Before you can use LinkOne WinView, you must install a license code. For more information, see Installing a LinkOne License Code. Mincom LinkOne 7 WinView Getting Started Guide

Installing a LinkOne License Code All LinkOne products require a license code to be installed before they can be used. A license code may be obtained through an authorised LinkOne distributor or by contacting Mincom directly (see Some LinkOne licenses are restricted to operating on a single nominated PC. This PC is uniquely identified by its machine key. To identify the machine key, start LinkOne Administration using Start > Program Files > Mincom LinkOne > Administration, and select the Licenses tab. For more information about LinkOne Licensing options, refer to Installing Licenses and Security Keys in Chapter 2 of this manual. Mincom LinkOne 8 WinView Getting Started Guide

Chapter 2 LinkOne WinView Administration This section contains instructions for administering a LinkOne WinView installation using LinkOne Administration. LinkOne Administration can be found in the LinkOne programs folder (e.g. Start > Program Files > Mincom LinkOne > Administration). Using LinkOne Administration you can: Install LinkOne license codes and security keys Configure LinkOne book libraries Configure the locations where LinkOne notes data is stored Configure the behaviour of LinkOne notes and the selection list Configure the behaviour of LinkOne WinView when it is started Configure the LinkOne Robot utility to keep book libraries up to date. Mincom LinkOne 9 WinView Getting Started Guide

Setting up Libraries Libraries can be configured using the Book tab in LinkOne Administration. A library is a directory or drive location containing LinkOne books. LinkOne WinView can only access books in the specified set of libraries. Adding a Library to the List 1. In the Books Tab on Administration, click Add Library. The Choose New Library dialog appears. 2. Use the drive and directory lists in this dialog to select the new library. You cannot nominate a directory that has not been created yet, because it will not appear on the list. If you select a library that is not a valid location (it does not contain any books), Administration will display a message to that effect. The library will be accepted, but the next time Administration is opened, if there are no books in a location, the empty location will be deleted from the list of libraries. WinView recognises common mistakes such as selecting a book directory or manufacturer s directory rather than the location containing them. It will automatically adjust the selected library without warning you. Mincom LinkOne 10 WinView Getting Started Guide

3. Click OK. Deleting a Library from the List 1. Select the location from the list. 2. Click Delete. The location is deleted. Moving a Library Note: There is no confirmation message. To move a library, use the Up and Down buttons on the Books tab. The position of a library in the list is only relevant where the same book exists in multiple libraries. In this case, LinkOne will search the list from top to bottom, returning only the first occurrence of each unique book code and publisher code that it finds. Disabling a Library To disable a library, right-click the library and select Disable Library. When a library is disabled, it will remain in the list of libraries, but none of the books in that library accessed by LinkOne. This is particularly useful for laptop users who access books from a network drive while in the office and also use books from a local drive when the laptop is disconnected from the network. Mincom LinkOne 11 WinView Getting Started Guide

Setting Notes Folders Use the Notes tab to configure the location of notes and to configure permission for the LinkOne user to create or edit notes. Folder for Private Notes Private notes are only visible to the LinkOne user who has created them. Enter the file path for notes that are considered private in the box. This location is usually on your own computer s hard disk. If you do not specify a private notes location, WinView will use the default location under your LinkOne installation directory. Folder for Public Notes Public notes are visible to all LinkOne users on a network. The public location should be on a network file server selected by the LAN System Administrator. You may have either read-write or read-only access to the public notes location. Access is determined by the System Administrator using Windows file permissions. Note: If you leave the public notes location blank then you will not be able to create or see any public notes. Publisher Supplied Notes are Read-Only Select this option if notes supplied by your books publishers are to be considered read-only. It is strongly recommended that you leave this check-box selected. Note: Book publishers must clear this option to create publisher supplied notes. Mincom LinkOne 12 WinView Getting Started Guide

Allow creation of categories Select this option if users are to create their own categories of notes. It is recommended that this is selected. Allow creation of multi-lingual notes Normally, the controls used for the creation and control of multi-lingual notes and categories are hidden. If you select the box, those controls will become available on the various note editing dialogs and on the category editing dialog. Note: Unless you need the ability to create multi-lingual notes, it is recommended that you do not select this option. Setting Selection List Privileges Use the Selections tab to configure permissions for the LinkOne user to make selections or apply a filter to the selection list. You can make Selections Select this option if the LinkOne user is allowed to add parts to the selection list. A LinkOne user may override this option when opening a book by choosing Allow Selections of Entries in the Browse Books dialog. Mincom LinkOne 13 WinView Getting Started Guide

Configuring Proxy Server Authentication Use the Internet tab to configure proxy server authentication for LinkOne. Some corporate networks provide access to the internet through an authenticating proxy server, which requires a password before allowing internet access. For LinkOne to access book libraries located on remote web sites through an authenticating proxy server it is necessary to provide a username and password that will be accepted by the proxy server. Installing LinkOne Books LinkOne books may be distributed by a publisher in a number of forms, including: CD-ROM Over the Internet Mincom LinkOne 18 WinView Getting Started Guide

This section describes how to configure LinkOne so that book libraries supplied in any of these forms are accessible using WinView. When installing LinkOne books, check any instructions supplied by the book publisher. It may be necessary to install security keys before the book can be used. Accessing Books on a CD-ROM LinkOne Books supplied on CD-ROM may be accessed directly from the CD, without the need to install them on a hard drive. To do this, insert the CD into the drive and add the CD drive to the Active Libraries and Books list. Mincom LinkOne 19 WinView Getting Started Guide

Installing Books from a CD-ROM Most users of LinkOne will want to install books to a local or network hard drive. This is done using the Books tab in LinkOne Administration. Steps for installing books: 1. Before installing the books, it is necessary to create a directory on the hard drive that will contain the LinkOne book library. This library must be added to the Active Libraries and Books list. (In the above example, the library is located at K:\Books). 2. To install the books, type the drive letter for the CD into Look for books in... on the Install Books tab and press Enter. (In the above example the CD drive is N:) 3. A list of all books on the CD-ROM will be displayed in Books found at this location. 4. Highlight one or more books in the Books found at this location... list that are to be installed and then, using the mouse, drag and drop these books on to the book library. 5. LinkOne will display prompt to confirm that these books are to be installed. Click Install Books to continue. Progress messages will be displayed as the books are copied. When completed, LinkOne displays the message, Installation Successful. Mincom LinkOne 20 WinView Getting Started Guide

Installing Books using the Internet LinkOne books that are distributed over the Internet may be installed in two different ways. 1. The books may be installed from a web site on the Internet to a local or network hard drive. This creates a local copy of the books. No internet connection is required to access the books after they are installed. 2. A Network Installation identifies a web site that LinkOne will use to access LinkOne books. For efficiency purposes, a local cache of the book information may be maintained. This web site is accessed every time the book is opened to ensure that the local cache is up to date. Steps for installing books: 1. Before installing the books, it is necessary to create a directory on the hard drive that will contain the LinkOne book library. This library must be added to the Active Libraries and Books list. (In the above example, the library is located at K:\Books). 2. To install the books, type the web site address (URL) into Look for books in... on the Install Books tab and press Enter. (In the above example the URL is Mincom LinkOne 21 WinView Getting Started Guide

Note: For LinkOne to access the internet through a corporate network, it may be necessary to configure a proxy server authentication. See Configuring Proxy Server Authentication for further details. A list of all books on the web site displays in Books found at this location. 3. Highlight one or more books in the Books found at this location... list that are to be installed and then, using the mouse, drag and drop these books on to the book library. LinkOne will prompt with the following dialog. These options are: Full download enable web access. Performs a network installation. A full copy of the book is made into the local cache. This book may be accessed without an internet connection using the local file cache. When an internet connection is available the web site will be accessed to check that book information is up to date. Full download disable web access. Performs a full installation to the local drive. No internet connection is required for any future access to this book. Minimal download Enable web access. Performs a network installation. Book information is only downloaded from the web site as it is required. An internet connection is required to access any new information in this book. 4. Click Install Books to continue 5. Progress messages will be displayed as the books are copied. When completed, LinkOne will display Installation Successful. Mincom LinkOne 22 WinView Getting Started Guide

Keeping Remote Books Up To Date LinkOne provides a number of configuration options for deciding how the Internet will be accessed to check for updated information in a remote book. This is useful for preventing unnecessary activity when Internet access is only available over a slow dial-up connection. Viewer Settings control how frequently WinView will access the Internet to check for updates to a remote book. A specific remote library can be selected from the list of Active Libraries and Books, to which the viewer settings will apply. If All Libraries is selected, the viewer settings will become global settings, that will be applied to all remote libraries for which specific settings have not been configured. Use for all publishers Check this option to apply the viewer settings to all publishers and books in the selected remote library. If this option is not selected, the viewer settings will only apply to the publisher or book that is selected in the Install books list. Mincom LinkOne 23 WinView Getting Started Guide

Action The action choices are: Do not update. The remote site will never be checked for updates. Use global settings. The remote site will use the settings specified for All Libraries. Update used pages. The remote site will check for updates to the book according to the specified time schedule. The Check Every schedule can be either Always, in which case, updates to the web site will be checked every time a page in a book is accessed, or a nominated time interval. Mincom LinkOne 24 WinView Getting Started Guide

Duplicating a Book LinkOne supports the ability to make a derived copy of a book. This derived copy has a unique book code and book description, but shares the same book data. As a consequence, the derived copy occupies very little disk space. A common use for this feature is to simplify using a book that contains information on multiple pieces of equipment, each of which are uniquely distinguished by option codes. Different copies of a book may have a different permanent filter applied, giving the impressing that the book copies contain information on only a single piece of equipment. To make a copy of a book: 1. Select the book from the list of Active Libraries and Books on the Books tab of Administration. 2. Click Make a Book Copy on the Books tab of Administration. The Make a Book Copy dialog appears. The details of the selected book appear in the Original Book Group. 3. Enter a unique Book Code in the text box provided. 4. Enter a Book Description in the text box provided. This description appears in the Browse Books dialog in the Viewer. 5. Select the Library where the new book is to be stored from those listed. 6. Click OK. The book will be copied and an information box appears when the process has been completed. Note: The book copy will not be assigned to any category, even if it was copied from a book that was assigned to a category. Mincom LinkOne 25 WinView Getting Started Guide

LinkOne Robot The Robot utility is a program that runs in the background of your PC. Its function is to check that remote books are up to date. If this utility is to be used to update remote books, it is advisable to have the Robot utility run minimised when your PC starts by including it in your Startup group. The remote library that the robot is trying to access must be configured. Robot Settings control how frequently Robot will access the Internet to check for updates to a remote book. Mincom LinkOne 26 WinView Getting Started Guide

Action: The action choices are: Do not update. The remote site will never be checked for updates. Use global settings. The remote site will use the settings specified for All Libraries. Maintain a copy (Delete) The robot will check the remote site for updates and any files recently deleted at the remote site will also be deleted locally. Maintain a copy (No Delete) The robot will check the remote site for updates but, any files recently deleted at the remote site will not be deleted from the local library. The configuration of the Robot utility s behaviour is defined in the Robot Settings Utility. This utility is not part of Administration. To open the utility, click the Robot Utility icon from the LinkOne program group, or select Start > LinkOne > Robot. The Robot Utility screen appears. Setting Start Stop Timeout Report Directory LinkOne Robot Utility Settings Description Enter a time (in 24 hour format, hh:mm) that you wish the program to commence processing the remote books. This time may coincide with a quiet time in your office or on the Internet. Enter a time (in 24 hour format, hh:mm) that you wish the program to cease processing the remote books. Enter a period of time after which the Robot program should cease attempting to connect to a remote site. The program will try again to connect to that Publisher s site when it is next scheduled to do so by the settings defined in the Properties tab on the Book tab. Users may enter the directory path, where they wish to store Robot reports, in this text box. If a directory is not specified here, LinkOne will create the LINKONE\BIN\REPORTS directory the first time a log is generated. LinkOne will store all communications logs in this directory. Note: If this utility is to be used to update remote books, it must be started by including it in your Startup group or by double-clicking its icon in the LinkOne program group. Select a book and click Open Book. The book is displayed and the toolbars become active. Mincom LinkOne 28 WinView Getting Started Guide

The WinView Window Note: This guide shows the default interface. The method of opening and the appearance of WinView may be different if it has been customised. As you view each page in the book, the left side of the window will usually display any drawings for that page, while the right side displays the list or document for that page. All of the menus, buttons, icons and lists on the main display window are explained in the Mincom LinkOne WinView Reference Guide. This guide briefly explains a few of the most commonly used controls. This guide describes the basic appearance of WinView. This may have been changed by the publisher or your system administrator. Mincom LinkOne 29 WinView Getting Started Guide

Opening a Book You can browse through the installed libraries, and select the book you want to open. 1. Click File > Open Book > Browse. The Browse Books dialog appears. 2. Select the title of the book you want to view. Click Open Book. The first page of the book appears. Mincom LinkOne 30 WinView Getting Started Guide

Navigating Through a Book Once you have opened a book, you can find the information you need by: Browsing through the Table of Contents Flipping through Pages Following Links through a Book Using the Up Page and First page buttons Searching for specific parts or words. Using the Table of Contents Each page in a book has a title. You can browse these titles using the Table of Contents. 1. To browse through the titles of all of the pages in a book, click View > Table Of Contents, click on the toolbar or press Ctrl+T. A Table of Contents appears on the left of the main window. 2. To view a page, click its title on the list. The selected page appears. Flipping through Pages Use the blue arrow buttons on top right corner of the WinView display window to flip forwards and backwards through the pages of a Book. The Up arrow moves you one level up in the hierarchy. If the Table of Contents is open, your current position in the book is highlighted. Following Links in Parts Lists Many pages in a LinkOne book contains a List of parts. Each item on the List is called an Entry. Entries can have Links built into them. Links are cross-references to another page. The page may be in the same book, or in another book. Entries that have links are marked with a Link icon, and look like this: To follow a link, double-click on an linked entry, LinkOne opens the page to which the link refers. If you have followed a Link to a new page, you can use the History buttons retrace your path. to Following Links in Documents In a text document, any piece of text can be a link. Text that is a link is typically displayed in blue and underlined. To follow a link in a text document, click the blue underlined text. Note that you only have to click once on the link in a text document, unlike parts book entries, where you have to doubleclick. Mincom LinkOne 31 WinView Getting Started Guide

Note: Not all links in a text document will take you to other pages. Some may simply highlight callouts in the pictures associated with the page, or re-position the document on the same page. Printing LinkOne enables you to print selection lists, entire books, drawings and parts lists (either separately or combined). These printing options are on the File menu. In the example, the printing options are available. The options are not available (displayed in grey font) if you do not have a drawing/list combination displayed, or if you have not yet selected any parts. The Print Book command is only available if the book s publisher has allowed that function. 1. From the File menu, select any of the Print options. The Print Setup dialog appears. 2. Select the printer settings and click OK to print. Mincom LinkOne 32 WinView Getting Started Guide

Finding and Selecting Parts You will often need to access your LinkOne books because you need to order parts or identify parts for servicing or maintenance tasks. You can create a list of parts that can be used by other Windows applications, and LinkOne provides several ways of finding parts in a book. This section describes the common ways of finding and selecting parts. The Mincom LinkOne WinView Reference Guide contains full details about searching for parts and using selection lists. Searching by Part Number You can find a part if you know some or all of its part number. LinkOne finds all part numbers that contain the sequence of characters that enter in the Part number text box. 1. Click Part Numbers on the Search menu. The Search Part Numbers dialog appears. 2. Enter the part number or partial part number in the Part Number field. 3. Click Search. The Matching Part Numbers list will display all the part numbers that contain what you typed in the Part Number field. Note: By default, LinkOne ignores dashes (-), spaces, dots (.) and similar noise when comparing part numbers. For example, if you type EB-21, LinkOne finds numbers containing EB-21, EB21 and EB-2-1. Mincom LinkOne 33 WinView Getting Started Guide

Clicking on any one of these matching numbers will then show a list of the pages where that part number is found. Click one of the listed pages to display the item numbers and descriptions for the part. The details appear in the Item ID list. To go to a page, double-click either the Page or Item ID description, or Go To. The dialog closes and the page containing the selected Item appears. Searching by Part Description All parts in LinkOne lists have a description; for example, WASHER. You can find a part if you know some or all of its description. You don t have to know the whole description; a word or two is enough. You can even type in part of a word; for example, wash. LinkOne finds and lists all parts that contain the letters wash somewhere in their description. 1. Click Part Descriptions on the Search menu. The Search Part Descriptions dialog appears. Mincom LinkOne 34 WinView Getting Started Guide

2. Type the partial description in the Description field. 3. Click Search. The Matching Descriptions list displays all the part descriptions that contain the text that you typed into the Description text box. The search finds all occurrences of your text, both uppercase and lowercase. 4. Select a Part Description from the Matching Descriptions list. The Page list displays the Page Numbers, references and Titles of all pages where that part description can be found. 5. Select a Page from the Page list. The Item ID list displays all Items on the selected Page that contain the selected Part Description. 6. Select an Item from the Items list, then double-click on it (or click on the Go To button). The dialog closes and the page containing the selected Item is displayed, with that item highlighted. Refining the search To limit a search to match the case of what you typed, select Match Case. In the example above, the search will only match descriptions that contain washer in uppercase. In addition, you can limit your search to match the text exactly by selecting Exact Match. The search then only finds descriptions which were exactly what you typed. Note: By default, LinkOne will not find text in descriptions that is enclosed in parentheses. Such text is not considered searchable. Searching in Multiple Books To search for a part in more than one book, select the Multi Book before clicking Search. LinkOne will automatically search all of the books that you have that are from the same publisher as the currently open book. Mincom LinkOne 35 WinView Getting Started Guide

About Selection Lists You can make a Selection List of parts as you browse through your LinkOne books. You can then use this list for ordering parts, or for use in other Windows applications. Once you have built up a Selection List, you can: Save it as a file, and read it back into LinkOne (or into another application) Copy it to the Windows Clipboard and paste it into other Windows applications Print it Integrate LinkOne WinView with your organisation s business system. You can then convert your Selection List into a purchase order or a kit with a few clicks of the mouse button. Adding Parts To a Selection List You can select any part that has a selection box shown in the parts list: To add a part to the selection list: Double-click on the list item, or Double-click on the Callout for the item in the drawing itself, or Click on the item in the list and press the INSERT key, or Click on the item in the list and click the Select button. A tick appears in the Selection box when the part has been selected As you select parts, these parts are added to a selection list with a Quantity Requested set to 1. You can make LinkOne set the Quantity Requested to the quantity fitted (as shown in the List) by holding down the SHIFT key while you select the part. Note: If the List item you wish to select has a Link icon attached, double clicking will cause the program to go to the linked page. To select such an item, highlight it and click on the Select button. Mincom LinkOne 36 WinView Getting Started Guide

Displaying a Selection List To display the contents of your Selection List: 1. Click Selection List on the View menu, or click View Selection. The Selection List dialog appears. 2. To print your Selection List, sort it alphabetically, or delete items on your selection list, use the buttons on the toolbar. 3. To dock your selection list under the parts list, drag and drop it under the parts list. Saving a Selection List Parts that are added to your selections list can be saved as a selection list file (.SEL). To save your selections: 1. Click Save Selections or Save Selections As on the File menu. The Save Selections As dialog appears. 2. Enter a name for the selections list in the File Name text box. 3. Set the destination where the file is to be stored. 4. Click OK. The list will be saved in the nominated directory. A Selection List file has a.sel extension. Exporting a Selection List To export your Selection List to other Windows applications; for example, spreadsheets or word processors. One simple way of doing this is to: 1. Click Copy Selections on the Edit menu. 2. Switch to the other Windows application. 3. Use that application s Paste command to paste the Selection List into the required document in that application. There are several other ways in which you can integrate LinkOne with your other applications. The Selection List (SEL) files can be read by other applications, or you can use advanced mechanisms such as the LinkOne ActiveX control. Mincom LinkOne 37 WinView Getting Started Guide

Customising the Display You can change the WinView display to suit your viewing preferences. You can zoom in on areas of the pictures to see more detail. You can change the font used for the parts lists and documents, to make them more readable. You can change how much space is used for the pictures and how much for the parts lists and documents. Viewing Pictures To get a closer view of part of a picture you can magnify a picture in either one of two ways: Use the Zoom menu Click and drag the left mouse button to select an area Note: LinkOne beeps when it cannot magnify any further. To abandon a click and drag magnification part-way through, minimise the drag box. Release the left mouse button when the box disappears. Click the right mouse button to resume viewing the whole picture. Panning Pictures To pan around a magnified picture, either: Use the scroll bars in the picture window, or Click and drag the right mouse button Viewing the Entire Picture To view the entire picture, click Fit To Window on the Zoom menu. This shrinks or expands the picture so that the entire picture fills the main window. If the list is also visible then the picture is displayed in the area beside the list. Changing the Font To change the font used to display the parts list and text documents, click List Font on the Preferences menu. This will display a standard Windows font-selection dialog, where you can select the required font and size. Mincom LinkOne 38 WinView Getting Started Guide

Resizing the Picture Area If you want to see more, or less of the text in a document, you have several options: To hide any pictures and display only the list or text document, click List Only from the View menu, or press Ctrl+Left Arrow. To view the list or text document and any pictures side-by-side, click Picture and List from the View menu, or press Ctrl+Down Arrow. To hide the list or text document and show only the pictures, click Picture Only from the View menu, or press Ctrl+Right Arrow. If you are displaying both the picture and the list or text document side by side (that is Picture and List from the View menu), you can use the separator bar to control how much space the picture occupies. Put the cursor over the separator bar and the cursor will turn into a double-ended arrow. Hold down the left mouse button and drag the separator bar to a new position. When you release the mouse button the picture will resize to the width you have specified. Customising the toolbars You can customise the toolbars, buttons and menus of LinkOne WinView by adding or removing commands, and moving toolbars around. Once you create a customised screen display that you like, you can save this as a "scheme". This is done using the Customise option on the Preferences menu. The Mincom LinkOne WinView Reference Guide explains this in detail. However, system administrators can disable the ability to customise the interface. Mincom LinkOne 39 WinView Getting Started Guide

Further Information This Getting Started Guide provides you with basic information about getting started with LinkOne WinView. For more information about these and additional features, see the Mincom LinkOne WinView Reference Guide. Mincom LinkOne WinView Reference Guide This reference guide is part of LinkOne WinView. It provides information for those who use LinkOne as part of their job. To access this Reference Guide from the WinView Help menu, click Online Manual. The Mincom LinkOne WinView Reference Guide contains detailed information about: Opening books Finding your way around books Finding and selecting list entries Using Annotations Printing Customising Selection Lists Customising the parts list display WinView menus, commands and dialogs Mincom LinkOne 40 WinView Getting Started Guide
