3 Introduction The Drake Software Client Transfer Utility for Client Write-Up is designed to assist in resolving CWU issues where a client back-up file is required in order to further diagnose an issue. Drake Software is moving away from ed backup files for reasons of compliance and ease of use. Security The Client Transfer Utility uses a TLS 1.2 connection encrypted using 3SDES_EDE_CBC with SHA1 for message authentication and RSA as the key exchange mechanism. All data is streamed via secure socket directly to Drake servers residing behind inner and outer DMZ firewalls. Once on the Drake Software network, customer data is stored in a de-identified manner and isolated from direct access by Drake employees. All access is strictly controlled via the Client Transfer Utility, and all activity is logged to ensure internal access is for appropriate business use. Ease of Use Once installed, the Client Transfer Utility can be launched independently from the Start Menu or desktop shortcut. It can also transmit client files for a range of product years (currently ), provided both parties have the requisite year Drake Software accounting product installed. Customers (and CSRs) are no longer required to back up and client files, nor are they required to delete existing clients in order to restore a copy from backup in the event a corrected file is returned to the customer. 3 P a g e

4 Installation To install the Client Transfer Utility, the user would browse to the Client Transfer Utility deployment web site ( 4 P a g e

6 In the Google Chrome browser, the user may see a not commonly downloaded and could be dangerous warning and should click on the arrow to the right of the warning, then select Keep from the drop-down menu: 6 P a g e

7 Once downloaded - when the user clicks on the executable, they will be presented with a Security Warning and should click Run : The user will then be asked if they d like to install this application and should select Install : 7 P a g e

9 Operation Launching the Client Transfer Utility The Client Transfer Utility can be launched from the Start Menu (found under All Programs- >Drake Software->Client Transfer Utility ): It can also be launched from the Desktop shortcut: 9 P a g e

10 Once launched, the Client Transfer Utility will first ask the user to choose an existing CWU installation from their local machine or network: 10 P a g e

11 after which, the user will see the main screen (and may notice a slight delay, depending on the speed of their connection to the internet as the utility contacts the Drake Server to get a list of files): In the example above, a client file is already resident on the Drake Server as shown in the upper portion of the screen. All clients found under the locally installed copy of Client Write-Up are displayed in the lower portion of the window. 11 P a g e

12 Uploading a Client File Uploading a file to the Drake Server is as simple as selecting the desired client from the list of locally stored client files (the lower grid), and clicking the Upload button which will become active once the user selects a local client file: 12 P a g e

14 Downloading a Client File Downloading a client file is equally straightforward. The user simply selects the desired client file from the list of remotely stored client files (the upper grid) and clicks the Download button which will become active once they select a remotely stored client file: 14 P a g e

15 If the client already exists in the locally selected client store, a warning message will appear: Selecting Yes will overwrite the existing client data, replacing it with the updated information from the Drake Server. Caution is required - so as not to overwrite important data. 15 P a g e

16 Refreshing the List of Remote Client Files In the event the individual with which a user is working has uploaded a client file from their end and the user wishes to download that information, they would need to refresh the list of remote files (the upper grid). This is done simply by clicking the Refresh button: 16 P a g e

17 The utility will query the Drake Server and refresh the upper grid with a current list of remotely held client files. This is typically done when a customer has uploaded a client file for a CSR to review and the CSR needs to see an updated list of remotely held client files. It is also done on the customer s end if a CSR indicates they have corrected a more complex problem with a particular client and asks the customer to retrieve that file for import into their local CWU Clients folder. It is no longer necessary to change active clients, delete the client in question, copy a backup zip file from to the backups folder, restore that file, and switch active clients back to the client in question. The new process simply replaces the currently held local data with the new information. 17 P a g e

18 Changing the Local Client List Occasionally a customer will want to upload client data for a previous year, or perhaps the same client across multiple years. The user can easily change the currently selected local CWU Clients folder by clicking the Browse button: 18 P a g e

21 If the user attempts to retrieve a remotely held client file from the Drake Server, and the contents of that file do not match the currently selected local CWU Clients folder - an error message will appear, explaining the retrieved zip file does not contain any data for the currently selected CWU installation: This prevents incorrectly formatted data files from corrupting a CWU installation inadvertently. 21 P a g e

22 Deleting a Remote Client File Once the relevant customer issue has been resolved, the customer or CSR should delete the client data file from the Drake Server. This can be done by selecting the desired remote client file and clicking the Delete button: 22 P a g e

25 Disconnecting from the Drake Server Usually, once a customer and CSR are done with a particular issue, they will simply exit the Client Transfer Utility (via the red X in the upper right corner of the screen). This disconnects from the Drake Server and closes the application. Occasionally however, the customer or CSR might wish to disconnect from the Drake Server and then reconnect using different credentials. This is done by clicking on the Disconnect button: 25 P a g e

26 Once disconnected, the upper list will be cleared of information and the Disconnect button will change to a Connect button. Also, the Refresh, Download, and Delete buttons will be disabled until reconnection: 26 P a g e
