3 1. Introduction Onefile has a companion app available for all major mobile platforms. The app allows you to collect evidence for your assessment using your mobile device s camera or audio recorder and upload it directly to your portfolio. For example, you could use your phone to record a video of yourself demonstrating a certain technique and then attach it to an assessment. The app is also designed to work when you do not have an internet connection; any evidence can later be synced with your portfolio when a connection is re-established. Note that the app is not intended as a full replacement to the desktop version of Onefile as there are certain features, such as tasks, that you cannot access on the app. 2. Downloading the App Click on the images below to be taken to the store page. Alternatively, search for Onefile Eportfolio on any of the app stores. Requires: Android 4.4 or later. Requires: Windows 10 Requires: ios 7.1 or later. 3. Logging In When you first launch the app you will need an internet connection to log in and set up your portfolio. To log in, input the username and password you use for the desktop version of Onefile. Once you have logged in at least once and synced with the Onefile servers, you will be able to log in even without an internet connection. 1
4 4. Home Screen Once you have logged in you will be presented with the home screen. There are four main sections available from here as well as the ability to sync with the Onefile servers. Plans: You can access any pending and unsigned assessment plans from this menu. Note that you cannot see any plans you have already signed. Assessments: From here you can see any assessments you have pending. You can upload evidence to any existing assessment or begin new ones. Reviews: In this section you can access any reviews you need to sign. Evidence: This section allows you to upload new evidence to your portfolio or access any evidence currently stored on your device. 5. Syncing To match all of your portfolio data stored on your phone with the data stored on Onefile s servers, you must perform a sync. To do this, swipe up from the bottom of the home screen. This will open the centre sync screen. Make sure you have all the boxes under User checked, then hit the Start Sync button. The app will then perform a sync and show you a message once it is complete. Any time your assessor assigns you new plans, assessments or reviews, you will need to perform a sync for them to appear on the app. 2
5 6. Plans When you open this section you will see a list of all your unsigned assessment plans. Tap on a plan to open it. You will be taken to the overview page for the plan. Simply swipe left to move through the different sections of the plan. In the Tasks section, tap on a task to view its details. In the Feedback section you can write any comments you have on the plan. Simply tap on the screen to enter your feedback. The either tap the Save button at the top of the screen or swipe to a different section to save your comments. Finally, in the Sign section you have two options. Tap the menu icon in the bottomright corner and then tap Finish Online to continue reviewing the plan on your desktop. If you are happy with the plan and wish to sign it off, choose Sign from the menu, accept the declaration, and draw your signature on-screen. When you have signed the plan or marked it to finish online, you will need to sync it with the Onefile servers. This requires an internet connection. Go back to the Plans menu and tap Sync Ready at the top of the screen. You should see your plan in the list. Simply tap the sync icon on the bottom-right of the screen. Once the sync is complete the plan will disappear from this menu. 7. Assessments You can review upcoming assessment and complete current assessment using the app. It also allows you to upload evidence directly from your phone to the assessment. Tap Assessments on the home screen to access your assessments. You can switch between upcoming, pending and sync read assessments using the menu at the top of the screen. Select an assessment by tapping on it. When you open an assessment it will take you to the Overview page, which will show you details of the task and due date. 3
6 7.1. Adding Criteria to an Assessment If you need to add criteria to one of your assessments, got to the Criteria section then: 3. Tap the blue plus button to begin adding criteria 2. Tap the name of your learning aim. 4. Tap the name of the unit you are working on. 1. Tap the outcome you are working on. 4
7 5. Select criteria by tapping them. Then tap Done. 6. You will then see the selected criteria on the assessment Attaching Evidence to Assessments You can add evidence to you assessment in the form of writing, audio, video or photos. To add written evidence to your assessment, go to the Evidence section. Then tap on the screen to start typing. You can format your text using the buttons near the top of the screen. To save your evidence, either tap Save near the top of the screen or swipe to another section of the assessment. To attach audio, video or photo evidence go to the Attachments section of the assessment. The first time you try to attach these types of evidence the app will ask for permission to use your camera and microphone. Make sure to grant this permission. 5
8 Tapping the blue plus icon in the bottom-right of the Attachments screen will open the menu show here. Select Evidence will allow you to attach any evidence you have previously saved in the Evidence section of the app. Capture Video will use your device s default video recording app. Take Photo will use your device s default camera app. Record Audio will open the app s built-in recorder. If you need to delete an attachment, tap and hold on it. This will select the evidence and a delete icon will appear at the bottom-right of the screen. Tap the icon to remove the attachment Completing Assessments and Syncing If you need to work on your assessment from a desktop computer, you can move it across to that device. Go to the Sign section and tap the menu icon on the bottomright. Then tap Finish Online. This will move the assessment to the Sync Ready section of the Assessments menu. You will then need to perform a sync, described below, to access the assessment online. If you have completed the assessment and want to submit it to your assessor, you will need to sign it off. Go to the Sign section, tap the menu icon on the bottom-right and then tap sign. You will then need to accept the declaration and draw your signature on the screen. 6
9 When you have finished your assessment you will need to sync your app with the Onefile servers. This requires an internet connection. Go to the Assessments menu from the home screen and select Sync Ready at the top of the screen. Then tap the sync button at the bottom-right of the screen. Your device will upload the assessment and it will then disappear from the app Starting Your Own Assessments You can start your own assessments if you want to work on an outcome at your own pace. Go to Assessments from the home screen. In the Pending section, tap the blue plus icon. This will open up the menu shown below. Title: Entre a name for your assessment. This should quickly describe what you will do. Assessment Date: This will default to the current date. Primary Method: Choose the method that you will be using for this assessment. Holistic: This will create one input box for you to enter evidence for the assessment. Per Criteria: This will create separate input boxes for each criterion. Once you are happy with the details, tap Create Assessment. This will take you to your new assessments Overview section. You can then work on the assessment as normal. 8. Reviews To access any reviews you have not signed off, tap Reviews on the home screen. Tap on any review in the Pending section to open it. Check through the details of the review and add any comment you have by tapping the screen in the Feedback section. 7
10 In the Sign section you have two options. If you want to view the review on your desktop, tap the menu icon in the bottom-right corner and then tap Finish Online. If you are happy with the review and wish to sign it off, choose Sign from the menu, accept the declaration, and draw your signature on-screen. You will then need to sync the review with the Onefile servers. This requires an internet connection. Go back to the Reviews menu and tap Sync Ready at the top of the screen. You should see your review in the list. Simply tap the sync icon on the bottom-right of the screen. Once the sync is complete the review will disappear from this menu. 9. Evidence If you want to collect evidence but do not have an assessment to attach it to, you can store it in the Evidence section of the app. To access this section, simply tap Evidence on the home screen. In this section you will see any evidence you have previously stored on your device. You can switch between the different types of evidence using the buttons at the top of the screen. Tapping the red plus icon in the bottom-right of the screen will open the menu show here. Capture Video will use your device s default video recording app. Take Photo will use your device s default camera app. Record Audio will open the app s built-in recorder. Import File will open a file browser allowing you to upload any files stored on your device. 8
11 You can then later attach this evidence to an assessment. If you want to be able to access any of your evidence on the desktop version of Onefile, you will need to upload it to the servers. This requires an internet connection. From the Evidence menu, tap on the piece of evidence you want to upload. At the bottom of the screen, tap Upload. Tap Done once it is complete. On the Evidence screen, the cloud icon servers. will appear next to any evidence already stored on the 10. Further Help If you encounter any problems with the app, you can contact Onefile directly from the app. Simply tap the three dots icon in the top-right of the app. Then tap Support.
