3 2 Support Scope and audience This manual covers both operation and technical aspects required to use The Pest Control Business Manager Program. The manual is divided into several sections see the Table of Contents at the start for a broad summary. Getting help from Technical Support Due to our operation we offer a limited method of support. 4 3 System Requirements Hardware requirements The following hardware requirements are required as a minimum configuration to run Pest Control Business Manager. You should always attempt to exceed these requirements. If you have a choice in areas that you can afford to exceed these requirements do this in the following order: Memory CPU class (Pentium 4) CPU Speed Monitor Hard disk speed (Ultra, Ultra Wide, RAID) Other (Laser Printer) Minimum requirements Intel Pentium III or 4 processor at 1.00 GHz 512 or 1024 MB or RAM (MD Ram or DD Ram) 8Mb Video card (1024 x 768 screen 24 bit) 17" Colour Monitor 20Gb Hard Disk Windows XP Professional, Windows XP Home, Windows 2000 Microsoft Office 2000, 2002 or higher (We don t recommend Windows 95, Windows Me or NT to run this program). Optional Extras CD-R or DVD RAM drive for data backup After installing PCBM on your computer, you will be able to access the program either using the Start button in the bottom left corner of your screen (All Programs \ PCBM_Demo \ Pest Control Business Manager) or you can use the shortcut placed on your computer desktop. 5 4 Installing PCBM Pest Control Business Manager is designed to operate under Windows 98SE, 2000 or XP with any type of CD - DVD device. When using Windows, 2000 or XP Administrator rights are required to install the program. However, Administrator rights are not needed to use the software. Insert the Pest Control Business Manager Demo CD into the computer s CD or DVD drive, The program should start automatically. If it does not, double-click on the drive to start the program manually. Choose Next to proceed. The PCBM End User License Agreement will be displayed. Carefully read the License Agreement, once you have read and accept the terms in the Licence Agreement, click NEXT to continue. Pest Control Business Manager Page 5 of 9

6 PCBM will be installed on your computer s main hard drive in a default location which is: C:\ PCBM_Software. Sorry but you can t change the default location. Choose Next to proceed. Click Install to begin the installation. Note: Please be patient! This process may take some time. You do not need to do anything at this point. The Installation Completed window will be displayed. Click Finish. When the installation is finished you will notice a new shortcut icon on your computer desktop. You will need to use this icon to access the program. We recommend you restart your computer after the installation is finished. Pest Control Business Manager Page 6 of 9

7 5 Screen Resolution for PCBM This program has been designed to run better on a 17 colour computer monitor however if you decide to install the program on your laptop computer (14 or 15 screen) it would work fine, but in any case you must setup the screen resolution to 1024 X 768 otherwise you won t be able to view some of the forms in full. How to check your screen resolution: Open PCBM using one of the shortcuts installed in your system. This action will open the Main Switchboard Window of the Pest Control Business Manager. Next, click on the green button (Check Resolution) at the bottom of the Main Switchboard Window (see picture below). Your screen resolution will be displayed. If the current resolution is less than the recommended one you will need to change it before to start using the Switchboard. If you resolution is the same or more than the recommended one you skip the step below. How to change your screen resolution 1. Open Display in the Control Panel. 2. On the Settings tab, under Screen resolution, drag the slider to the right to 1024 x 768, and then click Apply. 3. When prompted to apply the settings, click OK. Your screen will turn black for a moment. 4. Once your screen resolution changes, you have 15 seconds to confirm the change. Click Yes to confirm the change; click No or do nothing to revert to your previous setting. Pest Control Business Manager Page 7 of 9

8 Note To open Display, click Start, click Control Panel, and then click Display. A higher screen resolution reduces the size of items on your screen and increases the relative space on your desktop You can switch your screen resolution temporarily to 640 X 480 if you have games or other programs that are set to run at that resolution. To switch, right-click the game or program (on the desktop or on the Start menu), and then click Properties. Click the Compatibility tab, and then select the Run in 640x480 screen resolution check box. Your display reverts to its default resolution when you close the program. Your monitor and video adapter determine how much you can change your screen resolution. You may not be able to increase the resolution above a certain level. Changes to screen resolution affect all users that log on to the computer. Only the recommended screen resolutions are listed. For additional settings, click the Advanced button on the Settings tab, click the Adapter tab, and then click List all Modes. Select the resolution, color level, and refresh rate you want. 9 6 Understanding PCBM Welcome to the Pest Control Business Manager Main Switchboard. It gives you direct access to the different sections and modules of the program. Customers/Property Management System Module After selecting and clicking on the Customer/Property Management System link you will be given 4 options: Add/Edit/Search/View Customer Records List of Customers and Jobs Carried out Check/Print Property History Return To Main Switchboard 1.- Selecting Add/Edit/Search/View Customer Record form If the customer is a business then you must tick the check box. This action will disable the First Name box and will enable the Attention Box. If the new account is a person you will need to leave the check box blank. Account ID: This is a unique number generated automatically by the database system. This number will identify the customer all the time. Address: Double click the blue link to open a new message in MS Outlook. Your customer address will be automatically merged into the TO field. Date Last Job: Refers to the last job you performed for a particular client. The date will be automatically picked up by the system when you enter details of the job in the INVOICE section of the program. Again this section is automatically completed by the system. Every time you perform a service and issue the invoice, the system will add up that service to the total. Pest Control Business Manager Page 9 of 9
