5 DrQuickLook PDA Main Screen Your DrQuickLook PDA comes with four icons for quick access to the Mazi Imaging App, DrQuickLook website, clinical forms, and this user guide/faq s. Note: The Mazi Imaging App has PDA within the logo to help easily identify it. Tap to enter the Main Menu Imaging Center Note: The DrQuickLook website icon has WEB within the logo to easily identify it. Requires internet connection. 7 Create a New Patient Record Tap the New Patient button to create the patient file. Last, First and DOB will appear at the top of the screen. Use the keyboard to enter last, first and DOB. Press the tab key on the keyboard to move to each field. Press the Enter Patient File to complete the new patient record and enter the patient s file. You are now ready to capture images, review and more. New patient name and DOB will appear in imaging center. All captured images will be saved until deleted. 5

8 Enter an Existing Patient Record Tap Find Patient to access the list of existing patients and saved images. Use Search to locate a patient file by last name, or scroll up with a finger or stylus. To select a patient file, double-tap the patient information or highlight it and tap the Select Patient button. See below for descriptions of each choice in the Find Patient menu. Return to the Main Menu Imaging Center Type in the first few letter of the last name to highlight desired patient field. SOMETIMES name may appear behind keyboard, close keyboard and select patient. View patient's name and DOB in the Main Menu Imaging Center Delete highlighted patient file Delete the entire list of patient files Double-tap the patient information to select the file. 6

9 The selected patient information will now populate in the Main Menu Imaging Center. Tap the Enter Patient File button to access the Patient File Menu. Selected patient file information populates in the Main Menu Imaging Center Enter Patient File to begin imaging and more Edit Name and DOB in an Existing Patient File Edit the name and DOB of any patient file at any time by selecting the file located in the Find Patient Menu and tapping the Select Patient button. Once the edit is complete, tap the Enter Patient File button. A warning window will display. Tap Yes to continue with the change. Tap No to cancel the change. 7

11 Intraoral Camera Menu Tap on the Intraoral Camera button to activate the intraoral camera. Patient s name and DOB will be visible at the top of the screen. Tap on the Patient File button to return to the Patient File Menu. Capture up to 100 images per patient for review. Adjust in settings Important: To conserve the battery life of the tablet, Exit the Intraoral Camera Menu when finished with capturing images. 12 FaceCam/Extraoral Tablet Camera Menu Tap on the FaceCam/Extraoral Tablet Camera button to activate the Extraoral camera. Patient s name and DOB will be visible at the top of the screen. Capture/clear/save an image, one at a time. Tap on the Patient file button to return to the patient file menu. Capture up to 100 images per patient for review. Adjust in settings 10

13 Review Saved Images Menu Tap the Review Saved Images to review, edit and delete all saved images in the patient s file. Tap on an image to select it and view as the main image. Next, tap one of the four buttons below the main image to select desired choice (see below for details). 11

14 Draw Button Features Tap the Draw Button to draw over image and save drawn if needed.. Tap the Clear Drawn button to remove last drawing. Tap the Save Drawn button to save drawing. All saved drawings including the original image will be available to review in the saved images menu screen. Draw button will bring selected image to the Draw Screen Draw shapes with a finger or stylus to emphasize important problems and needed repairs Review Saved Images button returns to saved images screen. All saved drawn images will be present along with the original image Clear Drawn button erases the drawing from the image Save Drawn button saves the image to the patient file 12

15 Quad View Button Features Tap the Quad View button to review four images at a time on the main screen. Replace images by tapping and highlighting a Quad View image. Next, tap an image from the menu on the right of the screen. Tap the Exit Quad View button to return to the saved images menu. Tap on an image to replace it with an image from the menu. The selected image will have a red border 13

16 Delete Image Button While in the Review Saved Images menu, select an image and tap the Delete Image button. A pop up window will ask, Are you sure you want to delete selected image? Tap, Yes to delete the image. Tap, No to cancel action. Return to the Patient File Menu Tap, Patient File to return to the patient file menu. 14

17 (Optional) Patient Education The Patient Education button can be accessed in both the Main Menu Imaging Center and Patient File Menu. Tap the Patient Education button to select from over 60 educational videos by category. Patients can listen in private with provided Bluetooth headphones or by using the on-board speakers - right from the dentist s chair. Double-tap to select the video or highlight the video title and tap the Select button to play. Tap Exit in the video screen to return to the video title menu. Tap Exit from the video title menu to move backwards through the categories and exit the Patient Education Menu Double-tap the title to play the video Highlight the title and tap to play the video 15

18 Quick View Imaging Menu For a quick Show and Tell, tap the Quick View Imaging button to immediately enter the imaging center. Capture and review saved images as normal. Exit Quick View Imaging to return to the Main Menu Imaging Center without saving. Save images by creating a new patient file or choose an existing patient file. Save images by starting a new patient file. A window with Name and DOB fields will appear. Completing the action will exit the Quick View Menu and enter the New Patient File Save images by selecting an existing patient. This action will exit the Quick View Menu and enter the Patient File Exit Quick View Menu to return to the Main Menu Imaging Center without saving images. 16

19 Clinical Videos (English or Spanish) Each language has a choice of eight clinical videos. Tap the Clinical Videos (English or Spanish) button to select the appropriate video for the patient to view. Tap the Main Menu Imaging Center button to exit. Included in your purchase are the matching IC forms, Post-Op forms and Take Home forms for each procedure in both English and Spanish. Please see, What Comes with DrQuickLook PDA on page 1 for details. Tap the EXIT Imaging Center button to exit the App. 17

20 Transferring Images to any Practice Management Software or Any Computer (or Network folder) via USB Thumb Drive (included) Importing images using the USB thumb drive is easy and convenient. Choose to immediately import patient images during or after each visit or wait and upload all patient files at the same time. 1. Insert thumb drive (memory stick) in to the DrQuickLook PDA in either the full-size USB or Micro USB port on the right side (see diagram). 2. From the Main Menu Imaging Center, tap or click the Transfer All Patients Files button (to transfer all patient images/files) OR from within the Patient file/screen, tap or click the Transfer Patient File button (to transfer just the current patient images/files). 21 3. Select the External Memory Drive option, and select the DRQUICKLOOK Thumb Drive (typically D:\). If necessary, select the Thumb Drive from the displayed drives. From the Browse For Folder window, select: DRQUICKLOOK Example: DRQUICKLOOK (D:) Tap to transfer saved image (s) to a thumb drive 4. Tap or click OK. Transfer will be complete once the Transferring window disappears. 5. Remove the thumb drive (See next page for the preferred method to remove the thumb drive). Thumb Drive Icon Preferred Method to Remove a Thumb Drive from the PDA: Eject the thumb drive by tapping the Windows home button (see diagram). This action will display the menu bar at the bottom of the screen. a) Press the USB thumb drive icon and select Eject <drive-name>. b) Remove the thumb drive from the DrQuickLook PDA and insert it in to your desktop or other PC (typically one running your Practice Management Software, if used). 22 Use Thumb Drive to Instantly Import Images into Patient Electronic Charts with ANY Practice Management Software with DrQuickLook 1. When importing images from the USB thumb drive, be sure that the Practice Management System is running. 2. Open the Patient File where images and x-rays are retained. 3. Insert the thumb drive with images from the DrQuickLook PDA into the computer NEVER force. 4. A window will appear with options. Ignore this window. 5. Go to the patient x-ray/image section of the Practice Management System. 6. Some Practice Management Systems have an Import button. Click, Import. 7. If import button is not present, click File in the upper left of screen. 8. Click Import from dropdown menu. 9. Look for DRQUICKLOOK under the word Computer on the left hand side. 10. If you don t see DRQUICKLOOK, click Computer and a dropdown menu will appear. 11. Click DRQUICKLOOK to open. 12. Double click DrQuickLook folder and open. 13. Highlight images to be transferred. 14. Save the patient s file Transferring is now complete. 20

Simply repeat above procedure for all operatories, front office, etc. Can be set up in minutes Right out of the Box and transfer using included thumb drive (or wi-fi). The above can be set up in minutes, now you have a safe and permanent location to store all patients with images. Each and every time you transfer patient files with name from PDA tablet to network Drive DrQuickLook Folder the folder is updated with new patients and additional images added to an existing patient file. This is simple and easy. NOTE: Once transferred to Network DrQuickLook Folder you can instantly open patient files by using the desktop shortcut created in every operatory. Images can now be displayed on operatory monitors or computer monitor for review. NOTE: Once transferred you can clear patients from PDA tablet or leave patient files on PDA Tablet. Setting Up Wi-Fi transfer requires a Network Drive and Wi-Fi Router, instructions included but we recommend asking your IT person to set up, can be done in less than 30 minutes. 21

24 Transferring Images from Thumb Drive to a Shared Network Folder Create a DrQuickLook Folder on a Network Shared Drive Follow these directions very closely for best results 1. Enter the Network Share Drive and Select New Folder in the top menu bar. 2. Name the folder: DRQUICKLOOK. Create a SHORT CUT Folder on Every Operatory Computer and PC Rename the Short Cut Folder ONLY This will allow all staff to have easy access to the right folder for transferring images AND finding updated files later 1. On each Computer, go to the network share drive and find the DRQUICKLOOK folder. 2. Right click the folder 3. Select, Send to 4. Select, Desktop (create shortcut) 5. Go to the Desktop and double click the name on the DRQUICLOOK - Shortcut folder to change the name. 6. Change the Short cut folder name to: DRQUICKLOOK PATIENTS You are now ready to transfer patient files directly from the thumb drive to the DrQuickLook Network Share Folder Transferring Images from Thumb Drive to a Shared Network Folder 1. Insert the thumb drive with images from the DrQuickLook PDA into the computer NEVER force. 2. Have the DRQUICKLOOK Patients folder visible on the desktop for easy transfer. 3. Go to the folder icon on the bottom menu bar. Minimize the window, if necessary, in order to see the DRQUICKLOOK folder on the desktop. 4. Double-click, DRQUICKLOOK (E:)* from the left side menu. *Note: the Letter in ( :) refers to the USB drive on your computer. The letter you see next to DRQUICKLOOK option may be different. 5. A window will appear with a folder containing all the patient files saved to the thumb drive. Click and HOLD the folder to drag it into the DRQUICKLOOK Patients folder on the desktop. The files have now been copied to the network share drive. Transferring is now complete. Note: If a patient file has been saved previously to the network share drive, you may get a reminder that the folder already exists. Select: Skip. This will allow you to save new images without duplicating existing images. 22

25 Level 2: SETTINGS The Mazi Imaging App has been designed to be ready to use right out of the box. It is strongly advised to read the entire app settings guide below before making any adjustments. MAZI Imaging App Settings There are several application settings which can be changed as needed to allow the user to adjust for different intraoral cameras, designating file transfer locations, activation information, etc. From the Main Menu Imaging Center, press the Settings button to access the application settings. 23

26 Settings Capture Tab These settings are pre-set and should not be changed unless directed by a DrQuickLook customer service representative or technician. Activation has been set for each MAZI PDA by default, prior to shipping The following settings are pre-set and should not be changed unless directed to by a DrQuickLook customer service representative or technician: 1. Intraoral Camera Type DQL Wand for the DrQuickLook Intraoral Camera wand, Opti-Plus for all other optional cameras. 2. Capture Driver a. Intraoral Camera USB Microscope for the DrQuickLook Intraoral Camera wand, and a different selection depending upon the intraoral camera attached. b. Face/Tablet Camera Microsoft Camera Rear for the tablet rear camera, and a different selection for an alternate or externally attached camera for full face images (extra-oral). 3. Activate Activation has been preset for each MAZI PDA by default, prior to shipping. 24

27 Image Format This designates the saved images type and defaults to JPG which is the standard image format for JPEG images. The alternative format is PNG, which stands for Portable Network Graphics. Any change made will only affect the new images that are saved and any previous images will not be changed. Patient Image number (Max) Maximum images allowed for each patient from 30 (the default) to 100. Patient File If Allow for patient name in file name is checked, the patient name will become part of the file name and any saved images will have the patient name as part of the file name, to allow for easier identification of the image after it is transferred. This will ONLY affect new images being saved, and can be turned on and off as needed. This option is not checked by default. Return to the Main Menu Imaging Center Choose the brightness and sharpness of the intraoral camera Save changes Choose the brightness and sharpness of the Face/Tablet camera Choose between JPG and PNG image formats Choose the maximum amount of images to store per patient, up to 100 Check for program updates, choose to install if available DrQuickLook and PDA software information Check to save every image captured in the patient file under the patient s name 25

28 Each camera has a separate Setting button to the right of the camera listed which will allow the user to adjust some of the camera specific settings such as brightness and contrast. Below is the Setting screen for the default camera wand: Return image quality back to factory settings Please note that changing these settings will alter the quality of the images. To reset any changes made, tap the Default button. This will return the image quality to factory standards. 26

29 Settings - System Tab Press the System tab near the top of the screen (next to the Capture tab) to pre-set default locations for transferring images: Do not change this setting unless instructed by a DrQuickLook representative or technician Patient File Transfer Allows for pre-setting the default locations for transferring patient images. The setting is saved each time patient files are transferred and stored at this location for the future automatically; there is typically no need to change these settings manually. There are 3 different options under Transfer which will save 3 different locations for the next transfer: Wi-Fi (Network) locations, Tablet local drives, and Memory stick (Thumb) drives. Delete all patient files after transferring - * WARNING! * This option will delete ALL patients and images after transferring them and should ONLY be used with extreme caution!! This may be necessary for security and privacy needs, etc. Window Style Should always be Tablet. This option may be used for setup and troubleshooting when requested by a DrQuickLook technician. 27

30 Tablet Menu Settings The Settings for most tablet functions are accessible from the Start menu just above the Start button, and many of these settings are also available from the Action Center icon on the lower right side of the main toolbar: Press All Settings icon for All Windows Settings Press Airplane mode icon to turn off Wi-Fi & Bluetooth to save battery Press Connect icon to connect to Bluetooth headsets or other devices, including Wireless Display Adapters (Miracast) Press Start button to display above All Windows settings can be accessed from here Press Network icon to connect/disconnect from Wi-Fi networks Press Action Center icon to display above menu 28

31 Setting up Bluetooth Devices The headphones included with your DrQuickLook PDA have been pared to the tablet for your convenience. The instructions below are meant for a guide for additional parings of devices to the tablet. The Windows (All) settings screen is displayed below: The Bluetooth Devices screen is displayed below: Access this screen by tapping on the settings icon Press Devices icon to set up Bluetooth devices Press Network and Internet to set up Wi-Fi Make sure Bluetooth is turned on Headset or other device will be found and displayed To setup any Bluetooth devices, select Devices, and then select Bluetooth on the left side. Make sure Bluetooth is turned on, and turn on the Bluetooth headset or other device and set to pairing mode (turn on headset, blue and red lights should flash and indicates it s ready to pair). Devices will be displayed showing Ready to pair. Select the device and press Pair. After a short delay, the device should connect and show as Connected. 29

32 Connect PDA Tablet to WiFi To set up Wi-Fi, select Network and Internet from the All Settings window, and then select Wi-Fi, and press Show available networks. This can also be found in the Action Center icon called Network. The screen below shows the status of the Wi-Fi (On/Off) and a list of available connections. Make sure Wi-Fi is turned on, and then select an available Wi-Fi connection and press Connect. Enter in the password or key, and press Enter. If the password is correct, you will be connected to the Wi-Fi network and it will display Connected below the connection name. Press the home icon and select the settings icon to access the Wi-Fi Menu Press the Wi-Fi button to show all available networks and select your network Two ways to access Wi-Fi Settings on the Microsoft Surface 3 Tablet 30

33 Level 3: Transferring Images to a Share Folder via Wi-Fi We HIGHLY Recommend having your IT Person Set Up (Should only take about 15 minutes or less) Before you begin: Requirements to Successfully Transfer Patient Files using Wi-Fi (Network) PLEASE NOTE: You must already have the Wi-Fi network configured and set up to allow you to access any network shared drives before you can transfer using Wi-Fi. You must have the permissions and security set up correctly to allow users to create folders and write files to the shared network location, and we recommend you contact your IT professional to have it set up for you. Have your IT professional review Level 4: Requirements for Wi-Fi (Network) File Transfers: 1. Wi-Fi network access 2. Shared network drive (folder) NOTE: the permissions and security must be set to allow users to create files & folders. 3. DRQUICKLOOK Patient Files folder short cut within the shared folder on all desktops to allow for easy access and consistent transferring from anywhere in the practice 4. Mapped network drive (Example below uses N: drive-see below) 31

34 Transfer Patient Files via Wi-Fi 1. From the Mazi App Main Screen, tap the Transfer All Patients Files button (to transfer all patient images/files) OR from the Patient Screen, tap or click the Transfer Patient File button (to transfer just the current patient images/files). Click the Export with Wi-Fi button to transfer from the Main Menu Imaging Center or the Patient File Menu 32

35 2. Tab the Export with Wi-Fi button. Once the Browse for Folder window appears, find the shared network drive (the example below shows it mapped to the N: drive). Window will appear to find browse for the shared network drive Find and tap the shared network drive which is identified by a letter (example shown is N: ). Consult your IT department if you are unsure of your shared network location Tap the OK button to transfer images 3. Tap or click OK and files will be transferred to the selected location. 4. After the files are copied, you will have successfully transferred the Patient File(s) to the Network Shared folder. 33

36 5. You now have the Patient image(s) located on your Network Shared Folder. Each patient has their own folder designated by Last Name, First Name, and DOB. Within each patient folder is another folder called Images. You can easily locate the images within each patient s Images folder, and can import to any Practice Management Software. Depending on the PMS used, choose Xray Images. Press the import button if available, or go to the menu, select File, then select, Import. When prompted, browse to the network drive DrQuickLook\Patients folder, to locate the patient images to import. Each patient has his/her own folder with images stored and are ready to import into any Practice Management Software Locate and click on the shared network drive Click the DrQuickLook folder Click the Patients folder This will bring up the list of saved patients Locate the Shared network drive on a PC by clicking on the folder icon 34

37 Level 4 Technical Requirements for Wi-Fi and Network Files Transfer Mazi PDA Technical Requirements for Wi-Fi and Network Files Transfer In order to transfer Patient files via Wi-Fi, the following items need to be available and set up prior to transfers: 1. Wi-Fi network router with password protected Wi-Fi connections available. 2. Shared network folder available to both the Wi-Fi network as well as any internal (or wired) network where the Practice Mgmt. Software (PMS) is running on a desktop computer. Set up a network folder with proper permissions and sharing to allow users to save folders and files (read/write/create files & folders). Both the Folder and the Network Share need to have the proper permissions, etc. 3. Map a Network Drive to the Shared Network folder (e.g. map N: to \\COMPUTER_NAME\Shared_Folder_Name). 4. Create a DRQUICKLOOK folder within the shared network and copy a short cut to all operatory computers and PC s. Staff will then easily have access to saved images and upload new images from any computer at any time. 5. Use the Network Drive (e.g. N:) as the location to transfer files to when prompted. The location of the Mapped Network Drive (e.g. N:) can be set as a default location in the Mazi Imaging App. in the Settings from the Main Imaging Screen. In Settings, select the System tab, press the Export with Wi-Fi button and set (browse) to the location of the Shared Network Drive (e.g. N:\). Mapping your Network Drive (Share Drive) to the DrQuickLook PDA 1. Make sure that Wi-Fi on the tablet is connected (not in Airplane Mode ). 2. Select the yellow folder icon at the bottom of the screen 3. Select This PC from the left side of the window. 4. Select Computer from the main menu at the top of the screen 5.
