7 Abut DcAve Clud Cnnect DcAve Clud Cnnect displays Bx cntent in SharePint 2010, SharePint 2013, and SharePint 2016 n-premises, withut the need fr migratin. Cnnected cntent appears as nrmal SharePint cntent, and can be leveraged exactly as if it were residing within a SharePint dcument library. All f SharePint s pwerful dcument management functinality including permissins management, wrkflws, alerts, and versining can be applied t cnnected cntent. Additinally, Clud Cnnect enables rganizatins t manage and present their audi and vide files thrugh a dedicated SharePint Media Library. All wmv, wma, mp3, flv, aac, vp6, mp4, mpeg, mpg, avi, asf, aiff, au, cd, dat, divx, mv, mid, gg, ra, rm, qt, vqf, 3gp, m4v, mts, and wav files stred in Bx are streamed and presented via SharePint fr fast delivery and data strage ptimizatin. Cnnected media cntent is managed with all f SharePint's pwerful dcument management functinality, including permissins management, wrkflws, alerts, and versining. 9 Befre Yu Begin Refer t the sectins fr system and farm requirements that must be in place prir t installing and using DcAve Clud Cnnect. Supprted Hardware AvePint is cmmitted t maintaining a hardware agnstic platfrm t ensure that DcAve perates n cmmn Windws file sharing and virtualizatin platfrms. T ensure that DcAve is hardware agnstic, AvePint tests hardware that is intended t supprt SharePint and DcAve infrastructure, strage targets, and hardware-based backup and recvery slutins, as supprted by AvePint s partnerships. AvePint directly integrates with the fllwing platfrms: any Net Share, FTP, Amazn S3, AT&T Synaptic, Bx, Caring Strage, Cleversafe, DELL DX Strage, Drpbx, EMC Atms, EMC Centera, Ggle Drive, HDS Hitachi Cntent Platfrm, IBM Spectrum Scale Object, IBM Strwize Family, Micrsft Azure Strage, NetApp Data ONTAP, NFS, OneDrive, Rackspace Clud Files, and TSM. All ther hardware platfrms that supprt UNC addressable strage devices are supprted. *Nte: AvePint has ended the test and develpment fr Caring Strage and DELL DX Strage in DcAve since DcAve 6 SP7 CU1, as the prviders f these tw platfrms have stpped the platfrm maintenance. *Nte: Due t changes in the IBM Tivli Strage Manager API, DcAve 6 Service Pack 6 and later versins require that TSM Client versin is installed n the Cntrl Service and Media Service servers. *Nte: Mst f the hardware partnerships referenced in this guide are intended t make use f advanced functinality (such as snapsht mirrring, BLOB snapshts, indexing, lng-term strage, WORM strage, etc.), and are nt indicatins that any changes t the prduct are required fr basic supprt. In mst cases, hardware can be supprted with n change t the prduct. Supprted Backup and Recvery DcAve supprts BLOB backup strage accrding t the list f hardware platfrms abve. BLOB snapsht functin, hwever, is currently nly supprted n OEM versins and NetApp hardware. DcAve supprts SQL cntent and Applicatin database backups via the SharePint Vlume Shadw Cpy Service (VSS) n all Windws and SQL server platfrms listed abve. DcAve als supprts 9

10 snapsht-based SharePint VSS n all hardware listed abve where the hardware partner has certified supprt with Micrsft. DcAve supprts applicatin and cnfiguratin server backups fr all the supprted sftware envirnments listed abve. DcAve 6 SP5 r later supprts VM backup via Hyper-V/VMWare fr the fllwing perating systems: Windws Server 2008 R2, Windws Server 2012, Windws Server 2012 R2, and Micrsft Hyper V Server 2012 R2. Cnfiguratin In rder t use DcAve Clud Cnnect, the DcAve 6 platfrm must be installed and cnfigured prperly n yur SharePint farm. Clud Cnnect will nt functin withut DcAve 6 present n the farm. Fr installatin instructins, see the DcAve 6 Installatin Guide. Agents DcAve Agents are respnsible fr running DcAve jbs and interacting with the SharePint bject mdel. DcAve Agents enable DcAve Manager t cmmunicate with the respective servers, allwing fr Clud Cnnect cmmands t functin prperly. Fr instructins n installing the DcAve Platfrm, DcAve Manager, and DcAve Agents, see the DcAve 6 Installatin Guide. *Nte: The use f system resurces n a server increases when the installed Agent is perfrming actins. This may affect server perfrmance; hwever, if the Agent installed n a server is nt being used, the use f system resurces is very lw and the effect n server perfrmance is negligible. *Nte: If the license fr Cnnectr has already been applied and is wrking when yu attempt t apply a license t Clud Cnnect, the Agent must be restarted after applying the license in rder t immediately use Clud Cnnect. Required Permissins Review the fllwing sectins fr details n required Agent Accunt, File Share, and Lcal System permissins. Agent Accunt Permissins T install and use Clud Cnnect prperly, ensure that the Agent accunt has the fllwing permissins: 1. Lcal System Permissins: These permissins are autmatically cnfigured by DcAve during installatin. Refer t Lcal System Permissins fr a list f the permissins autmatically cnfigured upn installatin. 2. SharePint Permissins: These permissins must be manually cnfigured prir t using DcAve 6 Clud Cnnect; they are nt autmatically cnfigured. 10

Since Administratr wrks acrss farms and n all SharePint settings and cnfiguratins, this accunt is needed in rder t prvide the best and mst cmplete quality f service. b. SQL Permissins: These permissins must be manually cnfigured prir t using DcAve 6 Clud Cnnect; they are nt autmatically cnfigured. Member has the server rle f dbcreatr t SQL Server since it must create a stub database befre perfrming any Clud Cnnect jb. *Nte: The dbcreatr rle is nly required fr Windws Authenticatin. 13 Health Analyzer AvePint recmmends using Health Analyzer t ensure yu meet the DcAve Clud Cnnect prerequisites. *Nte: Only users in the DcAve Administratrs grup can use Health Analyzer. In additin, Clud Cnnect and Cnnectr share the same scanning rules, s yu must select Cnnectr in the Mdule Filter in the Health Analyzer prfile settings t scan the envirnment fr Clud Cnnect. 14 Getting Started Refer t the sectins belw fr imprtant infrmatin n getting started with Clud Cnnect. Launching Clud Cnnect T launch Clud Cnnect and access its functinality, cmplete the fllwing steps: 1. Lg in t DcAve. If yu are already in the sftware, click the DcAve tab. The DcAve tab displays all mdules n the left side f the windw. 2. Click Strage Optimizatin t view the Strage Optimizatin mdules. 3. Click Clud Cnnect t launch this mdule. 15 Navigating DcAve DcAve mimics the lk and feel f many Windws prducts, making fr an intuitive and familiar wrking envirnment. While there are many windws, pp-up displays, and messages within DcAve prducts, they share similar features and are navigated in the same ways. Belw is a sample windw in DcAve. It features a familiar, dynamic ribbn, and a searchable, cntent list view. Figure 2: Navigating DcAve. 1. Ribbn Panes Allws users t access the functinality f the active DcAve mdule. 2. Manage clumns ( ) Allws users t manage which clumns are displayed in the list. Click the manage clumns ( ) buttn, and then select the checkbx next t the clumn name in the drp-dwn list. 3. Hide the clumn ( ) Allws users t hide the selected clumn. 4. Search Allws users t search the List View pane fr a keywrd r phrase. Yu can select Search all pages r Search current page t define the search scpe. *Nte: The search functin is nt case sensitive. 5. Management Pane Displays the actinable cntent f the DcAve mdule. 15

16 User Interface Overview After clicking Clud Cnnect, the Strage Optimizatin suite user interface launches with the Clud Cnnect tab active. This tab displays yur farm and allws fr quick access t a list f Clud Cnnect features. The Hw t Use Clud Cnnect area displays brief cnfiguratins and steps fr using Clud Cnnect. The Dashbard displays the synchrnizatin schedule fr the selected farm. Click View Details t view detailed infrmatin abut the synchrnizatin schedule fr the Web applicatins, site cllectins, and sites in the pp-up windw. If yu are away frm the Dashbard page, click the Clud Cnnect Landing Page link in the message at the bttm f yur interface t g back t the Dashbard. Figure 3: Dashbard interface. 16

17 Figure 4: Clud Cnnect user interface. 1. The SharePint tree (Scpe panel) displays all cntent within yur farms. Use this panel t select the cntent that yu wish t perfrm actins n. Selecting cntent ften reveals new tabs and functinality n the ribbn. 2. The ribbn shws the available actins and wizards fr the selected ndes. This cntent is dynamic; it will ften change depending n what is selected in the SharePint tree. 3. The wrkspace shws all frm-based cntent that is used during the cnfiguratin f actins perfrmed in DcAve prducts. Selecting Farms and Ndes T select farms and ndes, cmplete the fllwing steps: 1. Frm the Scpe panel n the left, click the farm that cntains the relevant SharePint cntent. 2. Select the relevant cntent that yu want t perfrm further peratins n by selecting the radi buttn t the left f the cntent. 3. After selecting cntent, yu will be able t perfrm the prcedures described thrughut this guide. 17

18 Advanced Search When the nde yu are abut t expand in a tree has mre than ten thusand child ndes, DcAve recmmends using Advanced Search t narrw dwn the search criteria, which will display fewer ndes n the tree and imprve the perfrmance. T use Advanced Search, cmplete the fllwing steps: 1. Right-click the nde yu are abut t expand. A drp-dwn list appears. 2. Click Advanced Search in the drp-dwn list. The Advanced Search interface appears. 3. In the Advanced Search interface, click Add a Criterin t add a criterin that will be used t search the child ndes. Cnfigure the fllwing settings: Rule Select the rule fr this search. Yu can use the URL rule fr the Web applicatin level. Yu can als use the URL rule and the Name rule fr the Site Cllectin nde, the Sites nde, the Lists nde, and the Flders nde. Cnditin Select the cnditin fr the rule. Value Enter the value fr the rule in the text bx. 4. T add mre criteria, click Add a Criterin, and repeat step 3. Yu can change the lgical relatinships between the criteria by clicking the And r Or. By default, the lgical relatinships are set t And. And means that the child ndes that meet all f the criteria will be included in the search results. Or means that the child ndes that meet any criterin will be included in the search results. The Basic Filter Cnditin area displays the lgic relatinships f filter criteria. 5. Click Search t start searching the child ndes. The tree displays the child ndes that meet the search criteria. If the search returns mre than ten thusand results, a pp-up windw will appear and recmmend that yu narrw the search criteria and try again. *Nte: The displayed child ndes d nt include the Include New nde. If yu run a search in the selected current nde, the child ndes that are excluded in the search will nt be included in the search results. T display all f the child ndes n the tree, right-click the current nde, and select Refresh frm the drp-dwn list. 18

19 Hw Clud Cnnect Wrks with SharePint In Clud Cnnect, there are tw ways yu can link t Bx flders. The first methd creates a library in SharePint based n a Cnnectr library template, which DcAve installs ut-f-the-bx. Yu can custmize this library, save the library as a template, and reuse it. When reusing the template, its ID fr the library remains the same and is a knwn and apprved template fr integratin with Clud Cnnect s server API. Fr mre infrmatin n this methd, refer t Creating a Clud Cnnect Library in SharePint. The secnd methd cnverts existing SharePint libraries t Cnnectr libraries and mves the cntent frm SharePint t the Bx lcatin yu cnfigure thrugh DcAve. In this case, Clud Cnnect references a knwn and tested list f templates. These are mstly ut-f-the-bx SharePint template IDs. Fr mre infrmatin n this methd, refer t Creating a Cnnectin between SharePint and Bx. The cmmn cmpnent f bth methds is the template ID fr the library. This template ID is imprtant fr tw reasns: When Clud Cnnect cnverts a library, a Cnnectr Settings link is added t the SharePint library s Settings page. Clud Cnnect checks the library s template ID against a knwn and tested list f templates at the time f release. We have pted fr a restricted mdel f deplyment, which nly allws templates that we have verified. Each library can be custmized with different features that require Clud Cnnect t adapt the way it synchrnizes cntent. Fr instance, a picture library requires that Clud Cnnect uplad the cntent first t SharePint in rder t generate a thumbnail, while slide libraries require Clud Cnnect t split strage f each.ppt int individual slides. *Nte: Fr a list f the SharePint libraries Clud Cnnect can cnvert, refer t SharePint Libraries that Can Be Cnverted t Clud Cnnect Libraries. In sme cases, yu may have a highly custmized library that Clud Cnnect cannt cnvert, fr example: The custmized SharePint library s template ID is nt n the apprved cnversin list. Nevertheless, there are steps yu can take t add this template ID t the apprved list. Fr mre infrmatin, refer t Adding Custmized SharePint Libraries t the Clud Cnnect-Apprved List f Templates. 19

20 Details and Best Practices fr Clud Cnnect Synchrnizatin with SharePint As SharePint evlves as a platfrm, best practices fr DcAve mdules and features will cntinue t emerge. In the case f Clud Cnnect, AvePint recmmends enabling file checkuts fr Clud Cnnect libraries and libraries that are cnnected t Bx. Adhering t this recmmendatin will ensure that cllabratin n Bx dcuments sync prperly. See the sectins belw fr additinal infrmatin. SharePint 2013/2016 If yu pen a file in SharePint 2013/2016 and create minr versins withut checking ut the file, the changes will nt be written t Bx nr will the Bx versin number increase. The same is true if yu edit and save a file withut any versining enabled. In bth f these cases, the changes will nt be written t Bx until the next sync jb r when yu update the dcument s prperties. If yu create minr versins after checking ut the file, thugh, then the changes will be written t Bx nce yu check in the file, and the Bx versin number will increase by hw many minr versins were created while it was checked ut. This is because check-in is an update peratin in SharePint; thus, SharePint will prcess a synchrnizatin fr the file, and all f the versins will be externalized t the strage lcatin. *Nte: If a user is making changes t cntent n the Bx side while a user is als making changes in SharePint, nce a sync jb runs, the SharePint versin will verride the Bx versin. Therefre, as a best practice, AvePint recmmends that administratrs require file checkuts fr Clud Cnnect libraries and libraries that are cnnected t Bx. SharePint 2010 Changes made t files in SharePint 2010 will be written t Bx directly, withut any synchrnizatin required. Each minr versin created will als immediately create a new versin in Bx, regardless f whether r nt yu checked ut the file. On the Bx side, if yu have the file pen fr editing at the same time as smene else is editing via SharePint, yu will receive ntificatins frm Bx that there are updates t this dcument; hwever, saving this dcument frm the Bx side will create a versin f the file in Bx. As a best practice, AvePint recmmends that administratrs require file checkuts fr Clud Cnnect libraries r libraries that are cnnected t Bx. 20

22 Cnfiguring the BLOB Prvider A binary large bject (BLOB) is unstructured data (files, attachments, etc.) stred in SQL cntent databases. By default, any file r attachment that is upladed int SharePint is stred as a BLOB in the cntent database. By cnfiguring the BLOB Prvider, yu are able t externalize BLOBs frm a cntent database t user-specified external strage and leave a data stub in SharePint t pint t the cntent. The BLOB Prvider feature intercepts SharePint database traffic and redirects all f the BLOB traffic t the external BLOB strage. In rder t prvide transparency t SharePint users and applicatins, Remte BLOB Strage (RBS) r External BLOB Strage (EBS) is used t expse the strage cntents thrugh the SharePint interface. EBS is an interface prvided by Micrsft SharePint Server 2007 and 2010, and RBS is a set f standardized Advanced Prgramming Interfaces (APIs) that are incrprated as an add-n feature pack fr Micrsft SQL Server. When enabled n a farm r nde, the BLOB Prvider creates a stub database. *Nte: EBS is nt supprted in a SharePint 2013/2016 envirnment. 27 T enable RBS: Under Enable RBS fr Farm, click the farm name t expand the tree. View the RBS status and enable RBS n the selected cntent databases by selecting the checkbx in the Enable clumn, if necessary. Select Enable in the Include New Cntent Databases rw t enable RBS fr all newlyadded cntent databases (that is, cntent databases added after cnfiguratin f the BLOB Prvider). In rder t use this functin, a schedule must be cnfigured in the Schedule field. Cnfigure a Schedule (available when Enable RBS fr Farm is selected) t check fr newly-added cntent databases. Accrding t yur cnfigured schedule, Clud Cnnect runs a search n yur farm fr new cntent databases. If any new cntent databases are fund, Clud Cnnect enables RBS n them. *Nte: The stub database rule is applied t a newly-added cntent database immediately after the cntent database is added t the crrespnding Web applicatin. *Nte: If bth EBS and RBS are enabled, RBS is used. 9. After cnfiguring the BLOB Prvider, click OK t save the cnfiguratin. Then click Next t prceed t the Overview page. 10. The Overview page shws all stub database infrmatin fr all farms. If desired, click Edit in the table heading rw t edit the cnfiguratin. When satisfied with the cnfiguratins, click Finish and Run Nw t save the cnfiguratin and then enable/disable the crrespnding BLOB Prvider immediately. *Nte: T enable the RBS Prvider withut using a schedule, yu must click Finish and Run Nw t enable it immediately. The SP2010CnnectrCntentLibrary, SP2013CnnectrCntentLibrary, and SP2016CnnectrCntentLibrary slutins include the DcAve Cntent Library feature, DcAve Cnnectr Library Cnverting feature, and MySite Libraries feature. 30 Activating the Clud Cnnect Features Once the Clud Cnnect slutin is deplyed, yu can cnfigure Clud Cnnect settings fr SharePint bjects thrugh the DcAve user interface. If yu want t cnfigure Clud Cnnect settings thrugh the SharePint user interface, the Clud Cnnect features must be activated thrugh DcAve r SharePint after the Clud Cnnect slutin is deplyed. Activating Clud Cnnect in DcAve allws a user t activate r deactivate features fr multiple site cllectins at nce, hwever, while in SharePint, a user must activate r deactivate site cllectins ne by ne. Chse the features yu want t use: DcAve Cntent Library Creates a Cntent Library fr dcuments and ther files in an external strage lcatin. Synchrnizatin jbs can be perfrmed regularly t keep the Cntent Library cnsistent with its cnnected strage lcatin. DcAve Media Library Creates a Media Library fr vide, music and multimedia files in an external strage lcatin. Media Libraries allw users t play vides nline. Synchrnizatin jbs can be perfrmed regularly t keep the Media Library cnsistent with its cnnected strage lcatin. DcAve Cnnectr Library Cnverting Cverts Dcument Libraries, Picture Libraries, Frm Libraries, and Asset Libraries t Clud Cnnect Cntent Libraries. Cntent Libraries synchrnize updates between the strage lcatin and SharePint t maintain data cnsistency. MySite Libraries Autmatically creates Cntent Libraries when new My Sites are created. The created MySite library will inherit the cnfigured strage path if the parent Web applicatin level has been cnfigured with a strage path. This feature is activated at the Web applicatin level. *Nte: Clud Cnnect shares the same features with Cnnectr. S when yu have activated the features in Cnnectr, yu need nt t activate them again. Refer t the applicable sectin belw t enable the Clud Cnnect features. Activating Clud Cnnect thrugh SharePint T activate the Clud Cnnect features thrugh SharePint, cmplete the fllwing steps: In SharePint, access the site cllectin that yu want t activate Clud Cnnect. Navigate t Site Actins > Site Settings > Site cllectin features. The Site Cllectin Features page appears. 2. Click Activate next t the DcAve Cnnectr Library Cnverting, DcAve Cntent Library, and DcAve Media Library Clud Cnnect features. This enables the features fr the selected site cllectin.

31 *Nte: The DcAve Cnnectr Library Cnverting feature is used t cnvert the SharePint Dcument library, Frm library, Picture library, and Asset library t a DcAve Clud Cnnect library. These fur types f SharePint libraries can have Clud Cnnect settings applied t them. 3. After activating the Clud Cnnect feature, the status f the feature reads Active in the Status clumn. Activating Clud Cnnect thrugh DcAve T activate the Clud Cnnect features thrugh DcAve, cmplete the fllwing steps: 1. Frm the Clud Cnnect tab, click Manage Feature in the General Settings grup. The Manage Feature page appears. 2. Select the Clud Cnnect features, Cntent Library, Media Library, Library Cnverting, r MySite Libraries which yu wish t activate in the View grup. Cnfigure the fllwing settings fr the selected features: a. Tree selectin Select the target destinatin. b. Expand the SharePint farm tree t the desired nde and click Activate in the Actin clumn t activate the Clud Cnnect features n the selected nde. Alternatively, click Activate All fllwing ne nde t activate the Clud Cnnect features n all f the ndes under the selected nde. 3. After activating the Clud Cnnect features, the status f the features n the crrespnding site cllectin is changed frm Inactive t Active in the Status clumn. 31

32 Cnfiguring Mapping Settings As described earlier, Clud Cnnect requires several steps t cnfigure Bx flders fr use in SharePint. Once RBS, the vehicle f delivery f cntent, is cnfigured, yu nw need t reslve the discrepancies that exist between SharePint and Bx. Cnfigured mapping settings determine hw the synchrnized files and flders (as well as their metadata) are managed in SharePint. Cnfiguring these settings is ptinal, as the Clud Cnnect mdule cntains default mapping settings. In general, the mst lgical mappings pssible have already been made. This sectin is intended fr yu t review the default settings cnfigured t reslve cmmn differences between SharePint and Bx. Cmmn Mapping SharePint des nt supprt file r flder names that are lnger than 128 characters, r filenames that cntain invalid characters (such as " # % & * : < >? \ / { } ~). By default, files r flders with names lnger than 128 characters are pruned t 128 characters after being synchrnized t SharePint. Fr filenames that cntain invalid characters, the invalid characters are replaced with an underscre (_) after being synchrnized t SharePint. *Nte: SharePint 2016 has n limitatin fr the file r flder name length while the URL length limitatin is still 260 characters. SharePint 2016 supprts the fllwing special characters in file r flder names: ~ & { }. DcAve applies a default cmmn mapping named DefaultCnnectrCmmnSetting, which cannt be edited r deleted. T set up new Cmmn Mapping: 1. Frm the Clud Cnnect tab, select Cmmn Mapping in the General Settings grup. The Cmmn Mapping pp-up page appears. Here, yu can view all f the existing Cmmn Mapping prfiles. 2. T create a new mapping rule, click Create in the Manage grup. The Create Cmmn Mapping page appears in the wrkspace. 3. Cnfigure the fllwing settings fr Cmmn Mapping: a. What wuld yu like t call this cmmn mapping? Enter a name and an ptinal descriptin fr the cmmn mapping prfile. b. What is the maximum length fr flder and file names? Specify the maximum length f the flder r filename displayed in the Clud Cnnect Library. Yu can define the maximum length f the flder r filename frm anywhere between 1 and 127 characters. If the flder r filename exceeds the maximum length, the system 32

33 autmatically prunes the extra characters and saves the name. The flder r filename is pruned accrding t the fllwing rules. Regarding filename pruning, the file extensin characters are cunted twards the ttal number f characters. Only the filename itself is pruned. Fr example, if the maximum length cnfigured is 7, a file named abcde.exe is pruned t abe.exe. DcAve starts pruning frm the middle f the filename. In the Bx strage, versins f dcuments are cmmnly identified with characters at the beginning ( Cpy f ) and characters at the end ( versin1 r _1 ). By pruning characters frm the middle f the filename, DcAve ensures that these identifying characters remain intact. If there is already a file with the same name in SharePint after DcAve prunes the filename, a numerical suffix is added t the riginal name f the file/flder after pruning. c. Hw shuld invalid characters be replaced in SharePint? Replace illegal characters in flder/filenames with legal characters when synchrnizing cntent t SharePint. By default, all f the illegal characters are replaced with an underscre (_). SharePint 2016 supprts the fllwing special characters in file r flder names: ~ & { }. Therefre, it is recmmended t remve the rules fr these fur characters when cnfiguring illegal characters replacement settings fr SharePint Prperty Mapping While files that are upladed t SharePint natively lse their metadata, Clud Cnnect can read the fllwing Bx prperties: Mdified, Created, Descriptin, Owned By, and Tags and present it in SharePint. Prperty Mapping allws yu t cnfigure rules that map the Bx prperties t SharePint metadata, thereby preserving the metadata. *Nte: Clud Cnnect nly supprts the fllwing Bx prperties: Mdified, Created, Descriptin, Owned By, and Tags. DcAve applies a default prperty mapping named DefaultBxCnnectrPrpertySetting, which cannt be edited r deleted. T set up a new Prperty Mapping: 1. Frm the Clud Cnnect tab, select Prperty Mapping in the General Settings grup. The Prperty Mapping pp-up page appears. Here, yu can view all f the existing Prperty Mapping prfiles. 2. 35 Cnfiguring the Prcessing Pl The Prcessing Pl feature allws yu t cntrl the maximum number f synchrnizatin jbs that can be run simultaneusly. Nrmally, a synchrnizatin jb is fairly resurce-intensive, s running multiple synchrnizatin jbs simultaneusly may affect the perfrmance f the server. T avid perfrmance issues, use the Prcessing Pl feature t limit the number f simultaneus synchrnizatin jbs. Synchrnizatin jbs that are added int the Prcessing Pl becme threads. The number f threads yu allw in the prcessing pl is the maximum number f synchrnizatin jbs that can be run simultaneusly. The remaining synchrnizatin jbs are placed in a queue. Each SharePint farm has a default prcessing pls: DcAve_Farm(FarmName). The number f threads set in the default prcessing pl is 5. T create a new Prcessing Pl, cmplete the fllwing steps: 1. Click Clud Cnnect tab > Prcessing Pl in the General Settings grup. 2. Click Create in Manage grup n the Prcessing Pl tab. The Create Prcessing Pl page appears. 3. Enter a Prcessing Pl Name and an ptinal Descriptin. 4. Select the Farm frm the drp-dwn list. 5. Select an Agent Grup frm the drp-dwn list. The Agents in the selected Agent grup are used by this Prcessing Pl t perfrm synchrnizatin jbs. Fr mre infrmatin abut creating Agent grups, refer t the DcAve 6 Cntrl Panel Reference Guide. 6. Specify the Maximum Number f Jbs that will be used fr the synchrnizatin jbs. Fr example, if yu enter 8 in this field, then 8 synchrnizatin jbs can be run at the same time. 35

36 Creating a Cnnectin between SharePint and Bx With DcAve Clud Cnnect, yu can create a cnnectin between ne r mre SharePint libraries and ne r mre Bx strage paths. In ther wrds, yu can cnvert an existing SharePint dcument/frm/picture/asset library t a Clud Cnnect library with a cnfigured strage path. The cnnectin nly can be made at the library level. Only DcAve Clud Cnnect libraries (Cntent Library/Media Library) and the fur types f SharePint libraries (Dcument library/frm library/picture library/asset library) are actually cnnected t Bx. In sme cases, yu may want t cnvert an existing custm SharePint library. DcAve references a knwn and tested list f SharePint templates available at the time f a release. These are mstly ut-f-thebx SharePint template IDs, s if yu are attempting t cnvert a highly-custmized SharePint library, yu will need t manually add the template ID t the apprved list. Fr mre infrmatin, refer t Adding Custmized SharePint Libraries t the Clud Cnnect-Apprved List f Templates. Once the cnnectin is made and a synchrnizatin jb is run, any cntent that is upladed t the SharePint library is stred in the Bx lcatin (instead f in the SharePint SQL database). Cntent in the SharePint library appears and functins nrmally; hwever, the cntent f the SQL database is a stub, nt the actual data. Overview The Clud Cnnect settings fr the Web applicatin, site cllectin, and site levels are divided int tw parts: Cnfigure Path and Cnfigure Sync Settings. *Nte: Only Cnfigure Path is supprted at the library level. Sync settings are nt cnfigurable at the library level, s the Cnfigure Sync Settings ptin is nt available fr libraries. In the Cnfigure Path wizard, yu can cnfigure the strage path. In the Cnfigure Sync Settings wizard, yu can cnfigure Sync settings such as mapping settings and schedule settings. Cnfiguring the Clud Cnnect Path T cnnect a SharePint library t Bx, cmplete the fllwing steps: *Nte: The nly Clud Cnnect ptin available at the library level is Cnfigure Path. The Cnfigure Sync Settings ptin is nt available fr cnfiguratins made at the library level. *Nte: If cnnecting an existing SharePint Dcument library, Frm library, Picture library, r Asset library t a strage path, all cntent in the existing SharePint library is mved t the strage path, even the cntent that was upladed t the library prir t making the cnnectin t the strage path. 36

The versin f this linked file is nt generated in the cnnected path. Clud Cnnect linked files are nt included in the index during SharePint crawls. Clud Cnnect linked files extensins cannt be mdified. If cnfiguring a Media Library, there are three mre Clud Cnnect settings t cnfigure: Player, Thumbnail Settings, and Rich Text Settings. 1. What player settings wuld yu like t cnfigure? Cnfigure the schedule myself When yu select this ptin, the Schedule Settings ptin and Prcessing Pl ptin becme available. Schedule Settings Specify the start time and interval fr the schedule. Click the calendar icn r Calendar View t the Interval field t view the interval in the calendar. Then, specify an end time fr the schedule and a date t end the schedule. Wh shuld receive ntificatin? 43 Managing Inherited Clud Cnnect Settings The site cllectin, site, and library levels autmatically inherit Clud Cnnect sync settings frm their parent ndes. If this default inheritance lgic is acceptable, then it is nt necessary t cnfigure Clud Cnnect settings (such as Sync Settings and Mapping Settings) at each level manually. Inheritance saves time by nly requiring the afrementined settings t be cnfigured nce, as each library in a particular nde inherits the settings frm its parent nde. If desired, yu can break inheritance and cnfigure unique Clud Cnnect sync settings fr each level. As mentined previusly, nly the Clud Cnnect settings n the library level have an effect n the cnnectin relatinship between SharePint and the strage device. If yu want t break inheritance, select the child nde beneath the cnfigured parent nde and select Cnfigure Sync Settings t cnfigure unique setting fr the selected nde. Refer t the descriptins belw fr the inheritance details f each level. Site Cllectin If an upper-level Web applicatin has Clud Cnnect settings cnfigured n it, by default, the site cllectins belw it inherit the Clud Cnnect settings. The right pane f DcAve Clud Cnnect interface displays frm which nde the current site cllectin inherits the sync settings. T break inheritance, access the Cnfigure Sync Settings feature t cnfigure unique settings fr the selected site cllectin. 44 Adding Custmized SharePint Libraries t the Clud Cnnect- Apprved List f Templates The apprved list that Clud Cnnect ships with des nt cntain templates ther than ut-f-the bx apprved templates since AvePint cannt guarantee supprt and cmpatibility fr changes made by custmers r ther vendrs. Als, these template IDs are nt universally unique fr the entire SharePint ecsystem, s we must avid unknwingly apprving a template that has nt been tested. Hwever, in anticipatin f the need fr cnverting custm libraries, Clud Cnnect des prvide a way t manually add t the apprved list. Befre perfrming the steps belw, it is recmmended that yu archive a cpy f the.cnfig file befre making changes t it. In additin, AvePint recmmends that yu test the library with all functins first (synchrnizatin, mdificatins, search, wrkflw, and ther nrmal user activity) t ensure cmpatibility befre mdifying this file in yur prductin envirnment. In terms f maintenance, be sure t back up the mdified.cnfig file s that yu can leverage it fr all future versins f DcAve, ensuring that yur list f knwn and tested templates is maintained. *Nte: In the Cntrl Lad Balancing (CLB) envirnment, execute the fllwing peratins in every server where the Cntrl Service resides. 1. Open the Manager server. 2. Lcate the CntrlCnnectrTemplates.cnfig file in the fllwing flder path: \AvePint\DcAve6\Manager\Cntrl\Cnfig\Cnnectr. 3. Open the CntrlCnnectrTemplates.cnfig file using Ntepad. 4. Fr this example, assume that yur template ID is Lcate the fllwing cde in the.cnfig file, and add yur library s template ID t the list: <CnnectrTemplates> <Template value="109" /> <Template value="851" /> <Template value="115" /> <Template value="31000" /> </CnnectrTemplates> 5. 45 Remving Clud Cnnect Settings T remve the strage path cnfiguratin: Frm the Clud Cnnect tab, select the target nde n the farm tree, click Cnfigure Path in the Actin grup, and select Remve Path. The cnnected strage path is remved frm the selected nde. *Nte: The Remve Path ptin is nt available fr Web applicatin, site cllectin and site levels. T remve the sync setting cnfiguratin: Frm the Clud Cnnect tab, select the target nde n the farm tree, click Cnfigure Sync Settings in the Actin grup, and select Remve Sync Settings. The sync settings fr the selected nde are remved. *Nte: The Remve Sync Settings ptin is nt available fr the library level, as the library level des nt supprt cnfiguratin f sync settings. *Nte: T make sure the synchrnizatin jbs cnfigured at higher levels can run nrmally, AvePint recmmends remving the strage path settings frm the selected Clud Cnnect library befre deleting that library. T delete the strage path settings fr all f the Clud Cnnect libraries inside a site cllectin/site in bulk, AvePint recmmends using the Clud Cnnect API. If there are bth Clud Cnnect and Cnnectr libraries in a site/site cllectin, the strage path settings fr bth f the Clud Cnnect and Cnnectr libraries will be deleted. 46 Creating a Clud Cnnect Library in SharePint After activating the Clud Cnnect features, yu can specify a strage path in DcAve r SharePint, and create a Clud Cnnect library in SharePint. When a Clud Cnnect library is created in SharePint, all files upladed t the library are autmatically externalized t the cnfigured Bx lcatin rather than remaining in SQL strage. The tw types f Clud Cnnect libraries are Cntent Library and Media Library. Neither library has restrictins n the file types that can be upladed t them, but the Media Library cntains the fllwing special functinality: Media Libraries allw fr the viewing f certain file type thumbnails. Refer t Viewing All Vide Thumbnails fr mre details. The play times f vide files stred in Media Library can be recrded in SharePint s Audit Lg. The vide playing actin is included in the Opening r dwnlading dcuments, viewing items in lists, r viewing item prperties event. Ensure that this event ptin is selected n the Cnfigure Audit Settings page when yu are cnfiguring audit settings fr recrding play times f vides in SharePint. It is easy t lcate the URL f a vide file currently being played in Media Library. The file title n the tp f the player is a link; click it t jump t a webpage that will play the current vide file. The URL in the address bar f this webpage is the URL f the vide file being played. Cpy this URL and paste as needed. Yu are able t play media files that are larger than the maximum uplad size f current Web applicatin in the Media Library. There is n size limitatin t the media files that are played in this library. Yu can access the Media Library frm a mbile device, such as an ipad, iphne, r ipd tuch, etc. Fr mre infrmatin, refer t Using the Media Library n a Mbile Device. T create a Clud Cnnect library (Cntent Library/Media Library) in SharePint, cmplete the fllwing steps: 1. In SharePint, access the site where the Clud Cnnect feature is activated. 2. 47 Using a Clud Cnnect Library After creating a Clud Cnnect library and synchrnizing the cntent, access the Library page and manage yur library. In SharePint 2016, the upladed files whse size are less than 2GB will reside in the library as stubs; the upladed files whse size are greater than 2 GB and less than the current Web applicatin s maximum uplad size will reside in the library as real cntent. New Flder Creates a new flder in this library. Edit Dcument Opens the selected dcument fr editing. On a mbile device, the vide file can be played withut any plug-in installed and autmatically dwnladed as it is playing. Yu can als play the file at a specific pint as desired even if the dwnlad is still in prgress. The file starts t be played and dwnladed immediately frm the pint where yu skip t. Manually Synchrnizing the Library with the Cnnected Path If yu did nt set up a schedule when cnfiguring the sync settings fr yur cnnected library, the library and strage path need t be manually synced; this ensures that the library stubs are displaying the mst current cntent that exists in the strage path. Yu can manually synchrnize the library with the cnnected path in either DcAve r SharePint. Synchrnize the library with the Bx lcatin in DcAve Click Synchrnize n the ribbn f Clud Cnnect hmepage t run the synchrnizatin jb immediately. Synchrnize the library with the Bx lcatin in SharePint There are tw ways t perfrm the synchrnizatin in SharePint, including using the Cnnectr Synchrnizatin and Settings page and the Cnnectr tab. Access the Cnnectr Synchrnizatin and Settings page in SharePint t manually perfrm the synchrnizatin peratins. Synchrnizatin Synchrnizes the current library with the cnnected strage path. View Reprt Dwnlads the current library s latest synchrnizatin jb reprt. This link will be shwn after a synchrnizatin jb is finished. Cnnectr Settings Returns t the Cnnectr Synchrnizatin and Settings page, where yu can edit the Clud Cnnect settings fr the current library. After the synchrnizatin cmpletes, the stubs fr the files and flders in Bx are created r updated in the library. Manually Synchrnizing an Individual File The Sync file feature allws yu t synchrnize an individual file in a Cnnectr library. Managing Orphan BLOBs If Cnnectr stubs are remved frm SharePint, the BLOB cntent remains in the external strage. There are tw ways t remve the rphan BLOB cntent: clear up rphan BLOBs thrugh an independent jb in DcAve Manager, r clear up rphan BLOBs thrugh the cnfiguratin file. This ptin in the cnfiguratin file is triggered autmatically after yu run a synchrnizatin jb. Clearing Up Orphan BLOBs by DcAve Manager T cnfigure the Clean Up Orphan BLOBs functin, cmplete the fllwing steps: 1. Click the Clud Cnnectr tab > Clean Up Orphan BLOBs in the Actin grup. The Clean Up Orphan BLOBs tab appears. 2. Click the farm name t expand the tree, and then select the Web applicatins r the databases in which yu want t cnfigure the BLOB cleanup rules. After the delay duratin, the files are deleted frm the _d flder. Cnflict Reslutin Select which actin t perfrm when a selected nde already has BLOB cleanup settings cnfigured. Overwrite When a cnflict ccurs, Overwrite replaces the previusly cnfigured settings with the currently saved settings and applies the currently saved settings t the selected ndes. Skip When a cnflict ccurs, Skip will keep the previusly cnfigured settings. The newly cnfigured settings will nt replace the previusly cnfigured settings and will nt be applied n ndes that have applied settings. Fr ndes that d nt have previusly cnfigured settings, the newly cnfigured settings will be applied t them. Click View Cnflict Items t view ndes with previusly cnfigured schedules, delayed deletin settings and alternate file settings. 5. If deleting files frm the SharePint recycle bin permanently, the deleted files are placed int a flder named _d under the.fsdl flder in the strage lcatin. After the delay duratin is reached, the files are deleted frm the _d flder. By default, the delay duratin is 30 days, which means after 30 days the files deleted frm SharePint will be permanently deleted frm the strage side. 57

Cnverting Stubs t Cntent After running a synchrnizatin jb, Clud Cnnect mves the actual data t the Bx strage lcatin and creates stubs in SharePint in place f the riginal data. T cnvert these stubs back t data in SharePint s SQL server, use the Cnvert Stubs t Cntent functin. *Nte: Refer t Hw t Determine If the Data Is Stub r Real Cntent fr infrmatin n identifying stubs and cntent. 1. Click Clud Cnnect tab > Cnvert Stubs t Cntent in the Actin grup. A pp-up windw appears. 2. In the pp-up windw, select the scpe where yu want t perfrm the stub restre. Enter the criteria in the textbx and click the magnifier t search fr the desired bject. 3. The tree can be expanded dwn t the item level. Click Items and all synchrnized items stubs are displayed in the Stub Brwser area. The name f the stub, the type f the stub, and the size f the stub s real data are displayed. 4. Chse t cnvert the stubs immediately r n a specific time in the Schedule field, and then cnfigure the fllwing settings. Cnvert nw Chse this ptin if yu want t cnvert the stubs t real data immediately. Cnfigure the schedule myself Chse this ptin t cnvert the stubs based upn a cnfigured schedule. Click OK t start the cnversin and cnvert the selected scpe s stubs t real data. Hw t Determine If the Data Is Stub r Real Cntent There are n identifying markers in SharePint fr Clud Cnnect stubs. Refer t the methds belw t determine if the data is a stub r real cntent. If using the EBS Prvider, navigate t the cntent database f the site cllectin in Micrsft SQL Server Management Studi and lcate the AllDcs table. If the seventeenth bit f the binary number f the item s value in the dcflags clumn is 1, then this item is stub. Otherwise, it is real cntent. If using the RBS Prvider, navigate t the cntent database f the site cllectin in Micrsft SQL Server Management Studi and lcate the AllDcStreams table (in the 58

If a jb fails, click the Rerun with Debug Mde buttn t run the jb again in the debug level. After the debug-level jb cmpletes, yu can dwnlad the jb lg t view details.
