4 Documentation Conventions The following documentation conventions are used throughout this guide: Bold type is used to indicate screen names, window titles, and lists. BOLD CAPS type is used to indicate icons, buttons or menu items to be clicked. SMALL CAPS indicate a field name where information can be entered, message text or directory and file names. Italic type is used to introduce new terms, text emphasis and for software and book titles. NOTE: a Note contains important and/or additional information. ATTENTION: an Attention Notice provides additional information that the reader must know to avoid making permanent and perhaps unwanted changed to the program, system or data. iii

Microsoft Office 365 support including automatic account provisioning and password synchronization. 6 IBM SchoolConnect Overview SchoolConnect is IBM s K-12 technology management solution designed to simplify and automate the operations of information technology in schools. Currently entering its 12th year of deployment, SchoolConnect provides three complimentary value propositions for students, teachers and administrators: Students: Work in a robust and secure Microsoft Windows environment Store files in a password protected student-specific storage area Access homework and curriculum applications in classes Submit homework via class-specific assignment folders Run productivity applications from the Desk Tools folder Remotely access personal and class-specific files via a clientless, authenticated website Logon to both Moodle and Microsoft 365 Office Live using their Active Directory user ID and password Work itinerantly in multiple schools using a single ID to access school-specific resources Teachers: Manage classes Including membership, applications, homework, groupwork and focus groups Reset student passwords Manage classrooms Monitor, broadcast and blank screens Control access to applications and the Internet Automatically login all students in elementary classes Redirect print jobs and control print queues Share resources with their peers in the Teacher s Community Remotely access files; eliminating the need to carry memory keys Work itinerantly in multiple schools with a single ID and password Easily logon to both Moodle and Microsoft 365 Office Live 1

7 SchoolConnect User Roles SchoolConnect has four separate views: Teacher, Student, Office User, and Administrator, each allowing access to powerful tools with an easy-to-use interface for teachers, students and network administrators. There is also a parent user for portal access. A different Windows TM desktop wallpaper is customized for each type of user. The Teacher screens are green, the Student screens are blue and the Administrator screens are red. By providing different screens for different users types, SchoolConnect provides a layer of security so that a teacher can immediately see if a student is logged on to their appropriate view. Teacher View From the Teacher View, teachers can manipulate the SchoolConnect system without needing to understand the underlying technology. Teachers are able to perform such actions as creating classes with their associated students and assign appropriate software to these classes, automatically distribute and collect assignments, change student passwords, give online quizzes, and broadcast teacher and/or student screens to all classroom workstations. The Teacher desktop view (which appears as a green screen) is shown below: The Teacher s Desktop gives teacher access to all the same items as their students and a number of additional features: REMOTE FILE ACCESS: This tool allows teachers to access their home drive at school to locate files that are on their SchoolConnect server. When working at home, Remote File Access allows 2 SchoolConnect Teacher Guide

8 the user to quickly and easily download the selected file to their local file system. Remote File Access enables teachers to access their school files anywhere with an Internet connection. The TEACHER S COMMUNITY folder allows teachers to share files, lesson plans, receive school administration notices and contain useful programs for teacher-specific applications. The DESK TOOLS folder can contain applications for teacher and student use. These applications are usually generic tools such as word processors, spreadsheets or presentation tools. BULLETINS can contain school-wide announcements and information for both students and teachers. BYOD (Bring Your Own Device is a resource for teachers and students to view school and district information from their smartphones and other portable appliances via the Internet. This information is customizable and can consist of school contact information, links, news, calendar of events, Twitter and Facebook. The information is private to students and teachers in the school as they must first logon using their SchoolConnect id. CLASS FOLDERS SchoolConnect virtual classes were designed to mirror the real world. The Class is the center of SchoolConnect, as this is where the majority of teacher and student activity will reside. Classes are arranged so that upon class creation, a CLASS folder will be created on the Teacher s Desktop that contains the following folders: Homework folder for day to day information and homework. (i.e. Read Chapter 10.) Assignments folder for assignments. Members folder a location that contains data for students in the class. NOTE: Each Member s folder also contains a Hand-in and Graded Folder for auto-collection and returning of assignments. Groupwork folder If selected when the class is created, a groupwork folder will be created for group collaboration projects. Specialized Software if the teacher wants the students to have access to specialized software in addition to what is available in DESK TOOLS, they may assign this software in the CLASS folder. COLLECTED ASSIGNMENTS contains completed assignments that the students have handed in. SchoolConnect automatically collects these assignments ready for marking by the teacher. The TEACHER TOOLS icon provides access to the web functions available specifically to teachers all from an easy point-and-click browser interface and allow teachers to perform the following functions: Classes and Groups This feature is used to create virtual classes. 9 Manage Classes Create Classes allows teachers to create or delete classes and choose class icons that represent the different subjects. Manage Members allows teachers to add students to classes by individual student, by an already created class list or by grade. Manage Courseware is used to assign software to the class. Once assigned, all members of this class now have access to these applications. Manage Class Owners allows a teacher to share their classes with a supply teacher, with other teachers for team teaching or change ownership of their classes to another teacher. It also allows teachers to create classes with only teachers in it. This helps foster mentoring among teachers. Collect and Return Assignments makes it easy for a teacher to collect assignments and then return the marked assignments automatically to the correct student. When a teacher collects assignments, SchoolConnect will place the collected assignments into a folder on the Teacher s desktop called Collected Assignments. The assignments are arranged by Class Name, then Assignment Name. There is also a README file that is created, which will inform the teacher of what time the assignment was collected and from whom. Assignments allow teachers to create assignments for specific activities and subjects that can be shared with other teachers. If detailed activities have been created and assigned to students, teachers can view the students progress, edit the assignment or un-assign it. Download Collected Assignments, Upload Collected Assignments- This utility allows teachers who have remote access via a VPN to the district network to download assignments in a ZIP FILE to their home computer. Once marked, the assignments can be uploaded to the teacher s folder at school. Return Collected Assignments is a one button click for teachers and all assignments are returned to the correct student. 4 SchoolConnect Teacher Guide

10 Manage Students Search By allows teachers to search for students by Class, Grade or All. List Students provides multiple ways for a teacher to list the students in their school. Student Usernames (IDs) are provided with the list of students. Change Password allows a teacher to change the student s password without knowing the student s old password. Manage Student Files allows teachers to delete student files in selected student directories and to manage groups of student files by size and extension. Show Printable Version allows teachers to print a list of all students which can be sorted by Last Name, First Name, Username or Grade (the sorting must be done in the List Users view under the Manage Students section prior to viewing/printing). Disable Internet: allows the teacher to remove access to the Internet for select or all students in a class. Assignments Manage Assignments allows teachers to Create, Edit and Remove web assignments from SchoolConnect. Assign/Unassign allows the teacher to provide or remove each assignment. Show Student Progress lists each student and indicates how many of the activities in the assignment are complete. Show Student View allows the teacher to view the student screen for the specific assignment. Show Printable Version provides the description of the assignment plus each of the associated activities along with the specific resources allocated to each activity. SchoolConnect User Roles 5

11 Rooms and Resources Change Default Printers allows a teacher to redirect the classroom s printing to another networked printer in another location. NOTE: To enable the new printer, all users must log off and log on again to pick up the new printer address. Change LanSchool Channel allows the teacher to change the channel that the LanSchool Teacher is listening on. Utilities allows the teacher to change their password, view account details and if they are an itinerant teacher, to access each school s SchoolConnect system where they teach. Student View The SchoolConnect Student view provides a secure, standard Windows TM desktop with some customized icons. The blue background makes it easy for a Teacher or Administrator to identify if a student has logged on as another user type. All desktops should appear with the uniform blue. Students work in a very secure environment in SchoolConnect and have restricted access to system files. They may collaborate with peers and submit files to their teachers within the industry standard Windows TM interface. The Student desktop view (which appears as a blue screen) is shown below. The Student s Desktop has the following specialized folders. 1. BULLETINS can contain school-wide announcements and information. 6 SchoolConnect Teacher Guide

12 2. DESK TOOLS can contain programs such as Internet Explorer, Microsoft Office Applications, MS Paint etc. 3. BYOD (Bring Your Own Device) allows students to access school and district information from their smartphone or other devices 4. REMOTE FILE ACCESS allows students at home to locate files that are on their SchoolConnect server at school. When working at home, students can quickly and easily download selected files to their local file system. This tool enables students to access their school files anywhere with an Internet connection. 5. The CLASS folder can contain specific subject based software that the teacher has assigned, as well as these additional folders: a. Homework folder for day to day information and homework (Read Page 10). b. Assignments folder for assignments to be graded. c. Members folder a location that contains data for students in the class. NOTE: Each Members folder also contains a Hand-in and Graded Folder for auto-collection and returning of assignments. d. Groupwork folder If selected when the class is created, a groupwork folder will be created for group collaboration projects. 6. The ASSIGNMENTS icon is a Web application and launches the Student view as shown below: For students that are provided access to the district network, they can see and work on assignments from home or wherever they have connectivity. 13 Office User View A standard Windows TM interface will appear on the desktop to allow access to the TEACHER S COMMUNITY icon and its folders in order to distribute information, district forms and office memos. Office users can also be given access to the BULLETINS folder and contribute to school-wide announcements and information for both students and teachers. Administrator View The Administrator Desktop is a bright red screen and contains functions specific to the administration of SchoolConnect. If you see a student with a red screen, ask them to logoff of the system and contact your SchoolConnect Administrator immediately. 8 SchoolConnect Teacher Guide

14 Getting Started Student When you power on the workstation, you will be prompted to enter your USER NAME and PASSWORD. 1. Type in your USER NAME. 2. Tab down to the password field. 3. Type in your PASSWORD. NOTE: Be sure there is no space at the beginning or end of the username or password. Changing a Student Password 1. Log on using your USER NAME and PASSWORD. The screen will be blue. 2. Press the CTRL, ALT keys, then press DELETE. 3. Click CHANGE PASSWORD. 4. Type in your OLD PASSWORD. 5. Type in your NEW PASSWORD. 6. Confirm the NEW PASSWORD. 7. Click OK. 8. The message YOUR PASSWORD HAS BEEN SUCCESSFULLY CHANGED will appear. 9. Click OK. 10. Click CANCEL to return to the Student View. Working on a Desktop Assignment 1. Double-click the CLASS icon. 2. Double-click the ASSIGNMENTS folder. 3. Drag the Assignment document to your Desktop or the MY DOCUMENTS folder. a. Click the START MENU (Globe on the bottom left-hand corner) b. Click DOCUMENTS on the right-hand side menu. NOTE: If the assignment is in another folder, you must drag the folder and the assignment to the MY DOCUMENTS Folder. 4. Double click the file that contains the assignment. You may now work on the assignment. 5. When you have completed the assignment, save your document. ATTENTION: DO NOT CHANGE the name of your assignment as SchoolConnect uses this name to collect it. If your assignment was in a folder, it must remain in that folder. The folder name cannot be changed. Getting Started Student 9

15 Handing in a Desktop Assignment 1. Open the CLASS folder by double-clicking on it. 2. Double-click the MEMBERS folder. NOTE: The student will be able to see all the members of the class but will not be able to access other students folders or work. 3. Double-click your FOLDER (e.g. s1). 4. Double-click the HANDIN folder. 5. Located your completed assignment either on your Desktop, or If the assignment is in Documents, click the START MENU, then click DOCUMENTS. 6. Click and hold the mouse key to drag your assignment over to the HANDIN folder. If the assignment was inside a folder, the whole folder with the assignment must be put into the HANDIN folder. NOTE: Students will be able to change or delete their assignments in the HANDIN folder until it is collected. When the teacher collects an assignment, the document will be moved out of the HANDIN folder. Once an assignment has been graded and the teacher returns the assignment, the assignment will appear in the GRADED folder. Students will no longer be able to change the assignment. 10 SchoolConnect Teacher Guide

16 Working with Web Assignments Web Assignments may be a collection of individual activities of various types. SchoolConnect allows the teacher to track when each student has completed each activity. This helps the teacher understand whether students will be able to submit the assignment on time. The following resources can be attached to each activity. URL a hyperlink to a web page Program a link to a local application Document a document created with a text editor Off-Line Instructions to the students of an activity that need not be completed on the computer Students may look at their Web Assignments in two ways. 1. Click the CLASS and then choose the assignment name icon this will give them the activity that is assigned to the selected class OR 2. Click the ASSIGNMENTS icon on the desktop this will give them a listing of all assignments that are associated with all classes. After a student completes one of the activities from the list they may mark it as complete by checking it off in the right hand box. Deleting Items from the Home Directory 1. Click the START MENU on the desktop and then DOCUMENTS. 2. Drag the item by clicking once on it with your left mouse button. Hold down the left button while you drag and drop the unwanted item over the RECYCLE BIN. Getting Started Student 11

Logon using your USER NAME and PASSWORD. The background screen will be green. 2. Press CTRL, ALT and DELETE. 3. Click CHANGE PASSWORD. 4. Type in your OLD PASSWORD. 5. Type in your NEW PASSWORD. 6. Confirm the NEW PASSWORD by retyping it. 7. Click OK. 8. The message YOUR PASSWORD HAS BEEN SUCCESSFULLY CHANGED will appear. 9. Click OK. 10. Click CANCEL to return to Teacher View. NOTE: The teacher may also change their password through Teacher Tools under Utilities Lock Computer This shortcut is especially handy if you need to leave your computer unattended for even a few minutes. 1. Press CTRL, ALT and DELETE. 2. Click on LOCK COMPUTER. 3. To unlock your computer, press CTRL, ALT and DELETE. 4. Enter your SchoolConnect PASSWORD OR 5. Hold down the Windows Key and click the letter L 6. To unlock your computer, press CTRL, ALT and DELETE. 7. Enter your SchoolConnect PASSWORD 12 SchoolConnect Teacher Guide

18 Itinerant Teachers Selecting a School SchoolConnect 6.0 allows teachers to manage SchoolConnect classes at different schools. To change to a different virtual school in SchoolConnect: 1. Log on to SchoolConnect. 2. Click the SCHOOL icon on the Teacher Desktop that you want to work in. 3. Log in using your USERNAME and PASSWORD. This will give you access to the regular folders that you see on your Teacher Desktop but as file names. 4. Click the TEACHER TOOLS menu item. 5. You are initially presented with the Utilities/Change School screen. The school that you are logged onto appears in the upper left corner of your screen. If you want to change schools, click on the new SCHOOL NAME. 6. Click the ADMINISTER button. You are now working in that virtual school. NOTE: To change schools at any time select UTILITIES on the left hand side and choose CHANGE SCHOOL. Select the School Name in which you want to manage a class and click the ADMINISTER button. NOTE: After a class is created, an ICON (shortcut) to the class will appear within the SCHOOL NAME folder on your desktop. Getting Started - Teacher 13

19 Manage Classes This page is the heart of the SchoolConnect Classroom Management system. Here, the teacher creates their virtual classroom through these activities. Creating and removing classes. Adding students and resources (software). Sharing the class with other teachers. Collecting and returning assignments electronically. Downloading student assignments and uploading marked assignments from home if provided with access by the district. Creating a Class 1. Double-click the TEACHER TOOLS icon from the desktop. 2. The browser window is password protected. Retype your full USER NAME and PASSWORD. NOTE: Teacher passwords when logging on to TEACHER TOOLS are always case sensitive. To log out of TEACHER TOOLS, click Logoff in the upper right corner beside your User Name. 3. Click CLASSES AND GROUPS. 4. Select MANAGE CLASSES. Then click the CREATE button. 14 SchoolConnect Teacher Guide

20 5. Enter the NAME OF YOUR CLASS (e.g.: T1GRADE3 (Username and Grade)). ATTENTION: Class names cannot include special characters such as, & / \ ^. Only numbers, letters, _, -, and spaces are allowed. 6. After entering the Class Name, click SELECT ICON. (optional) 7. Select a Desktop Icon to represent the class. This icon will appear on both the Teacher s and Students desktop. NOTE: Once selected, the Icon cannot be changed. The class must be removed and recreated in order to change the icon. 8. Check Allow Groupwork box if you wish students to share files. 9. Click the CREATE button. 10. SUCCESSFULLY CREATED CLASS will display (including the assigned name). You will then see the WOULD YOU LIKE TO ASSIGN STUDENTS TO THIS CLASS NOW? message. If so, click ASSIGN STUDENTS. Adding Students to a Class 1. Click CLASSES AND GROUPS from the Teacher Tools screen. 2. Click MANAGE CLASSES. 3. Highlight the class you want to assign students to, then click the MANAGE MEMBERS button. 4. Search for students either by Grade, Class or All. Further define the search by choosing from the list in the 2 nd box. 5. Click GO. A list of students will be displayed in the Available Students pane (left side). Getting Started - Teacher 15

21 6. Select the students and click the RIGHT ARROW BUTTON to assign them to the class. You will see a message Successfully assigned # students to class. at the bottom left of your screen. 7. Click DONE. NOTE: You can select several students at once by holding down the CTRL key and clicking on the different students. If students are listed sequentially, you may click on the student at the top of the list and then move to the bottom of the list. Hold down the SHIFT key, and click the student at the bottom of the list. This will select all students in the list. Adding Software to a Class 1. Select CLASSES AND GROUPS from the Teacher Tools screen. 2. Select MANAGE CLASSES. 3. Select your class from the list of classes. 4. Click MANAGE COURSEWARE. 5. Click the SOFTWARE TITLE you wish to assign to your class. 6. Make all of your selections and click the RIGHT ARROW. 7. Click DONE. NOTE: When you see a folder at the side of the courseware title, it specifies that more than one program is available for assigning. If you check the folder beside the application title, all programs under the main title will be assigned. If you want one of the programs assigned, click the application title and it will present you with all programs associated to that particular courseware title. 16 SchoolConnect Teacher Guide

22 NOTE: The screen will be refreshed and you will be taken to the top of the list. You will have to cursor down to the main title again and choose the program you want. To close Teacher Tools, click Logoff at the upper right hand side of the screen. This will take you back to your desktop. Managing Class Owners Manage Class Owners, allows classes to be shared between teachers. This class folder will appear on your desktop as well as the other teacher (s) desktop you have chosen to share the class with. 1. Select CLASSES AND GROUPS from the Teacher Tools screen. 2. Click MANAGE CLASSES. 3. Click the class you wish to share. 4. Click the MANAGE CLASS OWNERS button. 5. Select the Teacher s Name you wish to share the class with. 6. Click the RIGHT ARROW BUTTON to allow the selected teacher to share the class. 7. Click DONE. NOTE: With a shared class either teacher may collect the assignments. The first teacher who collects assignments will receive the collected assignment; if the second teacher tries to recollect the assignment, no assignments will be collected. NOTE: To remove a shared class, first remove the other teacher from the class. Getting Started - Teacher 17

23 Manage Students Changing a Student s Password 1. Click CLASSES AND GROUPS from the Teacher Tools screen. 2. Click MANAGE STUDENTS. 3. Search for the student by choosing Class, Grade or All in the Search By drop down list. 4. Refine your search by using the 2 nd drop down list, if available. 5. Click GO. 6. Once found, click the Student s Name. 7. Click the CHANGE PASSWORD button. 8. Enter the NEW PASSWORD, then press the TAB key. 9. Type the PASSWORD again in the Confirm Password box. 10. Click CHANGE PASSWORD. 11. SUCCESSFULLY CHANGED PASSWORD FOR (NAME OF STUDENT) will be displayed. NOTE: As a teacher you can only assign a new password. You will not see the existing password. Disabling Internet for Students 1. Click CLASSES AND GROUPS from the Teacher Tools screen. 2. Click MANAGE STUDENTS. 3. Search for the student by choosing Class, Grade or All in the Search By drop down list. 4. Refine your search by using the 2 nd drop down list, if available. 5. Click GO. 6. Highlight the Student s Name. 18 SchoolConnect Teacher Guide

24 7. Click DISABLE INTERNET. 8. User Status will show as NoInternet. NOTE: To re-enable Internet access, choose the user and click ENABLE INTERNET. Printing out a Class List 1. Click CLASSES AND GROUPS from the Teacher Tools screen. 2. Click MANAGE STUDENTS. 3. From the drop down menu, choose Search By Class. 4. From the drop down menu, choose the Class. 5. Click the GO button. 6. Click SHOW PRINTABLE VERSION button. 7. Click the PRINT button. NOTE: You may choose to have the class list sorted by Last Name, Grade or both. To sort by last name within a grade, sort by grade first by clicking on the GRADE column and then click the LAST NAME column. Managing Students Files Managing Student Files will allow a teacher to see a list of student files and delete files that are in the student s home directories. 1. Click CLASSES AND GROUPS from the Teacher Tools screen. 2. Click MANAGE STUDENTS. 3. Search for the student by choosing Class, Grade or All in the Search By drop down list. 4. Refine your search by using the 2 nd drop down list, if available. 5. Click GO. 6. Highlight the Student s Name. 7. Click MANAGE STUDENT S FILES. 8. You may now show All Files or select Files larger than or Files with Extension. Fill in the box and click GO. 9. Highlight the file or files you wish to delete and press DELETE. 25 Creating an Assignment Desktop Method A Class Folder contains items specific to a class such as folders names ASSIGNMENTS, HOMEWORK, GROUPWORK, and MEMBER. The Class Folder can also contain CUSTOM SOFTWARE APPLICATIONS and WEB ASSIGNMENTS. A teacher can retrieve completed assignments from the HANDIN FOLDER inside each MEMBER S FOLDER. Open an application to create a document. For example, right click on your desktop, choose New, choose Rich Text Document (WordPad). 2. Create your assignment. (E.g.Watch the history channel tonight at 9:00 and answer the following question: Who was the first man on the moon?) 3. Save the document on your desktop or on your HOME DRIVE by clicking on the START Button and then DOCUMENTS. 4. Open the appropriate CLASS folder. 5. Open DOCUMENTS ON YOUR HOME DRIVE from the START button. 6. Drag and drop your assignment document over the ASSIGNMENTS icon in the appropriate CLASS folder. 7. A copy of the new assignment is now available for your students to retrieve. 8. 26 NOTE: When naming your assignments, make sure the name chosen is relevant to the assignment. If your assignment contains multiple files, you should place these in a folder inside the Assignment Folder. The Homework Folder is a great place to put reference documents for students e.g. Developing Study Skills, Web Design Tips. Collecting an Assignment 1. Click CLASSES AND GROUPS from the Teacher Tools screen. 2. Click MANAGE CLASSES. 3. Select the specific Class from the list. 4. Click COLLECT ASSIGNMENTS. 5. Click an Assignment from the list. 6. Click COLLECT ASSIGNMENTS. 7. A message will be displayed at the bottom of your screen: SUCCESSFULLY COLLECTED ASSIGNMENT FROM CLASS. 8. Click DONE. Marking an Assignment 1. On your desktop, double-click the COLLECTED ASSIGNMENTS folder. 2. Double-click the CLASS folder. 3. Double-click the FOLDER that has the same name as your ASSIGNMENT. This will contain folders for all your students and a README FILE that states the number of assignments collected and the time and date they were collected. 4. Double-click one of the STUDENT S FOLDER. 5. Mark and save the assignment. 6. Repeat the procedure for every student in your class. Returning a Marked Assignment 1. Click CLASSES AND GROUPS, from the Teacher Tools screen. 2. Click MANAGE CLASSES. 3. Select the specific Class from the list. 4. Click the RETURN ASSIGNMENTS button. 5. Select the Assignment from the list. 6. Click the RETURN ASSIGNMENTS button. 7. SUCCESSFULLY RETURNED ASSIGNMENT TO CLASS. will be displayed at the bottom of the screen. 8. Click DONE. 27 Creating an Assignment Web Method Teachers may create assignments with unique activities as subcomponents. The assignments may contain internet resources, file attachments that you have created, software or an instruction only activity with instructions to the student on how to complete an activity. Teachers have the option to make the activities within their assignments sharable with other teachers. Once you have created an assignment with activities, SchoolConnect will create a web page for you to assign to your class. The web page will have a tracking sheet for each student that will guide them through the activities in the lesson plan. 1. Click ASSIGNMENTS from the Teacher Tools screen. 2. Click MANAGE ASSIGNMENTS. 3. Click CREATE. 4. Type in a NAME into the Title Field for this assignment. 5. Type in a SUBJECT AREA for this assignment (e.g. Science, Chemistry). 6. Choose a Grade Level for this assignment from the drop down menu. 7. Type in an OBJECTIVE for this assignment. Remember that the student will be able to read this portion. 8. Typing in the expected GRADING. This might appear as a mark out of 10, 100 or a,b,c. 9. Select an Assign Date. This is the date when the assignment becomes accessible to the student. If the date is set in the future, the student will only see the link to the assignment, and not the assignment itself. NOTE: The assignment and due date are comprised of both a date and a time. The time defaults to your current time so you may wish to change this to 12:00AM, for example. NOTE: Change the time first, then the date. 10. Select a Due Date. This is the date on which this assignment is expected to be collected. 11. Check off Students are required to hand-in files if there are files the students are to work on and hand-in at the specified due date. These files are later collected through the Collect / Return Assignments function within Manage Classes. 12. Check off if this assignment is to be Accessible to other teachers. 13. Press the CONTINUE button. The left hand box will contain all your previously saved lesson plans and the lesson plans that have been made public to all teachers. 14. Click the CREATE button to create a new activity. 15. Type a name for this activity in the NAME FIELD. 16. Choose the type of activity that you wish to create by clicking on the circle beside Internet Resources, Documents, School-Based Applications or Instructional Only. Internet Resource You may type in the WEB SITE and then view it by pressing the VIEW button. File Attachment You may select the browse button to find the desired Document for the activity. Double clicking on the desired Document, it will be placed in the document field with the correct path to it. This feature is used if you are providing files as resources for a student s assignment. School-Based Applications Click the SELECT button to view available courseware to select from. 22 SchoolConnect Teacher Guide

28 Instructional Only Instructional Only activities would be activities associated with the assignment whereby the computer is not involved in. An example of this may be PURCHASE THE FOLLOWING MATERIALS. ATTENTION: You must type in student instructions in the Student Instruction box to make the CONTINUE button active. 17. Your activity is now assigned to your assignment. You may continue creating activities for this assignment by repeating the process above. 18. To change the order of the activities, click the ACTIVITY and click the UP or DOWN ARROW in the right corner of your Activity screen. NOTE: You can preview your work by clicking on the SHOW STUDENT VIEW button from within the Manage Assignments page. This will give you an idea of what your students will see when working on your assignments. Using Public or Saved Activities 1. Click ASSIGNMENTS from the Teacher Tools screen. 2. Click MANAGE ASSIGNMENTS. 3. Click CREATE. 4. Type in a NAME into the Title Field for this activity. 5. Type in a SUBJECT AREA for this activity (e.g. Science, Chemistry). 6. Choose a Grade Level for this activity from the drop down menu. 7. Type a DESCRIPTION of this activity. Remember the student will be able to read this description. 8. 29 9. Press the CONTINUE button. 10. The left hand box will contain all your previously saved assignments and activities that have been made public to all teachers. 11. You may search on these by Keywords, Author, Subject or Grade. 12. Click the + sign beside the Assignment Name to expand it to see the activities. 13. Highlight the Activity and press the RIGHT ARROW key to assign it to your new Assignment. 14. Once the activity moves over to the left box, you may edit it if you wish by clicking on the EDIT key. 15. Click DONE. Show Printable Version This provides the description of the assignment plus each of the associated activities along with the specific resources allocated to each activity. 1. From the Assignments/Manage Assignments screen, highlight an Assignment. 2. Click SHOW PRINTABLE VERSION. 3. Click PRINT or RETURN. Assigning an Assignment to a Class 1. Click ASSIGNMENTS from the Teacher Tools screen. 2. Click MANAGE ASSIGNMENTS. 3. Click the Assignment you wish to assign. 4. Click the ASSIGN button. 5. Select your Class from the drop down menu. 6. Click the ASSIGN button and your assignment will be put into the selected class. You will see a message SUCCESSFULLY ASSIGNED ASSIGNMENT TO CLASS. NOTE: To view created assignments, open your class folder on your desktop and click the assignment. Show Student Progress This screen lists each student and indicates how many of the activities in the assignment are complete via the colour of the buttons. 1. Select the class from which you want to unassign the assignment. 5. Click the UNASSIGN button. YOU WILL RECEIVE THE MESSAGE SUCCESFULLY UNASSIGNED ASSIGNMENT FROM CLASS. To Remove (Delete) an Assignment 1. Click ASSIGNMENTS from the Teacher Tools screen. 2. Click MANAGE ASSIGNMENTS. 3. Click the Assignment you wish to delete. 4. Click the REMOVE button. YOU WILL RECEIVE THE MESSAGE YOU ARE ABOUT TO REMOVE THE SELECTED ASSIGNMENT FROM THE SYSTEM. THIS OPERATION CANNOT BE UNDONE. CLICK OK TO CONTINUE. NOTE: You may delete your assignments if public or private. You cannot remove public assignments that were not created by you. NOTE: You cannot delete assignments that are currently assigned to a class. You must highlight the assignment, click the UNASSIGN button and then click the REMOVE button. To Remove An Activity 1. Click ASSIGNMENTS from the Teacher Tools screen. 2. Click MANAGE ASSIGNMENTS. 3. Click the Assignment you wish to remove an activity from. 4. Click EDIT. 5. Click CONTINUE. 6. Highlight the ACTIVITY in the right hand box that you wish to remove. 7. Click REMOVE. 8. Click DONE. 32 Collecting and Marking an Assignment while Working from Home This function is only available to teachers who have VPN access to their District Network. 1. Click CLASSES AND GROUPS from the Teacher Tools screen. 2. Select the specific Class from the list. 3. Click the DOWNLOAD COLLECTED ASSIGNMENTS button. NOTE: You must have collected assignments prior to this step. 4. Select the Assignment from the list. 5. Click the DOWNLOAD ASSIGNMENTS button. a. You will be prompted to OPEN, SAVE OR CANCEL the download of your assignment. 6. Choose SAVE for your assignment and select your Desktop as a good location to do this. You can save this to any location you are comfortable to save to. We recommend your desktop for convenience. 7. Click SAVE. 8. Once the download has completed, click the CLOSE button to close the Dialogue Box. 9. Go to your desktop. You will see a folder that has a zipper on it. 10. You will now have to extract these files. Right click on the ZIPPED folder and click EXTRACT ALL. Leave the default path and folder name with the SHOW EXTRACTED FILES box still checked. 11. Click EXTRACT. 12. A new folder with your Assignment Name appears on your desktop. When it is opened, it shows a number of folders. The folders are arranged based on a Readme file this provides information on how many files were handed in, who handed them in, and the time when this occurred. There is a folder for each assignment titled with each student s Username. Getting Started - Teacher 27

33 13. Double-click each STUDENT S FOLDER to access the assignment they have submitted. Open each handed-in file and review the content. These files may be any type of Windows Applications such as MS Word. Assess each assignment. Some teachers may simply add a comment to the beginning of the document, or make changes in a different font colour. 14. Once the assessment is complete, save each file using the same name. 15. After marking has been completed on each student, close the Assignment folder, ending up back on your desktop. 16. Now you must delete the original ZIPPED folder. Highlight the ZIPPED folder, RIGHT click on it and click DELETE. Click YES to send the folder to the Recycle Bin. NOTE: Don t forget to delete the original ZIPPED folder before you can complete step 17, otherwise you will receive a message warning you that the file already exists. 17. Highlight and right-click your ASSIGNMENT FOLDER with the assessed assignments and chose Send To and select Compressed (zipped) Folder. Once you have Re-Zipped the folder, you will need to use SchoolConnect to upload the marked assignments back to the server. 18. Log on to Teacher Tools. 19. Click CLASSES AND GROUPS from the Teacher Tools screen. Select MANAGE CLASSES. 20. Select the specific Class from the list, then click the button UPLOAD CORRECTED ASSIGNMENTS. A new page will appear. 34 21. Click the OPEN button. 22. Click the SUBMIT BUTTON to upload this file to your SchoolConnect server. 23. Once the Submission is complete, the browser window will close automatically. Click the RETURN ASSIGNMENTS button. 24. Select the Assignment from the list. 25. Click the RETURN ASSIGNMENTS button. 26. SUCCESSFULLY RETURNED HOMEWORK will be displayed at the bottom of the screen. Rooms and Resources Change Default Printers 1. Click ROOMS and RESOURCES from the Teacher Tools screen. 2. Click CHANGE DEFAULT PRINTERS. 3. Choose your Classroom from the list. 4. Under Assigned Printer, there is a drop down box that contains alternate printers available. You can assign a printer from anywhere in the school to your classroom. 5. Click CHANGE DEFAULT PRINTER. NOTE: Your students must log out and log back in for this new printer assignment to take effect. Change LanSchool Channel 1. Click ROOMS and RESOURCES from the Teacher Tools screen. 2. Click CHANGE LANSCHOOL CHANNEL. 3. Choose your Classroom from the list. You can also select multiple classrooms by holding down the CTRL key. 4. Click UPDATE LANSCHOOL. 35 Utilities Change my Password 1. Click UTILITIES. 2. Click CHANGE MY PASSWORD. 3. In the field called Old Password, enter your CURRENT PASSWORD. Then in the box called New Password, enter your NEW PASSWORD and re-enter your NEW PASSWORD in the box below called Confirm Password. 4. Click CHANGE PASSWORD. View My Account Details 1. Click UTILITIES. 2. Click VIEW MY ACCOUNT DETAILS. From this view, you can see the details of your user account such as Full Name, Account Name (username), School Name and Code, Language, Last Log On date and time and IP Address. Change Schools This allows teachers that work in more than one school to change to any of their assigned schools. 1. Click on UTILITIES. 2. Click on CHANGE SCHOOLS. 3. 36 Teacher s Desktop Remote File Access This tool makes it easy for teachers and students to access their school files anywhere with an Internet connection. Remote File Access allows the user to download files from their Home drive at school to their computer at home, work on the file and then upload the file back to their Home drive at school, ready for use the next day. Download a File from school to your home computer. 1. Type in the URL ( provided by your school district. 2. Sign in using your TEACHER ID and PASSWORD. 3. In the left window, you will see your: Desktop with a listing of all Icons and Files on your Desktop at school. Home Drive (Teacher ID) that shows Documents, Favourites, etc. Teacher s Community with associated folders. Classes with their appropriate folders. 4. Double-click on the FILE that you want to work on 5. Click SAVE and choose a location on your home computer (e.g.: the Desktop) Upload a File from home to school. 1. Type in the URL ( provided by your school district. 2. Sign in using your TEACHER ID and PASSWORD. 3. Click UPLOAD, then click SELECT and locate your file. 4. Click on the FILE NAME. NOTE: You must either rename your file or click the Overwrite if file exists box. 5. Click OPEN. 6. Click UPLOAD. The file is now on your desktop at school. 7. CLOSE the window to exit the Remote Access Tool. Printing 31

37 BYOD (Bring Your Own Device) This tool is a resource for teachers and students to view school and district information from their smartphones and other portable appliances via the Internet. This information is customizable by your SchoolConnect Administrator and can consist of school contact information, links, news, calendar of events, Twitter and Facebook. The information is private to students and teachers in the school as they must first logon using their SchoolConnect id. Desk Tools Within DESK TOOLS you will find applications that any user may access. These applications are usually generic tools such as word processors, spreadsheets or presentation tools. Administrators of the network may change what is in the DESK TOOLS folder. Teacher s Community Staff Bulletin: The STAFF BULLETIN folder is a shared folder for all teachers and is intended to act much like a bulletin board in a staff room. Teachers may add and remove items. NOTE: Any teacher can change or delete any other teacher s items that are placed on the STAFF BULLETIN Board. Office Forms: The OFFICE FORMS folder is a read only folder for all teachers. Office Users may place and change documents that are placed in the OFFICE FORMS folder, while teachers have ReadOnly privileges. If a teacher would like to use a form from the OFFICE FORMS folder, they must open the form and save it to their HOME DRIVE, then fill it in as appropriate. Office Memo: The OFFICE MEMO folder is a shared folder for all teachers. Teachers have ReadOnly access to this folder, while Office Users have all rights to this folder. The typical type of document found in this folder will be Staff Meeting Minutes. Teacher Utilities: The TEACHER UTILITIES folder is a shared folder for all teachers. Teachers may run applications available only to teachers from here. Office Programs: The OFFICE PROGRAMS folder is a shared folder for all teachers. Administrators and Office Users may place applications in here for teacher use. A good example of a type of program you would find here is a Student Information System (SIS). Manage Student Folders: This allows teachers to access Student home directories. 38 Printing Itinerant Teacher s Printer Shortcut From a workstation at a secondary location where the teacher is registered (not the teacher s home school) 1. Double-click on that SCHOOL icon on the Teacher s Desktop. 2. Double-click on CHANGE DEFAULT PRINTERS and a short program will run. This program will assign the printers and LanSchool channel for that location. Managing the Print Queue 1. Double-click the PRINTER icon on the teacher s desktop. 2. Double-click the PRINTER icon. NOTE: A checkmark will appear above the printer that your current workstation is printing to. A window with all print jobs sent to the selected printer will be displayed. You may pause, purge, and delete print jobs. To Pause/Cancel a Print Job 1. Choose the print job you wish to pause by clicking on it or CHOOSE DOCUMENT from menu bar at the top of screen. 2. Choose PAUSE or CANCEL for the selected document. To Cancel all Print Jobs 1. Double-click the PRINTER icon on the Teacher Desktop. 2. Double-click the PRINTER icon. 3. Choose PRINTER from the menu bar at the top of the screen. 4. Choose CANCEL ALL DOCUMENTS. Assigning a Different Printer for Students 1. Click PRINTERS from the Teacher Tools screen. 2. Click CHANGE DEFAULT PRINTERS. 3. Choose your Classroom from the list. 4. Under Assigned Printer, there is a drop down box that contains alternate printers available. 39 Windows Functions Some of the functions of Windows that you will be required to know in order to take full advantage of SchoolConnect are listed below: Point & Click Most navigation in and around Windows is done with the mouse. Moving the mouse around causes the cursor or pointer (usually a small white arrow) to move in the corresponding direction across your monitor. Pressing the left button is known as left clicking and pressing the right button is known as right clicking. When the cursor is placed over an icon or the START button, a brief message describing the item s function will pop up. Quickly clicking an icon twice is known as double-clicking, and this the most common method of opening an application or window. You must click an object once to select it, double click a folder to open it, and double-click any application icons to launch the program. When using a browser (e.g. Netscape or Internet Explorer) you will use a single click. Right clicking on an icon presents a drop-down menu, which offers another group of functions such as open, cut, copy, move (sent to), create shortcut, delete, rename, and properties. Right click any blank area of the desktop and you will be presented with a drop-down menu of choices such as arrange icons, line-up icons, paste, paste shortcut, new and properties. The two items that you should become familiar with are NEW and RENAME. NEW - Select New to create a folder or a shortcut on your Desktop. Below those choices are specific types of files such as Corel Word Perfect, Wave Sound, and Bitmap Images. Selecting one of them will create an icon for that type of file. Double-click the icon you just created and the associated file s application is launched, enabling you to create the new file. RENAME - Right clicking on any icon will allow you to rename it. 34 SchoolConnect Teacher Guide

40 Window Sizing Windows appear on your screen as smaller sub-screens containing the appropriate text, graphics or icons of the applications they represent. Each window is made up of a grey border around a white field, topped by a coloured bar. In addition to the title, a title bar contains a set of three tiny buttons on the far right hand corner. The tiny button with the single line at the bottom minimizes the window, collapsing it to the Task bar in the form of a button. The button can be easily recognized because it maintains the window s name on it. The tiny button with the square in it maximizes the window, increasing its size to take up the full screen, whereas the tiny button that exits in the full-screen window version has two overlapping squares on it, indicating that the window can again be made smaller. The tiny button with the X in it closes the window and its associated applications. That is, unless it exits on a window within an application window, thereby only giving it the power to close the inside window, not the entire application. Drag & Drop One of the features of Windows is the ability to move files from folder to folder and to relocate items on the screen by using the mouse. To drag and drop an item, simply move the cursor over the desired icon or file folder, then press and hold down the left mouse button. Next, move the mouse in the desired direction (while continuing to press down on the left button). You will notice that the item moves right along with the cursor. When the item reaches its intended destination, simply release the left mouse button and the item will stay there. By placing the cursor on the blue title bar of any small window, you can drag and drop the entire window to another part of the screen. Windows users also can drag the edges of an open window to resize it. Placing the cursor on an edge or corner of a window creates a doubleheaded arrow, which is a signal to drag the edge in or out, thereby allowing users to resize the window vertically or horizontally (or both, if dragging the corner). 35

41 Appendix A: LanSchool User s Guide About LanSchool v7.6 LanSchool v7.6 is a software program designed to help teachers improve the learning environment in computer-based classroom. With LanSchool installed on each computer in a classroom, a teacher has the ability to: Reduce Student Distractions Demonstrate Skills Keep Students on Task Encourage Classroom Participation and Collaboration Help Individual Students Assess student understanding through testing How LanSchool Works LanSchool works by enabling a teacher to control all student computers within a computer-based classroom. It uses teacher channels to ensure that all the computers in that classroom see the same computer screen; much like a TV channel enables different TVs to see the same program. LanSchool has teacher channels from which to choose, which means that you can have as many as different classrooms using LanSchool at any given time. Using the Teacher Computer On the teacher computer, you will see a small LANSCHOOL icon (that looks like a small green circle of circles) in the system tray. The system tray is located in the bottom right corner of your computer screen. You will use this menu to control the key features of LanSchool.. More advanced features are available when you access the LanSchool Console. The console can be accessed by left clicking on the LanSchool system tray icon. In the console the key features are available as icons on the toolbar. All of the features can be accessed through the menus. It is also possible to right mouse click on computers or thumbnails to access the key features. When selecting computers or thumbnails we recommend using ctrl-a to select all computers or hold down the ctrl key and click with your mouse to select a group of computers. When using the toolbar buttons, a single click enables that feature and depresses the button. Another click will disable that feature. 36 SchoolConnect Teacher Guide

42 User Interface Tips LanSchool was designed to be simple and easy to use. Most of the features that you will use everyday are accessible from the LanSchool system tray menu. Some of the more advanced features are available in the new LanSchool Console. Notice that all of the critical features were grouped under one of five menu items: Demonstrate, Monitor, Restrict, Administer, and View Listed. Below are some tips about using the LanSchool Console. LanSchool Toolbar Buttons To use a feature in LanSchool, select the student or students and press the LanSchool Toolbar button that corresponds to the feature that you want to use. At that point the button will depress and change a lighter color. To stop using that feature, click the button again. Some of the LanSchool Toolbar Buttons have a little arrow to the right of the button. Click the button to access additional options for that feature. Activating Web and Application Limiting Web and Application limiting must be configured before they can be activated. You may configure these features in the options menu and then turn them on through the menus or the toolbar. Right-mouse click In the LanSchool console you can access advanced features by right-mouse clicking on a student computer in either the Detail or Thumbnail view. Multiple Select It is possible to select several (or all) students in this list. To select multiple students, use the standard Windows ctrl click method. You can also select the entire list with the ctrl-a key sequence. In the details view, the line will turn blue when selected. When selected in the thumbnail view, the thumbnail will have a thick white line surrounding it. Once you have selected the desired students, you can right-click the selected students and get an advanced options menu, click the toolbar button or console menu. Unselect Students To unselect students, click a blank area of the console. Implicit ALL Selection If no students are selected, there is an implied all selection when activating key features like Blank Screens or Show Teacher. If no students are selected and you click the blank screens toolbar button, all of the student screens will be blanked. Refresh Screen Pressing F5 or the menu item View -> Refresh will refresh the console by initiating a discovery. Appendix A: LanSchool v7.6 User s Guide 37

43 Sorting By default, the detail view is sorted alphabetically by the Login Name column. If you click the any of the other column headings, the list will re-order alphabetically on the selected column. LanSchool System Tray Menu A right mouse click the LanSchool icon in the system tray menu will bring up a menu that contains the features that most teachers use every day. A left mouse click the system tray icon will bring up the new LanSchool Console. Hot Key for the LanSchool Menu Some teacher machines do NOT have a visible task bar. Since it would not be possible to click the non-visible icon, you can bring up the LanSchool Teacher s menu with a <Ctrl><Alt>l hotkey. (the l stands for LanSchool ) Selected Only In thumbnail view, you can just watch a few machines by selecting those machines and pressing the Selected Only menu beneath the arrow on the View All button. Classroom Layout Classroom Layout allows you to arrange the thumbnails in the shape of the classroom. The classroom layout is automatically saved for each size of thumbnails. To switch to classroom layout view, click the arrow to the right of the View All button and select Classroom Layout. Show Tooltips Show Tooltips will either show or disable tooltips in the thumbnail view. Magnify Thumbnails The magnify menu on the View All button turns on or off the ability to hover over a thumbnail and have it expand temporarily to a larger size. New Features Multicast Video Distribution and Playback Transfers videos to student computers efficiently by multicasting the video file to student computers and synchronizing the playback controls. Remote Login Remotely login Windows student computers by typing in the username, domain name and password. 38 SchoolConnect Teacher Guide

44 Testing Enhancements A variety of enhancements were added to the testing tool. Tests can be saved to any location, short answer question type is supported, student names can be requested, summary.csv was added and students can optionally receive test scores. Blank Screens Personalization Blank screens messages can be personalized for each individual student by including the following variables in the blank screens message: %student name% %login name% %machine name% LanSchool v7.6 - Student LanSchool is set up to run in the background on student computers. All of the functionality is controlled at the teacher computer, which enables you to have control over how it is used. As such, you have just one way of knowing that LanSchool is active on a student computer. LanSchool Student Icon A LanSchool icon (green circle of circles) appears in the system tray at the bottom right corner of the computer screen. If you place your cursor over the icon, it will tell you which teacher channel this computer is using. If a student single clicks on this icon, they can click it to request help from the teacher. A small question mark is displayed in the console indicating that student has a question. The question mark goes away when the teacher chats with the student or uses the menu Clear Student Question. If a student double clicks on this icon, it will bring up the student files folder where the Send/Collect files feature sends files. Appendix A: LanSchool v7.6 User s Guide 39

45 LanSchool v7.6 - Teacher LanSchool Console Functionality can be accessed through a menu, icons or a right mouse click menu. Teachers can manage from either the list view or the thumbnail view. Console details display The console displays the channel number, version of the client, current running application, current website, application limiting, web limiting and teacher status. 40 SchoolConnect Teacher Guide

46 Monitoring Thumbnails The teacher can view up to 3000 student thumbnails at the same time. Every student s screen will appear as a thumb-nail in the LanSchool console. There are 4 sizes of thumbnails that can be sized automatically to the best fit. You can choose to only view selected students by clicking on the View All button the, checking the View Selected option. When you hover over a thumbnail, the thumbnail size will quickly increase. If you do not like this feature, it can be turned off by click on the View All button then removing the check from the Magnify option. Student Voting You can now ask Yes/No and multiple choice questions from the LanSchool Console and view in real-time how many students have responded and how they responded. This is accessed by clicking on Demonstrate from the File menu and selecting Ask Students To Vote Enhanced Web and Application Limiting Web Limiting can be enabled separately from Application Limiting. Teachers can also save and load allowed or blocked website lists. Application Limiting can be enabled separately from Web Limiting. Teachers can easily select from a list of applications which apps they want allowed or blocked. This can be accessed by clicking on the menu View Student s Running Programs and clicking on the add buttons. Teachers can now save and load allowed or blocked application lists. You can temporarily disable all or selected student access to Internet Explorer, Netscape, Mozilla, Opera, and most other popular browsers.
