1 How to authorise and finish an Episode Introduction Episodes are used in frameworki to manage work in the system. For example, referrals, assessments and reviews will all be recorded in the form of an Episode. A sequence of Episodes creates a workflow. Some Episodes can be initiated directly from the People menu. The majority however are created as outcomes from other Episodes within a workflow. This guide will look at some features of authorising and finishing Episodes by authorising and finishing a Contact Record. Process Within the Treeview, open the Tasks folder. 2. Then open the Incoming folder. In this guide, a task to review information and confirm outcome of an Episode is listed. Please note, this task description may not reflect the task description used in your live system. Last Updated: 16 April 2012 Page 1 of 13

2 3. Select the Task. 4. Prior to amending the Task or the Episode, you should read the Request Note. 5. Prior to updating the Task, it is advisable to view and, where appropriate, update the details of the Episode. Click the Amend Episode link Prior to completing the task, view the details of the Document. To do this, click on the pencil icon. Clicking this link takes you to the Documents screen of the Contact Episode. Last Updated: 16 April 2012 Page 2 of 13

3 Each section should be checked. Where appropriate, details in each section can be amended. Note: The Contact Document in your live system will be different to the one seen here. 8. 7 If you wanted to mark the Task as completed, click into the Completed radio button. 13. Optionally enter a Return Note. 14. Click OK. If you are responsible for the task, you are able to either complete or reject the task. Last Updated: 16 April 2012 Page 7 of 13

8 Click Next. Depending on local guidance, the Manager could exit at this stage (by clicking Save and Close ) and request that the assigned worker enter an outcome for the Episode. In this guide, it is assumed that the manager continues with the recording process and records / updates the Outcome. Last Updated: 16 April 2012 Page 8 of 13

9 Select an Outcome. This screen enables you to select the next stage in the process. It also enables you to record the person or organisation responsible for that stage. This screen is empty. However, depending on local guidance, the worker assigned the Episode may have entered their recommended outcome. If this were the case, you could amend these details if appropriate. 17. To pass the next Episode to a Worker, click Find. Where appropriate, record the team or person responsible for the next stage in the workflow. Depending on your local process, you may need to assign the Episode to a Duty Worker or a Team for them to reassign. Last Updated: 16 April 2012 Page 9 of 13

11 Where applicable, select a Reason for the Outcome. This field becomes active depending on the type of Outcome selected earlier. 20. Optionally, enter some notes. For example, you may be required to enter notes about the case allocation and or the Episode assignment. Please refer to local guidance. 21. Where appropriate, change the Priority. Again, please refer to local guidance. 22. If you wanted to record more than one Outcome, click the Add Another button. 23. If you wanted to save your recording and remain in the screen, click Save and Continue. 24. Click Finish to return to the Episode Summary Screen. Last Updated: 16 April 2012 Page 11 of 13
