name>.microsoft.com Tenant ID This is the GUID that is listed for your Yes tenant in the Azure portal. This value is obtained from the Azure Administrator. Web Client ID This is the client ID that is available for Yes the configured Modelpedia web application in the Azure portal. 25 4.2.2 Provisioning Azure AD users Azure AD users are provisioned from Azure AD to the BMS using the Azure AD just-intime user provisioning. When Azure users have MFA enabled on their account, they will not have access to Modeler using their MFA user credentials. If users require Modeler access, they must use an Azure account that does not have MFA enabled or a non-azure AD user account New users A new user who does not exist in the BMS, is provisioned, when the user successfully logs in to a Modelpedia or Modeler. The login action will create the user record in the BMS Modified users When user details first name, last name and display name are updated in Azure AD, the updated details are updated in the BMS, when the user logs in to Modelpedia or Modeler session after the user details were updated in Azure AD. It is important that you contact Holocentric support if there are any changes to the user s UPN in Azure as this will impact the user management in BMS Disabled users Azure AD When a user disabled in Azure AD, logs in to a Modelpedia or Modeler session, the user will not be authenticated. Users disabled in Azure AD must be manually disabled using the Modelpedia Administration Portal. When a user is disabled after they have logged in, the user will continue to remain logged in until the Azure session token expires. The Microsoft default configuration for this token is 1 hour. 26 Disabled Users - Modelpedia Administration Portal When a user is disabled using the Modelpedia Administration Portal, the user will not be authenticated when attempting to log in to Modelpedia. If you want access to be denied immediately for Azure users, you must disable them using the Modelpedia Administration Portal. 5 Exporting users You can export users from Modelpedia Administration Portal as a CSV or MS Excel file. Follow the instruction below to export users: 1. In Modelpedia Administration Portal, navigate to Configuration -> Users and select Export Users. 2. You can select all organizations or a particular organization from the drop down list. 3. You can select the following options if required: a. Include user group details in the export: This will include the user group information for users that are exported. b. Export file to contain only LDS users: This will ensure that only LDS users are contained in the file that is exported. 4. Then click on the relevant button depending on the export file type you want. This can be either a CSV file or an MS Excel file. 5. 27 6 User Groups You can configure and manage authorization for accessing Modelpedia content using user groups. Authorization can be configured based on the various user groups and users can be added into these user groups depending on their roles within the organization. This is useful since any new users, simply need to be added to the respective user groups at the time of creation, to ensure that all required authorization configurations are applied to the new user. In Holocentric BMS, the following user groups can be created: 1. External user groups: User groups that are synchronized from a corporate directory AD user directory service. Their name, attributes and membership cannot be managed in Modelpedia and always reflect the corresponding group in the directory service. 2. Internal user groups: User groups that are created within Holocentric BMS. User groups are created using Modeler. 6.1 Creating user groups Let s look at how you create user groups using Modeler. You must be assigned the role Repository Administrator to be able to create an Organization and configure a user directory for it in Modelpedia Administration Portal. Only internal user groups can be created using Modeler. These can be created by either a Repository Administrator or an Organization Administrator. 1. Connect to the relevant repository in Modeler. In the Repository Explorer window, click on Filter Options and select Show All Areas. AG_Managing Users_BMS3.2.0_v1.1 Page 27 of 43

28 2. Expand the Organizations folder and select the required Organization. 3. Right click on the selected Organization and select Properties. In the window that opens, select Groups tab. If there were any user groups that were synchronized from the configured AD user directory, these will be listed here and they can be distinguished by the group icon with an x in the corner Only AD user groups will be synchronized. Azure AD user groups will not be synchronized into the BMS repository. 4. To create a new internal user group, click on the Create New icon and select Create New Internal Group. 5. Provide a Name and select the Members for the created group from the list of users. AG_Managing Users_BMS3.2.0_v1.1 Page 28 of 43

29 Internal groups can be distinguished by the group icon with an i in the corner. The default all user group for an Organization that is created at the time of creating an Organization is an internal group in Holocentric BMS. 6.2 Assigning roles to users/user groups Once you have created a user group, you must assign a role to the created user group. You can also assign roles to individual users. Roles are used to grant permissions to users and/or user groups. To do this, follow the instructions below: 1. In the Repository Explorer window, select the required Organization or Content Area. Right click on it and select Properties. 2. Select the Authorization tab and add a new Authorization by selecting the Add icon. AG_Managing Users_BMS3.2.0_v1.1 Page 29 of 43

30 3. Select a Role from the list of roles and select users and/or user groups for the Members field. All user and/or user groups will now have authorization based on the selected role. For information on the default mapping of the authorization levels for preconfigured roles in Modelpedia, refer Appendix C. 4. When configuring authorization, selecting the Override parent checkbox would mean that none of the parent organization configurations would apply to the selected Organization or Content Area. Only the role Organization Administrator can be assigned by selecting the Organization. To assign any other roles, you must select the relevant Content Area and configure the Authorization. 31 Due to data caching, the users and user groups added to an internal group may not be listed when you view the Group. If this occurs, reconnecting to the BMS server will resolve the issue. 7 User Authentication 7.1 Using Modelpedia Modelpedia and the URL for a published library in Modelpedia can be accessed using a web browser (refer the SOE relating to BMS for a list of supported browsers and versions). You must provide the URL to your users. The authentication process for Modelpedia depends on the user directory that you have configured for your organization. AD and Azure AD users should be given their username and password so that they can log in to Modelpedia. Bookmark the URL link to your Favorites in your web browser so that you can easily navigate to it in the future. AG_Managing Users_BMS3.2.0_v1.1 Page 31 of 43

32 7.1.1 Microsoft Active Directory users This section lists out the process for Microsoft Active Directory users accessing Modelpedia: 1. In the Modelpedia login page, provide the username and press the Tab or Enter key on the keyboard. 2. Then enter the password in the Modelpedia login page. When correct credentials are provided, the user will be authenticated and will gain access to Modelpedia. 7.2 Azure AD users Modelpedia supports Azure AD users with Multi Factor Authentication (MFA) either enabled or disabled. The login process differs on whether Azure administrator has configured a user as an MFA user or not MFA users If the same user exists in different Organizations, the user must login with the username in the format: <organization_name>\username. Failure to provide the Organization name will result in the user failing to get authenticated. This section lists out the process to access Modelpedia for Azure AD users with MFA enabled. 1. In the Modelpedia login page, provide the UPN as the username and press tab or enter button. (The UPN is in an address format.) 2. A password is not required in the Modelpedia login page. Instead proceeds with redirecting the user to the Active Directory Federation Services (ADFS) page where they can enter their password for authentication. When correct credentials are provided, they will be authenticated and redirected to your organization s Azure login page. 3. If they are logging in for the first time after MFA was enabled on their account, in the Azure login page they will have to select their preferred secondary verification method and follow the instructions as set out in the Azure portal to gain access to Modelpedia. 33 7.2.2 Non-MFA users This section lists out the process to access Modelpedia for Azure AD users where MFA is not enabled. 1. In the Modelpedia login page, provide the UPN as the username and press tab or enter button. (The UPN is in an address format.) 2. A password is not required in the Modelpedia login page. Instead proceeds with redirecting the user to the Active Directory Federation Services (ADFS) page where they can enter their password for authentication. When the correct details are provided, the user will be granted access to Modelpedia. 7.3 LDS users For Azure AD users, the login session experiences may differ based on the browser used. Our testing has indicated the following: This section lists out the process for LDS users to access Modelpedia: 1. In the Modelpedia login page, provide the username in the format <organization_name>\username and press Tab or Enter key on the keyboard. 2. Then enter the password in the Modelpedia login page. When correct credentials are provided, the user will be authenticated and gain access to Modelpedia. 7.4 Error messages When using Chrome and Microsoft Edge browser: It seems to be heavily tied with the Windows authenticated AD user, resulting in a different AD user not being able to authenticate in Modelpedia. When using Internet Explorer browser: It allows a different user from the authenticated Windows user to be able to authenticate in Modelpedia. This section lists out the error messages that are displayed when users attempt to authenticate in the Modelpedia login page. AG_Managing Users_BMS3.2.0_v1.1 Page 33 of 43

Due to technical limitations, MFA enabled users are unable to access APIs. User has not been synchronized from AD to Azure and hence unable to log in to Modelpedia. 35 Please try again later or < address> if the problem persists. 8 Viewing Logs The Modelpedia Administration Portal provides a feature where logs can be viewed relating to the user sessions listed below. This feature is useful for Modelpedia Server Administrators. 8.1 User login sessions Information relating to user logged in activities in Modelpedia. To view these logs, you must first enable these logs to be captured. To do this, in Modelpedia Administration Portal, navigate to Logging -> Usage History. In the Settings tab, select the Enabled checkbox next to the relevant Organization and click on Update button. The above configuration must be done by a Repository Administrator user. Once logging is enabled, you can view the logs by accessing the log files in the server. To do this, in the server, navigate to the folder Holocentric -> Modelpedia -> Logs and select EventHistory yyyymmdd from the list of log files. AG_Managing Users_BMS3.2.0_v1.1 Page 35 of 43

36 If you are hosted on MP15, you must contact to retrieve this information. 8.2 Synchronized/Provisioned users This log lists out users who are synchronized/provisioned from the configured user directory to the BMS. To view these logs, in the Modelpedia Administration Portal, navigate to Logging -> Event Logs and select Server Information Log yyyymmdd from the drop-down menu. 8.3 Failed logins Information relating to failed login attempts. This contains information of all failed login attempts in both Modeler and Modelpedia. To view these logs, in Modelpedia Administration Portal, navigate to Logging -> Event Logs and select Server Error Log yyyymmdd or Server Warning Log yyyymmdd from the drop-down menu. 37 9 Key Concepts 9.1 Roles Authorization in Modelpedia is managed through roles. Modelpedia has three types of roles: Model Role, Authority Role and System Authority Role. The table below provides details on each of these role types Icon Role Type System Authority Authority Description These roles are the default roles that are built into Holocentric BMS. Refer the appendices for a list of the System Authortity Roles that are available. This is a role that can be created by the user. These roles can be created to include one or more System Authority roles. Model This role is created in Modelpedia and is used for assigning application Perspectives within a model content. It corresponds to an Application Role in Modeler, both sharing a common ID. Refer the section Assigning roles to users/user groups for more information on how the above roles can be assigned. By default, all users have Area Viewer role assigned at the Model Libraries level and Repository User role assigned at the Repository level. Role inclusion makes administration simpler as fewer discrete roles must be assigned to a user to allow them to perform a project function requiring several authority roles.
