9 Using This Guide This guide provides comprehensive installation, configuration, and operation instructions for FlightPlan and Pilot, companion applications to Avid AirSpeed. n This guide is intended as an installation and configuration reference for system engineers and Information Systems (IS) personnel. Applications engineers and editors should use this guide as a reference for information on operation and interface to other Avid products, such as NewsCutter and Avid Unity. The documentation describes the features and hardware of all models. Therefore, your system might not contain certain features and hardware that are covered in the documentation.

10 Using This Guide Symbols and Conventions Avid documentation uses the following symbols and conventions: Symbol or Convention n c w Meaning or Action A note provides important related information, reminders, recommendations, and strong suggestions. A caution means that a specific action you take could cause harm to your computer or cause you to lose data. A warning describes an action that could cause you physical harm. Follow the guidelines in this document or on the unit itself when handling electrical equipment. > This symbol indicates menu commands (and subcommands) in the order you select them. For example, File > Import means to open the File menu and then select the Import command. t Margin tips Italic font Courier Bold font Ctrl+key or mouse action This symbol indicates a single-step procedure. Multiple arrows in a list indicate that you perform one of the actions listed. In the margin, you will find tips that help you perform tasks more easily and efficiently. Italic font is used to emphasize certain words and to indicate variables. Courier Bold font identifies text that you type. Press and hold the first key while you press the last key or perform the mouse action. For example, k+option+c or Ctrl+drag. 10

13 Chapter 1 FlightPlan The FlightPlan application lets you manage events on networked AirSpeed Servers. Using FlightPlan, you can copy events from an AirSpeed Server to a NewsCutter. You also can use FlightPlan to rename or delete events from an AirSpeed Server. This chapter explains how to set up and use FlightPlan to manage events. 14 Chapter 1 FlightPlan Installing FlightPlan To install the FlightPlan software: 1. Locate and run the AirSpeed I/O Peripherals Installer application on the Avid AirSpeed I/O Peripherals CD-ROM. 2. In the opening window, select Install I/O Peripherals. 3. Follow the step-by-step instructions. 4. In the Select Components window, select FlightPlan and any other components you want to install. 5. Click Next and complete the installation. Starting FlightPlan To start FlightPlan: 1. Click the Start button on the Windows task bar. 2. Select All Programs > Avid > AirSpeed > FlightPlan. The Avid FlightPlan window opens. 14

15 Connecting to an AirSpeed Server Multiple Sessions of FlightPlan The Avid FlightPlan window contains seven columns of information in what is known as the Event List: status, video ID and video name, duration, mark points, and last modified time and date. For more information, see Using The Event List on page 18. Running multiple sessions of FlightPlan allows you to access events on different AirSpeed Servers. To open multiple sessions of FlightPlan, do one of the following: t From the Avid FlightPlan window, select File > New. t Press Ctrl+N. Another FlightPlan window opens. Connecting to an AirSpeed Server Connecting FlightPlan to an AirSpeed Server consists of two general steps: 1. Create a list of AirSpeed Servers that FlightPlan can access. 2. Select the server whose events you want to manage. These steps are explained in more detail in the following sections. 15

16 Chapter 1 FlightPlan Creating a Server List The server list specifies which AirSpeed servers you can access. If you are using Pilot on the same system, you can use the same list for both FlightPlan and Pilot. If you have already created the server list for Pilot, you do not need to create it for FlightPlan. To create a server list: 1. Select View > Server List. The Edit Servers dialog box opens. 2. Click in the Available Servers text box and enter the host name or IP address, each on its own line, for each AirSpeed Server you want to access through FlightPlan. n There is no limit to the number of IP addresses and host names you can enter. 3. Click OK. 16

17 Connecting to an AirSpeed Server Selecting a Server To select a server: 1. Select the AirSpeed Server you want FlightPlan to access from the Server list box (near the top of the FlightPlan window). A dialog box prompts you for a password. 2. Enter the password for the selected server and click OK. The administrator sets the password on the AirSpeed server. The default password is avid123. For more information, see the AirSpeed Installation and User s Guide. The Event List for the selected server opens. 17

18 Chapter 1 FlightPlan Closing an AirSpeed Server Connection To close the connection between FlightPlan and an AirSpeed Server without exiting the FlightPlan session: t Select File > Close Connection. Using The Event List Refreshing the Event List Modifying the Event List FlightPlan automatically updates the Event List to reflect activity on the server. Whenever an event (or clip) is created, FlightPlan adds it to the list. The Status column displays the letter C (for Creating) as the event is being recorded for the first time. Whenever an event is deleted, FlightPlan removes it from the list. Events are identified by video ID and video name. In the event that a problem in the network occurred and you suspect that FlightPlan was not able to automatically update the list, you can manually refresh the Event List. To refresh the Event List: t Select View > Refresh. You can modify the Event List in three ways: By limiting (filtering) the list to include a subset of the events on the AirSpeed Server By changing the sort criterion of the Event List By selecting which event columns are displayed You can also resize the columns. 18

19 Using The Event List Filtering the Event List FlightPlan matches video IDs to characters you specify. To filter the Event List: t Specify characters you want FlightPlan to match by entering them in the Match list box and pressing Enter. Use an asterisk (*) as a wildcard. For example, typing c* in the Match list box filters the list to display only clips whose Video IDs begin with the lower-case letter c. n Matching is case-sensitive. The Match list box retains all match strings you enter. If you want the list to match a string you previously entered, select that string from the Match list box. 19

20 Chapter 1 FlightPlan Changing the Sort Criterion of the Event List To select the criterion for sorting the Event List: t Click on the header button for the column corresponding to that criterion. For example, clicking on the Video Name column s header button sorts the list by video name. Click once to sort alphabetically, starting with upper-case A. Click again to sort reverse alphabetically, starting with lower-case z. By default, sorting events in the Event List is case-sensitive. To disable case-sensitivity: 1. Select View > Sort Order is Case Sensitive. Hiding or Showing Columns 2. Uncheck the option. Click the option to enable it again. You can also select the column headers from the right-click context menu. Use the List menu to select which columns you want displayed in the Event List. To show a column: t Select its header from the List menu. A check mark is displayed next to the header name in the menu. The column is displayed in the Event List. To hide a column: t Select its header in the List menu. The check mark next to the header and the column itself disappears. 20

21 Using The Event List Resizing Columns Use the column header buttons to resize columns in the Event List. To resize a column: t Click the right-side edge of that column s header button and drag the pointer right to enlarge or left to shrink the column width. The following example shows the Duration column being resized. Changing Event Names You can also define the column widths in a configuration file. For more information, see Using Configurations on page 26. To change an event s name: 1. Select the event in the list whose name you want to change. 2. Select Edit > Change Video Name. The Change Video Name dialog box opens. 3. In the Video Name text box, enter the new name and click OK. FlightPlan changes the event s name in the Event List and on the AirSpeed Server. 21

22 Chapter 1 FlightPlan Changing Event IDs To change an event s ID: 1. Select the event in the list whose ID you want to change. 2. Select Edit > Change Video ID. The Change Video ID dialog box opens. 3. In the Video ID text box, enter the new ID and click OK. A warning message opens. 4. Click Yes to confirm the ID change. FlightPlan changes the event s ID in the Event List and on the AirSpeed Server. 22

23 Copying Events from AirSpeed to NewsCutter Copying Events from AirSpeed to NewsCutter If FlightPlan and NewsCutter are both installed on the same system, you can easily copy events from an AirSpeed Server to a NewsCutter bin. For more information, see the Avid AirSpeed Installation and User s Guide. This feature is particularly useful if there is a problem copying events from Avid Unity to NewsCutter. To use this feature, you need to install the Editor Ingest and Playback Support software from the Avid AirSpeed I/O Peripherals CD-ROM. For instructions, see Installing FlightPlan on page 14. This software must be installed on every NewsCutter system that you want to use with AirSpeed. To copy events from an AirSpeed Server to NewsCutter: 1. Start NewsCutter and FlightPlan. 2. In NewsCutter, configure the transfer settings: a. Click the Settings tab in the Project window and double-click Transfer in the Settings scroll list. b. Click the TMClient.ini tab. c. In the Server text box, type the AirSpeed Server name. In the Workgroup text box, type the name of the server s workgroup. If the server is not already part of a workgroup, type a name for the workgroup. d. Click OK. 3. From the FlightPlan Server list, select the AirSpeed Server on which the event or group of events you want to copy is located. 4. Select the event or group of events from the list. To select all the events in the list, select Edit > Select All. 5. Drag the selection to a NewsCutter bin. FlightPlan copies the selected events to NewsCutter. If the NewsCutter is connected to an Avid Unity MediaNetwork, the event is copied directly to the Avid Unity storage. 23

24 Chapter 1 FlightPlan Deleting Events from an AirSpeed Server To delete events from an AirSpeed server: 1. In the Server list box, select the AirSpeed Server on which the event or group of events you want to delete is located. 2. Select the event or events you want to delete. To select all the events in the list, select Edit > Select All. 3. Select File > Delete. A dialog box opens, asking you to confirm the deletion of the events. 4. Click Yes to confirm deletion. FlightPlan deletes the selected events from the AirSpeed Server. 24

25 Protecting Events from Deletion Protecting Events from Deletion FlightPlan includes a feature that lets you prevent events from being deleted. This protection prevents events from being deleted either manually or automatically by the AirSpeed Auto Delete feature. You can also set or remove protection from the right-click context menu. In this case, the dialog box does not appear. To protect events from deletion: 1. In the Server list box, select the AirSpeed Server on which the event or group of events you want to protect is located. 2. Select Edit > Delete Protection. The Delete Protection dialog box opens. 3. Click the check box in front of each event that you want to protect from deletion so that a check mark appears in the box. 4. Click OK. To allow the events to be deleted, follow the same procedure but clear the check box for each event that you want to delete. 25

26 Chapter 1 FlightPlan Using Configurations Saving a Configuration FlightPlan lets you save and load configurations that specify display options such as column widths and window size. FlightPlan saves the information in a configuration file. To save a configuration: 1. Select File > Save Configuration As. The Save Configuration As dialog box opens. 2. In the File name text box, enter a name for the configuration file. 3. Click Save. FlightPlan saves the configuration file. 26

27 Using Configurations Opening a Configuration To open a configuration: 1. Select File > Open Configuration. The Open Configuration dialog box opens. 2. Select the configuration file you want to open. 3. Click Open. FlightPlan loads the configuration file and opens the FlightPlan window, using the settings saved with the configuration. 27

29 Chapter 2 Pilot The Pilot application lets you manage events and remotely control playback (two channels) or recording (one channel) on networked AirSpeed Servers. This chapter describes how to set up and use Pilot. 30 Chapter 2 Pilot Installing Pilot To install the Pilot software: 1. Locate and run the AirSpeed I/O Peripherals Installer application on the AirSpeed I/O Peripherals CD-ROM. 2. In the opening Window, select Install I/O Peripherals. 3. Follow the step-by-step instructions. 4. In the Select Components window, select Pilot and any other components you want to install. 5. Click Next and complete the installation. Starting Pilot To start Pilot: 1. Click the Start button in the Windows task bar. 2. Select All Programs > Avid > AirSpeed > Pilot. Connecting Pilot to an AirSpeed Server Connecting Pilot to an AirSpeed Server consists of two general steps: 1. Create a list of AirSpeed Servers that Pilot can access. 2. Select the server whose port you want to control. Pilot interacts with an AirSpeed Server by using the Avid Control Protocol (PAPI) through an Ethernet connection. When an AirSpeed Server is configured for VDCP or Sony BVW remote control using the RS-422 connectors, Pilot functionality is limited. The following table describes Pilot functionality for each AirSpeed Control Configuration setting. 30

If you are using Pilot on the same system as FlightPlan, you can use the same list for both Pilot and FlightPlan. If you have already created a server list for FlightPlan, you do not need to create one for Pilot. To create a server list: 1. Select View > Server List. The server list is displayed. 2. Click in the Available Servers text box and enter the host name or IP address, each on its own line, for each AirSpeed Server you want to access through Pilot. 31

32 . Chapter 2 Pilot n There is no limit to the number of host names and IP addresses you can enter. 3. Click OK. Selecting a Server To select a server: 1. Do one of the following: t Select File > Connect. t Click the Connect button. t Press Ctrl+S. The Select Server dialog box opens. 2. Select the AirSpeed Server that you want to control from the list. 3. Click OK. A dialog box prompts you for a password. 32

33 Connecting Pilot to an AirSpeed Server 4. Enter the password for the selected server and click OK. The administrator sets the password on the AirSpeed server. The default password is avid123. For more information, see the AirSpeed Installation and User s Guide. A Pilot controller window for the server opens inside the main Pilot window. The server s host name appears on the title bar of the window. n You can open multiple sessions of Pilot by repeating the procedure for selecting a server. 33

34 Chapter 2 Pilot Using the Event List Viewing the Event List The Event List displays the events (or clips) on the selected server. It is similar to that in FlightPlan. Use the Event List to select events you want to play or delete. Events are identified by video ID and video name. To view the Event List: t Click the ellipsis (...) button next to the Video ID text box. The Event List dialog box opens. Modifying the Event List You can modify the Event List in three ways: By limiting (filtering) the list to include a subset of the events on the AirSpeed Server By changing the sort criterion of the Event List By selecting which event columns are displayed You can also resize the width of the columns. 34

Use an asterisk (*) as a wildcard. For example, typing c* in the Match list box filters the list to display only clips whose Video IDs begin with the lower-case letter c. n The sort order is case-sensitive. The Match list box retains all the match strings you enter. If you want the list to match a string you previously entered, select that string from the Match list box. Changing the Sort Criterion of the Event List To select the criterion for sorting the Event List: t Click on the header button for the column corresponding to that criterion. For example, clicking on the Video Name column s header button sorts the list by video name. Click once to sort in alphabetical order, starting with uppercase A. Click again to sort in reverse alphabetical order, starting with lowercase z. 35

36 Chapter 2 Pilot By default, the sort order of events in the Event List is case-sensitive. To disable case-sensitivity: 1. Select View > Sort Order is Case Sensitive. Resizing the Columns 2. Uncheck the option. Click the option to enable it again. Use the column header buttons to resize columns in the Event List. To resize a column: t Click the right-side edge of that column s header button and drag the pointer right to enlarge or left to shrink the column width. The following example shows the Duration column being resized. You can also define the column widths in a configuration file. For more information, see Using Configurations on page

37 Using the Event List Hiding or Showing Columns You can select which columns you want displayed in the Event List. To hide or show a column: Protecting Events from Deletion 1. Right-click an event in the Event List. A check mark next to the header name indicates that the column is displayed in the list. 2. Select the header name to toggle the check mark on or off. You can prevent events from being deleted. This protection prevents events from being deleted either manually or automatically by the AirSpeed Auto Delete feature. To protect events from deletion: 1. Select one or more events in the Event List. 2. Right-click an event and select Set DeleteProtection. To allow the events to be deleted, follow the same procedure but select Unset DeleteProtection. Selecting an Event to Play or Delete To select an event to play or delete from the Event list, do one of the following: t Click on the event and click OK. t Double-click the event. The Event List dialog box closes and the ID of the event you selected is displayed in the Video ID text box. 37

38 Chapter 2 Pilot Using the Pilot Controller This section describes how to use Pilot controller to record and play events on an AirSpeed Server. 38

39 Using the Pilot Controller The Clear (eraser) button clears the loaded event from the controller. It does not delete the event from the server. To delete an event from the server, see Deleting an Event on page 44. The controller s status is displayed in the Session window s Status box, located next to the Port list box. The words in the box and its background color change depending on whether an event is being recorded, played, or stopped, as shown in the following table. Event is playing Event is stopped Event is recording Box appears green with the word PLAY displayed Box appears purple with the word STOP displayed Box appears red with the word RECORD displayed Selecting a Channel Pilot lets you choose the same channels that you can choose on AirSpeed: one channel for recording, or two channels for playback. For playback, you can play a clip on each channel and then switch back and forth between them. To select a channel: t In the Channels section, select the channel you want to use: Record, Play 1, or Play 2. If an event is loaded in the Pilot Controller, you can click the Erase button to unload it and switch to a different channel. 39

40 Chapter 2 Pilot Toggling Timecode Display If an event is loaded, toggling the timecode display mode causes Pilot to reload the event in the new mode. The following illustration shows the timecode display mode. The HH:MM:SS:FF title changes to Frame Count when in frame count mode. Jogging and Shuttling To toggle the counter display: t Select either View > Display Timecode or View > Display Frame Count. Changing the display option also toggles the display in the Mark In and Mark Out fields. These fields can display either timecode or frame count. For more information, see Marking Points on page 41. To specify the position of a loaded clip: t Type a timecode or frame count number in the counter display field. When you press Enter, the controller seeks to the given position in the clip. In Virtual Tape mode, you can go to any position in the 24-hour virtual tape. In Clip Absolute mode, you are restricted to the region between the mark points. For more information, see Playing Events in Virtual Tape Mode on page 43 and Playing Events in Clip Absolute Mode on page 44. The Shuttle slider control allows you to adjust the play speed of the event you are playing. The Jog slider control allows you to adjust the current timecode position of the event you are playing. 40

41 Using the Pilot Controller Marking Points The Mark Points section of the Pilot UI contains two fields and six buttons. Mark In and Mark Out fields allow you to enter the In point or Out point of a loaded event and play the event from or to the point you set. The numerical display in the Mark In/Out fields may be toggled from frame count, as shown, to timecode using options in the View menu. See Toggling Timecode Display on page 40. Use the Set buttons to set the mark points shown in the Mark In and Mark Out fields. Use the Cue buttons to cue the event to the corresponding mark point. Use the Clear buttons to set the marks to the corresponding media boundary: start of media for Mark In and end of media for Mark Out. In Clip Absolute mode, the mark points are relative to the Event s start of media. For example, 00:00:00:00 is the first recorded frame. In Virtual Tape mode, the mark points are relative to the beginning of the virtual tape, which is likely to be different from the start of media. Selecting the Timecode Reporting Mode Select one of the following timecode reporting modes: Virtual Tape, which lets you record at any time. Clip Absolute, which lets you record a set duration. n For more information about timecode modes, see the Avid AirSpeed Installation and User s Guide. While in Virtual Tape mode, recordings across 00:00:00:00 are not possible. 41

42 Chapter 2 Pilot To toggle timecode reporting between Clip Absolute and Virtual Tape, do one of the following: t t In the View drop-down menu, select the corresponding item either Display Clip Absolute or Display Virtual Tape. Click on the corresponding radio button under the Event ID text box. Working With Events Creating Events in Virtual Tape Mode This section describes how to create, play, and delete events using either Virtual Tape or Clip Absolute mode. To create an event in Virtual Tape mode: 1. In the Channels section, select Record. 2. Select Virtual Tape. 3. Type an ID in the Video ID text box and press Enter. 4. Type a name in the Name text box. n The event name is optional. The Create button and Create Event option in step 5 are enabled when you press Enter after typing in the event ID. 5. Do one of the following: t Select File > Create Event. t Click the Create button. In either case, the transport controls become active. At this point, you can record media anywhere on the event s 24-hour virtual tape. 6. Click the Record button to begin recording the event. 7. To end the recording, click the Stop button. 42

43 Using the Pilot Controller Playing Events in Virtual Tape Mode To play an event in Virtual Tape mode: Creating Events in Clip Absolute Mode 1. In the Channels section, select Play 1 or Play Select Virtual Tape. 3. Do one of the following: t Type the event ID of an existing event in the Video ID text box and press Enter. t Use the Events dialog box to select the event. For more information, see Selecting an Event to Play or Delete on page 37. Pilot loads the event and the Play button becomes active. 4. Click the Play button. At this point, you can play back media anywhere on the event s 24-hour virtual tape. To create an event in Clip Absolute mode,: 1. In the Channels section, select Record. 2. Select Clip Absolute. 3. Type an ID in the Video ID text box and press Enter. 4. Enter a name in the Name text box. n The event name is optional. The Create button and Create Event option in step 6 are enabled when you press Enter after typing in the event ID. 5. Enter the duration in the Event Duration text box. 6. Do one of the following: t Select File > Create Event. t Click the Create button. The transport controls become active. 43

Playing Events in Clip Absolute Mode To play an event in Clip Absolute mode: 1. In the Channels section, select Play 1 or Play Select Clip Absolute. 3. Do one of the following: t Enter the event ID of an existing event in the Video ID text box and press Enter. t Use the Events dialog box to select the event. For more information, see Selecting an Event to Play or Delete on page 37. Pilot loads the event and the Play button becomes active. 4. Click the Play button. Deleting an Event To delete an event: 1. Select the event you want to delete from the Events list. For more information, see Selecting an Event to Play or Delete on page Do one of the following: t Select File > Delete Event. t Click the Delete button. A dialog box opens, asking you to confirm the deletion of the event. 44

45 . Using Configurations Using Configurations Saving a Configuration 3. Click Yes. Pilot deletes the event from the AirSpeed Server. Pilot enables you to save and load configurations that specify display options such as Events List column widths and timecode reporting mode. Pilot saves the information in a configuration file. To save a configuration, do the following: 1. Select File > Save Configuration As. The Save Configuration As dialog box opens. 2. In the File name text box, enter a name for the configuration file. 3. Click Save. Pilot saves the configuration file. 45
