3 3 Page SalesLogix Xbar Adm in Guide SalesLogix Xbar SalesLogix Xbar is an add-in to SalesLogix that seamlessly embeds the functionality of SalesLogix into Microsoft Outlook 2010 or newer versions. Xbar enables you to access your most important SalesLogix information and functionality through an intuitive, context-aware window that is docked within the Outlook interface. You can access a wide range of information and activities, including interaction history, follow-up action items, leads generated from e-marketing campaigns, and opportunity management. Work with and modify the SalesLogix information, taking actions and updating the information as necessary, all from within Outlook and without losing sight of your Microsoft Outlook inbox. Using Xbar, you can: Access a contact in Outlook by opening correspondence or calendar activities. Xbar instantly displays key information, activities, and opportunities stored in SalesLogix for that contact. Create entirely new contacts, accounts and opportunities, often by quickly and conveniently dragging and dropping existing information from into the Xbar interface. Make changes to contact, calendar and interaction history in Xbar that automatically update within SalesLogix in real-time, ensuring other team members can immediately see and access the updated information. Overview The SalesLogix Xbar is part of the Your CRM Inside strategy which allows the user to work in an environment they are comfortable with and use every day - Outlook. The SalesLogix Xbar is part of the Purpose Built Application ideology and was designed with the user in mind. The goal of the product is to strive for 100% user adoption and bring to fruition doing CRM work from your Outlook client. The SalesLogix Xbar is recognized by customers and partners to be a lightweight yet robust solution to working from Outlook. The main feature set for the SalesLogix Xbar is highlighted below. Note Xbar is a FREE add-on for customers on a current Maintenance Plan only.

5 5 Page SalesLogix Xbar Adm in Guide Member View The Member View story is built around reminding the user who is tied to the and why they care about the situation. This will give them insight into the problem and help quickly formulate a plan to act. The Member View helps efficiency and drives user adoption. Here are some of the key features: Contextual Card View that includes related information about the Contact to remind the user why they care about the particular person s information they are looking at and why they care about the situation. There are also easy-to-use totems (orange icons) to show pending items that are in the system with the ability to drill through to view the pending items. Located within each card, there are icons that allow the user to quickly get a glimpse into Activities and History items, add and view Notes, and look at KPIs in the Dashboard tab. These are all the ways a user can do triage and act quickly! A Link to SalesLogix Web Client that allows the user to click an icon in the SalesLogix Xbar which opens up the web client in your default browser. Totems (orange icons) give the user even more insight into a situation by highlighting pending items such as activities, history, past dues, duplicate records, open opportunities, and open tickets. Global Menu The Global Menu is similar to the user interface associated to the Mobile Client, which quickly gives the user access to the various views associated to SalesLogix Xbar. The Global Search is Speedsearch giving the user the ability to do a Contact, Account, and Lead-centric search. This feature will help the everyday user locate the information they need efficiently. Account and Contact Searches give the user the ability to do a search specific to the contact and account entities. Need to look for a specific company or person? That can easily be done in the SalesLogix Xbar to find the information when and where you need it. What s New is accessible through the Global Menu to give you access to the history thread and get more insight into what the greater dialog is. Settings is provided to give the user availability to change the URLs associated with their SalesLogix Xbar and access their Login credentials. Help has been added to give the user insight into the new icons and views associated with the SalesLogix Xbar. Quick Tips will be included with clickable icons to help the user easily access their work.

6 6 Page SalesLogix Xbar Adm in Guide What s New Insight into the greater dialog was the main concept behind the design and development of this particular view. The view will display history, notes, and activities to allow for a deeper discovery into the situation. The view is represented in the User perspective so the user can see what work they have done providing instant hindsight. A friendly, modern user interface gives the user the ability to quickly dissect a particular item in the view with a summary. This was designed to be similar to a social thread giving the user a look and feel that they re comfortable with and keeping consistency throughout the SalesLogix experience. Icons will display in the What s New view to represent information such as Past Due Activities the user may have missed, and the ability to complete an activity. Ask (Do Work) Menu The Ask Menu is the incorporation of the being able to do CRM-related work from Outlook. This will allow the user to work where they want to work and drive performance, efficiency, and adoption. Access the Ask Menu by clicking on the square icon on any Contact. Working with Contacts is part of the functionality tied to the all-new Ask Menu. Also, Accounts can be added and modified from the Ask Menu in SalesLogix Xbar. Interacting with Leads has become very easy within the SalesLogix Xbar. Add a Lead simply by clicking Ask and selecting the Add/Update Lead. Activity Management is functionality included in the SalesLogix Xbar. Users can Schedule New Meetings, New Calls, and New To-Do s all from the all-new Ask Menu. Notes - The Ask Menu provides a New Note functionality enabling the user to quickly add a note. Tickets are also a feature within the Ask Menu allowing a user to create a new ticket directly from Outlook. Opportunities are another major feature of the SalesLogix Xbar which allow the user to add and update an opportunity right from the Ask Menu. Note Xbar allows you to complete an activity, however you cannot complete an activity when it is part of a series of recurring activities.

7 7 Page SalesLogix Xbar Adm in Guide Drag and Drop This is another variation of being able to do CRM-related work right from Outlook with functionality similar to that of Outlook. Drag and Drop Signatures to create new records or update contact information in SalesLogix. This can be done easily by highlighting an signature and dragging it over to SalesLogix Xbar to bring up the all-new Ask Menu. Drag and Drop to Attach Files within SalesLogix Xbar. This has made attaching files that much easier. Simply drag a file from an over to your Xbar to attach to an account, for example. Another option is the added functionality of dragging a document from a user s desktop and dropping into the SalesLogix Xbar. Summary Views This has adopted the Dashboard UI which is similar to the functionality that is present in the SalesLogix Client. This gives the user easy access to contextual information tied to a specific entity. It contains Widgets that will display information that is based around entities associated to the particular summary view (i.e. Tickets, Opportunities, Attachments, etc.).

9 9 Page SalesLogix Xbar Adm in Guide Xbar Installation Prerequisites Before installing SalesLogix Xbar, you must: Ensure the version of SalesLogix installed is 8.0 or later, and that it has a functioning Web environment. Contact your system administrator for more information. Ensure your version of Microsoft Outlook is the desktop version of 2010 or Know if your installed version of the Microsoft Outlook Client is 64 or 32 bit. To determine the installed version of Outlook: o o For Microsoft Outlook 2010: Open Outlook and then click File, Help. For Microsoft Outlook 2013: Open Outlook and then click File, Office Account, About Outlook. Tasks for SalesLogix Administrators The following tasks must be completed by the SalesLogix Administrator or implementation specialist before users install SalesLogix Xbar Ensure the version of SalesLogix installed is 8.0 or later and that it has a functioning Web environment. See the SalesLogix Implementation Guide for information on setting up a functioning Web environment. Have a Web Server with a valid Secured Sockets Layer (SSL) security certificate installed. This can be the SalesLogix Web Server where you deployed your SalesLogix Client portal. Have a successfully-deployed SData portal. (This is required even if your SalesLogix implementation is Windows Client only.) This means that the following IIS settings have already been configured to use SData in a SalesLogix environment: o Enable basic authentication. o Disable Windows Integration Authentication. If these settings are not in place, see the Application Architect help file topic called Configuring the SData and Process Host Portal.

10 10 Page SalesLogix Xbar Adm in Guide To confirm that SData is set up correctly, type the following URL into your browser: Enter the user credentials of the SalesLogix user that SData is configured under (for example, Admin). The adapters page should load and list the available feeds. For information about troubleshooting your SData portal deployment, see the Application Architect help topic called Configuring the SData and Process Host Portals. There is a version of the topic available for Windows 2003 and another for Windows Share the following information with each of your SalesLogix Xbar users: Service URL: This is the URL for your SalesLogix SData portal. User Name: Instruct users to use their SalesLogix Client Username. Password: Instruct users to use their SalesLogix Client Password. Client URL: This is the URL for your SalesLogix Client. This field is not required but if it is left blank, the user will be unable to launch the SalesLogix Web Client from the icon within Xbar. Xbar does not use Windows Authentication. If your SalesLogix installation uses Windows Authentication, Xbar users must manually log on using their SalesLogix Username and Passwords. If users do not already know their SalesLogix user names and passwords, you must distribute them. Installing SalesLogix Xbar To install 1. Close Microsoft Outlook and any SalesLogix applications, including Desktop Integration 2. Copy the SLX_Xbar_v1.0_for_8.x.zip to any convenient folder. Ensure you have Write permissions to the folder where you are saving the zip file. You can check permissions on the Security tab on the folder properties. Ensure the folder path is as short as possible, as there is a 57 character limit. 3. Extract the zip file. 4. Open the folder appropriate for the version of Microsoft Outlook that you have installed: o x32 o x64 5. Click Setup.exe. 6. Click Run, and then click Install.

The Xbar Logon page will be visible on the right side of the screen. 8. In the Logon box, complete the following: Server URL: If you do not have this information, contact your SalesLogix Administrator. Username: Type your username. This is the username you use to log on to SalesLogix. Password: Type your password. This is the password you use to log on to SalesLogix. Client Portal URL: If you do not have this information, contact your SalesLogix Administrator. 9. Click Log On. E x a m p l e

12 12 Page SalesLogix Xbar Adm in Guide Before beginning this section... Verify your SalesLogix installation meets the prerequisites described in Prerequisites on page 9. Your SalesLogix Administrator must have prepared the environment for Xbar installation as described in Tasks for SalesLogix Administrators on page 9. Know if your version of Microsoft Outlook is 32 bit or 64 bit. For help finding this information, see Prerequisites on page 10. If your SalesLogix implementation uses Windows Authentication, logging onto Windows automatically logs you on to the SalesLogix Client. Windows Authentication is not enabled for Xbar, so you will need to log on using a SalesLogix user name and password. If you do not have this information, contact your SalesLogix Administrator. This field is not required but if it is left blank, you will be unable to launch the SalesLogix Web Client from the icon within Xbar.
